December Meeting Minutes DELTA SIGMA THETA SORORITY, INC

Fort Worth Alumnae Chapter Meeting December 10, 2016, at Great Commission Baptist Church

Soror Kathleen Turner called the meeting to order at 12:11 p.m. with the ritualistic opening. There was a quorum present.

Handouts were verified. Soror Gloria Spradley- Wadkins moved to adopt the agenda w/additions (30 for, 0 opposed,

motion carried). Minutes for the previous meeting were read, Soror A. Draper moved to accept the minutes with

corrections (41 for, 0 opposed, motion carried).

Visiting Sorors: Soror Angela Smith recognized Azure Dismuke, Dricka Ford, Janae’ Branch, Josie Duncan, Dolly Long,

and Marla Lee

Birthdays: Soror Angela Smith recognized birthdays for the month of December; Sorors received small gifts

Committee Reports:

Membership Services (Angela Smith) - New Member Orientation was held on November 12, 2016; DID

Training for the chapter was held on December 3, 2016, at the Women’s Center, 1723 Hemphill Street,

Fort Worth, Texas; The facilitators, Sorors Monica Brewer of Austin, Texas and Pier Crenshaw of Grand

Prairie, Texas presented Parliamentary Procedures and Sisterhood, respectively

Internal Audit (Andrea Wright) - The committee completed a review of the financial records of the Fort

Worth Alumnae Chapter of Delta Sigma Theta Sorority, Inc. for the first quarter period of July 1, 2016 to

September 30, 2016. The review included a random sampling of disbursements, receipts, deposits, and 100

of membership dues collected during the period. Recommendations - The Financial Secretary compile a

separate listing of 100% of the membership dues received in the period reviewed and the Treasurer keep a

listing that documents the date received and date transmitted to nationals for review; Recording Secretary

email the Executive Board minutes and chapter minutes to the Internal Audit chairperson upon completion

to [email protected]; President forward email correspondence from PayPal transactions to

internal auditor via chapter email and/or print copies for Treasurer report; Both Financial officers email the

[email protected] their reports in Excel version upon completion not pdf; The Treasurer

emails the [email protected] the bank statements upon receipt from the bank. This way

copies can be made ahead of time for the committee to use for the audit; The Financial officers review all

vouchers and documentation monthly before the audit convenes to ensure all paperwork is attached and

proper signatures are affixed

PPD (V. Baston-Sutton) – Discussed the details of the event held on Saturday, November 19, 2016, (Know

Your Rights - Get the 411 from our 911)

Delta GEMS (Astonida Draper) – Upcoming event- Delta GEMS will be attending Delta Day at the

Jubilee on Saturday, December 17, 2016; Delta GEMS will be ending 2016 being servants to the

community (serving lunch at Union Gospel Mission on December 31, 2016, from 11a.m. - 1p.m.)

Social Action (Barbara Cager) – Discussed that Delta Sigma Theta Sorority, Inc. has entered into a

partnership with Enroll America to assist those without health care to take advantage of services associated

with the Affordable Care Act; A webinar was held on November 15, 2016, to demonstrate how the tool

works. The Social Action Co-chair attended the webinar

Founders Day (Deborah Cuffee) - FD and Fundraising Committees will coordinate the gathering at a local

restaurant on Jan 13, 2017; Drawing for BOGO incentive (price of one JFD ticket-$60) at January 13,

2017, celebration; Plans to highlight/celebrate FWA honorees at a future Cafe Delta in 2017; Joint

Founders Day Luncheon will be held on February 25, 2017, in Hurst, Texas

Jabberwock (Bridgette Garrett)- Upcoming events – The next workshop is Saturday, December 17, 2016,

at Shamblee Library at 12 noon; This will also be the first collection meeting for participants; The

committee is asking chapter members for their support with the following: securing gently used ball gowns

pageant a success by purchasing an ad in the souvenir book; and locating and inviting previous

Jabberwock participants and winners to purchase tickets and attend the pageant an April 2, 2017, in

celebration of Jabberwock's 40th Anniversary

Social (Kimberly Whatley-Knight) Upcoming event – December Café Delta; possible movie outing in

January 2017 to see Hidden Figures

Technology (Kimberly Hinton) - Discussed updates to FWA Website, correction to the EMBODI meeting

location, upcoming activities, and deadline for all committee reports will be at 1:00 p.m., the Saturday

before E-Board Meeting

Summary of Committee Activities: Two events are being reported:

1. DFW Area Chapter Joint Founders Day

DFW Joint Founders - February 25, 2017 at Hurst Conference Center- Hurst, Texas

Alumnae tickets are $60 (may be purchased online or at the chapter). Ticket sales are slow this

year, perhaps because of the event being held in late February - FWA voted last Spring to

participate in the Joint Founders Day celebration rather than having a separate chapter event

which could have incurred more costs than what is in the budget. FWA's agreement to participate

The BOGO Founders Day drawing is in progress until the chapter’s Founders Day celebration.

