Process of Creating an Electronic EISA
Important – before you start
The create function is only available to the EISA team. The
former EISA systems allowed any professional to create
children in the system. With the spelling of names being it
seems so arbitrary this meant that the same children were
being ‘created’ in the CASS system multiple times. There
should only be ONE record for a child. Before you press
create you must thoroughly check the EISA data base and
also the CASS database for any record of the child you want
to create. All our data pulls from CASS system. I always have
CASS open and use it constantly to check records before I
create children, relatives and professionals. Check by name
and then in a separate search check by birth date. If you
mistakenly create a child that you find already exists then the
RICS or IT are able to merge the two profiles.
Process
To begin –
1. If you have a paper/electronic copy of the EISA you will
need to have that with you for the personal details
2. If it is a de-escalation from CIN it is helpful to have it to
view but not essential as the personal details of the
children will pull through to the EISA
3. If it is a CSC recommendation to go to EISA then again
it is helpful to have it to view but not essential as the
personal details of the children will pull through from
CASS to the EISA system
To begin click on

Once you press person search you will be taken to a page where you can
enter the child’s details. I prefer to search by DOB as spelling of names
can be arbitrary and inaccurately recorded on either the CASS system or
the EISA form. If you can see your child on the list that comes up then
press . If the details are incorrect (eg. Address) this can be
fixed at a later date.
If you do not see the child you are looking for then go and home CASS
and do a proper search by birth date
If you are certain there is no previous record of the is child in the CASS
system then go back to the EISA system and press
You will be taken to a screen where you are required to enter the
personal details of the child:
Title – DO NOT USE – leave blank
Forename 1 – First Name
Forename 2 – I never use this – leave blank
Surname – Last name
Date of Birth – Click on the little calendar to the side

Before you click on enter the :

Then press on
Once you have pressed address search you will be taken to a screen with a
text box that will require the postal code. If you don’t have the postal code but
you do have the address then I use the Royal Mail postcode finder on the
internet.
You will be taken to a screen and you will need to put the postal code in
the empty box and press ‘Go’.
Press the ‘Select’ button next to the address you require

Once you select an address you will automatically been taken back to
the screen you just came from. If you have filled out all the boxes with a
red asterisk you may press in the top right hand corner.
Now click Apply Changes in the top right hand and then BACK
You will now see the details of the Child you just created below – click
on ‘Select’ next to their name. You will now be taken back to the home
screen.

You have three choices for this:
CIN PLAN – Select this if the child is being de-escalated from Tier 4 to Tier 3
CSC – Select this if there has been an assessment done by the CAT team in the
last three months
EISA – Select this if a professional has use the EISA assessment form
** If you select the CSC or CIN options you will need to check if the LP requires
a copy of either so they can move forward with their first TAC meeting
After you have completed this page press in the top right hand
corner. The page will then open up and you will see more areas to input data
6A. Professional Involvement
IMPORTANT – the same rules apply for creating a Lead Professional – check
the CASS database for the LP first. Sometimes professional’s names will
appear with a ‘personal’ address and even birth date details also. This is
because for whatever reason that professional has had dealings with Children’s
Social Care on a personal level. Only select the professional if they have a
‘work address’ and no birth date information.

Fill out Search boxes. Use the formal version of the professional’s name. For
example if the name is Cath check if their full name is Catherine.
Once you have entered the name of the person click on
If nothing comes up you will need to create the Lead professional in the CASS
system.
If you see the professional you want below then press select.
Sometimes more than one option will appear. Always choose a ‘4 digit’ Person
Ref option over a ‘6 digit option’ as when professionals do the EISA training
and IT sets them up to access the system they usually use the 4 digit numbers.
Sometimes there will be a ‘4 digit’ number profile with no select button next to
it. On the right hand side of this click on the Edit button. Then follow the
process for adding an address:

To search for an address you need to have the postcode of the professionals
work address. Sometimes I use Royal Mail Postcode Finder or the internet to
confirm this.
Once you have the postal code then put it in the empty box offered and press

telephone number of the Lead Professional displayed. You are now required to
enter the of the Lead Professional. Care should be taken to get
this information correct as this data feeds into quarterly reports.

