These marketing opportunities, ranging from $1,200 to $5,000, are available beginning June 20 at the TRB Annual Meeting website.

Dear Colleague: On behalf of the Transportation Research Board (TRB), we invite you to showcase your organization and its products and services at the TRB 91st Annual Meeting, January 22–26, 2012, in Washington, D.C. It’s more important than ever to exhibit and differentiate your products and services, and the TRB Annual Meeting provides a unique opportunity to share this information. Make plans to exhibit now; the application deadline is December 1, 2011, or whenever available space sells out, as it has for the last two years. Nearly 11,000 transportation professionals attended TRB’s Annual Meeting in 2011. The program covers all transportation modes and attracts policy makers, administrators, practitioners, researchers, and representatives of government, industry, and academia. The meeting, which draws attendees from throughout the United States and from nearly 70 countries, is the single largest annual gathering of transportation practitioners and researchers in the world. Exhibitor Housing and Exhibitor Badges Exhibiting organizations are entitled to up to three complimentary exhibitor badges per 10� x 10� booth (additional badges may be purchased). The badges are for booth personnel only and do not include admittance to educational workshops or sessions. Only the exhibitor badge allows entry to the exhibit hall during setup and dismantle.

TRB thanks the members of its Exhibitor Advisory Council (EAC). An overview of the council and member responsibilities is listed below along with the current members. The Council

� was formed to provide advice to the Transportation Research Board (TRB) on the TRB Annual Meeting Exhibit;

� facilitates communication between exhibitors and TRB, reviews exhibit-related policies; and

� represents the interests of the TRB Annual Meeting exhibitors.

Apply for Space All official TRB exhibits will be located in the Marriott Wardman Park Hotel, Exhibit Halls A, B, and C. There are no outdoor exhibits. Any exhibit found outside the TRB official exhibit hall will be shut down. This includes vehicles parked or idling at the meeting properties. Apply for exhibit booth space by December 1, 2011. The exhibit space rental fee is $30.00 per square foot. A reduced rate is available to TRB Organizational Affiliates and Marine Board Sponsors.

Eligibility The exhibits are an extension of the Transportation Research Board Annual Meeting educational program and must be related to the transportation field. TRB retains the sole authority to determine the eligibility of any organization and its products and to reject any application. TRB does not endorse the products or services of the exhibitors.

Space Selection and Payments Exhibit space will be assigned by first using the priority points system, then by using a first-come, first-served basis through an online application process. Required at the time of application will be full payment by American Express, MasterCard, or Visa and a 400-character-or-less booth description. Online application and payment guarantees immediate booth selection, posting on the meeting website, and confirmation. Federal identification 53-0196932.

Priority Points The assignment of space is governed by a priority points system. Exhibiting organizations receive one point for each year exhibited and one point for every 100 square feet of space used. TRB Sustaining Affiliates receive advance notice to contract for exhibit space.

Confirmation of Application Each new application will be reviewed (see “Eligibility”). To prevent a delay in receiving confirmation, be sure to provide your description, check off applicable product and service categories, and complete all questions in the application process.

The fee includes � Exhibit space; � 7� x 44� booth identification sign for in-line booths; � 8� back-drape and 3� side-rails for in-line booths, including corners; � Booth carpet (the exhibit hall is carpeted); � Three complimentary exhibitor badges (per 10� x 10� booth); � 8 hours focused on the exhibits (no scheduled sessions); � Privilege of reserving a hotel hospitality suite; � Privilege of renting the TRB Annual Meeting mailing lists for a one-time use; � Immediate online listing at time of application, including organization’s description; � Listings and company logo (if provided) in the Annual Meeting Final Program; � Online Exhibitor Service Kit; � Exhibit hall perimeter security; � Nightly vacuuming of carpet and aisles; � Compendium of Papers (at least $125 value); � One copy of the Annual Meeting Final Program per exhibiting organization; � Guest passes: 10 complimentary guest passes per 10� x 10� booth (valid for

Monday and Tuesday). See booth confirmation for form (pdf format); � Availability of additional Marketing Opportunities; and � Exhibitor lounge in Hall A (available to exhibitors only for breaks; not intended for

client meetings).

Cancellation of Exhibit Space Cancellation of exhibit space must be submitted in writing; email to [email protected].

August 1–August 30 TRB retains 50% of the original exhibit space cost September 1 and after TRB retains 100% of the original exhibit space cost

If exhibit space is cancelled or reduced, hotel rooms will be adjusted accordingly. This includes Hospitality Suites if exhibit space is cancelled.

