Welcome to Merrist Wood Golf Club

Merrist Wood Golf Club is located just outside

Guildford in tranquil countryside and is only 5

minutes from the A3, convenient for London, the M25

and south coast. Merrist Wood is a members based

course but welcomes visitors and groups. Over the last

few years we have entertained a range of golfing

societies and corporate golfing events. Merrist Wood was

chosen as the host venue to launch the Senior

Professional Golf Tour in the UK.

Our international visitors also enjoy the ancient traditions and etiquette of Golf upheld by the Club. The course is laid out

in nearly 250 acres, keeping the holes well spaced so that even on a busy day it can feel like you are out there on your

own.

Our high quality greens are constructed and maintained to USGA specification. The course designer, David Williams, has

created a golf course that will reward golfers of all standards.

At nearly 7,000 yards the course is one of the longest in Surrey. When played from our championship tees it offers a real

challenge to golfers of any standard. There are forward tees on all holes but with the white tees at 6,600 and yellow tees

at 6,300 it still offers a challenge for any player to play to their handicap.

The holes offer a great deal of variety. Water comes into play on 5 of the holes and strategically placed bunkers can catch

wayward shots so there is a premium on keeping the ball straight on this testing golf course.

As you may know, golf courses have traditional views on etiquette and behaviour - whilst we are relaxed and friendly at

Merrist Wood we would appreciate if you could take

the time to familiarise yourself with our dress code,

both on and of the course, which is enclosed within

this pack.

Merrist Wood welcomes societies 7 days a week and as

we are a member’s club - societies are restricted to

playing after 12pm on weekends and bank holidays.

We have a fully stocked Professional shop run by our experienced PGA staff who will be able to advise you on all the prizes for your day. The shop stocks brands such as Taylor

Made, Pro-Quip, Footjoy, Titelist, UnderArmour Clothing and Odyssey putters to name a few. We offer a price match guarantee so there is no need to shop for your prizes anywhere

Golf Day Dress Code

The management and members of Merrist Wood Golf Club expect all guests and visitors to maintain a reasonable

standard of dress at all times whilst on the course and in the clubhouse.

ON COURSE

• Recognised golf clothing should be worn at all times; no denim jeans, collarless shirts, sports or beach shorts or

tracksuits are permitted on the course.

• Please ensure that golf shirts are tucked in at all times.

• Mobile phones may only be used in an emergency.

• It is the obligation of the golf day organiser to contact the golf club when confirming their numbers to ask whether trolleys

are permitted (occasionally, due to adverse weather , they may be required to be banned)

CLUBHOUSE

• Smart casual wear only will be permitted in the clubhouse.

• No sports shorts or beach shorts.

• Footwear must be worn at all times.

• Mobile phones are banned from the clubhouse.

Thank you for your co-operation.

Please do not be offended when asked to leave the clubhouse or the course

if you fail to observe the proper dress codes and regulations.

Golf Day Terms and Conditions 1. All bookings of facilities at any ‘Crown Golf’, venues (hereafter called "the Centre") are accepted by Crown

Golf upon the following terms and conditions.

2. These terms and conditions, together with the Centre’s written quotation on the one hand and Client’s

written confirmation in respect of the booking on the other hand shall constitute the contract between

the Client and the Centre and such contract shall come into effect immediately upon receipt of written

confirmation from the Client or their agent.

3. The Centre reserves the right to amend these terms and conditions at its own discretion provided

such amendments are notified in writing to the Client at the time of the booking.

4. The Centre reserves the right to revise quotations where prices may be affected due to reasons beyond

its control. And in such event will do so in writing to the Client.

GOLF DAYS

5. A golf day or society booking is for a minimum of twelve full paying persons. Any variation from this will be

at the sole discretion of the centre.

6. A provisional booking is made on completion and submission of a booking form to the centre at which you

are planning to have the event.

DEPOSIT PAYMENTS

7. All bookings require a deposit, and Valid Credit/Debit card details within 14 days of the provisional

booking, unless the event occurs less than 14 days from booking in which case the deposit, card detail, is

required at time of booking.

8. All bookings require a deposit, unless the client has an account with the centre with a unique

reference number, supported by a purchase order

9. Bookings are provisional until receipt of appropriate written confirmation or deposit and signed copy of

these terms and conditions. The Centre reserves the right to cancel booking without liability in the event of

non- payment of a deposit.

10. Deposits are non-refundable except under circumstance defined in section 24.

11. Business customers wishing credit facilities must ensure that adequate arrangements are in place no later

than one month prior to the event.

