INTRODUCTION

Reiss & Co, a multi-divisional company, has been in existence since 1952. The various divisions are: 1. REISS INFORMATION SYSTEMS (RIS) 2. MECHANICAL 3. PHARMACY 4. VETERINARY 5. AGRICULTURE

Each division has different business operations and is semi-autonomous.

REISS INFORMATION SYSTEMS (RIS)

Reiss & Co took over the operations of International Computers Limited (now Fujistu) in 1985 and this became the ICL Division of the company, now Reiss Information Systems (RIS). RIS is made up of four (4) departments and at the head of Administration is the General Manager, with a staff strength approximately 24 persons. The division mainly deals in the marketing, sales, installation and maintenance of the following equipment, for which we hold agency;

SAGE ACCOUNTING SOFTWARE In addition to these, we also sell and maintain Hewlett Packard and Epson Printers focusing on the following product categories: receipt printers, dot matrix printers, Laser printers and Impact printers Since 1985, we have supplied quality Information Technology equipment and solutions, training and consulting services to many establishments. See Appendix A and D.

NETWORK INSTALLATIONS

RIS has Engineers who have been trained on the ADC Krone and Giganet Structural Cabling Program, specialising in the installation and maintenance of fibre optic cabling and UTP category 5e and 6 cabling. These cabling projects are normally certified by ADC Krone & Giganet and the cabling systems are guaranteed if ADC Krone, Giganet, 3Com and Cisco products are used. Year after year we ensure that all our engineers receive the necessary training on all the products we supply and support to our customers. During the first quarter of 2008 OKI printing solution organised training program for our engineers in the repair, maintenance and servicing of all OKI products and solutions. Since 1989 the Division has installed networks on the following server platforms: UNIX, NETWARE & WINDOWS NT & 2000, 2003 for various organisations. Our networks engineers as and when the need arises carry out further enhancements to the networks e.g. bridging LANs, repeater installations, fibre optic backbone installations and other add-on peripherals. We have designed, developed and implemented Network Installations for the various institutions. Details of which can be referenced in Appendix B. Other installations carried out within the country include both government agencies, international and private institutions and companies. The biggest fibre optic network we installed is at GPHA and it has a distance span of over 10km and utilizes 3COM products. This network has several servers supporting all the GPHA users at the

Headquarters, Tema Port and various offices, which extends to the Sheds in the harbour. The network is made up of 8 different LAN segments and interconnects using fibre optic backbones. These LAN’s have over 150 users and are all connected by UTP Cat. 5e cables that run on the horizontal platform. The multiple platform network operates on various operating systems namely:

i. Novell on Servers for Accounting ii. Unix for Manifest Based System (shipping) iii. Internet Server for Internet Access.

We have also installed PABX Systems in many organisations including African development Bank, Ghana Cocoa Board, Ghana Airways, Komfo Anokye Teaching Hospital (Kumasi), Volta Lake Transport Company, Akosombo Textiles, Gratis Project, Delloite & Touché, etc. Further enhancements have been given to these installations to improve upon the efficiency of the system over the years.

SOFTWARE DEVELOPMENT

We undertake software development projects in the area of feasibility studies, system analysis and design, system development and implementation. The projects handled so far include Payroll Software, Accounting Software, Insurance Software, Pharmacy Software, Oracle Based Software solutions etc. APPENDIX D

MAINTENANCE OF COMPUTER & OTHER PERIPHERAL EQUIPMENT

RIS has two technical departments, the Engineering department and Systems and Software Department with very well equipped workshops, staffed with highly qualified and competent engineers and technicians to offer after-sales support to our customers. These divisions support our manufacturer’s limited warranties on all equipment sold and/or modified at the customer’s request. After the warranty period, the customer may decide to sign a maintenance agreement with the company at a negotiable fee. This does not exceed twenty-five percent (25%) of the total cost of the hardware, per annum. Otherwise, the customer calls on us whenever the need arises and pays for the cost involved. RIS has a stockholding which meets over 80% of our spares requirements within 24 hours of calling. There is no need for the customer to stock its own spare parts.

