ACSI California/Hawaii RegionStudent Activities Participation Guide

This Student Activities Participation Guide provides you with essential information on how to involve your students in these academic and fine arts programs. You will find descriptions of each event, requirements for participation, as well as dates and locations.

The mission of the ACSI Student Activities Program is to partner with Christian school educators to enhance learning in ACSI member schools through effective and well-run academic and fine arts events that evidence a Christian worldview.

ACSI Student Activities events are chaired by Christian school administrators and teachers who volunteer their time and skills to make these academic and fine arts programs a success.

Participation in the ACSI Student Activities Program is a benefit of membership in ACSI. The California/Hawaii Region is pleased to offer student activity events that complement the academic, arts, and music programs of member Christian schools. The ACSI staff is honored to support the efforts of the many talented individuals who chair and coordinate these events.

Welcome to the Student Activities Participation Guide for the California/Hawaii Region!

The ACSI Student Activities Program is designed to fit the unique needs of each geographical region of the association. The California/Hawaii Regional staff serves member schools by coordinating school registration, providing resource manuals for event chairmen and school coordinators, and assisting those involved in each event to make the event of value for each student. The events are chaired and hosted by member schools at a variety of locations throughout the region.

The ACSI staff is pleased to serve you in the California/Hawaii Region this year. Megan Ilertsen is the Student Activities Coordinator and will be handling all the registration and will be the main person to answer your questions.

The ACSI Student Activities program offers a variety of academic and fine arts events to effectively prepare students for life so that they may acquire wisdom, knowledge, and a biblical worldview as evidenced by a lifestyle of character, leadership, service, stewardship, and worship. I trust that the ACSI Student Activities will be a great time of fellowship and encouragement for you and your students. If you have any questions, please do not hesitate to contact our office.

How to Register for ACSI Student ActivitiesThis guide will assist your School Activities Coordinator (or the individual within your school

designated to oversee all ACSI Student Activities in which your school participates).

Read the Student ActivitiesParticipation GuideThis guide describes each of the events, expectations for participation, event locations, and dates. Discuss these events with your faculty and related staff members.

Choose Your EventsSelect the date and location that works best with your school calendar. Make sure the event date AND the event registration deadline appear on your master calendar. Be sure to select a first and second location choice because some events do fill up. (Register right away for Spelling Bee, Math Olympics, and Elementary Speech Meet as these tend to fill up the quickest.)

Appoint an Event Coordinator for Each Event for Which You RegisterThis is the individual within your school that is responsible for the oversight of a particular ACSI event. Your event coordinator communicates with your school activities coordinator and the event chairperson—the individual responsible for organizing the ACSI Student Activity at the event site.

Fill Out the Registration Form Inthe Back of this GuideBe sure to complete ALL information requested. Giving the full name of your event coordinator for each event is important. The event chairperson will mail or e-mail important event information to this person. Calculate the total school registration fees and enter total in the space allotted. School fees are nonrefundable.

Meet the DeadlineE-mail, mail or fax the form and payment to our California/Hawaii office. Registration postmarked or received by October 31 will qualify for the Early Bird Fees.

Registration received after this date will pay the Regular Fees. The final deadline for sending all registrations is November 15. You will receive confirmation for the events within 10 days of receipt of registration.

Distribute Confirmation Letters to Your Event CoordinatorsYou will receive confirmation letters for each of your event coordinators. Make sure they understand the anticipated deadline and the number of adult worker requirements for that event.

IMPORTANT — Have Your Event Coordinators Download the Handbooks on ACSI.orgThe handbooks for each event are available online at: ACSI.org (see p.6 for details). ACSI event participation and resources are available only to ACSI member schools, therefore we ask that you keep the handbook passwords confidential. Passwords are provided with your confirmation.

Student Accident Insurance

Screening Requirements

All schools participating in an event with the Association of Christian Schools International should ensure that they have adequate insurance coverage for the school, students, and sponsors/teachers. ACSI does not assume responsibility for any insurance. The school’s student accident insurance should cover most reasonable and customary medical expenses. Workers’ Compensation coverage should cover employees/teachers.

By registering for Student Activities you are agreeing to ensure that all staff and volunteers the school provides meet the school’s internal policies and standards as well as state requirements for working with children in a K-12 private school setting.