2. FWA Founders Day Observance

There were 2 committee conference calls to discuss the chapter’s Founders Day observance, Dec

29 and Jan 2. A quorum was present in both meetings.

Background: The FD and Fundraising Committees have previously partnered together with the

Fundraising Cte taking the lead. In September 2016, the president asked the FD chair to work on

the plans. The Chapter President strongly encouraged the use of the Southern Classic Daiquiri

Factory, a black-owned business, in keeping with the DST’s programmatic thrust of Economic

Development. Soror Dobbins, FD committee member, initially vetted several locations for a

celebration/fellowship in September and October, including the Daiquiri Factory. There were

several constraints not found in previous years including: the day of the week (Jan 13 is a Friday

this year); arrival at an earlier time than 6pm; requiring a guaranteed RSVP; executing a contract

and using one check (chapter check) for expenses. The chapter Vice-President also offered

suggestions for an event venue. Soror Dobbins and later Soror Cuffee visited the Southern Classic

Daiquiri Factory. On Dec 29, the committee discussed several other venue locations (Pappadeaux,

Buttons, BJs, Abuelos, The Library Cafe and Daiquiri Factory). The committee rejected the Daiquiri

Factory due in part to the connotation of the venue’s name and believed it was not appropriate

to host a Founders Day celebration there. The committee did suggest supporting the Daiquiri

Factory for another event at a later time (e.g. Sisterhood Month, etc.) The Chapter President,

however, had announced to sorors during stroll practice the Daiquiri Factory would be the event

location. A subsequent follow-up committee conference call was held Jan 2. The FD Committee

determined that due to the constraints noted by Soror Dobbins, another date and venue would

be pursued and the chapter would be informed. Unfortunately, immediately following the Jan 2

conference call some sorors received a misleading communication via social media stating that

FWA did not have plans for a Founders Day event. The chair and co-chair were contacted by

several sorors expressing sentiments of chapter decisiveness and disrespect regarding the matter

(e.g. use of social media platform). This information was shared with the chapter president. For

clarification, the chapter agreed (voted) to have a FD event which could be held any time during

the months of Jan, Feb or March; Jan 13 was initially targeted. Great criticism of the committee

chair(s) and committee was expressed at e-board meeting about the perceived lack of planning

for Jan 13. To be clear, the committee(s)/chair(s) were tasked having a celebration for Founders

Day. There have been unforeseen hindrances to fulfill this task. The chapter will be informed at

the Jan 14 chapter meeting in order to make a chapter decision (vote).

An alternative date for the chapter's Founders Day observance is recommended for Jan 24 at

Buttons, 6-8p. The chapter president also encouraged a service project to be completed. The

committee is recommending donating light blankets or scarves for patients who get cold when

they are undergoing chemotherapy or dialysis. Soror Janet Hicks-Woods suggested JPS Hospital to

receive the donated items.

Upcoming Activities: DFW Area Joint Founders Day (Feb 25) Recommendation: Jan 24, 6-8pm at Buttons is recommended for the alternate date/time for the chapter's

Founders Day fellowship celebration. As a service project for FD, it is recommended that light blankets or

scarves be donated by chapter members for patients undergoing chemotherapy or dialysis treatment at JPS

Hospital.

Summary of Committee Activities: Jabberwock participants and parents met for the 3rd time, Saturday,

December 17th at the Shamblee Library. Allegra Sturns and Diamond Williams spoke on College Survival

Skills and gave the young ladies a lot of helpful information.

Upcoming Activities: The next workshop is Saturday January 21st at The Bethlehem Center at noon. This

will also be the second collecting meeting for participants. The committee is asking the chapter members

for their support with the following: * Securing gently used ball gowns for our participants, which will be

returned after the pageant.

Helping to make this year's scholarship pageant a success by purchasing an ad in the souvenir book;

Locating and inviting previous Jabberwock participants and winners to purchase tickets and attend

the pageant on April 2nd in celebration of Jabberwock's 40th Anniversary.