Since 1985, RIS has sold and maintained various ICL computers including the Mainframe Computer, i.e. ICL ME 29 with its various peripherals, removable Hard Disk Drive, Reel Tape Drives, Linewriter printers and other accessories. The following are some of the sites where the Mainframes were installed; APPENDIX A

These mainframes were in use till the middle of 1990, when they were replaced with some more modern Fujitsu Sparc Servers, namely;

- DRS 3000 - DRS 6000 - ICL TEAMSERVER E180I - ICL TEAMSERVER G640 - ICL SUPERSERVER J822 SERIES - ICL SUPERSERVER K470 SERIES

Over the years, RIS acquired authorisation for the supply and support of IBM and Dell servers and below are some of the sites being supported presently;

Some of the systems installed and supported are: IBM pSeries and iSeries servers, Dell Poweredge servers, Fujitsu-siemens Primepower and Primergy servers. All these systems run mostly UNIX (AIX, SOLARIS, Linux), Novell and Microsoft Windows Operating Systems. In addition to servers, we also supply, install and maintain IBM, Dell and Fujitsu-siemens PCs and accessories. Our equipped workshops with resident Engineers, in Accra, Kumasi, Takoradi and Tamale cater for clients countrywide. Below are the areas covered by these workshops: - ACCRA (To cater for the Greater Accra, Eastern and Volta Regions)

- TAKORADI (To cater for the Central and Western Regions) - KUMASI (To cater for the Ashanti and Brong-Ahafo Regions) - TAMALE (To cater for the Northern, Upper East and Upper West Regions)

Qualified engineers and supervisors, who are trained in the installation and servicing of all our equipment, manage these workshops. Faulty equipment that cannot be repaired on-site are sent to the workshop for diagnostics and repairs. These workshops service all brands of computers, including third party equipment such as,

- COMPAQ - HEWLETT PACKARD - TOSHIBA - DELL - GATEWAY 2000 - PACKARD BELL - Other clones

RIS has also gone a step further by establishing an assembling workshop in Accra, where PCs, ordered in knock down parts from USA and Hong Kong, are assembled. The strategy of assembling PCs is aimed at satisfying that portion of the Ghanaian market where price of PCs is very important. This strategic approach is to satisfy the low to middle income level markets that is price sensitive but values quality.

MAINTENANCE FACILITIES

In an effort to maintain highly equipped workshops, RIS periodically review its equipment list and request yearly advice from our overseas principals as to the latest of Test Equipment needed to maintain the vast array of products. However some of the Test Equipment currently available in our Accra workshop are listed below as:

DESCRIPTION OF SERVICE LEVEL ARRANGEMENTS & MAINTENANCE STRATEGY (SLA)

RIS offers Comprehensive Maintenance Services for the equipment we supply. The services under this agreement are as follows; 1. A telephone service (Support Hotline) by which the customer can call and request for service. If

a problem is reported by phone, an attempt would be made by the Help Desk technician to solve this problem on phone. This reduces the travel and repair time to the barest minimum.

2. Faults reported are logged at the Help Desk and a Service Call Form filled. Where the fault

cannot be resolved on phone, the form is given to a technician for an on-site solution to the problem.

3. Faulty equipment will be repaired with or without spare parts (excluding all consumables) at no

extra cost. 4. The response times for the engineer to arrive at the site of call (in Accra, Tema, Kumasi,

Takoradi, Tamale) is two (2) hours with a maximum repair time of four (4) hours. However, for areas outside the twenty (20KM) radius of our regional service centres we shall allow an extra one (1) hour, for every 60km, to the response time.

5. Once the maintenance premium, is paid quarterly, Reiss would be responsible for the provision

of spare parts and where the parts have to be ordered, we shall provide a spare equipment to be used by the customer, whilst waiting for the part.

6. A Service Form booklet is deposited at the customer site. This booklet is in duplicate. The

customer has to book all faults he/she reports to the Help Desk technician in this booklet. Once the problem has been resolved, the customer and the Reiss technician would sign the form. This serves as a proof that the problem has been solved. The original of the signed form is given to the engineer to be brought to the office.

7. The quarterly preventive maintenance within a given year allows for the following activities;

Cleaning both the inside and outside of the equipment

Lubricating necessary parts of the equipment

Checking electrical voltages, disk alignment and adjustment where necessary

Cleaning and checking read-write heads, hard disks and functional parts

Monitoring the physical operating environmental conditions and system management advisory services

8. A yearly preventive maintenance schedule is prepared for all customers. This schedule is

prepared at the beginning of the year and copies are sent to the customer. A week to the scheduled date, the Customer technician calls the customer to remind the customer and get the customer to confirm the appointment.

9. RIS has various communication facilities that our technicians can be reached easily on, where

ever they are, either by Mobile Phones, Short wave Radios and pagers. It is however recommended that customers do not call engineers directly but pass all requests through the Help Desk technician.

