MATERIAL COST AND ANALYSIS SYSTEM
Synopsis
This project titled MATERIAL COST AND ANALYSIS SYSTEMis developed to
maintain the entire operation on materials done in a sales company like orders receiving,checking stock, planning production, material indent to supplier, material receiving to the
production department and pending materials are calculated. The project provides the updated
details like billing and necessary reports like orders booked.
Material maintenance is a main task for the company to maintain the demand of the
materials and sales flow of the company in a smooth manner. The Project store all the details
about the material pricing, demand details about the material we take orders.
The calculation of material price by comparing the material prices by date wise and can
make a decision to buy the material which is used more and which is used less. This will be
helpful to inform the management about the changes needed for the material purchase for also
analyzing the cost of the materials at any period of time.
This project computerizes all the above-mentioned details. We can also maintain orders
in time for the customer because the raw materials insufficient were eliminated in the project.
We can also produce individual material reports. Thus this application project will help in
reduced manual work and results in consuming less time and easy to check price for a particular
material.

Master Module
The module consists of the primary details such of the materials, the unit details in which
the materials are measured and the supplier details from where the materials are being ordered
and purchased.

Planning ModuleMaterial Cost and analysis is integrated with work orders, production planning module,
Material planning module orders to ensure that the latest information is always considered. The
Module collects all the details to provide access to currently effective bills of material, routings,
and item planning policies.

This module describes the available stock details of the material, the reorder level for the
materials and the indent details in order to avoid the insufficient materials for production
planning.

Material Analysis Module
This material module is used to maintain the material details used for the production and
the graphical analysis to know the value of the material purchased. The material analysis
refers to the receiving and sending of the materials for production and the material pending
details which has been collected from the department and not sent to the production
department are calculated. The rejected materials due to various reasons are analysed.

STUDY ON THE EXISTING SYSTEM
The existing system in the company abides a manual system. Its functions such as Work
Allotment, the scheduling and calculation are maintained manually. The information provided
by the existing system requires a lot of manual interventions at the time of preparing the system.
Hence there is a need for updating of the system.
LIMITATIONS OF EXISTING SYSTEM
Even though a part of it was computerized, the system has so many pitfalls. some of them are
The necessary data are stored in different register and transactions are noted in it.
Time consumption
Many files and paper works are maintained by the existing system.
Unavailability of quick references
There is no facility to know the validity of the data entered.
Another problem is the lack of security
The existing system does not implement the restriction for the user to access data.

STUDY ON THE PROPOSED SYSTEM
DEFINING THE PROBLEM
The proposed system of Material Cost and Analysis has been incorporated the Item
details, Customer details and Cost Analysis as that of the existing system. The various problems
which are present in the manual process are addressed in the proposed system where the
processing of information will be faster and accurate.
DEVELOPING SOLUTION STATERGIES
The proposed system uses the ideal environment, windows environment, as it is the most
popular multitasking system available today. The tool used to develop this proposed system was
Visual Basic.NET a GUI for its flexibility and compatibility. The proposed system uses SQL
Server, a database system with powerful DBMS functions and easy accessing.

DATA FLOW DIAGRAM
This is concerned with the transformation of requirements into data &software
architecture various notation are used in this stage. The most frequently used category of
architectural design notation is directed graphs. There includes DFDs, pertinence etc.
The Data Flow Diagram is used as graphical notation to depict information flow. The
objective of this method is the derivation to program structure analysis and design. DFD is a
structural analysis and design. It describes the flow of data throughout a system.

Defines a Source or destination of a system.
Identifies data flow, data in motion
Represents a process that transforms incoming data flow into
outgoing dataflow.

DATABASE DESIGN
The most important aspect of building candidate system is database design. Instead of
each program managing its own data, the authorized persons share data across applications with
database software managing the data as an entity. It is a logical development, in the methods
used by the computers to access and manipulates data stored in the various parts of computer
system.
It is information from several files is coordinated accessed and operated upon as though it
is a single file. A database is collections of inter related data stored with a minimum redundancy
to serve many users quickly and efficiently. The objective is to make information access easy
and quick, inexpensive and flexible to the User.
Normalization is the process of efficiently organizing data in a database. There are two
goals of the normalization process: eliminating redundant data (for example, storing the same
data in more than one table) and ensuring data dependencies make sense (only storing related
data in a table). Both of these are worthy goals as they reduce the amount of space a database
consumes and ensure that data is logically stored.
