United Way of San Antonio and Bexar County would like to welcome you as an Employee Campaign Manager (ECM). Your appointment speaks to the confidence management has in you to design, enhance and oversee this year’s campaign. Without you, we simply could not reach the individuals you work with and unite those who want to make a difference.

Your goal is to develop a campaign that will surpass last year’s level of success. The more exposure your campaign committee and your co-workers have to United Way and its work, the more your campaign will grow. You are not alone in this campaign. Your United Way staff representative and Loaned Executive will be available every step of the way as you kickoff your campaign, hold educational and fun events and report results.

This guide contains information you can use to run a campaign that will maximize the impact on our community and enable you to answer any questions that your associates may have about United Way.

OUR STORY

United Way programs are carefully selected to provide specific results that are continuously measured and reviewed to ensure that programs are meeting high performance goals. We will share our ongoing progress with the community.

United Way of San Antonio and Bexar County (UWSA) is one of the largest nonprofit organizations in our community. In 2016, the UWSA approved a recommendation from the Partners for Community Change Coordinating Committee (PCC) to change the way we invest in community solutions. This change is part of a continuous evolution in United Way investments, from funding partner agencies, to funding programs, then outcomes, and now outcomes with community-level impact. Our community faces a wide range of challenges. As a result, we have elected to focus our community investments on four priority areas where we believe we can provide leadership and have the greatest impact.

Our focus areas are (1) preparing children for school, (2) helping students achieve success and prepare for college, career and life, (3) supporting individuals and families to achieve financial stability and well-being, and (4) assisting individuals and families with their most immediate needs. We strongly believe this new approach is in the best interest of our city and will better position United Way to bring people and organizations together to change lives and our community for generations to come. As Employee Campaign Manager (ECM), your first step is to work with your CEO to establish a top-level team. Support from the top demonstrates to employees your company’s firm commitment to the campaign and to changing lives in our community. Get your CEO to endorse the campaign by:

ESTABLISH SUPPORT FROM THE TOP1

• Determining the corporate gift• Making a personal leadership gift• Approving formation of a campaign committee• Promoting leadership giving contributions• Sending communication endorsing the campaign to employees• Appearing at selected company campaign functions• Recognizing and thanking employees

A staff member of United Way’s Resource Development department, the Account Manager, works in partnership with the Loaned Executive (LE). Both will guide you from start to finish in conducting your organization’s campaign. The Account Manager is your year-round contact at United Way.

Recruit a campaign committee to help plan and implement the campaign.

SET YOUR GOALLook for strengths and weaknesses. Then determine your goal by considering:

• Your company’s past results• Current company environment, including changes in number of employees• Factors that influenced the previous year’s results• How much information regarding United Way was presented to employees

TRACK CAMPAIGN RESULTSTracking results throughout your campaign makes final reporting to United Way easy. It’s also a great way to generate excitement for your campaign as employees watch you get closer and closer to your goal.

Your United Way representative will provide you with the materials and expertise needed to report the following results:

• Number and dollar amount of employee pledges• Detailed information on leadership level gifts• Dollars raised through special events• Corporate gift amount

Please report your results to United Way as soon as possible after completing your campaign as it:

• Permits timely deposit of checks and processing of credit card pledges• Allows appropriate acknowledgment of leadership level donors, as indicated on your

Leadership Giving Report

A Leadership Giving Program is easy to implement in a company of any size and can be an excellent source of new dollars for your campaign. In fact, it’s the greatest opportunity for campaign growth. Leadership gifts are personal gifts of $500 or more annually. And, payroll deduction makes Leadership giving easy!

APPOINT A CHAIREnlist CEO support to appoint a senior executive to serve as Leadership program chair. The chair should:

• Visibly participate in the campaign• Speak at all Leadership giving campaign events• Contact past and prospective Leadership givers• Make a personal contribution at a Leadership level

DETERMINE YOUR PROSPECTSAsk your payroll or human resources department for help in identifying individuals who are strong prospects for Leadership giving. A common benchmark would be employees earning $50,000 or more. Another source is to review all employees currently giving $500 or more to United Way.

LEADERSHIP CAMPAIGN AND ‘THE ASK’This can be a great opportunity to bring upper management together for an informative presentation. Pick a format that fits your organization’s culture.

• The most popular … a CEO-hosted breakfast, lunch or reception. Make it special, make your guests feel important. Personalize whenever possible.