10. Upon special arrangement, RIS can arrange for a dedicated technician to be assigned to a particular customer. This technician will be solely responsible to this customer and may maintain an on-site office. The Reiss & Co. office at the Asylum down is also in certain cases used by our technicians to reduce the response times for customers around the central business area of Accra.

Other variations to services offered are the retention and on-call. The retention service offers customers with all necessary support arrangements as outlined under the comprehensive service but the customers is duly responsible for the provision of all spare parts needed to resolve a problem. On the other hand RIS upon approval of the customer will provide the needed part at a cost to customer. The on-call service requires that customer pays for all cost associated with a desired service such as labour, spare parts, transport and others. The response and repair times under these arrangements are much longer than the comprehensive service due to the fact that certain inputs are required from the customer. All the above defined support services are applicable to both Intel, Sparc computer systems and Uninterruptible Power Supply (UPS) units of various capacities. RIS has trained its technicians to supports these systems and continue to upgrade the knowledge of all its personnel.

TRAINING SCHOOL

RIS training school is affiliated to Knowledge Pool and Keystone of the United Kingdom. The school offers comprehensive and wide range of courses, workshops, seminars and consulting services, covering the fields of information technology and management. These products enable clients understand the capabilities of their information systems and assist in providing knowledge the lead to efficient and effective use to maximise productivity. We are continually expanding the scope of our training programmes so that no matter the information systems you use, whatever resource development services you need, RIS and Knowledge Pool will be the perfect solution provider for you. Our areas of training include the following:

1. General Computer Appreciation: i. Introduction to Computers & MS-DOS ii. Introduction to Windows (2000,XP NT, etc)

2. MS-Word 3. MS-Excel 4. MS-Access 5. Presentation with Microsoft PowerPoint 6. Database Management with Microsoft Access and Visual FoxPro

We organise specialised training programmes in the following courses: 1. UNIX (AIX, SOLARIS), LINUX 2. Novell NetWare 3. Windows NT / 2000 / 2003 Server 4. Internet Services These training programs are designed to meet the specific needs of the clients and flexibility is our competitive advantage. This allows us to study the requirements of the customer and redesign the training programs to help solve identified needs. WE DISCUSS CUSTOMER NEEDS AND OBJECTIVES BEFORE OFFERING OUR PROPOSALS. Other programs which relate to Management and Information Technology are offered on request and after a careful analysis of the customer’s requirements and business needs.

Our programme start dates and times are flexible and depend on customer convenience.

ON-SITE TRAINING

Training is normally done at scheduled Training centres. However, there are occasions when our customers may prefer us bringing training to their doorstep. When a number of people need training at the same time, we can provide standard or customised events on their premises. Your staff can gain considerable benefits from learning together and you can make substantial savings on travelling.

MANAGEMENT INFORMATION NEEDS

At RIS, we recognise that corporate goals cannot be attained without active support and participation of management staff, particularly in the area of information technology. We have therefore designed an elaborate and a comprehensive training for management staff. This includes Management Computer Appreciation Courses, introduction to Word-processing and spreadsheet management procedures. We believe that all management personnel should be able to prepare very confidential reports that are very brief as well as do some calculations in spreadsheet. They should be able to send memos across the network to other management staff as and when required e.g. the MAIL facility on networks, both LAN and WAN including the INTERNET. Management training can be arranged to begin after 5:00pm each day.

TRAINING FACILITIES / STRATEGIES

Our ultimate aim in training is to offer the Customer (participants) the best type of training making him or her very efficient in the application with the aim of increasing productivity. To achieve this customer oriented objective, our training department is well equipped with the following equipment:

NOTEBOOK - WHITE BOARD - TELEVISION & VIDEO DECK - FLIP CHART - COMPUTER SERVER

We provide participants with comprehensive training manuals, which are periodically revised to make them current. Participants are also provided with a complete training kit (this includes pencils, computer sheets, diskettes and folders) for practical sessions. The resource persons for training are very proficient in the applications they teach. To be able to provide maximum attention to students during the training sessions, we maintain a maximum of eleven (11) students per session utilising eleven (11) computers at a time. An allowance for more equipment is made in situations where more than this number is needed per session, but then another resource person is added to provide extra assistance to the participants. Customers (Participants) are also treated with snacks during break time. The Training Department can also customise training programmes depending on the customer's needs and requirements.
