    Aurora Donnelly is a solo practitioner always looking forward to the next exciting transition.

    This past week I was involved in a lengthy discussion about a resume item. A colleague

    asked me to look at his resume to see if I could improve on a paragraph about his

    language abilities and experience. But the discussion that evolved was regarding a

    paragraph about his interests that he had included at the bottom of the resume.

    He had written a two-line paragraph about what he likes to do in his spare time. When I

    looked at the resume my eyes landed on that list immediately and I drew back. I found the

    list questionable, not because it consisted of anything exotic or inappropriate, but because

    it is a rare sight on resumes today.

    I recall that we used to include a section about our personal interests in our resumes years

    ago. We put a lot of thought and effort into listing the sports we played, the hobbies weenjoyed and the special talents we possessed. There was lots of discussion and hand

    wringing about what to mention in these interests lists - for example, whether to mention

    memberships in associations, or political volunteer work or religious activities. The fear, of

    course, being that the reader might not like our choices and our chances of getting the job

    might be jeopardized.

    I don't remember when we stopped putting all that on resumes, but at some point it came

    to be seen as gauche. Why would an interviewer care whether we liked to read, or whether

    we played travel hockey? Why risk annoying a prospective employer with some activity

    they found objectionable just because we thought it added personality to our resume?

    Well, according to my young friend with the interests listing on his resume, that part of the

    resume is the ice breaker in his interviews and he feels that it is a valuable part of his

    curriculum vitae. He says it opens the way to discussing things he enjoys and is good at

    and thus puts him in a good light right away. He did not agree that the paragraph should

    go, it is staying, no matter what the rest of us said. So be it.

    Even though resumes have become very structured and formulaic, this young man felt this

    anomaly in his was a valuable part of the resume and he is keeping it in. Which led me tothinking about how resumes vary in different cultures.

    For example, when I was a management consultant, one of my assignments was helping

    30 or 40 professional employees prepare for their job search after being downsized from a

    multi-national company's operations in Mexico. Their resumes were very different from

    ours, with photographs and healthy, long paragraphs about, you know where I am going

    with this their interests. Since this is a normal way to present a resume in South

    America, which is where most of these people were applying, we kept much of that in.

    Which brings me to another point. If you are applying for jobs in a foreign country, be sure

    you do research on what the expectations are for each country regarding job search

    etiquette, including what should be included in your cv, as they generally call resumes. The

    Western or American way may not necessarily be your best bet in some places.

    WRITING STYLE

    heretofore before you and

    witnesseth in print to regur-

    gitate information to those

    who review this discourse.

    In other words Im here to

    talk about writing style. No,

    Virginia, not what to wear

    when you are writing,

    though those jackets with

    the leather elbows do look

    smart, but how to create the

    way you write.

    Paralegals most often are

    assigned writing projects

    that must reflect the writing

    style of the supervising

    attorney. So how can a para-

    legal create a writing style?One way is to gradually

    change the writing style of

    the supervising attorney.

    Maybe that sounds presump-

    tuous but if the supervising

    attorney still uses those

    herewithforeeverafter words

    one way to start changing a

    writing style is to start elim-

    inating those superfluous

    adverbs and adjectives.

    With rare exceptions such

    words contribute little to the

    content of a document. For

    many years some non-

    lawyers believed the lan-

    guage used by attorneys incontracts and other docu-

    ments was deliberately craft-

    ed to confuse and confound

    the nonlawyer thus requiring

    an attorneys services.

    Lawyers never did anything

    to explain why such words

    were used. Certainly the

    trend in legal writing cours-

    es and seminars the past few

    years has been to simplify

    language in documents.

    Indeed, many court rules use

    terms such as short, concise,

    and simple in describing

    information required in

    briefs.A first step in creating a

    writing style is developing

    the manner in which docu-

    ments are prepared. Think

    about the document and

    what should be accom-

    plished. Just imagine a para-

    legal having an opportunity

    to plan ahead! (Joke).

    Determine the purpose of

    the document. Will it be

    persuasive, informative, a

    combination? Should it be

    formal or informal?

    The next step is setting

    down on paper the informa-

    tion to be conveyed. Willyou prepare an outline?

    Many authors use an outline

    as a way to prepare for writ-

    ing a document. This gives

    the author an opportunity to

    think about what should be

    included and where it should

    be included. Does the docu-

    ment need categories or a

    way to break it down into

    readable sections? In a letterdo the paragraphs begin with

    topic sentences? This is a

    way to clue the reader in as

    you go.

    The way the information

    is written is as important as

    the information itself. Use

    simple sentences. When

    possible use present tense

    and verbs that emphasize the

    action. This will make the

    reader flow better. Beingable to communicate clearly

    the thoughts and intent of a

    document just makes sense.

    Whatever you do dont

    forget to spell check and

    read the document. Spell

    check does not correct all

    errors or punctuation so do

    not mail or email a docu-

    ment before it has been edit-

    ed. When reviewing docu-

    ments months later theerrors always seem to jump

    out and you wonder how

    they were missed. Part of

    the reason errors are missed

    is when the drafter of the

    document edits. If possible

    have someone else edit your

    documents. This attention

    to detail reflects well on the

    attitude of the office.

    So work toward creating a

    writing style. Draft docu-ments which are clear and

    easy to read. While the con-

    tent may be complex that

    does not mean it should not

    be easy to read and follow.
