Bar codes Used to pre-populate the form type in a batch of documents. Properly used, bar codes can greatly speed large-volume production scanning of forms and other documents. Legal Acceptance It is anticipated that increased attention will be given to Information Management.There are three key reviews that should be undertaken which are requirements when developing your Compliance Framework: Data Protection Act ISO17799 – Information Security BIT0008 – Code of Practice for Legal Admissibility of Information Stored Electronically Duplicate copies can be admitted into evidence if they accurately reproduce the original. Distributed Capture The internet, greater bandwidth, and smaller, less expensive scanners (and MFDs) enable paper to be inserted into the business process at the point of creation. Rather than collecting and shipping documents to a central location, those documents can be scanned on the same day. Document scanning stations can be as common and accessible as photo copiers. Digital Postroom Some companies scan and index all incoming mail for digital distribution within the organisation.This could be normal correspondence, orders, shipping documents, invoices or complaints. Pre-scanning preparation costs can be considerably reduced using specialist high-volume scanners with inbuilt envelope handling.The digital mail may then be routed manually or automatically. Digital Postroom may help you save manual distribution cost,improve efficiency and provide an electronic audit trail of received and processed mail.