• Consider having an Impact partner speaker. United Way will provide a speaker who can address issues of importance to your organization. Ask your account manager or LE to assist you with this part of your company campaign.

• United Way can personalize Leadership Giving packets for your organization. Ask your account manager or LE for these materials.

• Tour an Impact partner and see real results first-hand!

CAMPAIGNBUILD ENTHUSIASMThe purpose is simple: Start your campaign off right by getting the employees excited about United Way in the community. Some helpful hints for success:

• Have your kickoff at an all-staff meeting that is already on the calendar. This saves an extra meeting and is a great way to add excitement to day-to-day agendas.

• Make sure your CEO and senior-level officers are present. This shows employees that United Way is important to the company and sets an example for employees to follow.

• Use United Way’s campaign theme or other imaginative ways to engage employees in the campaign. Ask your account manager or LE about methods used by other companies that proved very successful.

• Conduct the leadership/managers campaign prior to the kickoff and announce the results of this portion of your company campaign at the kickoff to motivate employees to join in contributing.

UTILIZE CAMPAIGN MATERIALSUnited Way has a variety of resources designed to assist you in conducting your employee campaign. Your account manager and/or LE can help you obtain any ofthese materials and other informational activities. These resources include:

• Print materials – United Way campaign posters, pledge cards, report forms/envelopes, giving guides and catalogs.

• Video – Short, uplifting and able to be customized, this video shows how the generosity of every donor matters as it changes the future for families and children across the community.

• Impact partner tours – One of the most effective ways to show employees how United Way donations work.

• Impact partner speakers – Bring the United Way story to life by using staff from a United Way-funded partner for your employee campaign presentations.

• Co-workers as speakers – Co-workers who are recipients of United Way services give moving personal testimonies. Few speakers come across as well.

• Social Media – Promote your campaign using social media.

MAKING ‘THE ASK’Giving is a personal decision, and we must respect the individual’s choice of whether or not to give, and how much. Personal contact is worth a thousand words. A personal request to contribute can occur at a group rally or throughone-on-one solicitation. Each method has its advantages; only you and your team can decide which will work best for your company:

• Employee meetings – The most effective campaign method. Employees are brought together to learn about United Way. Pledge cards are distributed and employees are asked to return completed cards as they leave the meeting.

• One-on-one solicitation – Personal interaction provides a greater opportunity to have questions answered and concerns personally addressed.

• Combination – Many companies hold group meetings, followed by a one-on-one contact to those employees who did not turn in their pledge cards at the end of the meeting. This method is more time consuming but combines the benefits of both.

• Retiree giving – Soliciting retirees is a great way to expand the pledge base and maintain contact with a special group of contributors. Retirees will appreciate your efforts to include them in this company-wide event.

• Confidentiality – Giving is a personal choice. Take steps during your campaign to ensure that every employee feels comfortable in making a decision about giving.

METHODS OF GIVINGNote: Whether an employee contributes or not, ask every employee to return their pledge card to the designated individual. This assures you that all employees have had an opportunity to give.

• Payroll deduction – By far the best method of giving. Prevents you from having to keep track of checks and cash. Remember, most people can afford to give more when they can spread the gift out over the year rather than having to write a big check all at once. The average gift of donors through payroll is higher than those who give a one-time gift of cash or check.

• Cash or check• Credit card billing – A minimum $50 gift required.• Billing at home – A minimum $20 per quarter required. The donor must also

include his/her billing address.

ASK EVERYONE TO GIVEThe major reason people don’t give is because they are not asked – so please askeveryone! Allow everyone the opportunity to contribute by supplying informationabout how United Way changes lives in our community.

EDUCATE EMPLOYEESThe success of your campaign truly depends on how well United Way’s value iscommunicated to your employees during the campaign. Here are a few ideas toeducate, motivate, inspire, remind and encourage:

• Web site – Download information from our Web site, www.unitedwaysatx.org.• Subscribe to our monthly donor newsletter with plenty of information on the

countless lives that you change because of United Way. Then, forward to your employees!

• Newsletter or Intranet – Submit campaign information for use in your company newsletter or intranet.

• E-mail – Forward success stories from our Web site to your employees to show them how their gifts help our community.

• Voice mail – Have CEO send United Way message to all employees via voice mail.

• Social media – Follow us on Facebook, Instagram, Twitter and LinkedIn.• ePledge – Consider using our Electronic Campaign Management System.

