By Road

The city offers excellent road links as the N2 highway runs between Cape Town (8 hours away via the Garden Route) and Durban along the southern coast.

FROM GAUTENG:

Via the M4 Settlers Way, follow the signs to Summerstrand. Continue straight along the beachfront, past The Boardwalk pedestrian entrance and turn right into 2nd Avenue at the Casino sign. Proceed up 2nd Avenue to the second traffic circle; The Boardwalk main entrance will be on the right hand side.

Beach

Hobie Beach is situated directly opposite The Boardwalk and is the city’s most popular beach. It is the top swimming and entertainment beach complete with a pier, lifeguard facilities, public toilets, showers and an esplanade – there isn’t much you won’t be able to do at Hobie Beach.

The usually quiet waters are perfect for swimming. The undercurrent is relatively weak and the shoreline features a gradual decline which does not plummet or lie too shallow for too long.

Only a few meters from the shoreline, you’ll find two takeaways, a bar, restaurants and plenty of public parking. During the holidays, a massive paved area is used to support stalls, stages and sometimes even fireworks. Shark Rock Pier provides an excellent view and often you can see dolphins or even whales from this lookout

point. Surfers might venture a few kilometres east of the beach where they will find an excellent surfing spot.

Catering

It is the policy of The Boardwalk Convention Centre to provide all food and beverage requirements for our guests. Guests are therefore not permitted to bring food or beverage onto the premises for any catered function. Food and beverage items are not subject to discounts of any nature. Should the numbers of your group change by 10%, these changes are to be advised at least 48 hours prior to the event. Should the number change by more than 10% the hotel needs to be advised of this 7 days prior to the event.

Telephone Lines

All venues will be equipped with telephone lines. Timeous notification of requirements is necessary. Telephone calls will be charged to your account via the Midas System.

Flowers

There are several florists nearby to undertake flower arrangements to suit your requirements.

Kosher and Halaal Catering

The Boardwalk Convention Centre will not have facilities on site to cater for Kosher and Halaal meals; however, these meals could be arranged through a recognised caterer. Prior arrangement of these meals will be essential.

Group Check-in Procedure

The official hotel check-in time for groups is 14h00.

Group Check-out Procedure

Check-out time is 11h00. Luggage storage facilities are available for late departures.

Room Drops

The Boardwalk Hotel will offer two different room drops; unsupervised and supervised. An unsupervised room drop will be one item per room not exceeding 30cm x 30cm and no more than 500g in weight. This will be placed in the room at turndown. Supervised room drops are for all items exceeding the above and will be delivered at specific times, to specific rooms. Two weeks prior notice will be required.

Function Rooms

Function rooms will be assigned according to the number of guests and the nature of the conference. Management reserves the right to re-assign venues and inform the client accordingly. Function room turnaround constraints and related charges will be negotiated with the individual client, depending on the nature of the function and the venue being used.

Exhibitions and Displays

All areas within the International Convention Centre may be utilised for exhibitions. The areas assigned are dependent on the configuration of the exhibition. The usual size of a stand is 3m x 2m and the height of the stand will be dependent on the location within the centre. All exhibition plans will be subject to the approval of the Chief Fire Officer.

Labour

Labour charges will be levied for casual staff should they be utilised for non-Boardwalk related activities. These staff members will be paid directly by conference organisers.

Security

The Boardwalk Convention Centre utilises an outside security company. Should any additional security related services be required, these will be negotiated directly with the security company.

Walls

No nails, double sided tape, prestik or any other type of fastener or adhesive will be allowed to be stuck on the walls of The Boardwalk Convention Centre. Posters and banners will be allowed to be erected but at the discretion of the Banqueting Manager.

Responsibilities

General Manager

• The responsibility of the overall effectiveness of the EMS is assigned to the General Manager, with sufficient authority, competence and resources. He will ensure that:

The Company Environmental Policy is issued to all employees and that the written arrangements made to implement the policies are available to all employees.

