Thank you for choosing Dallas Baptist University’s catering service provided by LaFrontera Hospitality.

At DBU, we know that successful events take careful planning and attention to detail - from a basic coffee service, to an elegant formal dinner, and everything in-between.

This Catering Guide illustrates the range of goods and services provided by our catering staff, however, your choices need not be limited to the listed selections. Our menus offer fresh, contemporary options that are sure to delight your guests and meet any dietary or budgetary requirements as well. Be assured, we will work with you to meet the unique needs of your group with customized menus and services that support your vision for a successful event!

Our team of professionally trained staff strives to deliver the highest level of catering services to the DBU family. This high level service coupled with a delicious food offering creates a celebration of taste that is sure to earn compliments and accolades from all event participants.

PERFECT PLANNINGCATERING CONFIRMATION AND GUARANTEEA guarantee is requested three (3) business days before your catered event. This confirmation and guarantee will include the exact times, location, attendance, linens, and menu choices. If your event is cancelled, please contact the Catering Department and cancel the event in writing or by e-mail. You will be responsible for 50% of your food bill for any event that is cancelled within three (3) business days.

If Dallas Baptist University is closed due to inclement weather, all catering events will be automatically cancelled.

PAYMENTAll catered functions must have a secured payment before they occur. University-sponsored events need only to have an approved purchase order number. Non-University related groups may pay by credit card, check or cash. Non-University related groups are required to make a deposit of 75% one week prior with the balance due at the conclusion of the event. Tax exempt organizations are required to submit a copy of their tax exemption certificate at the time of booking.

ATTENDANTSTo ensure that your event is a success, catering staff attendants will be provided for all served meals and buffets during the first two hours of service. Attendants are available for an extended period of time for an additional fee.

RECEPTIONS AND BREAKSStaffing service is available upon request for a charge of $25.00 per attendant per hour. We recommend one attendant for every 50 guests. For on campus events, drop off service is available upon request at no extra charge.

PLANNING YOUR SPECIAL EVENTWe take pride in providing a comprehensive catering service to the DBU campus community. The following steps will helpguide you through the process of organizing your special event.

ARRANGING A DATEEven if the date of the event is only tentative, please make arrangements with La Frontera Hospitality so that we can place your event on our schedule. All other information such as location, number of guests, time of the function, and menu selection should be determined at least five (5) business days prior to the event. You may contact Deana Demoret at (214) 333-7215 or via e-mail at [email protected].

RESERVING A LOCATIONVenue reservations must be confirmed before we will be able to commit to catering or delivery. All such reservations on DBU campuses are made through the Coursedog Event Management system. If you are not a Coursedog user, you may contact your department or college secretary for assistance. Coursedog users may direct questions to [email protected].

Tables, chairs, extra trash cans, other furniture or special set ups must be arranged through DBU’s Physical Operations Department. Please submit a Moves & Set Ups request to [email protected] at least 48 hours in advance of your event. Both the Moves & Set Ups form and floor plans of the major event spaces are available in Coursedog.

Audio/visual resources are requested within the Meetings & Locations tab in Coursedog. Please click “Resources” and select the equipment and services you will need.

DELIVERY FEESDeliveries outside the main campus will be subject to a 5% delivery fee.There is no delivery fee for catering services held on the DBU main campus.

CATERING EQUIPMENTWe provide high quality china and stemware as standard, unless otherwise requested. We can also provide high quality plastic disposable dinnerware and stemware in lieu of china and upon request. Should specialty equipment be needed, we will rent and provide for an additional charge.

LINENS AND SKIRTINGLinens and skirting for food and beverage tables are provided as a part of the cost of the food. Tables are skirted and covered for $5 per tablecloth and $13.00 per skirt. The same linen fee applies to registration tables, name tag tables, head tables, and any other tables not directly used for the delivery of the food and beverage order. Table skirting can be done on any table not exceeding one inch in thickness. Linen napkins can be provided for a fee of $.75 per napkin. Specialty linens are available upon request for an additional charge. Sample options of specialty linens are available upon request.

LATE AND MINIMAL CHARGESA late charge of 10% will be assessed for any event booked less than 24 hours in advance. Changes made within 24 hours of an event date will also be charged accordingly. There will be a minimum charge of $25.00 for beverage orders and $50.00 for food orders, not including the delivery fees. Arrangements for orders less than the minimum amount can be made if they are picked up during office hours. Catering Department office hours are 8:30 a.m. to 5:00 p.m.

SUSTAINABLE AND ORGANIC MENUSOur culinary staff is happy to produce a sustainable and/or organic menu for your event.

We can create fresh, healthy meals using local products that are free of pesticides, hormones, and antibiotics. Some items may be limited based on availability. Please note there may be an additional charge per person.

FOOD REMOVAL POLICYDue to FDA health regulations, La Frontera Hospitality does not allow for the removal of excess food items from events. Items purchased for pick up should be properly stored prior to the event and disposed of by the event host following the conclusion of the event.

SERVING SUGGESTIONSTHE NUMBER OF HORS D’OEUVRES YOU NEED OFTEN DEPENDS ON HOW LONG THE SERVICE TIME IS, THE TIME OF DAY AND IF A MEAL WILL ALSO BE SERVED FOLLOWING.

WHEN HORS D’OEUVRES ARE SERVED BEFORE A MEAL, PLAN FOR:• 5-7 bites when served before a light meal.• 3-4 Bites when served before a full dinner meal.

PEOPLE EAT MORE DURING THE FIRST 90 MINUTES. AFTER TWO HOURS, CONSUMPTION PICKS UP AGAIN, ESPECIALLY IF HORS D’OEUVRES REPLACE DINNER.

HOW MANY VARIETIES SHOULD BE SERVED FOR AN HORS D’OEUVRE ONLY EVENT?• For up to 35 guests plan for 4-5 different types of hors d’oeuvres.

• For 35-60 guests, plan for 7-9 different types of hors d’oeuvres.

• For more than 60 guests, plan for 9 or more different types of hors d’oeuvres.

• If hors d’oeuvres take the place of dinner, include some substantial meal type foods that can be served like hors d’oeuvres (for example a carving station).

• Remember to provide a variety of foods to please everyone. That means something for the vegetarian as well as the meat eater. Having both hot and cold foods also helps to satisfy allof your guests.

• If hors d’oeuvres take the place of dinner, make sure to include several bites of sweets per person to complete the meal.
