1.3.1 Invoice / Packing Lists

For customs clearance please prepare for each shipment one invoice. Separated to definitive material and temporary material. The following details must be mentioned therein in English lan-guage: � Number of items � Exact description of goods in english � HS Code / customs tariff code for each product � Model- / Serial Number for each item and country of origin � Net weight for each item � Gross weight for each item � Measurements of each item � Single and total value of goods in US$ � Signature and stamp � Printed on companie’s letterhead Please use the models given by us because only these forms will be accepted by customs!

All items must be marked clearly fixed. A clear identification for customs reasons must be given (e.g. number of cases, name of model..)

1.6 Packaging

To reduce the risk of damage and protect your goods against transport and weather-related ef-fects we strongly recommend to choose a customized packaging for your exhibits.

We recommend a stable, easy to open and easily recloseable overseas packaging. Of cardboard and disposable pallets we specificly advise against.

Please refer with the choice of packaging into consideration that the consignments may be stored outdoors. In this context we would like to point out that no new special packaging can be offered on site.

For larger packages the focus and the cable attachment points must be clearly marked.

Any wood packaging must comply with the applicable ISPM 15 requirements and have to show on two opposite sides the IPPC mark. Pattern of the IPPC stamp as follows:

1.7 Customs clearance

For export customs clearance you create from a value of € 1.000, - an Export declaration (ABD / MRN) which must be cleared by your customs office. Upon written order and by authority the cus-toms declaration can be issued by Schenker for you. For shipments by sea via Rotterdam / Ant-werp we basically need a customs cleared ABD / MRN.

Exhibition shipments are subject to stringent checks by the customs authorities. It is therefore essential to make sure that all items listed in the documents are correct and match the actual con-tents of the packages. Otherwise it may result in significant customs penalties.

All giveaways, brochures, catalogs, brochures, etc. are subjected to duty and tax. The duties and taxes will be charged to you. The customs authorities reserve the right to determine the customs value individually. For all permanent Imports duties and taxes apply automatically!

There may be customs examinations on your shipment within the model and serial numbers will be checked. We strongly recommend not to send any kind of medicine, food, alcohol, cigarettes etc. Huge problems may occur while customs clearance and the deadline for stand delivery may not be granted! All documents must be reviewed and approved by us b efore shipment. Do NOT send be-fore our approval!

1.8 Transport insurance

For each shipment a shipping insurance will be covered according to ADSp unless a waiver of your company exists. Further to that Schenker recommends to cover a transport and exhibition insurance. Schenker can apply for it on your behalf.

A transport and exhibition insurance will only be covered based on a written contract. If desired we would be appreciated to send you the appropriate documentation.

2 Handling at exhibition site

2.1 Built up / dismantling

If your exhibition stand material or exhibits require the use of heavy lifting equipment please let us have a scaled floor plan of your stand to come. Your pre-advice should also be accompanied by a technical drawing then.

On inquiry and order we will assist you in physical unpacking and positioning of exhibits. But please keep in mind that this work will be made exclusively under the supervision and responsibil-ity of the exhibitor.

The same applies for the dismantling and re-packing of exhibits especially for heavy crates. If exhibitors arrive too late at the stand or give instructions that Schenker has to perform the re-packaging in the absence of the exhibitor we perform this work only at the risk of the exhibitor.

Since the dismantling times are usually very short we kindly ask you to arrange the return of your exhibits in advance of the event with us.

The return of empties to the appropriate booths will be done after the exhibition ends. Each exhibitor should have responsible personnel present during the packing of the goods.

2.2 Sale of exhibits

The sale of your temporary exhibits is generally possible but requires prior coordination with us!

Mandatory is the agreement of the customs authorities. Possibly a paid storage in a customs warehouse (bonded storage area) is necessary until the approval of the sale by the respective offices, banks, governments and all in the sale / purchase involved parties is given. The costs therefore will be charged to your account.

3 Basis of contract

Our transportation guidelines are to assist you with the preparation and execution of your trade show transportation. Due to unforeseen changes in the national and / or international regulations, the given information can not be claimed to be complete.

For a smooth and timely execution of your exhibition shipment we ask for early notification of your shipment and timely delivery of the necessary transport documentation to the deadlines given. We operate exclusively in accordance with the latest version of the Allgemeinen Deutschen Spediteurbedingungen – (ADSp) - (German Freight Forwarders' General Terms and Conditions) and to the extent these do not apply to logistics services, in accordance with the Logistik-AGB (General Terms and Conditions for Logistics) most recent edition. These limit in clause 23 ADSp the legal liability for damage/loss to goods in case of damage/loss to goods whilst in the care of a forwarder to € 5/kg, in accordance with Art. 431 of the German Commercial Code (HGB); in case of multimodal transports including sea transport to 2 SDR/kg. In addition the liability is limited to € 1 Million per damage respectively to € 2 Million per event or 2 SDR/kg whichever is the greater. The parties agree subsidiary, that (1) clause 27 ADSp does neither extend the liability nor the responsibility of the forwarder for agents, servants, employees or crewmembers beyond legal regulations as Art. 507 HGB, Art. 25 MC, Art. 36 CIM, Art. 20, 21 CMNI for the benefit of the principal, (2) the freight forwarder as a sea carrier is only liable for fault of his own part in case of risks provided in Art. 512 paragraph 2 no. 1 HGB such as default in navigation of the ship or fire on board and (3) the freight forwarder as a carrier defined in CMNI is relieved of liability in compliance with the requirements provided in Art. 25 paragraph 2 CMNI such as default in navigation of the ship, fire on board or defects of vessel. Our liability ends with the delivery of the goods at the indicated exhibition booth - even if the ex-hibitor or his representative is not present. Deliveries take place from the first day. For the return movement our liability begins only with the pick-up the goods from the booth. The delivery of the shipping documents in our office time is not the same as the beginning of the carrier liability. All work is transacted subject to and at the risk of the applicant / exhibitor. The client / exhibitor is liable for damages and additional costs due to wrong or incomplete information on the weight and dimensions of the packages and false or incomplete information to the content on the commercial invoices and packing lists.