• All employees are made aware of their personal responsibilities.

• Appropriate training, resources and support are available to all staff.

• Environmental issues are given appropriate consideration.

• They regularly liaise with the Environmental Manager.

• Risks to the Company relating to potential incidents at work, Environmental impacts, loss or damage to Company Property, and risks to the Public through Company activities are properly evaluated.

• Liability is covered by insurance and advice given to the extent to which risks are acceptable, whether insured or not.

• Environmental performance is recorded and reviewed periodically so as to advise when action is necessary to correct adverse trends and is the responsibility of the director to ensure the allocation of adequate finances and other resources for the effective implementation of the Environmental Management System. Key topics requiring specific resources allocation are: Management Representa-tion; Training; Emergency response equipment; Monitor-ing and measuring equipment and Record-Keeping sys-tems.

Complex Green Team• The General Manager is supported by this Project Imple-

mentation Team that forms the Environmental steering committee of the resort that gives overall framework for effective implementation and integration of Environmental practices related to operational activities.

• Operational Managers who form part of the project implementation team must clearly define the responsibilities of relevant personnel and be responsible and accountable for effective implementation of the EMS and Environmental performance.

• Understand the Company’s Environmental Policy.

• Set a personal example.

• Identify and organise appropriate training for their staff.

• Liaise with the company’s Environmental Manager.

• Actively promote a positive Environmental culture through-out their areas of responsibility.

• Ensure the Policy is implemented properly and that any delegated duties are correctly performed.

The Environmental Manager

• Is responsible for overseeing the management of Environ-mental issues within the company as follows:

• Report to the Complex Green Team and keep them appraised on all matters regarding Environmental management.

• State the Company’s Policies in writing with regard to Environmental management, and amend as necessary.

• Provide Environmental advice to managers, employees and customers, using, as necessary, specialists external advisor / consultants.

• Promote positive Environmental values throughout the Company.

• Communicate effectively with external organisations regarding the policy and its implementation.

• Investigate Environmental incidents and record all findings and make recommendations for the prevention of similar incidents.

• Liaise with Procurement and Project Managers on contract standards and any future changes or additions required to the policy.

• Monitor the effectiveness of the procedures by workplace inspections and audits and report on any improvements that may be required.

Communication Policy

Purpose

This standard defines the responsibilities for Communication regarding the SHEQ Management System requirements at The Boardwalk Casino and Entertainment World.

Scope

• External communication from outside the company.

• Response to communication received from external interested parties.

ResponsibilityThe General Manager will ensure that Safety, Health, Environmental and Quality related information, performance and awareness are communicated externally and to relevant Heads of Department.

The SHEQ Co-ordinator is responsible for internal com-munication structures with regards to SHEQ issues.

The Head of Departments/Green Team Leaders are responsible for communicating relevant SHEQ related issues throughout his / her department.

Goals

• Are directed at a certain target group;

• Are initiated to achieve certain goals and objectives;

• Offer the target group certain services and facilities to reach these;

• For which the programme uses a certain approach and methodology;

• And organises its activities in a certain manner.

Policy Commitments

To raise awareness amongst all employees, including business partners and contractors, of their operational impacts on the environment and to give specific training where needed to minimise or avoid associated impacts.

Policy Statements

All staff will be made aware of general environmental issues across the resort during induction.

Where contractors’ operations may impact on the environment the employees must undergo specific environmental awareness and/or training. The nature of the training will depend on the nature and scale of operations that must be determined in advance.

Environmental training must be conducted by a competent person/s to ensure that no ambiguity exists with regards to implementing Best Practices for specific operations.

Environmental personnel must liaise with human resources department concerning provision of venue and communication equipment.

Certificates will be allocated to all personnel who have received and completed environmental training.

Customer communication relating to guest service quality and requirements are described in the Complaints procedure.

Corporate Social Investment Policy

Purpose

To promote improvement and social upliftment in the environment in which the group operates primarily through the investment of financial resources but also by providing skill and leadership within the applicable community.