No-Show Policy All booths must be set and an exhibitor representative checked-in by 10:00 a.m. on Sunday, January 22, or the exhibitor will be considered a no-show, and TRB may reassign the space. No refunds will be given; relocation, if space is available, may be granted by TRB.

The Exhibit Booth Application and confirmation constitute a contract between TRB and the exhibitor. The following rules are part of the contract. Any point not specifically covered in these rules is subject to the decision of TRB, whose decision shall be final. All Exhibitors and Exhibitor-Appointed Contractors are bound by these rules and regulations. Submission of application constitutes acceptance of these rules and regulations.

Exhibitor Conduct Exhibitors must confine their marketing activities to the space for which they have contracted. All booth staff are to conduct themselves in a professional manner throughout the Annual Meeting. Any booth staff conducting themselves in a manner not deemed to be professional by TRB staff may be asked to leave the exhibit hall. Exhibitors who use models should be sure that their appearance is such as to not offend even the most critical.

Exhibitor Responsibility

It is the responsibility of the official exhibitor representative to see that all booth staff are aware of and adhere to these rules and conduct themselves in a professional manner.

Enforcement

By applying for exhibit space an exhibitor agrees to adhere to all conditions outlined in the Prospectus, Exhibitor Service Kit, and TRB rules. Any violations shall subject the exhibiting organization to these penalties: 1st Violation Written warning 2nd Violation Loss of current-year priority points 3rd Violation Loss of one-half accrued points 4th Violation Loss of remainder of points 5th Violation One-year suspension of exhibit privilege The Rules and Regulations of the TRB Exhibit are intended to bring order and fairness to the medium. TRB reserves the right to restrict or terminate an exhibit without notice if an exhibitor violates any of these Rules and Regulations. In the event of such restriction or eviction, TRB is not liable for any refunds, rentals, or other exhibit expense.

Giveaways

Giveaways are permitted if associated with the products and services of the exhibiting organization. These must be professional and small in nature. Cost must not exceed $10.00 per item. Hard candies and bottled water may be distributed. Bottled water must be purchased from the catering department of the Washington Marriott Wardman Park Hotel.

Door Drops

TRB is making a concerted effort to reduce the use of resources and the amount of waste that results from Annual Meeting activities. Therefore, materials may not be distributed via hotel “door drops.” Mailing List Rental The TRB Annual Meeting registration mailing list will be available to exhibitors to rent for a one-time use. TRB must approve all mailings. Instructions for renting lists will be available in the online Exhibitor Service Kit. Media List

The media list is available to exhibitors upon request. E-mail request to [email protected]. Exhibitor Housing and Exhibitor Badges The TRB Housing Bureau manages all hotel reservations for the meeting. Blocks of rooms have been reserved for attendees and exhibitors. Each exhibiting organization is eligible for up to three rooms for exhibitor booth personnel per 100 square feet of space contracted in one of the three meeting hotels until December 1 or until sold out. Additional rooms will be assigned at one or more of the overflow properties. Exhibitors or their agents may not negotiate blocks of hotel rooms directly with contracted TRB participating hotels. It is also a violation to negotiate blocks of rooms for future meetings.

Each exhibiting organization is entitled to up to three (3) complimentary exhibitor badges per 100 square feet of space contracted. Additional exhibitor badges will be available for purchase. Exhibitor badges are issued to organization personnel assigned to work in your booth and do not permit admittance into workshops or sessions. The online housing and badge site opens June 20. Links will be in your booth confirmation.

To register an individual to attend educational workshops and sessions for the Annual Meeting, please use this link, www.TRB.org/AnnualMeeting/Registration.aspx. You will be able to obtain housing for registered attendees at the end of the registration process.

Hospitality Suites

Only organizations with space contracted in the exhibit hall and patrons of the Annual Meeting are eligible to reserve guest room suites for hospitality purposes. Hospitality suites may not be reserved directly with the hotels because assignments are made by TRB’s Housing Bureau. Confirmations will be sent by the Housing Bureau and will include the tentative suite number. The suite number is based upon availability at the time of check-in and is subject to change. Suites may be open during the following times:

Sunday–Wednesday 6:00 a.m.–8:00 a.m. and 5:30 p.m.–10:00 p.m. Once the suite is reserved with the Housing Bureau, you will make arrangements directly with the hotel for food and beverage service. Hotel contact information will be in your suite confirmation. Also, at this time, you should request to have the name of the function and suite number listed on their “reader board.” Signs may be placed only outside the hospitality suite on guest-room floors. Plan to send attendees personal invitations by renting mailing lists (see “Mailing List Rental”). Exhibitors are not permitted to display equipment or products or to conduct product demonstrations in suites or guest rooms during the TRB Annual Meeting. The link for the Request for Hospitality Suites form will be in your booth confirmation; site opens June 20.

