How do I start? It’s simple. Your minimum opening order must be $300.

$200 of that total must be consisting of programs of our best sellers,

then the remainder can be items of your choice. This will showcase your

personalization offerings to your customers. Most of our customers start out

with either the Simply Perfect or Everyday Gifts collections because they

offer such a great value and fantastic selection of products.

What comes in the box? All of our collections come with items shown

and all indicated displays and signage. Included with each display is a

descriptive card for your reference, also marketing materials are included

with our start-up collections.

When can I expect my collection? Most collections ship within two to four

weeks. Please allow extra production time for filigree collections.

What can I sel l? All of it! Once you have met the minimum opening display

requirements, you can sell anything in our catalog. It doesn’t matter if you

have a sample of the piece or not.

When you are ready to expand your display we offer many collections

featuring new and best selling items at discounted program pricing, so you

can get a lot of samples more economically.

What are the minimum orders? Once you are set-up as a Heartstrings

customer, we have no minimums. You may order as little as one piece at a

time or hold your orders and place them in groups.

Are there standard sizes or colors to the l ine? Heartstrings employs various

standards to ensure consistency and ease of ordering. Please specify the

desired options from those listed in our catalog.

1. If no bracelet length is specified we will send a 7” size where available.

2. If no necklace length is specified we will send a 16” length.

3. If no color is specified we will send black where available.

4. If no font is specified we will automatically use interlocking monogram or

the standard as shown in the catalog. For men’s items we use Times Block.

How do I place my order and is it easy? Yes, preferably orders should be

placed online, via our website portal. Some orders can also be placed via

fax. We provide an easy to follow order form where you simply provide a few

details such as item number and monogram letters. For more information

and to get set up with access, call us at 800.560.9816.

How will I be bil led for my orders? Heartstrings requires all accounts to be

setup on credit card terms. When there is an open balance on your account,

your card on file will be run every Monday, a minimum of 10 days after

shipment. Statements are provided on the 20th of each month detailing

your transactions.

As a strict rule we do not open an account on NET30 Terms. Once active

if you would like to be considered for NET30 Terms you must meet certain

requirements. Please contact our Accounting Department for full details.

What i f there is a problem with my order? Customer Service is a very

important part of our business. Our goal is to provide a fair and equitable

return policy that is simple and easy to follow.

It is very important that you inspect every order as soon as you receive it.

If you are missing an item or receive a piece that you feel is damaged or

incorrect you have three business days from the day the order was received

to call and report a concern.

If you receive an order where the entire package appears damaged, call

Customer Service immediately! Do not throw away any of the packing

materials unless instructed to do so.

Contact our Customer Service department in order to receive full credit

or replacement. For orders drop shipped to your customer, you have 10

business days from the date of delivery.

Unless otherwise noted all Heartstrings products are warranted against

breakage for 30 days from the date of delivery. If you have a damaged item

returned to your store, please contact our Customer Service department as

soon as possible in order to arrange for an appropriate credit, replacement,

or repair order. Once you have been issued a return number you have 30

days to return the item(s) in question.

If a replacement item is deemed necessary, it will be shipped in the same

manner as the original was ordered. In most cases overnight or expedited

shipping is available for an additional fee. Unless otherwise noted, full or

partial credit will be determined by our Returns Department upon inspection

of the item(s) in question. For more specific questions, contact our

Customer Service Department.

What i f I forget to complete my order form or f i l l i t out incorrectly? While

we do our best, we are not able to always contact customers about missing

or incorrect item information. During certain times of the year this is simply

not possible. Items ordered with missing or incorrect critical details are

subject to cancellation without notice.

What i f I order an item that is out of stock? We do our best to keep

every item in stock and available to order. Unfortunately, on occasion, an

item you order will be temporarily out of stock. When this happens, we will

attempt to call the store and we will notify you when the remainder of your

order ships via your invoice. Invoices are sent via email and a paper copy is

included with every order.

If the out of stock item is the only piece on the order, or if it is to be drop

shipped to your customer, we will notify you via email or, when possible,

we will give you a phone call.

Who can sell Heartstrings merchandise? Only authorized Heartstrings

account holders can purchase and retail our products. We have a variety

of customers including brick & mortar stores, online retailers, catalog and

corporate accounts.

I don’t currently have a Heartstrings account, how do I get started?

Depending on the type of retailer you are, you will select from a variety of

programs and complete an application. Upon approval, you can start selling

right away! If you have a retail store AND sell products on a website then

you will need to place a qualifying opening order with one of our programs

and complete our Website Retail Account Agreement.

I already have a Heartstrings retail account for my Brick & Mortar shop,

how do I start sel l ing Heartstrings products via my website? You will need

to contact our Customer Service Department and complete our Website

Retail Account Agreement.

How do I open with Heartstrings i f I am only sell ing through my website?

The opening order for a web only account is the same, $300.00. Your card

will be immediately charged the $300 and future orders will be credited

against that balance.

Can I get images for my website? Yes, approved accounts have access to

our online database of product photos and promotional materials.

Will Heartstrings build my site for me? No, this service is not available.

Please note, a functional website with an operational shopping cart is

required to be approved as a Heartstrings web retailer.

