1.1 Overview
This user manual is designed to help you use and manage the Web Academy learning system effectively in
your role as a Dealer Administrator.
1.2 What is the Web Academy?
The Web Academy supports the Dealer Organizations’ continuous learning strategy every step of the way.
As a Dealer Administrator and a Student, you will use the system both in an administrative capacity and in a
learning capacity.
The main pluses for Dealer are:
•To reduce the training time spent in classroom
•To reduce the training cost
•To guarantee a continuous service training
•To introduce new training product and tools, always updated and easy to access

1.3 Hierarchical organization of roles
The Web Academy is organized in “Profiles”, according to a hierarchical scale of privileges (that is to say, the
possibility of operating on the system). Juniors, that is to say salespersons and dealership technicians, operate at
base level while your profile, the Dealer Administrator, manages the entire group of your colleagues.

The Web Academy features a set of functional areas, diversified according to the user’s visibility Profile and which
can be selected clicking on the buttons of the top browsing bar.
To navigate inside each functional area, simply use the browsing bar to the left. It differs according to the area
selected and the user’s visibility profile.

1. Overview
1.5 Role of the Dealer Administrator
The Dealer Administrator role allows you to perform the following tasks:
1. Setting up of dealer employee users
2. Enrolment of users in to learning activities
3. Approve or Deny requests from users
4. To attend learning activities
5. Manage enrolments (cancellations, replacements, etc.)

2.1 Access To access the Web Academy, connect to the Internet address www.iveco-webacademy.com.
From the Home Page of the system enter your “log-in”: the User Name and Password provided. Login IDs
are unique identifiers used to access the system.
The Dealer Employee ID will be created by the Dealer’s Administrator and will generally consist of the first
initial of the employee’s first name followed by the surname and then by a two-digit number.

2.2 Privacy The first time you log in, you will find a notice regarding privacy that protects treatment of the data loaded and
processed by the system.
Click on Continue to proceed.

This is the case of an employee of a
Dealership operating for IVECO Trucks
and for IVECO Bus.
To access the training offer dedicated
to the Brand, select the option
concerned from the drop-down menu.
This screen page will not be displayed
if your Company operates in only one
sector.
2.3 Domains The system is organized in sections called Domains.
Each section/Domain represents the reference Brand. If the Dealership is Multibrand, it will belong to more
than one domain at the same time and its personnel will be associated to different domains.Each user will have
a single password and must choose the reference (Brand) domain on accessing the system.

3.1 Catalog Catalogue From Catalog view the general training offer: you can navigate through the catalogue or search for a specific
course.
This is the access page to all the activities of enrolment or booking of resources for training.

3.3 Enrol
The Enrol key permits direct enrolment in the course of yourself or your colleagues without any further
confirmations by the School
3.2 Catalogues enrolments Status As Dealer Administrator, you can enrol yourself or one of your resources in a course.
WARNING!
According to the course selected, the process of enrolment of your colleagues of of yourself produces different
results: Enrolment, Booking, wait in Waiting List.
The process of enrolment established for each course is indicated by the description of the action button.

3.4 Pre-Enrol
The Pre-Enrol key makes it possible to book a course for yourself or your colleagues. The booking must be
confirmed and transformed into enrolment by the School. The users concerned will be notified when the
operation has been performed.
3.5 Waiting List
The Waiting key indicates that the course has already reached the maximum number of enrolments
established by the School. Select this key to access the Waiting List of the course. If enrolments are cancelled,
users in the Waiting list will be enrolled in the course.

To enrol in your course, follow the steps indicated below:

WARNING!
According to the course, you may also find the Pre-enrol or Waiting button. In this case, after the procedure,
you will acquire Booked status or continue to wait for any vacancies in order to access the course.

As already explained, according to the type of course, the confirmation may refer to a booking or the waiting

Clicking on the Manager label, you access the management environment of the training of your group.
From here you can manage the database and the organization of your group, consult the courses that the
colleagues have asked to attend, manage the enrolments and the related account.

This capability allows you to enrol your colleagues in several courses with a single operation, without passing
through the catalogue section.
To enrol your resources in the courses, carry out the following Steps:

Job Category to enrol the entire professional family in an update meeting. If you don’t know the search

10.4 Manager Colleagues Pending Approval (1/3)
Some courses require approval of enrolment by the Supervisor of the resource (Senior or Dealer
Administrator).
In these cases the junior will make, through the system, a request for enrolment to his/her supervisor, selecting
the Request Approval button.
This request will be displayed by you or by the Senior in the section: Manager, Colleagues, Pending
Approval.
You can decide whether to approve (Approve) or not approve (Deny) the requests received.

1.Flag the request to be approved/rejected

10.5 Manager Colleagues Edit enrolments (1/4)
From this screen page, you can modify an enrolment or booking for a course through cancellation,
substitution of the session or substitution of the participant.
In the case of absence at the course or of delays in modifying enrolment status, a fee will be charged to
the Contractor.

10.5 Manager Colleagues Edit enrolments (2/4)
With Substitution, you can substitute the participation of a colleague with another name. WARNING! You can
replace the names one at a time. The system automatically checks that the colleague is not already involved in
another course on that day.
With Move Pre-enrolment to another date, you can substitute the date of participation at a course in pre-
enrolment with another of the same course. In this case also, the system automatically checks that the
colleague is not already involved in another course on that day.

With Move booking to another date, you can substitute the date of participation at a course with with another
date. Click on Modify and use Select to confirm cancellation.

As Dealer Administrator and as Owner of the Dealership, you are responsible for keeping the databases and
the data entered on Web Academy updated.
More specifically, you must insert, as new user, each newly-hired person and indicate each resource who has
left the Dealership as “Not active”.
To add a new user on the system, carry out the following Steps:

As shown, for the Sub Dealer it is possible to perform the following operations: New, Edit and Delete.

the system, role at the Company and status, that is to say active (and participates in training activities) or not.

12.1 Report Report Manager Dealer Account
Each Dealership is associated to a code called Account in which all the costs of the training activities
carried out by in-house personnel are calculated.
Following the procedure described below, you can assign the account of your Dealership to employees
whose training you intend to finance.
Warning!
Users who are not assigned to any Account cannot be enrolled or participate in training courses.
For this reason it is important to carry out the procedure for each newly-hired resources created on the
system (see page 56 – How to manage your dealership – Manager, User, New) and to de-associate
resources who have left
To associate the resources to an account, carry out the following Steps:

This screen page shows you the list of the courses purchased and the related amount. Clicking on
Transaction, Display you can display details of the charge.
