Event Planning Process

FILL OUT AN EVENT INTEREST FORM This gives us an idea of how many guests you are expecting, as well as any general requirements and expectations you have for your event. We recommend that you make an appointment to view our event sites, as well as the property as a whole. CHOOSE DATE AND LOCATION The Events Manager will contact you to discuss the specifics of your occasion and how Bear Lake Reserve can meet your needs and those of your guests. At this point, availability of dates and venues will be discussed, and the Events Manager can convey a better understanding of details and charges. SIGN AN INITIAL EVENT AGREEMENT At the time of agreement, Bear Lake Reserve requires a deposit of $1000. APPROVE BANQUET EVENT ORDER (BEO) At least 30 days prior to the event, all food and beverage requirements must be finalized between both parties along with payment in full for the event. A detailed BEO will be sent to you for your review. This is a confirmation and summary of all of the arrangements that have been made and must be signed and returned to the Events Manager.

SECLUSION & CONVENIENCE Bear Lake Reserve is set in the heart of the Blue Ridge Mountains within a forest preserve overlooking Bear Creek Lake; but that doesn’t mean that anyone is “roughing it”. Everything you and your guests need is on-site, including hiking & biking trails, pool, fitness, spa services, a marina with boats, skis, and water toys, and much, much more. All of this is less than a scenic 3 hour drive from Atlanta, Asheville, Charlotte, Knoxville, or Greenville.

With over 30 years in the Wedding, Event and Hospitality Industry our certified Wedding Planner Laina Hamilton is on site throughout the entire event process. Upon your initial meeting at the Lake Club thru your private tour of our 2100 acre property she is available to help you plan all of your special details from the perfect venue selection to the last sparkler send-off.

Vendor PoliciesBear Lake Reserve has an approved list of trusted vendors. When choosing an approved vendor please be aware that we do have policies and procedures in place to protect the integrity of your event and to help maintain the beauty and tranquility that makes Bear Lake Reserve special.

All decorations, and removal of the same, are your responsibility. We are not responsible for decorations or miscellaneous items that are left after the event. Bear Lake Reserve permits the supply of decorations by the hosting party as well as from outside vendors. In order to uphold the event standards of Bear Lake Reserve, the Bear Lake Events Team must approve all décor. Tenting maybe required for outdoor events involving the service of food. The use of confetti is prohibited. Birdseed is permitted solely on the Performance Lawn at Golden Farm. Bear Lake Reserve is not responsible for gift security or personal effects. Please monitor both during, and immediately after, your function.

As a guest renting space at our private facility, please be aware that any damage that you, your guests, or others involved in your event, cause to our facilities will be the sole responsibility of the renter(s). A major credit card will be required prior to the event(s) in case of damages. Please note that while renting a venue from Bear Lake Reserve; decorations such as flowers, streamers, table name cards, ice sculptures, fountains, and other items that help enhance the appearance of an event will be the responsibility of the person(s) renting the facility and are not included in the venue rental price. For safety reasons the use of floating candles or floating lanterns and glass is prohibited in the pool area. Bear Lake Reserve can provide a list of preferred vendors. All outside catering and vendors must be approved in writing by the Bear Lake Reserve Event Manager.

Overnight Accommodations RequirementAs a Private Resort Community, we do have a minimum

Cottage/Mountain Lodge rental requirement that may differ from other Wedding Venues. Our unit rates will vary based on the time of year and the type of unit reserved. We do require a Two-night minimum stay and on Holiday weekends a 3-night minimum with a 50% down payment at the time of booking and full payment 30 days prior to the event. The minimum unit requirement for your event will be determined by the number of guests that you are expecting.