What are Event ID’s?

Event ID’s are the 5 digit codes that our California/Hawaii Regional Office uses to identify specific events and manage event registration. You will use this code when filling out the event registration form!

The CA/HI Regional Student Activities Office uses a FileMaker Pro database to input all event registrations, and the best way to link your school with a particular event is through these ID codes! And yes, each part of the code means something! They are created to help us quickly determine the event type and location. Here is a broken-down example:

The ACSI Art Festival brings together the work of student artists who have placed at their school’s own art festival. Each exhibit should demonstrate a student’s ability in applying their God-given skill in using appropriate techniques for their chosen medium.

All artwork that has been done during the current school year is eligible. All entries must be the original work of the student; no kit projects. The festival chairperson for each site will determine the number of student entries per school, depending on the size of the event (Plan A or Plan B). Categories include painting, drawing, printmaking, graphic arts/ calligraphy, sculpture, photography, and crafts.

All students receive a merit award ribbon according to the quality of work and not in competition with the other exhibits. First, Second, and Third places are awarded rosettes per grade level. In addition, a Theme Award rosette is also presented in each grade level. (The festival theme is announced by each chairperson and varies from festival to festival.) The Best of Show rosettes (4) are presented to the most outstanding entries; one for grades K–2, one for grades 3–5, one for grades 6–8, and one for grades 9–12.

The ACSI Creative Writing Festival provides the opportunity for young authors to have their work evaluated by judges. Works that receive a Superior rating will be re-evaluated at a regional level, and select works will be included in a regional publication. All work is submitted by mail, students do not travel. A school may register a maximum of four (4) students per grade level.

Three judges will evaluate each work. An average of the three scores will determine the student’s merit rating. All students will receive a certificate of participation and a ribbon indicating Superior, Excellent, or Good. Students will also receive copies of the judges’ evaluations.

All works must be word-processed. Students will be required to submit one (1) digital copy (Microsoft Word format only) and three (3) hard copies of their work by the date of the event. Teachers must verify that the student’s work has not been plagiarized and meets the word count requirement. Students should save an electronic copy of their work until judging is completed.

DEADLINESAll work must be submitted to the Event Chairperson by the date of event as noted below. Submissions not organized per instructions in the Coordinator’s Handbook will be returned un-evaluated. Entries postmarked after the deadline will be returned un-evaluated.

The ACSI Math Olympics challenges students in two categories: Arithmetic Computation and Mathematical Reasoning. Students in grades three through eight (3–8), compete with students in their own grade level. The number of students each school may enter depends on your location in the CA/HI region: Southern California: 2 students per category per grade level, maximum 24 students. Northern California: 3 students per category per grade level, maximum 36 students. Mail-in Events (SCA and NCA): 3 students per category per grade level, maximum 36 students.

Providing adult workers is a condition of participation in the ACSI Math Olympics. Schools that do not provide an adequate number of adult workers should expect to have their students observe, but not participate in the event. Participating schools will be required to bring four (4) adults to the Olympics to assist. Two of the individuals should be teachers who will be asked to administer tests. The others will assist as monitors and graders. All students receive a certificate of participation. Rosettes are awarded to the top five places in each grade level category. The top student in each category, with a score of 85% or higher, is awarded an Olympic-style medallion.

The ACSI Math League is an activity that takes place on your campus. There are six sections of competition: Pre-Algebra, Algebra I, Algebra II, Geometry, Pre-Calculus, and Calculus. Within each section there will be a series of 4 tests. Each test consists of 5 questions.

You may allow as many students as you want to take the test. Only the top 5 scores will be reported. Students must be enrolled in the subject area in which they are participating. Students may participate in only one category.

Tests will be given between March 1 and April 15. You have the choice of when to give the tests during that time period.

A certificate of participation will be given to all students who take the tests. Ribbons will be given for the highest individual cumulative score per section in each school. Medals will be given for the highest individual cumulative score per section. A plaque will be given to the highest school cumulative score per section. The tops scores for each category will be entered into the national competition.

