Field Portal Overview The application allows field Supervisors to manage labor production using their iPad!
Labor Management Application will: Allow field Supervisors to code hourly time to production Replace the use of the Planned Hourly SOV, Unplanned Hourly Request

Prior to baseline, the PM will create the labor plan using the following process:

Grey: Timecard not created yet Orange: Open – daily Timecard was started, but not submitted Green: Daily Timecard was submitted to the Super Blue: Full week of Timecards approved by the Super for payment
In the calendar view, Foremen can create new timecards and/or access open timecards.

NOTE: Green & Blue timecards cannot be edited

FOREMAN: SELECTING TEAM MEMBERS
To add team members to a timecard, Foremen will tap names of PDI & ITR workers who worked that day.
NOTE: Tapping the ‘Copy Last Timecard’ button will automatically select the same workers from the previously submitted timecard.

FOREMAN: ADDING TEAM MEMBERS
For team members not listed, Foremen will: 1. tap ‘Add Team Members’ button. 2. complete all fields. 3. tap ‘Save’.
NOTE: If you are adding a new ITR Employee and do not see the Vendor name, contact your PM ASAP so that they can be added into the system.

added/selected, tap ‘Next’

FOREMAN: UPDATING TIME IN & OUT
To add time for workers, Foremen will: 1. review each Team Member’s defaulted Time in and Time out. 2. tap the + and – buttons to adjust times if necessary.
TIP: Contact the PM/Super to adjust the default in/out time
NOTE: Time is measured in increments of 15 minutes.

Super Look Ahead: Lists any activities/rooms the Super has planned for your team.
Budgeted Areas: Lists all activities/rooms that have been budgeted by the PM.
All Areas: Lists all activities/rooms and allows you to create unplanned activities/rooms.
Once time is entered, Foremen will select activities/ rooms to allocate the time to. There are three different ways to view available
activities/rooms:
TIP: Tapping on the arrow will expand and collapse selected activities/rooms.

Allocate the time they spent on Foreman tasks by tapping the hour selections on the right of the screen
Allocate hours to the tasks for each worker by tapping on the hours buttons.
Review the hours distributed for each worker.
Once activities/rooms have been selected, Foremen will distribute hours for themselves and each worker:

TIPS: Tap an hourly selection a second time to remove it. Tap the calculator icon to enter a specific number of hours (15 minute increments).
Foremen will allocate the time they spent on Foreman tasks by tapping the hour selections.

NOTE: As hours are selected the Lunch/Out line at the bottom of each team member’s section will start to reduce. For Example: If the team member took a ½ hour lunch leave 0.5 at the lunch/out line.

NOTE: The “Lunch/Out” total must represent the number of hours the worker was at lunch or offsite during the work day.

FOREMAN: SUBMIT TIMECARD TO SUPER
Once all hours and distributions have been reviewed, Foremen will submit the time cards to the Super This will make the time cards “Read-Only.”
If adjustments are needed after timecard is submitted, contact the Super.

NOTE: Super will need to create a timecard if the Foreman is unavailable.
IMPORTANT: Supers are responsible for ensuring all daily timecards have been created. To create a missing timecard, the Super will: 1. Tap on the plus sign 2. Follow the steps for creating a new time card* *Refer to the Field Portal Foreman script for more details

NOTE: At the end of the week, Supers tap the pencil to enter their own time in this screen. If there is no hourly work on the project, the Super is still required to enter their time and their Foreman’s time.

Click on the red notification number to confirm if: • a worker was coded with more
than 40 hours • a new worker was added by the

In the Task Activity Review, the Super will: 1. review each activity/room and verify hours are correct 2. review each activity/room and enter % Work in Place where
available (Super’s estimate) 3. click the’ Next’ button once all % Work In Place fields are filled
NOTE: This is required to submit time for the week. Submitting time will send information to the PM to help plan and budget the project.

SUPER: LOOK AHEAD SELECTION
In the Look Ahead section, the Super will select activities/ rooms that the labor team will work on the next week. • These will default to the Foreman’s screen as “Super Look
Ahead” when the Foreman is coding time
NOTE: Only activities/rooms created by the PM will appear in this view. If an activity/room is missing, contact the PM.

SUPER: LOOK AHEAD PLANNING
In the Look Ahead section, the Super can also request additional hours for planned activities/rooms.
Once timecards and look ahead are complete, Supers will tap the ‘Approve & Submit’ button to submit to PM for review
NOTES: • Comments are required when requesting additional hours • Last Week’s Adjustments columns will show the hours requested and adjusted by PM last week.

Selecting the Report buttons in Team Setup allows the Super to receive PDF copies of the following reports: Hourly Labor Report
Shows all Planned and Unplanned hours for the entire job in WBS format Piecework Report
Shows all vouchers for the entire job in a WBS format
