Guidelines for Handling Returns

Reminder: Recertify to Maintain PCI DSS ComplianceAll merchants and their service providers that either store, process or transmit cardholder data are required to comply with the Payment Card Industry Data Security Standards (PCI DSS). PCI DSS is the single, global standard for the storage, processing and transmission of cardholder data.

Although you may have achieved compliance before, you are required to submit the self assessment questionnaire annually to maintain compliance and avoid non compliance fees. To renew your certifi-cation, please follow the steps below.

Steps to Recertify

1. 30 days prior to your certification expiring, you will receive an email from Trustwave alerting you that you need to recertify.

2. Log in to your TrustKeeper account – https://login.trustwave.com, username: your email address

3. Review the “PCI Self-Assessment” section

on your dashboard.

4. Click “Start” to restart your Self-Assessment Questionnaire. (If you have already begun a new Self-Assessment, click “Continue” to complete it.)

Once you have updated your PCI Self-Assessment, your PCI Certification Status on your dashboard will indicate that you have renewed your SAQ for another year.

If a customer returns something purchased with a credit card, be sure to process a credit to that same card account. It’s simple, accurate and recorded on your statement for future reference.

The card companies (Visa®, MasterCard®, Discover® and American Express®) do not permit cash or check refunds on any of their credit or check cards. If cash or check refunds are issued and the transaction would turn into a chargeback, your business could lose the refund as well as the chargeback. As a result, following their policies protect you and the cardholder.

By issuing a credit, your business is protecting your customers against someone fraudu-lently using their card account and then returning the merchandise for cash.

And be sure to follow these other helpful tips to help with returns.

Post a Return and Exchange PolicyIf you’re a brick-and-mortar merchant, display your Return and Exchange policy at the point of sale. Have your terminal set up so that your policy is printed on your receipts. Mail order merchants are required to disclose their policy on the mail order form, invoice or contract.

E-commerce merchants must communicate their refund policy during the ordering process, and require customers to accept it.

Use Gift Cards as In-Store CreditBy issuing a gift card in the amount of the return for cash and check transactions, you can save the sale and maybe even end up with a new customer. If you handle returns and exchanges smoothly, customers will remember your good service and may return.

Take the Proper Steps for Obtaining an AuthorizationWhen accepting card payments, merchants must take the appropriate steps to obtain an authorization on every transaction, regardless of dollar amount. The authorization steps and tips below will help you protect your business and your cardholders.

Card Authorization Process1. Swipe the card through your terminal in

the direction indicated.

2. Enter the dollar amount of the trans-action and request authorization.

3. Check the authorization response and take appropriate action.

4. Compare the card to the sales receipt.

• Ensure the name and last four numbers on the card match those on the sales receipt

• Make sure the signatures match

Important Tips• Authorization must be obtained

through the terminal when the card is swiped or manually keyed.

• If a ‘call center’ or ‘call’ message is received, you must call 1-800-228-1122 to get a valid authorization. Never make up an authorization number as you will not have any chargeback rights.

• If a declined response is received, do not attempt to reauthorize the card for the same or similar amount. Ask for another form of payment.

• Do not split a transaction in order to obtain an authorization for a larger amount.

• If the card number is manually keyed, you must get an imprint of the card for fraud chargeback protection. Be sure to write the authorization number obtained on the imprinted receipt.