I sel l other items via online auctions l ike ebay. Can I sel l the Heartstrings

l ine this way? No, Heartstrings does not permit its product line to be sold

through third party websites such as ebay, nor any website utilizing an

auction, bid, or discount-based system. Your website should have its own

independent domain address, and each website domain/url you use to sell

Heartstrings must be pre-approved.

How do I promote the Heartstrings l ine? We provide an array of marketing

collateral to help you promote this line of personalized products! We offer

full-size catalogs, signage, photography for your website or Facebook page

–just to name a few.

Can I use social media to promote Heartstrings’ products and specials?

Accounts are expected to adhere to rules/regulations/guidelines with

regards to use of social media and other sites for promotions (i.e. following

page guidelines for promotions via Facebook).

Using appropriate applications to sell merchandise on Facebook and other

social media sites requires Heartstrings approval as an additional retail

website domain name/url within your account.

Catalog Companies For prospective clients that have both print and web

catalogs, please call our customer service reps to discuss your project.

Sug gested Retail Pricing Requirements and Sales/D iscount Restrictions

Heartstrings requires items to be sold at suggested retail prices (SRP)

or higher. Dealer markup is keystone. Failure to comply will result in a

suspension of orders or account cancellation. This policy is intended to help

provide a level and predictable playing field for all of our valued retailers.

This policy also protects the integrity of the Heartstrings brand, as well as

the profitability of our retailers. Customer sponsored sales/discounts are

not allowed unless they meet certain requirements and are approved in

advance by Heartstrings. Heartstrings does not allow affiliation with any

auction sites and does not permit home party accounts. Other restrictions

apply for website accounts. Call Customer Service for details.

What are your minimums? Once you have placed a qualifying opening

order and are set-up as an authorized account –there are no minimums! You

may order as often as you like. The same minimum holds true for graphic

logos with Collegiate, Corporate, and Sorority orders.

What is your turnaround time? Our typical turnaround time is usually

24 -48 hours. Corporate, Collegiate and Sorority orders may take slightly

longer depending on the order quantities. Some filigree items will require

7-14 days for production time. Major gift giving holidays like Mother’s Day

and Christmas can be marginally slower due to high order volumes.

Can I order items not on my display? If you have a brick & mortar store,

yes. Once you are set up as an authorized retail store, you may purchase

anything from our catalog, personalized or not.

Does Heartstrings provide an electronic database of item info?

Yes, an Excel spreadsheet is provided as part of the Web Account program

and is available to existing retailers upon request.

May I use the name ‘Heartstrings” in my company name or website URL?

No. Heartstrings® is a registered trademark of GMG Heartstrings, LLC

May I display the Heartstrings brand name in my store or website? Yes!

FedEx Ground: $7.25 for the first two items, $0.30 for each additional.

Packages 2 lbs or more are shipped based on box weight or size.*

for each additional. (Usually 3-7 days in transit). Packages 2 lbs or more are

Commercial and residential/drop shipment is $25, Saturday delivery $40.

How do you ship a back- ordered item once it’s back in stock?

For most items under 2 lbs. and small in size we ship back-ordered items

at no charge using USPS 1st Class Mail.

How do I read the item numbers? The first letters of an item number tell

you the item’s category and which form to order it through.

Engraving Order Form The following prefixes denote the items that need to

be ordered on the engraving order form.

All sterling silver jewelry shown is genuine .925 sterling silver,

unless specified otherwise.

Embroidery Order Form This form will prompt you for your embroidery font

and thread color selections. Only embroidery items are ordered on this

form. Neglecting to use the correct form may result in a service charge and

will delay your order. All embroidery items begin with ‘W’ or ‘WH’, meaning

woven. EX: W91 or WH53

If you intend to fax your orders, use this fax number 334.887.7366.

Hearstrings will begin combining jewelry/gifts and embroidery orders;

effective dates and details are to be announced.

Are there any personalization fees? Every personalized item we sell

includes a FREE monogram or name. Extra options are listed below.

Engraving

$4 Additional engraving on the same side and/or engraving on

the back of a piece. Some items can not be engraved on the back.

$2 Per piece when engraving a custom logo or collegiate emblem.

Additional setup or licensing charges may apply.

$1 Sorority letter. Heartstrings is currently not licensed to

personalize items with fraternity letters.

Embroidery

$7 Additional line of embroidery

$4 Addition of an embroidery graphic if not already included in

the item price. Item numbers ending in G include graphic in price.

$1 Sorority lettering. Heartstrings is currently not licensed to

personalize items with fraternity letters.

Vinyl Additional vinyl personalization is charged according to decal

size. See catalog for pricing.

Have a great display idea? We encourage

shop owners to be creative and design a

display that best suits their stores.

Do I have to buy a display? If you have a brick & mortar store, yes.

Program displays provide a convenient and attractive representation of

our best sellers. If you are only interested in buying blanks and doing the

personalization yourself, you would not need a display.

Can I order items not on my display? If you have a brick & mortar store,

yes. Once you are set up as an authorized retail store, you may purchase

anything from our catalog –personalized or not.

SIGNAGE Most programs will also include

signage. This helps draw attention to the

collection and serve as a quick reference

guide for sales associates.
