Dear IFMSA Friends,

Have you ever thought of joining an international training about Exchanges with other IFMSA fellows worldwide, in addition to snorkeling in one of the most attractive spots around the world, and setting off on a safari trip in Si-nai desert during the sunrise, all in the same event? Well, this is not just a thought or a wish! Under the glistening sun of Egypt, over the beautiful Red Sea coast of Dahab and between the magical views of Sinai Mountains, IFMSA-Egypt held a memorable gathering of more than 70 medical students from all over the world for its 3rd PRET & TNT in a row.

After 2 successful SRTs in which our OC received amazing feedback from all participants, IFMSA-Egypt’s exchange team was very eager to make an-other story to tell, This time to be an even better, more unforgettable expe-rience than before.

The participants were divided into 2 main workshops, TNT (Training of new trainers) & PRET (Professional & Research Exchange training), Both workshops gave the participants the opportunity to attend a series of sessions, trainings and small working groups in a collective program in a period of 3 unforget-table days, The trainings were carried out by 6 of the most experienced and qualified IFMSA trainers including members from the IFMSA TO and the international teams in an awesome way that amazed all the participants.

The event took place in the coastal city of Dahab right at the dazzling blue Red Sea (With Saudi Arabia coast in horizon) and the superb view of Sinai mountains.

On the 5th of May our participants started their adventure taking them from Cairo International Airport to the breathtaking Sol Dahab resort. Here all participants found the opportunity to be introduced to the global environ-ment of the IFMSA ..

Meet the TrainersThe training were carried out by 6 of the most experienced and qual-ified IFMSA trainers including members from the IFMSA TO members and the international teams in an awesome way that amazed all the participants.

We had a total of 70 participants from different backgrounds and cultures which really enriched the experience and allowed the partic-ipants to meet IFMSA members from different regions and share their experience together. Our participants were representing the 5 IFMSA regions as following:

Having the event to be extraordinary was also due to our invitation to other student exchange organizations to start planning for fruitful collaboration between our organizations and share together our ide-as, tips and solving techniques to improve international exchanges worldwide.

PRET workshopFor the PRET, We had around 15 Trainings to develop and nurture var-ious skills members would utilize during their IFMSA exchange journey ranging from communication skills, Exchange Advocacy and Lead-ership to Outgoing selection, Academic quality and Recognition. We also had different SWGs conducted by the participants to produce outcomes and solutions to empower our Exchange Standing Com-mittees.

We also focused in this event about Global health within exchange, In 1952 IFMSA organised exchange for 463 medical students, this num-ber is increasing every year as today we have more than 13,000 ex-changes every year in more than 90 countries around the world. It is our responsibility to help these exchange students to discover new health systems and enhance their Global health knowledge and in-tercultural understanding.

The Small working groupsMoreover, We had 4 amazing Small working groups discussing some of the most important issues with our Exchange program from a differ-ent perspective and trying to find out new solutions and solving tech-niques: (check the outcomes below)

1. Co-operation with other student exchange organizations.Co-ordinator: Ahmed Talaat (AIESEC-Egypt) & Amr Fathi (EPSF)It aims at finding ways of collaboration with other students exchange organisation such as AIESEC & IPSF, to exchange our ideas and solving techniques for improving the quality of our exchanges.

2. Motivation of Local exchange officersCo-ordinator: Mina Munir (IFMSA-Egypt)One of the biggest challenges facing some NEO/NOREs is how to mo-tivate their LEOs/LOREs/CPs and how to guide them to work on im-proving the exchange on the local level.

3. Security issues and safety of our incomingsCoordinator: Mohamed Moemen (IFMSA-Egypt)Many EMR NMOs are facing some security issues in their countries and receiving many inquires from NEOs and incomings about their safety situation and whether they should go for exchange or cancel it. This SWG tried to focus on some solutions on how to face this issue.

4. Outgoing selection criteriaCo-ordinator: Mauro Henrique (IFMSA-Brazil)Selection of our exchange students is really important for improving the quality of our program, this SWG worked on finding some standard criteria that should by used all over IFMSA for outgoings selection.

Social Program1. Sol Dahab HotelIn addition to the opening ceremony, oriental shows and the NFDP, the superb venue allowed us to enjoy an amazing social program on the swimming pool, the amazing beach (with Saudi arabia in horizon) and many other activities such as Beach volley, pool dancing & Yoga.

2. Blue HoleThis was the pearl of our social program, The participants went for a snorkeling trip in one of the most exotic spots in the world. Swimming between the coloured fish and coral reefs was an unforgettable ex-perience for the participants.

