Design Meeting #10 – Minutes
Design Development
Holy Spirit Catholic Parish – Addition and Remodeling
Ellis Office – Lower Level
January 16, 2019
Attendees
Lee Olsen, Holy Spirit
John Krupka, Holy Spirit
Kevin Czerwinski, Holy Spirit
Wendy Mitch, Holy Spirit
John Clifford, Holy Spirit
Jim Anderson, Project Manager, Ellis Construction
Steve D. Chizzo, Architect, Ellis Construction
Chase Rettler, Rettler Corp.
Previous Meeting:
Design Meeting #9 – 1-2-19 (minutes not reviewed)
General:
1. The main goals for this meeting were to finalize the floor plan and site plan.
2. The new ramp and baptistry area at the Altar were reviewed and discussed.
3. Also reviewed was the overall scope of work for electrical, plumbing and HVAC in the rest of
the existing building.
4. The next step in the design process is to create a revised “target cost” or “project budget”
based on these plans and decisions.
Site Design:
1. Chase Rettler from Rettler Corp. attended the meeting and presented the updated site plan.
(marked up plan is attached in these notes)
2. The net change in parking is approximately four (4) stalls.
3. The “big lot” will have 101 stalls (including six accessible), and the new south lot will have 25
stalls with no accessible spaces.
4. There will be six (6) accessible spaces in the “big lot” near the new covered entrance, not along
the school as shown on the plan. It may be necessary to re-stripe the lot to create space for
the access aisles.
5. The city will require curb and gutter around the new parking areas, which could impact access
to the existing garage building and stormwater movement on the site.
6. A concrete sidewalk will be built along the south side of the existing church as part of the new
parking lot work.
7. A concrete sidewalk will be built along the west side of the existing church and the new
addition as part of the new work.
8. The existing garage will be retained as-is. Access is needed to the east-facing garage doors.
Holy Spirit Parish – Addition and Remodeling page 2 of 2 Minutes – Design Meeting #10 (cont.)
9. Costs to demolish the Rectory should be figured into the project. The church will advertise a
little more to try to get someone to move the building off the site, but if that happens it will
just be a benefit to the budget and not something we are counting on.
10. The Easter vigil fire pit will not be a built-in, permanent structure. There will not be a spot
allocated for this function, knowing that it can be set-up in a few different location on-site.
11. The existing ground sign in the southeast corner should be retained or relocated.
12. Directional signage in the new south parking lot is needed to get people to park in the big lot
and enter the new “main entrance”. There will also need to be directional signs to accessible
parking stalls, as there are no accessible entrances near the new south lot.
13. There are currently two (2) parking lot light poles figured toward the east end of the “big lot”.
It may be possible to put lights on the adjacent buildings instead of having separate poles.
14. Rettler will schedule meetings with the City to get input on requirements for zoning and
stormwater that may impact the design.
Floor Plan:
1. Plans A4 and A4a were presented, with the major difference being the location of the exit
doors either from the Gathering Space by the Kitchen, or in the Multi-Purpose Room. (marked
up plans are included in these notes)
2. If A4a is used, the doors to the Multi-Purpose Hall would be reversed, and the door and pass-
thru window at the Kitchen would be straightened out on the wall of the Gathering Space.
3. Also on plan A4a, an exterior sidewalk could be added in the ‘alley’ on the east side up to the
upper level landing at the Sanctuary for convenience to the upper level. (this would require a
small retaining wall and railings)
4. It was decided that plan A4 works better.
5. Ellis should analyze the cost of the coiling door + decorative doors to the Sanctuary v. a fire-
rated glass door system at the Sanctuary. The rated door system is expensive but may still be
cost-effective.
6. Niches and space for statuary and artwork need to be considered.
7. The doors in the firewall to the Sanctuary and the existing elevator lobby should be lockable.
Scope of work in the existing building:
1. The current list of items used to establish the overall project cost does NOT include some
items from the original Conditions Report.
2. The items were removed from the Report due to prioritization of project costs and are
expected to be “maintenance” items that can be addressed separately.
3. There appears to be some items that should still be included in the current project due to the
complexity involved, or being required by code; however, the decision was made to just pursue
the current list and if there appear to be funds available as part of the DD cost updates, then
we can look at the Conditions Report list and determine if anything should or can be added.
4. Some items will be removed from both lists, like: “add dishwasher” and “install HC signage”.
5. An updated list is included in these notes.
Floor Plan - Sanctuary:
1. Joel Skinner from Church Interiors met with a sub-committee regarding the Sanctuary work,
showed examples of their work, and we discussed the scope of work for this project.
2. Joel will put together budgetary pricing for the painting and patching, and a separate price for
the Baptistry for reference.
3. Joel will not do any drawings or renderings for this price, but will supply a description of the
amount of work.
4. The water level in the Baptismal Pool is designed to be reached from the Sanctuary level, but
the level will be nearly at the level of the Altar.
5. The Font will not have water except for an actual baptism. The Pool will have water circulated
continuously. A portable pond heater will be used, or a mixing valve to temper the water.

1. The next committee meeting will be to review the plans and the corresponding target price
for the project. A new design schedule with meeting dates will be prepared, which will carry
us through the remaining months of design work.
2. If the new target price and project design meet the budget and the committee approves, we
will move into the Construction Documents phase of design work which is more detail oriented
and will require sporadic meetings, not every 2 weeks.
Decisions Made:
1. Floorplan A4 will be used.
2. The proposed Site Plan will be used.

be included unless there are funds available to do so.