6b. Other Professional Relationships/Agencies involved with the family
You will never use this. This is for a professional who is accessing the system.
They would use this to populate their ‘initial plan’
Single Assessment
Click on the big blue button
This part of the EISA is a shared document with Children’s Social Care. They are
able to access it and read it. This is the only part of the EISA system that is
shared. CSC can’t access TAC minutes or any other information other than this
form.
CSC also use this same form to record their own assessments and for that
reason some of the questions asked do not pertain to Tier 3.
This form always needs to be filled in.
If you have been sent an EISA assessment on paper or an electronic copy of
one you will need to fill this form in. Also if the assessment being used for the
EISA is a CIN plan or a CSC Assessment you will need to fill this form in. The
only time you don’t fill this form in is when the LP is accessing the EISA system
themselves. But even then you will need to check over it.
99 % of the time you will choose the first option.

If you don’t find the person’s name then return to the previous question and

write in freehand any name you want.

The reason we do this is because if CSC are accessing this document it’s
because they will want to know who is running the EISA so they can speak with
them. If you put the name of the social worker from the CAT team down in the
box this will not be helpful because there role with it is finished.

Details of Children
This first box will have the target child listed and should contain all siblings of
that target child who are under the age of 18. The system will automatically
group siblings together who are listed on CASS at the same address. If more
than one child is being assessed then you need to put a tick in the check box
next to their name. If the child is not listed for you to choose then you will
need to add them as a relative to the target child
Adding a sibling to the EISA assessment
Click on the Target Child’s actual name: example John Smith
This will take you to a page titled Maintain Person.
Click on the tab titled ‘Relationship details’
This will show you the list of people that are related to this child.
Check the list of relatives first to see if the sibling you want is listed. If the
sibling is listed but is under a different address then you will need to update
the address. If the sibling is not listed then you will need to create the sibling.
Process for creating a sibling or relative
On the right hand side of the page there is a button titled
This will take you to a page where you will enter in the relative’s details.
This is the type of relationship. How is this person related
to the child from the child’s perspective.
You will need to search the CASS database separately again for the
named person. Be very careful that you check birth date details.
After you have checked CASS you can return to the maintain
person screen and press the button. You will not
be able to enter a name in the greyed out ‘Name’ box.

you can select them because we can correct the address at a later point.

You can ‘add’ as many ‘relatives’ as you require to be on the system. If you are
missing address details for relatives that do not live in the same household if
you put nothing in the address box then the system will assign them with an
address ‘HOME ADDRESS NOT SPECIFIED’. This is normal.
Process for updating the address
If you can see the relative that you want on the list but they are not at the
correct address you can follow this process to correct.
On the right hand side of the page there is a button titled

Select people from the list that need there address changed to the same
address as the Target child. Then below this click the button.
To search for an address you need to have the postcode. Once you have the
postal code then put it in the empty box offered and press

Once you have selected the correct address the system will automatically
return you to the previous screen. Enter today’s date and the telephone
number and click on
The address should now be updated. You may need to refresh the EISA page to
see the changes.
Once you have finished ‘adding relatives’ and ‘editing addresses’ then click on
the button on the top right hand corner of the screen
You will return to the form you were filling out. To see the changes you will
need to do an . The changes you have made should now show
up.
If you have added siblings and they are going to be assessed on this EISA then
they needed to be ticked : For example Child Assessed

There are several options now for filling out the rest of the form:
OPTION 1
If the LP is going to be accessing the e-system themselves then do a final
Interim save and close the form. You are done – they should fill out the rest.
You will need to check back to see that it has been completed.
OPTION 2
If you have been sent and EISA form in the post of electronically then you will
put this in sentence in most of the boxes
EISA assessment is saved in CASS documents (copy and paste this)
OPTION 3
If a CSC assessment has been done and the recommendation was the EISA
you are logging on the system then you will put this sentence in the boxes
This EISA is a recommendation of a recent CSC assessment

You need to click the little box with the red asterisk and then your details will automatically appear in the the ‘Import By’ box. Then press the blue button ‘Import File’.
You can check that you have attached it properly by going out of documents and then come back in. Go back to the EISA now for final steps:
1. If the EISA is being completed by a professional on line then you need to change the Status from ‘Pending’ to ‘Active’. Apply Changes and then change it back to ‘Pending’.
The reason that I change the status from Pending to active and back to Pending is that when you activate an EISA the ‘start’ date is recorded on the system. I change it back to ‘pending’ because the professional can only write in the EISA if it is in ‘pending’. You need to run a report monthly to check on all EISA’s that you have in ‘pending’ and chase the professional to complete the EISA
2. If the EISA has been completed by you because you have either a copy of the EISA, a copy of the CSC assessment or a copy of the CIN Plan then change the status from ‘Pending to Active’ and leave it ‘Active’.