Wrapping up the campaign is the time to tabulate and report the results of all your planning efforts. It is also the time to say “thank you” to your committee members, key campaign workers and all the donors.

WRAPPING UP THE CAMPAIGN7

FORMS AND PROCEDURESIf using the United Way pledge forms, these will be delivered with your campaign supplies. United Way needs your cooperation in making sure these forms are completed and returned promptly. To assist you in the final reporting process: • Ensure pledge forms are properly completed• Make sure your Payroll department has completed forms for entering payroll

deductions into your system.• The Leadership Pledge Roster or a company produced list that includes names of

individuals who have given $500 or more. Since names will be listed in United• Way’s leadership booklet, they should be listed as the donor wishes their name to

appear in the Leadership Directory.• The Campaign Report Form is completed at the end of your company campaign.• Use the Campaign Closeout Checklist Envelope as your guide. Place all required

forms in this envelope.

REPORTING CAMPAIGN RESULTSUnited Way needs your cooperation in the reporting process to assess the progress of the community-wide campaign. To do this:

• Complete Campaign Final Report form. Your LE can assist!• Report results to your CEO and United Way.• Be timely! Final campaign results should be reported to United Way as soon as

your campaign is finished.

A variety of programs, activities and services can link your company’s employees to a panorama of caring and enrichment opportunities found within the health and human services area. LEADERSHIP SUPPORT/CREATING A TEAM

• Create a campaign team to drive events, analyze data, and set goals for the year. It is critical the CEO or a senior executive is involved when the company reviews the team’s recommendations in order to obtain support at a company level. Executive level input and support of the company’s campaign plan is key to success.

• One local company has a United Way “Hall of Fame” in the executive suite that features past company United Way campaign leaders. It is considered an honor to be chosen as a leader, and this is reinforced with positive feedback from key leaders in the organization.

• Another company formed an internal volunteer team that trained departmental “ambassadors” to communicate the importance of the campaign to employees across the company.

• Consider having campaign team members serve a two-year term with the committee. In their first year, they can be mentored by the outgoing team member and in their second year of service mentor incoming team members. This is beneficial in knowledge sharing and continuity and helps to build the momentum of the campaign from year to year.

• At one company, executive leadership within the organization, are given a listing of managers not under their supervision to personally call and share their knowledge and support of the United Way. It’s this personal approach that helps the organization communicate its goals and support of the campaign.

• Consider hosting the leadership campaign first – it sets the tone, and allows the opportunity to share the dollars being committed by the leaders of the organization. It also facilitates knowledge sharing, as leaders become ambassadors of the entire campaign.

• Set a specific goal for leadership campaign, in addition to an overall campaign goal. Once results (participation/dollars) of the leadership campaign are available, share them with all employees. This emphasizes the company’s commitment at a leadership level and motivates all employees to participate.

• Many companies rotate a senior executive who sponsors the campaign each year. With strong leadership support, the campaign is in a better position for success.

• Another company hosts a leadership breakfast in which United Way agency representatives are seated at each table. The director of the agency has an opportunity to share United Way’s role in funding their organization in a highly personalized way. Attendees have mentioned they enjoyed the one-on-one interaction with the agency representatives.

PROMOTING THE CAMPAIGN

• Campaign leaders at several companies use emails, posters, voice mails and group meetings to consistently communicate the campaign mission. In addition, innovative “lunch-n-learn” sessions were held to allow employees the opportunity to learn about United Way.

• Use campaign goal thermometer or some other method of measuring campaign progress against goals in a visible area of your organization. Several companies break this down to departmental levels to increase competition within the organization.

• Make the campaign more than a memory – take pictures along the way, and make them available to employees either on an intranet site, bulletin board or publication. A picture really does speak a thousand words!

• Create an area dedicated to the United Way in a section of your building that is common to all employees. For instance, a hallway or cafeteria location could be slated for campaign communications, pictures of events and progress.

• Provide frequent communication around the progress of the campaign. Include both narrative pieces and those with a simple chart or graph. Include communications in both written and verbal formats. For instance, include a sentence or two in regular huddle or departmental meetings.

• Social media is a great way to engage your employees in your workplace campaign and promote your internal philantrhopic efforts to your external audience. Your campaign is also a good time to build awareness of your company’s corporate social responsibility efforts as a whole.

• If you have a standard employee publication, consider publishing a “Special Edition” highlighting the campaign and its activities. Feature employee “testimonial” stories wherever possible.