Scope

The following categories are affected by the business activities and are thus included in the scope:

• The community within which Zone 1 operates.

• Employees of the company.

• Society generally.

• The environment.

Policy Statement

• As The Boardwalk is dependent on the general society for its survival, the necessity to conduct affairs in an ethical and fair manner – taking the interest of society in general into account, is apparent.

• The Company is in pursuit of wealth and profit maximisation, and is currently utilising human and other resources and in doing so providing employment, investment goods and services.

• The Company is also supporting the wider society values in performing the functions of wealth creation, economic growth and creation of employment opportunities.

• 1% of the Group’s profit after tax will be made available for the purposes of Corporate Social Investment and 4% to Enterprise Development each year.

• Wherever possible, Sun International will direct its Corporate Social Investment (CSI) to grass roots beneficiary organisations.

• CSI will be made at both unit and corporate levels.

• Group level CSI will primarily be directed at bodies or causes, which are of a national nature or are of interest or significance to the group as a whole.

• Unit level CSI will be directed towards local bodies or causes, which are of specific interest and significance either locally or regionally.

Policy Commitment

• Sun International will consider funding to non-governmental bodies (NGO’s), institutions, or groups performing services within the national or local communities on a non-profit basis for the alleviation of hardship and suffering and the assistance of disadvantaged groups.

• Sun International will not consider funding for:

• Religious bodies, unless the appeal falls within the scope of the criteria as set out and the religious body is non- denominational.

• Political bodies or parties, unless the appeal falls within the criteria as set out and where funding is approved, it will be applied directly to the cause and not the body or party.

• The purchase of tickets to premiers and sporting or cultural events or advertising in programmes, unless the event is directed to a cause which falls within the scope of the criteria set out below. In these circumstances it will be preferred procedure to make the CSI available directly to the cause rather than the function.

• Duplication of funding at Group and unit levels for any particular organisation must be avoided.

• The unit funding which is made available annually will be used for programmes, which directly or indirectly benefit surrounding communities in which our em-ployees reside.

• This amount should be spent as follows:

• 40% Health and Welfare (Including HIV/AIDS projects).

• 30% Education.

• 30% Other projects.

• Corporate Social Investment directed towards sporting bodies must recognise the difference between assistance for development of programmes and facilities, which will support community upliftment initiatives. CSI funding should only be made to the former.

• Over and above the aforementioned, the evaluation of projects should be based on:

• The long-term sustainability of the project.

• The long-term impact of the project.

• Empowerment of the local community members.

Procedures

Group and unit budgets for CSI will be set annually according to the budget guidelines.

• Unit CSI plans should be drawn up in advance for the financial year and submitted to the unit CSI Committee for approval.

• Unit CSI expenditure will then be controlled against both budgets and plans.

• Units that identify CSI opportunities of a local nature but which fall outside their budgeted limits may recommend these to the Group HR Manager: Manpower Planning and Employment Equity.

• Requests for CSI at a unit level should be evaluated by the Social Equity Manager (where applicable), Financial Manager and the Human Resources Manager, chaired by the General Manager concerned and taking account both the CSI Committee views and those of reliable community leaders (where applicable).

• Requests to Group CSI will be evaluated by the Group HR Manager: Manpower Planning and Employment Equity in conjunction with the Director: Group Human Resources.

• Unit level CSI is to be reported in full to the Group HR Manager: Manpower Planning and Employment Equity on a quarterly basis. This shall be done by way of the standard quarterly report format, which is to be submitted to the Group HR Manager: Manpower Planning and Employment Equity for consolidation and presentation to the Director: Group Human Resources.

• Pre and Post project pictures (where applicable) to be submitted to the Group HR Manager: Manpower Planning and Employment Equity for possible inclusion in our annual report and on other related business needs.

• Requests that involve investment in excess of the unit’s budgeted amount must be submitted to the Group HR Manager: Manpower Planning and Employment Equity for approval.