3. Bedouin nightA bedouin dinner and party in Sinai mountains was very special.

4. Dahab free tourDahab (Which means gold in arabic) has a lot more to offer, that’s why we gave our participants the chance to go for a free tour in the city center, enjoy the cafes by the red sea, have seafood or smoke shisha.

5. Safari tripOn the last day, the participants set off on a desert safari during the sunrise, riding a buggy in the desert and watching the sunrise between the mountains was unforgettable.

6. Post PRETIn addition, We offered the participants a post-PRET program in Cairo to visit the most important monuments such as the Great Pyramids and Cairo museum,. They also enjoyed an oriental cultural night in Khan elKhalili cafes, they also got the chance to buy some souvenirs from the old Egyptian bazaars.

PRET SWGs outcomesCollaboration between IFMSA & AIESEC

Objective:How to make the Collaboration between IFMSA and AIESEC on the national level work effectively in the term of Exchange regulations and Opportuni-ties that the 2 organizations can provide for each other and this can be achieved by working on the Followings: • Meetings: From time to time between the IFMSA and AIESEC organiza-

tions representatives and discussing current work and future plans that might have something to do with the collaboration , and keep updated if something new and needs these 2 organizations to look it up .

• Forming a regulations and conditions agreement between the 2 organ-izations: the main job for these regulations is to investigate the cases of the rejected IFMSA students or the students that didn’t get lucky to get an Exchange contract, and to allow them to apply for the exchange program with AIESEC health programs. As not all IFMSA students apply-ing for Exchange are getting accepted, so AIESEC will be a good oppor-tunity for them.

• Coordination between the 2 organizations in the Marketing Campaigns for exchange and giving an open window for applying in AIESEC ex-change after the IFMSA Outgoing marketing campaign.

• Channels and Contact Methods: the Team Coordinator and the Team members should be all the time in touch with each other and keep up-dated about the work regarding this Collaboration this can be by Face-book, Emails, Meetings, Other ways of social media that can put these teams together all the time.

• December and November are the most suitable time for marketing for exchange in IFMSA and AIESEC so this should be considered when the 2 organizations start to prepare for their advertising and must coordinate between each other and act accordingly.

• AIESEC Students who are willing to Apply for IFMSA and IFMSA Students who are willing to Exchange with AIESEC must have some regulations to follow, these regulations must be put with coordination between IFM-SA Exchange Coordinators and AIESEC Exchange Coordinators and get approved by the 2 of them.

• Making a Position for IFMSA-AIESEC coordinator and a small team work-ing with him/her: as a different position will mainly concentrate the work only on this matter without any other tasks or interfering duties that might overlap this work .

Another Objective:Can be achieved is the AIESEC Interns who want to work within IFMSA pro-jects as a part of strengthen the work and the Collaboration between the 2 organizations, and this can be done by working on the followings : • Identifying the Project: in terms of : Name of the Project, Who can Partici-

pate , timeline for this Project , What are the expected outcomes , where to get the Fund for the project , …etc.

• Project Database: that is being updated regularly with every available project and keep tracking the work of the current ones, and demon-strate the Outcome for the finished projects to act like a reference avail-able at any time .

• Marketing for the Project: Online campaigns and field campaigns• Timing: taking in consideration the suitable time for such projects to en-

sure that it will be done on a high level of professionalism and giving the required results and outcome.

• Reporting : about the progress of the project and giving presentations in the regional and international events for the 2 organizations like regional meetings , General Assemblies , to follow with the project and evaluat-ing whether the project is achieving the wanted results or not.

• Supervision: by the responsible officials of the 2 organizations and eval-uating the team working in the project and ensuring the quality of the project structure.

• Certifications: after the end of the project for the team and the coordi-nators to encourage them to work in other projects and for new students to apply for such task.

Another Objective:That has been discussed is the Expansion Strategy between the 2 organiza-tions, this can be done by working on the followings: • Conjoint Promotional Campaigns about IFMSA-AIESEC collaborations ,

movies , videos , Posters , Flyers , stickers, that are distributed in the local , national , or International events , like General Assemblies or regional meetings .

• Communication channels about IFMSA-AIESEC Collaboration that demonstrate all the conjoint work between the 2 organizations.

• Formation of Committees that include Students from both organizations and embed them within the structure of IFMSA & AIESEC , and it will be re-sponsible for following up with a coordinator and report to the EB about their work.

• Look for Sponsors or partners to be responsible for the Conjoint work be-tween the 2 organizations, in the Events, Projects,…etc.

• Delegations from IFMSA-AIESEC can apply to join the IFMSA, or AIESEC NGAs.