TRB Logo and Use of TRB Annual Meeting Logo The use of the TRB Logo is strictly prohibited. However, the TRB Annual Meeting Logo, as shown above, is available for use by exhibitors. Contact [email protected] for artwork.

Photography–Videotaping

An exhibit booth, its products, staff, or visitors may not be photographed or videotaped except with the permission of the authorized exhibitor representative. This includes attendees, exhibitors, and members of the media. Hanging Signs, Banners, or Lights

Because of the low ceiling height in the exhibit hall, nothing may be hung from the ceiling.

Exhibitors shall be responsible for complying with the Americans with Disabilities Act (ADA) with regard to booth space and any claims arising out of its own negligence, or out of the negligence of its employees or agents. Information regarding ADA compliance is available from the U.S. Department of Justice ADA Information Line (800-514-0301).

Union–Safety–Fire Codes

The exhibitor is responsible for knowledge of and compliance with all union requirements and fire and safety codes. Booth decorations must be flame-proofed, and all hangings must clear the floor. Electrical wiring must conform with all federal, state, and municipal government requirements and meet the National Electrical Code Safety Rules. If inspection indicates that an exhibitor has neglected to comply with these regulations, or otherwise incurs fire hazards, the right is reserved to cancel at exhibitor’s expense all or such part of the exhibit as may be irregular. Union regulation information will be provided in the Exhibitor Service Kit. Because Freeman has jurisdictional authority over the exhibit hall, their contracted labor must be used to assist with your installation and dismantle unless two employees work no more than one hour to put the booth together. Power tools may only be used by Freeman contracted labor.

Insurance and Liability INSURANCE—TRB and the Marriott Wardman Park Hotel may take precautions to safeguard exhibitor’s property by means of regular perimeter guard service. However, they will not be liable for damage or loss to exhibitor’s property through theft, fire, accident, or any other cause. Exhibitor should insure his own exhibit and display materials. TRB will not assume liability for any injury that may occur to show visitors, exhibitors or their agents and employees, or others. The exhibitor shall maintain at all times during the show the following insurance coverage and shall furnish a certificate of insurance to TRB as proof of same, upon request.

a. Commercial General Liability of at least $2,000,000; b. Worker Compensation which meets all requirements of the District of

Columbia, including Employers Liability of not less than $100,000; c. Commercial Automobile Liability of at least $1,000,000 combined single limit

for all owned, nonowned, and hired and rented vehicles operating in or near the facility;

d. TRB and Marriott Wardman Park Hotel are named as additional insured on all policies, coverage to apply as primary and noncontributory;

e. Exhibitor insurance carriers must currently maintain a minimum AM Best rating of AVIII;

f. Exhibitor’s insurers will provide TRB with 30 days written notice in the event of cancellation or material reduction in coverage.

TRB reserves the right to cancel this agreement for an exhibitor who does not provide evidence of appropriate coverage.

LIABILITY—TRB shall not be liable to the exhibitor in any respect for any claims, losses, expenses, injuries, or damages arising out of or related to the event or the exhibitor’s participation in the event caused by any act or omission of TRB, its employees or agents, or any third person, whether based on breach of contract or warranty, negligence or other tort, or strict liability, unless directly and solely caused by the gross negligence or willful misconduct of TRB. TRB disclaims all warranties, express or implied, including, without limitation, warranties of merchantability and fitness for a particular purpose. TRB shall not be liable to the exhibitor for any indirect, special, or consequential damages, including lost profits, whether based upon a claim or action of contract, warranty, negligence, strict liability or other tort, even if TRB is aware of the possibility thereof. Notwithstanding any other provision of this Agreement, the maximum liability of TRB to the exhibitor will in no event exceed the lesser of (i) the amount of exhibit fees paid by the exhibitor to TRB or (ii) $3,000; recovery of such amount shall be the exhibitor’s sole and exclusive legal remedy. Any claim against TRB not submitted to TRB within 30 days of the close of the event shall be forever waived, and no suit or action shall be brought against TRB more than one year after the event.

