Procedures Our procedures outline the series of steps that we use to accomplish specific tasks. All staff are required to follow these procedures. When we develop policies and procedures we consult with staff to get the most useful feedback. We update all policies and procedures regularly. They are then agreed and signed by the chair of the school governors.

Why do we need them?Agreed policies and procedures provide a framework in which decisions can be made. They help us to standardise clinical practice, test and improve our services, and achieve greater understanding and co-operation amongst our staff.

FEES POLICY

Fees policy

Fees are to be paid on a half termly basis and payment is required within 2 weeks of the billing being issued, unless prior arrangement has been organised between the Nursery and the parent/carer.

Fees continue to be payable if a child is absent for any reason including illness or holidays taken in term time.

Should the parents/carers experience difficulty in meeting fees then they, and the Nursery Management, should communicate, in confidence as to an effective solution to the problem. The Governing Body will be advised of any alternative payment arrangements made.

If you wish to withdraw your child from Footsteps nursery or make any changes to the sessions he/she attend, a Terms written notice is required. 3 & 4-year-old funding explained3-year-olds will be able to start a free nursery place following the term after their third birthday.All 3 and 4 year olds in England are entitled to 570 hours of free early education or childcare a year. Your child is entitled to a maximum of 15 hours per week for 38 weeks of the year.The grant is only available until your child starts school.A parent declaration form must be completed which is an agreement between a child’s parent/carer and nursery confirming the number of hours they would like to claim for free entitlement to early education.Extended 30 hours Free Childcare explainedMany working parents of 3 to 4-year olds in England will be eligible for 30 hours of free childcare – rather than the current 15 hours as from September 2017. Not necessarily everyone is eligible. But everyone will still receive the 15 hours’ free childcare that is currently available.

Eligibility rules for 30 hours’ free childcare;

REQUESTS FOR CHANGES TO NURSERY SESSIONS & FUNDED HOURS

Changing Nursery Sessions

If at any point you need to change your child’s nursery sessions in any way, may we ask that the changes required be stated in a letter to Mrs. Smith or alternatively please email the school office using the below email. [email protected]

Changes to nursery sessions require A terms written working notice. Changes will not be made without this notice period given. If a child’s sessions are reduced from 30 hours, then families requiring the 30 hours will take priority

Please note: We cannot guarantee that all session changes required will be available, however we will endeavour to accommodate all requests where possible.

Funding 15 hoursThe local authority provides funding for your child the term after their third birthday. At this point your child becomes eligible for 15 hours’ worth of funding (the equivalent to five sessions in Footsteps nursery)

LATE COLLECTION OF CHILDREN

Parents and Carers need to agree several matters with the Room Leader when their child is enrolled in Footsteps Nursery:

The hours and days the child will attend will be agreed The contact details of the parents or carer, an emergency contact person and any other

person designated to collect the child must be given and held at Footsteps Nursery.

In the event or a child not being collected:

Two members of staff will remain with the child until he/she is collected Every effort will be made by the Room Leader (or deputy where appropriate) to contact the

person designated to collect the child after 10-15 minutes has passed if no contact has been made to the school office.

If the designated person cannot be contacted, then the parents or emergency contact will be phoned.

If all attempts to contact the above fail and 30 minutes have lapsed since the collection time, Social Services may be advised and they will make arrangements for the safety and security of the child.

The Room Leader reserves the right to charge a fee of £20 for late collection All children will remain in Nursery until collected by their parent or designated person

E-safety Rules (younger children)

Ask permission before using the internet

Tell a trusted adult if you see anything that makes you feel uncomfortable

Footsteps Nursery will need to keep a record all absences and state a reason for the absence. The purpose of this is for the following reasons; safeguarding, improving outcomes for children and accurate funding. As a provider Footsteps Nursery will also need to inform Bracknell Forest Council should they become concerned about a child’s attendance pattern. Any child, who’s attendance is sporadic (without a stated reason for the absence) may run the risk of their funding being withdrawn and offered to another child on the waiting list.