• Sharing opportunities for both organizations on an open channel for all students.

• Working on a Conjoint Social program for both IFMSA and AIESEC ex-change students.

• Organising a conjoint conference for student exchange worldwide to exchange ideas and try to improve the way our exchange works.

Local Exchange Officer MotivationObjective:The LEO is a major cornerstone in the Structure of the Exchange as a whole, so keeping him motivated and dedicated to what he is doing is a very important issue, in this SWG, we discussed the different ways that can the Exchange Officer up to his duties and, what are the negatives that can face him and how to overcome these problems, here is demonstration for the outcome of this SWG for the LEO, there are some +ve and –ve aspects as follows:

The Positives that make the Exchange officer Motivated and excited about what he is doing:• Having Fun• Meeting New People• Travel• Helping other students to travel• Build a very strong CV according to his Work• Experience (for himself and for the others)

1-Having Fun:It is the most famous thing about Exchange as a whole and for the Exchange officers specifically as they are the most involved ones in this work, this can be by different ways, like participating in Exchange Programs, holding Ex-change marketing campaigns, Having foreign students in his responsibility, attending exchange events like National Weekends, PRETs, meeting differ-ent people every time , visiting new places.2-Meeting New people:with every Exchange event locally , Nationally , Internationally , he got to meet a lot of new people , making a lot of new friends , experience differ-ent cultures .3-Travel:Exchange is all about travel, exchange officers are experiencing this as the nature of their work is whether to travel attending exchange related events or helping other students to travel4- Helping other students:to get the courage to apply and take the change for exchange and give them all the info they need about the exchange.5-CV building:as the exchange officer is a very active position and allows him to be in-volved in different events on many different levels, he is gaining a huge experience and travel history, that can make a very good CV that might help him in future .6-Experience:Gaining a lot of Experience that will help him as an Exchange officer in his job and as a person in his life, and sharing this experience with other stu-dents will also be a very constructive rule for him to do.

Negatives and Problems that might face the Exchange Officer and pro-posed Solutions:

Working on a specific PoA targeting the major goal for exchange , and the other stuff come later

Respect , and encouragement for the Exchange officer as a simple word can do huge difference like “ Great Job “

Following a prearranged and approved guidelines for a specific work, and review the job description for each member in a specific task and following with the goal achievement.

By involving sub groups and sub teams in the work to take a part in responsibility with the Exchange officer , not to handle all the load by himself , time management , scheduling , different assistants .

Exchange work is a little bit different from other SC work so it is not expected from them to under-stand the Exchange officer work, we can work on explaining if something specific needs to be ex-plained other than that, it is not a problem.

Database, Documentation, and recording, report-ing, from the start of the Trimester till the time of electing new Exchange officer.

Work on respectful recognition by the govern-ments, by Documentation, Reports capacities, publication, Building personal Relationships that can facilitate any required approvals .

Security issues and students’ security

• Sharing experience of previous incomings through: 1. Facebook page for exchange for every NMO. (Photos & videos)2. Direct contact of new incomings with the former incomings to tell

them about their experience.3. Video channel on YouTube of reality videos of the streets & videos

of incomings during social program.4. Facebook group for former & new incomings to the same LCs or

NMO to share thoughts & sharing true news about safety • Send to foreign embassies & encourage them not to discourage

their citizens to visit that country.• Send email over IFMSA server about the reality of the security situa-

tion and ask the NEOs/NOREs to send it to their students.• Proper choice of cities for social programs that don’t have security

problems & protests.• Choose safe accommodation for the incoming better guarded as

student hostels.• Guidebook for incomings (recommended & not recommended)

to do in the country, places not to visit. (Only handled to the in-coming after arrival)

• Choosing safe means of transportation for incomings when they travel between cities also cooperation with authorities to assure maximum safety during their presence in touristic cities.

• Continuous contact & presence of the contact person during the exchange period in the hosting LC city to manage any problems & to make incomings feel safe.

Selection Criteria for outgoing Students

Interview: The selection should be done through an interview done by NEO/NORE or LEO/LORE.

There should be a scoring system for the applicants according to:

• Language: English proficiency is really important (or 3rd language ac-cording to the desired countries)

• Bonus points: Bonus points should be given to IFMSA active members.• Academic production (outside IFMSA) such as publication in a medical

journal.• Other extra-curricular activities: working in other organizations.• Priority should be given for those who haven’t been on exchange.

Local outgoing selection is better as it encourages high number of appli-cants.

Distribution between LCs should be according to:• Points for work of coordinator.• Negative points for complaints and last minute cancellations.