• Several organizations run the United Way’s campaign video in a continuous loop in their breakroom/cafeterias so employees can view it at their leisure. To encourage employees to stop by, popcorn/cookies/candy can be given out.

• Another idea is to supplement the United Way video with an in-house production. Employees can be interviewed to share their experiences for the entire company.

INCREASING PARTICIPATION AND LEVELS OF GIVING

• During your campaign, promote our focus areas: Ready Children, Successful Students, Strong Individuals and Families and Safety Net. Talk about how donations to these focus areas benefit individuals and help our community.

• The single most important item in any campaign meeting is the “ask”. At some point, whether it’s the campaign coordinator or a trained United Way representative, someone must ask the employee to give and inform them of why their funds make such a difference.

• Many companies encourage their employees to consider giving at a particular level. Consider personalizing a pledge card with a suggested level of giving based on annual salary.

• Another idea around personalized pledge cards is to include last year’s pledge – this is especially important when asking those that give, to consider giving more with this campaign.

• Encouraging employees who previously gave a cash or check donation to give $5 each pay period and ask them to think about a simple thing they could give up with this small amount and how that would help someone in need.

• Several companies provide an incentive of either hours or a day off with pay for employees who gave at a particular level.

• Many organizations incorporate their campaign meeting into their regularly scheduled meetings. This has proven to be very effective in both, time devoted to the campaign and the ability to reach all employees.

• Testimonials from employees who had previously used the services of agencies supported by the United Way is a great way to make that “personal connection” and show that United Way is helping those within their own company.

• A local company instituted a program several years ago to reward all employees who give one hour’s pay per month with a personal holiday on their birthday in appreciation of their support.

• Another local company rewarded employees in any department that achieved 100% participation with a spaghetti dinner, cooked and served by their own CEO.

• Several hospitals and companies with 24 hour operations report that taking the campaign to employees where they work and when they work (especially in the case of 2nd and 3rd shifts) ensures a more successful campaign.

• Have departments “adopt” a United Way Focus Area. Ask one or two employees to learn about the focus area and how it supports our community. During your campaign, have the employees share information about the focus area with their department at United Way meetings.

FUNDRAISING IDEAS AND ACTIVITIES

• Your organization may have tried a number of the following ideas, but here are some to consider. Remember … these activities are designed to create awareness and not to replace the importance of completing a pledge form.

• Silent Auction of donated items from local restaurants, beauty salons, sports events, theme baskets created and donated by work groups, etc. To give equal opportunity to all shifts, have associates submit their bids on slips of paper with final selection to highest bid.

• Balloon Sale allowing associates to purchase balloons to thank fellow associates for special deeds of help or kindness.

• Casual Days allowing employees to wear shorts, t-shirts and caps for a nominal donation – say $3 or $5 per day.

• Hold an Ice Cream Sundae Sale during break time.

• Auction of 2 hours of the Plant Manager’s time to do your job.

• Host volunteer events.

• Raffle a premier parking space for a month.

• Office Putt-Putt on course set up with paper holes around offices for those paying a tournament entry fee with a prize for the lowest score. Allow those entering tournament to also wear their golfing attire (i.e., shorts, caps or hats).

• Change a life with your spare change! Coin collection competition among shifts, work teams or departments.

• Book Sale of children’s books or popular paperbacks that are first donated by associates. Any unsold books can be donated to a local United Way agency.

• Raffle of a lunch with your favorite manager.

• Bake Sales of afternoon snacks, lunch desserts, breakfast treats, or whole cakes and pies for the family.

• Break Bingo with prizes including casual days, baked goods or donated crafts.

2-1-1 HELP LINEUnited Way’s 2-1-1 Help Line assisted over 224,070 people last year, helping local residents with health and human services information and referrals. The top four caller needs included, utility assistance, rent assistance, emergency food needs and housing. However, assistance is available for a variety of services such as legal help, medical care, childcare, employment, and counseling/mental health. Call specialists are available 24/7/365. Online chat and an online database are also available to provide information.

VOLUNTEER INCOME TAX ASSISTANCE PROGRAM (VITA)Last year, Volunteer Income Tax Assistance (VITA) program volunteers prepared over 30,000 tax returns and returned $42 million to San Antonio residents—a real boost to local taxpayers and the economy. The city-wide VITA locations saved participants $6.8 million in tax preparation fees since VITA services are free to those earning up to $60,000 this tax year. Earned Income Tax Credits (EITC) returned to San Antonians totaled $16 million.
