    5 STEPS TO A PERFECT WORKPLACE.5S was developed in Japan and is a tried and tested methodology to improve order, cleanliness, safety, efficiency and quality. The methodology is a systematic approach to design individual work-stations and the working environment in such a way that the employee can optimally concentrate on the value-adding activities and work in a waste-free manner. As a process it is sustainably embedded in the corporate culture and actively embraced by employees on all hierarchical levels.

    METHODOLOGY

    2SET IN ORDERCreate a basic order.

    Separate items that are used often from those that are used rarely, in order to determine the way they are arranged – e.g. by classification into working materials that are used constantly, on an hourly, daily, weekly or monthly basis. Each item is allocated a fixed place, where it is always readily available when needed.

    5SUSTAIN (DISCIPLINE) Define cycles.

    Define timings for the cycle of the methodology with the aim of continuous improvement of the workplace. Why self-discipline? Because standards only make sense when they are being adhered to, when they become a habit and when they are continu- ously improved.

    The aim is to make the 5S methodology an integral part of our day-to-day work.

    1SORT Eliminate unnecessary items from the workplace.

    Separate necessary items from unnecessary items in the work-place. Example of unneccessary items: duplicate tools, unusable or badly worn tools, materials and tools that are not needed, personal items such as food, magazines, etc.

    4STANDARDISEDocument the results of the 5S methodology.

    Determine standards for the various areas and across areas (e.g. photo/visual as an integral part of the standard worksheet / the standard work instructions for a work station). 5S audits and plans of action are helpful. 3

    SHINEDetermine and document cleaning cycles.

    Employees clean their own workplace and work tools. Faults are recognised, highligh-ted and dealt with. Cleaning is also inspecting! A clean workplace helps the company create a positive impression on customers.

    NECESSARY:

    ■ At the workplace – only tools used on a daily basis.

    ■ Near the workplace – tools used on a weekly basis.

    ■ In the department – tools used on a monthly basis.

    UNNECESSARY:

    ■ Unsafe, faulty, outdated tools.

    ■ Tools that are not used.

    ■ Duplicate tools.

    Sort consistently: No matter whether high or wide, in good working order or defective – everything finds its place in various boxes, recycling collection bins or containers.

    Appropriate stickers simplify disposal.

    MEASURES FOR STANDARDISED SAFETY AT THE WORKPLACE:

    ■ Protection of employee health has to be included in planning processes as a preventive measure.

    ■ Risks should be avoided or kept to a minimum.

    ■ Hazards should be dealt with at the source.

    ■ Collective protective measures should take precedence over individual ones.

    ■ For all measures the established ergonomic findings and the latest technology should be taken into account.

    ■ The effectiveness of measures has to be checked and continuously improved.

    Taking your efficiency to a higher level!Usually, when talking about increases in efficiency or production, businesses have the production line itself in mind, with higher feed rates, more manpower or even additional production lines considered. You would probably not think about a higher efficiency when it comes to the work environment itself, but this was exactly what Don Whitley Scientific Ltd. had in mind when they contacted Hoffmann Group’s sales manager Paul Walker to refurbish their workshops in West Yorkshire.

    Being the leading manufacturer and supplier of innovative equipment and services to the microbio-logy and tissue culture industries - primarily for use in hospitals, public health laboratories, food testing organisations, pharmaceutical companies and research institutions - DWS required a reliable partner when it came to quality and service.

    During MACH 2016, Mr. Murray and Managing Director Paul Walton developed a first impression of the quality of the Hoffmann Group’s workstation and storage solutions so they asked the experts of the Hoffmann Group to take a look at their workshops. During a visit at DWS, the team around Paul Walker produced a first draft of the workshops showing how they might look like equipped with new workstations and tool cars. The 5S methodology was developed in Japan; it is a systematic and methodical approach allowing teams to organise their workplace in the safest and most efficient manner.

  • 6S – Sound advice for safetySafety at the workplace should be ensured by a clean, clearly arranged workplace and strict compliance with standards, but safety means more than a clean and structured workplace or compliance with the specified 5S standards alone.

    Safety means not just eliminating sources of potential hazard, but putting emphasis on the employee and his health. The aim is an ergonomic workplace design that eliminates any potential harm to health.

    Even a clean, orderly and structured office workplace in a production hall can be very loud due to running machines.

    With noise protection measures such as machine enclosures or office partitioning systems you will be improving the ergonomic design of the workplace and be applying 6S, as these safety measures protect the employees against damage to their health resulting from exposure to noise.

    An assembly workplace where everything has its place and is in its place, where there are no unneces-sary items left lying around, in short - according to 5S.

    However, the fact that the workstation cannot be set to the employee‘s height and therefore is either too high or too low, may lead to health problems.

    This is where 6S in the sense of safe and ergono-mic workplace design can offer a solution. With a height-adjustable assembly workstation, which can be set to the individual employee‘s height, damage to health as well as absences caused by illness resulting from wrong posture can be avoided.