Insurance and Liability (continued) INDEMNIFICATION—The exhibitor shall indemnify and hold harmless TRB and its officers, directors, agents and employees (collectively, “TRB”) from and against any and all liabilities, damages, actions, losses, claims, costs, and expenses (including reasonable attorney’s fees) on account of personal injury, death, or damage to or loss of property arising out of or contributed to by any act, omission, negligence, fault, or violation of a law or ordinance by the exhibitor, its employees, agents, contractors, members, exhibitors, patrons, or invitees. The foregoing shall not apply with respect to any liability, damage, or loss directly and solely caused by the gross negligence or willful misconduct of TRB. Facility All fire regulations must be observed and, when necessary, booth setup must be modified to meet requirements. Nothing shall be tacked, nailed, or otherwise attached to the walls, floors, or other parts of the hotels or furniture contained in the facility.

No Smoking The use of tobacco products in all areas of the hotel (including the loading docks) is strictly prohibited.

Prohibited Practices � Sublease of or sharing exhibit space; � Use of aisle space; � Distribution of materials or literature other than product and service

information from your booth; � Distribution of materials or literature outside your booth; � Production of sound that disturbs neighboring exhibits. The exhibitor is

responsible for any and all fees that may be associated with copyrighted music used in audio presentations;

� Use of entertainment; � Use of games, contests, lotteries, raffles, drawings, and other games of

chance; � Placement of business cards over official TRB badges or in any way altering

the badge; � Use of an exhibitor badge to gain access to Annual Meeting sessions; � Presence of children in the exhibit hall during installation and dismantle; and � Use of TRB Logo.

Security TRB will provide limited perimeter security from Saturday, January 21, 8:00 a.m., through Wednesday, January 25, noon or until the hall is cleared. TRB, Freeman, and the Marriott Wardman Park Hotel are not responsible for loss or damage to exhibitor property. Because the exhibits are in public space, please remove all portable computers and other items of value nightly. Be particularly careful during installation and dismantle hours, when thefts most commonly occur. Remember, your booth must be staffed when the exhibit hall is open.

Selling of Products and Services The TRB exhibit program is intended to educate attendees by providing information about products and services.

Order taking and selling will be permitted; however, the sale of non–transportation-related products and services is strictly prohibited. Exhibiting companies that sell taxable goods or services on site are responsible for registering with the D.C. Department of Revenue as dealers.

Display Sizes and Limitations In-Line Booth

A Standard Booth is one (10� x 10�) or two booths (10� x 20�) in a straight line. Peninsula booths are not allowed. Exhibit fixtures, components, and identification signs will be permitted to a maximum height of 8ft in the back 5� of the booth. No solid exhibit construction or freestanding display fixtures over the height of 4� are allowed in the front 5� of the exhibit. Structures (other than literature tables or counters) designed for holding computers, monitors, televisions, video screens, or similar display elements, signs, etc., must not be placed in the front 5� of the exhibit booth. Materials, equipment, and floral presentations in the front 5� of the display

that exceed 4� from the floor must not create an obstruction that prevents clear view of neighboring exhibits. The rule of thumb is to stand at one end of an aisle and have a clear view of the space above 4� in the front 5� of all booths in that aisle. Perimeter Wall Booths

Booths along the perimeter of the exhibit hall must conform to the 8� height limitation.

End of Aisle

Exhibitors with a booth at the end of the aisle may not open their booth to traffic on two sides of the booth. Height Restriction

An in-line exhibit booth may not exceed the height of 8� from the exhibit hall floor; island booths may be permitted to exceed the 8� height restriction with prior written approval from TRB. Vehicles Vehicles may be permitted with prior written approval from TRB. Contact Julie Miller if interested in displaying a vehicle. Options are limited; restrictions apply. All vehicle displays are required to follow special safety instructions, which will be outlined in the Exhibitor Service Kit.

Cart Service Material handling services will be provided exclusively by Freeman for shipments delivered by commercial carrier and privately owned vehicles. Exhibitors who deliver their own materials directly to the site may qualify for Cartload Service based on the following criteria:

� Delivery on exhibitor move-in day(s) during official move-in hours as set forth by show management; and

� Entire shipment must fit on a maximum of two carts. The dimensions of a cartload are 30�-wide x 6�-long x 3�-high, 45 cubic feet.

Freeman will unload and deliver your materials to your booth and reload the same into your vehicle at the close of the show. This service includes storage of empty containers for the duration of the show.

Shipments will not qualify for Cartload Service if any of the following are true:

� You have more than two cartloads of materials; � A forklift is required to move crated or skidded materials in your shipment; or � One piece in your shipment requires more than one person to handle.

Shipments that do not qualify for Cartload Service will be unloaded at the prevailing Material Handling rates as set forth in the Exhibitor Service Manual for the show. Cart Service pricing will be $170.00 per cartload for Saturday, January 21, through Sunday, January 22, deliveries. This flat rate is for round trip service.