Dr. Sean McDowell is a gifted communicator with a passion for equipping the church, and in particular young people, to make the case for the Christian faith. He connects with audiences in a tangible way through humor and stories while imparting hard evidence and logical

support for viewing all areas of life through a Biblical worldview. Sean is an Assistant Professor in the Christian Apologetics program at Biola University and the Resident Scholar for Summit California.

David Tieche joined WestGate Church as a Teaching Pastor in 2014. He moved to the Bay Area in 2001 as part of Teach For America, and he was an English teacher in the San Jose Unified School District for 7 years, teaching Senior English and AP English. A former journalist, David was a co-author of the One

Year Devotional for Men published by Zondervan in 2012, the Life Application Study Bible Devotional published by Tyndale House Publishers in 2011 and along with Josh Shipp is the co-author of the book The Grown-ups Guide to Teenage Humans to be published by HarperWave in September of 2017.

The ACSI Middle School Leadership Conference is a one-day conference designed to give participants information on how to become a Christian leader in their school. There are also times for them to share what is going on their school, and react to the information that has been shared with them at the conference, within their peer groups. There will be speakers, reaction groups, and informal activities planned to give a good balance of instruction and fellowship.

The Elementary Choral Festival is both an educational and performance event. Choirs must be a functioning group within a school, comprised of students in grades four through six (4–6). The choral festival is comprised of an early evening rehearsal followed by a public concert during which each choir performs two selections and is adjudicated by a guest conductor. The program concludes with a performance of the combined choir selections. Parents and guests are welcome.

School choirs prepare two (2) selections of required repertoire (see below) for a combined performance with other choirs at the conclusion of the festival. Each choir also prepares two (2) sacred or patriotic songs for adjudication by the guest conductor. Because the focus of the festival is on vocal production, use of body motions shall be limited to those written into the score by the composer (e.g. hand claps, finger snaps). All selections must be published works appropriate for the elementary voice, memorized, and accompanied by piano only (no taped music). Use of photocopied music is not permitted.

This festival is not a competition. Choirs are adjudicated by the guest conductor and written evaluative comments along with certificate of participation are provided to the choir director at the conclusion of the festival.

ACSI Musicale is a two-day choir festival that culminates in a public Command Performance and Sacred Concert in which all choirs are combined. Selected soloists and ensembles are also featured.

Each choir, regardless of size, must memorize the six (6) combined songs chosen by the guest adjudicator/conductor. This is the core of Musicale. Each choir will also be adjudicated by the guest conductors on two (2) of their own selections. Choirs who do not adequately know the combined songs will not be allowed to participate in the evening concert.

Musicale also features adjudications for: Chamber Choirs Large Ensembles (9–24 students) Small Ensembles (2–8 students) Sacred Classical Solos Gospel Solos

This is not a competition. Choirs, ensembles, and soloists are adjudicated by the guest conductor or guest adjudicators, and receive oral and written evaluative comments. Singers participating in each of the above categories are adjudicated on one song. Adjudicators will select outstanding soloists and ensembles to perform at the evening Command Performance. Dr. Paul Plew Guest Conductor

Paul T. Plew, Ed.D., has been the Dean of the School of Music and Director of Choral Activities at The Master’s College since 1979. He was educated at Clarks Summit University of Pennsylvania; Pacific Lutheran University in Tacoma, Washington; and received his Doctorate in Education with Music specialization from Nova Southeastern University. He is the past president of the National Association of Church Musicians, co-founder and past president of the Santa Clarita Music Educators Association, and is a member of the American Choral Director’s Association. Dr. Plew has adjudicated for, as well as participated in, numerous choral festivals around the nation. His emphasis in the classroom includes conducting, church music, and choral music. He is conductor of the University Singers and The Master’s Chorale. The Lord has allowed him to lead these groups on music ministry tours to England, Ireland, Russia, Canada, Italy, Germany, Spain, Israel (every 4 years since 1993), and virtually every state in the union. Dr. Plew has been the featured conductor at Carnegie Hall and Lincoln Center’s Avery Fischer Hall in New York City and will return to Carnegie in 2018. He has a passion for worship and his desire is to wed the great truths of scripture with great music. His family includes his wife, Pamela, three children, and seven grandchildren.

The ACSI Band & Orchestra Festival provides an opportunity for bands to be adjudicated and hear bands from other schools. Students in grade four through eight (4–8), or four through twelve (4-12) at some locations, are eligible to participate. They must be part of a functioning group within a school.