Each term you will be asked to sign a Declaration form, stating the number of hours that you are claiming for your child. If this number of hours should change, a new declaration form must be signed (amended copies will not be accepted). Please note, you are not required to bring in a copy of your child’s Birth Certificate each time you complete a declaration form, as we hold a copy of this with your child’s paperwork.

The school is the Data Controller, of the personal data that it collects and receives for these purposes.

The school has a Data Protection Officer, who may be contacted via the school office.

The school issues Privacy Notices (also known as a Fair Processing Notices) to all pupils/parents and

staff.  These summarise the personal information held about pupils and staff, the purpose for which it is

held and who it may be shared with.  It also provides information about an individual’s rights in respect of

their personal data

PurposeThis policy sets out how the school deals with personal information correctly and securely and in

accordance with the GDPR, and other related legislation.

This policy applies to all personal information however it is collected, used, recorded and stored by the

school and whether it is held on paper or electronically.

What is Personal Information/ data?Personal information or data means any information relating to an identified or identifiable individual.  An

identifiable individual is one who can be identified, directly or indirectly by reference to details such as a

name, an identification number, location data, an online identifier or by their physical, physiological, genetic,

mental, economic, cultural or social identity. Personal data includes (but is not limited to) an individual’s,

name, address, date of birth, photograph, bank details and other information that identifies them.

Data Protection PrinciplesThe GDPR establishes six principles as well as a number of additional duties that must be adhered to at all

times:

1. Personal data shall be processed lawfully, fairly and in a transparent manner

2. Personal data shall be collected for specified, explicit and legitimate purposes and not further processed

in a manner that is incompatible with those purposes (subject to exceptions for specific archiving purposes)

3. Personal data shall be adequate, relevant and limited to what is necessary to the purposes for which

they are processed and not excessive;

4. Personal data shall be accurate and where necessary, kept up to date;

5. Personal data shall be kept in a form that permits the identification of data subjects for no longer than is

necessary for the purposes for which the personal data are processed;

6. Personal data shall be processed in a manner that ensures appropriate security of the personal

DutiesPersonal data shall not be transferred to a country or territory outside the

European Economic Area, unless that country or territory ensures an

adequate level of data protection.

Data Controllers have a General Duty of accountability for personal data.

Commitment

The school is committed to maintaining the principles and duties in the GDPR at all times. Therefore, the

school will:

Inform individuals of the identity and contact details of the data controller

Inform individuals of the contact details of the Data Protection Officer

Inform individuals of the purposes that personal information is being collected and the basis for this

Inform individuals when their information is shared, and why and with whom unless the GDPR

provides a reason not to do this.

If the school plans to transfer personal data outside the EEA the school will inform individuals and

provide them with details of where they can obtain details of the safeguards for that information

Inform individuals of their data subject rights

Inform individuals that the individual may withdraw consent (where relevant) and that if consent is

withdrawn that the school will cease processing their data although that will not affect the legality of

data processed up until that point.

Provide details of the length of time an individual’s data will be kept

Should the school decide to use an individual’s personal data for a different reason to that for which

it was originally collected the school shall inform the individual and where necessary seek consent

Ensure that only authorised personnel have access to the personal information whatever medium

(paper or electronic) it is stored in.

Ensure that clear and robust safeguards are in place to ensure personal information is kept securely

and to protect personal information from loss, theft and unauthorised disclosure, irrespective of the

format in which it is recorded.

Ensure that personal information is not retained longer than it is needed.

Ensure that when information is destroyed that it is done so

appropriately and securely.

Share personal information with others only when it is legally appropriate to do so.

Comply with the duty to respond to requests for access to personal information (known as Subject

Access Requests)

Ensure that personal information is not transferred outside the EEA without the appropriate

safeguards

Ensure that all staff and governors are aware of and understand these policies and procedures.

ComplaintsComplaints will be dealt with in accordance with the school’s complaints policy. Complaints relating to the

handling of personal information may be referred to the Information Commissioner who can be contacted at

Wycliffe House, Water Lane Wilmslow Cheshire SK9 5AF or at www.ico.gov.uk

ReviewThis policy will be reviewed as it is deemed appropriate, but no less frequently than every 2 years. The

policy review will be undertaken by the Data Protection Officer, Head teacher, or nominated representative.
