OUR MISSIONThe Peripheral Nerve Society is an international organization of physicians and scientists working together to develop and provide the best treatments for people who have peripheral nerve diseases. This goal is realized by cooperation — supporting research, training scientists and healthcare professionals, setting standards of care, creating new treatments, and facilitating clinical trials.

ANNUAL MEETING FOCUS AND ATTENDEE PROFILE The PNS Annual Meeting is the place to learn about the latest international research across specialties in peripheral neuropathy. It is the premiere location to have one-on-one discussions with experts in the field and connect with clinicians and scientists from various countries. The meeting has quickly established the reputation of being the largest Peripheral Nerve Meeting in the world.

During the plenary talks, platform presentations, poster sessions, and Saturday Education Course junior and senior scientists of various backgrounds teach about the most current and ground-breaking developments in the field. Thanks to the support of our generous sponsors, the PNS continues to enhance its educational initiatives and expand its featured programing by incorporating special interest group parallel sessions — Inflammatory Neuropathy Consortium (INC), Charcot-Marie-Tooth and Related Neuropathies Consortium (CMTR), International Diabetes Neuropathy Consortium (IDNC), and Toxic Neuropathy Consortium (TNC).

EXHIBIT SCHEDULEPNS does not have specific exhibit hall hours, but rather suggested times to stand by your table to interact with attendees during breakfasts, breaks, and lunches. To maximize your time spent with meeting delegates, all food and beverage functions will be served in the exhibit area. The schedule-at-a-glance will be posted online by 1 November. All exhibit representatives are encouraged to attend PNS educational sessions and evening receptions, to maximize their time spent with the conference delegates.

SPACE ASSIGNMENTSPriority in space assignments is given to returning exhibitors and by sponsorship level. Applications received after 3 April will be assigned in order of receipt. We will accommodate requests to the extent we can, but cannot guarantee you will be assigned to any of the spaces requested or not placed near a competitor. Table assignments will be sent one month prior to the event.

EXHIBIT PERSONNEL REGISTRATIONA basic exhibitor package includes one company representative registration. Sponsors, please refer to page 4 to view how many personnel you receive based on your sponsorship package. Exhibit personnel will receive a coupon code upon receipt of payment to register for the Annual Meeting gratis. Additional exhibitor registrations will be treated as regular conference registrants and are asked to register online at www.pnsociety.com.

ATTENDEE LISTA pre-show attendee list will be sent two-weeks prior to the event. An introduction letter, meeting materials, and a list of registered attendees will be placed on your table upon your arrival. A final attendee list will be sent at the end of the conference.

PATIENT ADVOCACY GROUPSThe Peripheral Nerve Society (PNS) is highly committed to organizations who support our patients. As part of that commitment, the Board of Directors invites Health Groups/Patient Advocacy Groups from around the globe to exhibit at our Annual Meeting. In addition to waiving the registration fee for one attendee, this invitation includes a complimentary exhibit table at the meeting and logo recognition in the printed program. If you are an Annual Partner and are hosting a sponsored symposium please note the following items.

SYMPOSIA DEVELOPMENTPNS leadership strongly encourages you to meet with them prior to beginning your symposia development to discuss & suggest topics that may be of interest to our members. Contact [email protected] to schedule a time. The PNS Board has final approval of your symposia content. We ask that all content is submitted to [email protected] by 10 April, 2020. (Programs submitted after 10 April will not be included in the conference materials.) A dedicated link for you to submit your symposia content, will be sent after your sponsorship has been confirmed.

SYMPOSIA EVENT SIGNAGE• Companies holding a sponsored symposium during the congress are

allowed to advertise their symposium by displaying self-standing signage in front of the conference room used to hold their own satellite symposium during the session preceding their symposium.

• It is a task of the company holding a sponsored symposium to order, produce and set up the stand alone.

• Due to the tight schedule of sessions in the meeting rooms, the sponsored branding inside the meeting rooms is limited to self-standing visuals.

• Companies may prepare a visual with company or product logo to be installed self-standing against the speaker’s lectern and at the sides of the speakers’ tables.

• It is the responsibility of the company holding a satellite symposium to set up at the beginning of the symposium and remove all branding at the end of the symposium.

• Corporate branding should not change in any way the congress signage already installed in the conference room.

SYMPOSIA AV EQUIPMENTDue to a tight schedule of sessions in the meeting rooms, Annual Partners are not permitted to upgrade or change the audio-visual equipment provided in the meeting room. All session rooms are equipped with an AV tech, screen, projector, speaker and audience Q&A microphones, and a slide advance remote.

SYMPOSIA REHEARSALSDue to a tight schedule of sessions in the meeting rooms, PNS does not allow you to schedule rehearsals and run through slides on stage prior to the event. If you would like to do this in the speaker ready room or schedule/purchase time with AV Staff to run through this in your Individual Meeting Room you are more than welcome.

INDIVIDUAL MEETING ROOMSAs an Annual Partner, you will receive an individual meeting room located in close proximity to the general session. These meeting rooms are typically set Boardroom style (if you prefer an alternate set-up, please contact the PNS Executive Office). Sponsors receive access to their assigned room Sunday – Tuesday. Sponsors may pick up their individual meeting room key(s) at the registration desk on Sunday morning. PNS will accommodate requests to the extent we can, but cannot guarantee you will be assigned to a specific meeting room or not placed near a competitor. Individual meeting rooms assignments will be sent one month prior to the event.

AV EQUIPMENTAnnual Partners are permitted to purchase basic AV equipment (projector/screen package) for their individual meeting rooms. Please contact [email protected] for more information.