12. In the absence of such arrangements a deposit of £10 per person is required at the time of booking

ARRANGEMENTS AND NUMBERS ATTENDING

13. The Client must confirm to the Centre all information necessary to organise the golf event. Including the

anticipated number of attendees and details of special dietary requirements and menu selections, not less

than

14 working days prior to the golf event. Where a booking is made at less than 14 days notice, all

such information must be confirmed at the time of the booking.

14. Final confirmed numbers are required no later than 5 days prior to the event. Where the actual attendance

on the day varies from final confirmed numbers the account shall be calculated on the number confirmed

by the Client or the number actually attending, whichever is greater.

15. The Centre reserves the right to reallocate the golf event if the attendance differs significantly from the

predicted number. The Centre will give written notice of amendments prior to the event if given a reasonable

notice period of changes by the Client. The Centre reserves the right to make any necessary amendments to

the proposed menu or facilities.

CANCELLATION

16. Cancellation charges are based upon the client's most recent confirmation

17. In the event of cancellation prior to an event the charges are as outlined in the matrix below. All deposits

are non refundable

18. These costs will be outlined at time of booking and should be stated on the booking form.

19. The Centre will make every attempt to resell cancelled booking space/times and use the profit in calculation

of cancellation charges.

20. The Centre may, at its' sole discretion, cancel at any time, any Golf event it deems may prove unsuitable

or disruptive to the Centre as a whole. Although not bound to do so the Centre would, if permitted, offer a

minimum of 48hrs notice in consideration of the Client’s need to amend arrangements. In such event the

Centre will refund all monies paid in advance by the Client and shall be deemed to have no further liability

arising from the cancellation. In the event that a Client is found to have misrepresented the nature of an event,

the Centre reserves the right to cancel the event without refund of monies paid in advance.

PAYMENT

21. For all bookings payment is to be made in full no later than the day of the event prior to the first tee time.

22. The Centre reserves the right to action payment of any outstanding balance post event by use of the

Clients payment details and will forward a receipt of payment to the address given by the Client. The

centre will attempt to notify the client before action of payment is taken.

GENERAL

23. The Client shall indemnify the Centre against any loss, damage, cost or expense caused to or suffered by

the Centre or any agents, guest or employee of the Centre. Arising as a result of the deliberate, casual or

accidental act of the Client, his agent, employee or guest of the function.

24. The centre reserves the right to alter playing conditions if forced to do so for the benefit of the course. In

the event of course closure by decision of the centre, the centre will make every attempt to re-schedule

the golf event and best accommodate the client.

25. The centre is not liable to offer reductions or reimbursement in the event that weather affects you function

in any way whatsoever excluding section 24.

26. The Centre shall not be liable for any loss or damage to the property owned by, or in the custody of the Client

or his agents, employees or guest. Cars are parked in the Centre’s car parks entirely at the risk of the

owners and their guests.

27. The Client will not arrange for the delivery of any goods or material to the Centre without prior

arrangement with the management.

28. The Client shall not introduce in the Centre any inflammable or hazardous material nor shall he or his agent,

employee or guests, commit any act or erect any structure, which may endanger the Centre, or any persons

within it. Clients will be responsible for ensuring that all measures necessary for the good health and safety

of their employees, agents and guests are employed and enforced.

29. The Centre does not allow the consumption of drinks (alcoholic or otherwise) or foods not purchased

through the site.

30. The Client agrees to take full responsibility, and reimburse the Centre, for the cost of repair arising from

any damage to the property, contents or course and grounds by their employees, agents or guests.

31. The Centre reserves the right to impose a charge of £100 for soiling caused by irresponsible behaviour.

32. The Client is responsible for ensuring that any third party, employed by them complies with all statutory

and management requirements.

33. The Centre must comply with certain insurance/licensing and statutory regulations and requires the client

to cooperate fully in meeting these.

34. All events must end at the time stated in the contract, failing which the Centre reserves the right to

charge additional hire/fees and any staff costs arising as a result.

35. All prices quoted include VAT unless otherwise stated.

36. The Centre shall not be liable for the failure to comply with any terms or conditions of Contract where

compliance is prevented, hindered or delayed by any cause beyond its control including, but not limited to, fire,

storm, explosion, flood, Act of God, action of any Government or Government Agency, labour shortage,

electrical power failure, interruption of supplies or industrial action.

CONTRACTED SUPPLIERS

37. All basic audio visual equipment MUST be supplied by the centre or an accredited supplier

38. If independent suppliers are employed the client is responsible for ensuring the correct health and safety

and public liability in held by that supplier

39. If independent suppliers do not provide the necessary documentation the centre reserves the right to

suspend the booking at any time.

Adjustment to any of the above terms and conditions at a specific Crown Golf venue are at the sole discretion

of the general manager. Any changes must be stated on the booking form overleaf and only apply for the

duration of that event.