The rules and regulations contained herein are intended by PNS to serve the best interests of PNS Scientific Sessions, the exhibitors, and the attendees, and give notice to applicants and exhibitors of governing rules and regulations. All applicants, exhibitors and EACs are bound by the rules and regulations. PNS shall have full authority to interpret or amend these rules, and its decision is final. Exhibitors agree to abide by any rules or regulations that may hereafter be adopted, which shall be as much a part as though originally incorporated. All issues not addressed herein are subject to the decision of PNS. These rules and regulations have been formulated in the best interest of all exhibitors. The exhibitor understands and agrees that the information contained in this prospectus and PNS Rules and Regulations are an integral and binding part of the Exhibit Space Contract, and that signing the exhibit space application/contract indicates understanding and agreement to comply with all policies, rules, regulations, terms and conditions in the prospectus, and any other PNS issued communication. These rules and regulations may be amended or changed at any time by PNS, and all amendments and changes will be binding on all parties.

CONTRACT FOR SPACE The order of a tabletop space upon acceptance by the Peripheral Nerve Society (PNS), assignment of space, and the payment of rental charges constitutes a contract for rental of the space assigned. Any exhibitor failing to occupy space is not relieved of the obligation to pay the full rental price if not occupied by the time set for completion of display installation, such space may be re-possessed by PNS. Said contract will not be binding upon PNS in the event of strikes or circumstances beyond PNS’s control.

It is agreed that: If a cancellation occurs before 3 APRIL a full refund, less an administrative fee of $200, will be issued. If cancellation occurs after 3 APRIL the company will be responsible for paying the full cost of the tabletop space.

GENERAL CONDUCT EXHIBITORS The purpose of PNS’s exhibit program is to further the education of the registrants by providing an area for exhibitors to present information on products or services pertinent to their professional interest. The character of exhibits is subject to the approval of PNS. The right is reserved to refuse applications of concerns not meeting standards required or expected, as well as the right to curtail exhibitors or parts of exhibits, which reflect against the character of the meeting. Sponsors are not allowed to schedule any other engagements that will take multiple attendees away during the PNS Annual Meeting Program.

FIRE PROTECTION All exhibits must conform to the fire laws, health regulations, electrical codes, and other ordinances of the Miami, Florida fire department. All materials used in the exhibit must be flameproof and fire resistant. All materials are subject to the inspection of the Miami fire department and their regulations shall govern. Crepe paper, corrugated paper, flameproof and otherwise, plus Inflammable fluid or substances are not permitted. Any exhibits or parts thereof found not to be fireproof may be ordered dismantled. Enclosed ceilings are not permitted in the exhibit hall. Smoking is not permitted in the exhibit hall. The Hotel reserves the right to dismantle any exhibit it feels does not conform to the fire laws, health regulations, electrical codes, and other ordinances of the Miami, Florida fire department.

CERTIFICATE OF INSURANCE PNS does not provide insurance for exhibitor’s property. Exhibitor’s must insure their exhibit materials, goods, and/or equipment against theft, damage by fire, accident or loss of any kind.

MEETING CANCELLATION It is mutually agreed that in the event of cancellation of the exhibits due to fire, explosion, strike, freight embargo, flood, act of God, act of public enemy, act of war, war, act of terrorism, civil disturbance, act of any government, de jure or de facto, or other government declaration or regulation, epidemic or other event over which PNS has no control, then the exhibitor contract may be immediately amended by PNS, and exhibitor hereby waives any and all claims against PNS for damages, reimbursement, refund, or compensation. At the sole discretion of PNS exhibitor refunds will be determined after deduction of any amounts necessary to cover the expense incurred by PNS in connection with the show. PNS shall not be financially liable in the event the show is interrupted, cancelled, moved or rescheduled except as provided herein.

LIABILITY It is understood that each party involved - PNS, The InterContinental Miami and the exhibitor agrees to be responsible for any claims arising out of their own negligence or that of their employees or agents. In addition, each party agrees to be responsible for their own property through insurance or self-insurance, and shall hold harmless each of the other parties for any and all damage caused by theft and those perils normally covered by a fire and extended coverage policy.

RESTRICTIONS ON USE OF SPACE No exhibitor shall sublet, assign or share any part of their allocated space. Solicitations or demonstrations by exhibitors must be confined within the boundaries of their tabletop.

SUITCASING POLICY Exhibitors will not actively solicit business outside of the exhibitor’s paid-for display space, post signs or other advertising displays elsewhere in the facility or sponsor any event that conflicts with the conference or affiliated events. Any distribution of sales materials or business cards or the attempt to solicit business from exhibitors or show visitors by non-exhibiting companies is strictly prohibited; violators will be removed by security. Please report any such activity to registration staff.

CONTRACT AGREEMENT/INDEMINIFICATIONExhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend, and hold PNS, the InterContinental Miami and their employees and agents harmless against all claims, losses, damages to persons or property, governmental charges or fines and attorney’s fees arising out of or caused by Exhibitor’s installation, removal, maintenance, occupancy, or use of exhibition premises or a part thereof, excluding any such liability caused by the sole negligence of the InterContinental Miami and their employees and agents. Full payment must accompany the application in order to reserve your tabletop. We agree to abide by the exhibit rules and regulations indicated in this publication and any amendments thereto, all of which are a part of this contract. We also agree to abide by the cancellation clause as follows:

EXHIBITOR CANCELLATION POLICYCancellations received on or 3 April 2019 will incur a $200 administration fee. All cancellations received after the deadline will not be eligible for a refund. Cancellations must be submitted in writing to the PNS Executive Office at [email protected].