The music selected for the Band & Orchestra Festival should be well-prepared for performance and will be adjudicated. An extra original copy of each score must be given to each adjudicator (measures must be numbered). Each band is allowed approximately 25 minutes for adjudication.

The festival is not a competition—each group is judged on its own merits against a standard of excellence. Each band will receive a certificate of participation, a written adjudication, and a rosette for display at their school.

Southern California Honor Band/Orchestra:The Junior/Senior High Honor Band Festival is a two-day event for junior high and high school students. It concludes with a final concert for the public on the last evening. Students audition for the honor band by audiotape. The selected students will then audition live for chair placement at the beginning of the festival. All honor band members are expected to have their parts well-prepared, and must be members of a functioning band within the school, in grades six through twelve (6–12). This event is not designed for the school’s entire band, but for honor students.

Selections will be based on balance and experience. In cases of equal ability, upper class students will have preference. Since the size of the group must be limited, not all students will be chosen. After Honor Band members have been chosen, music parts for each member will be sent.

The Handbell Festival comprises a clinic session and a rehearsal of combined pieces. After a handbell demonstration or mini-concert, individual choirs perform their own selections. The festival concludes with a performance of the combined pieces.

The handbell choir must be a functioning group within the school. Students must be enrolled in grades four through six (4–6) for elementary choirs and grades six through eight (6–8) for junior high or middle school choirs. Schools bring players, handbells, and accompanying equipment. The Handbell Festival may be a half-day or full-day event, depending on the size and location of the event. A certificate of participation and a written adjudication are given to each choir director.

Each student memorizes an approved selection at his/her own level of participation and performs before an adjudicator. The festival is not a competition: each student is judged against a standard of excellence and not in comparison with other students.

Participation is open to any student enrolled in grades kindergarten through twelve (K–12) in an ACSI school who is presently taking lessons from a qualified teacher. In selecting the composition for performance, the student and his/her teacher will need to refer to the ACSI Piano Festival Coordinator’s Handbook to determine the appropriate level of difficulty.

Divisions: Hymn and Classical (solo or duet)Levels: Preparatory through Advanced

Students may enter one or both divisions (Classical or Hymn). A student may not enter more than two categories. Two students may enter as a duet (note duet fees). The duet is adjudicated once.

Each student receives a certificate and ribbon, as well as a written adjudication (constructive criticism and encouragement) on his/her performance. Students participating in Level 1 through Level 4 receive ribbons, those above Level 4 receive rosettes.

The festival is generally a half-day event. The level in which the student plays determines the time allotted per performance (5–7 minutes).

Students perform in either a solo and/or ensemble category (duets, trios, quartets, or ensembles up to 10 students). Ensembles are distinguished from bands or orchestras in that the ensembles have only one person per part.

Music must be classical or sacred.

Anyone that the teacher feels is ready for such an event may participate. The teacher must place each student in a category so that students will be rated with other students of similar ability.

1. BEGINNING - Student began playing within the last 6 months. Performance time limited to a maximum period of two minutes. 2. ELEMENTARY - Student is playing Book 1-2 using simple eighth note patterns, slurs, dynamics, limited use of accidentals, within a limited range. Performance time limited to a maximum period of two minutes. 3. INTERMEDIATE - More apt to be a Junior High student or a very advanced Elementary student who is playing approximately Book 3 of the band methods. Performance time is limited to a maximum period of 4 minutes. 4. ADVANCED - The exceptional student, more likely to be in High School. Music should be High School or adult concert literature. Performance time limited to a maximum period of six minutes.

The festival takes place as a one-day event (approximately 3-4 hours). Each student receives a certificate of participation. An Olympic-style medallion with rating may be purchased.

The ACSI Spelling Bee program occurs at four levels: School Spelling Bee, ACSI District Spelling Bee, ACSI Regional Spelling Bee, and ACSI National Spelling Bee. The rules and procedures for the ACSI National Spelling Bee are used in all bees. Students who have won in their schools’ respective spelling bees are eligible to participate in the ACSI District Spelling Bee.

District Spelling Bees: The District Spelling Bees have two parts: students spell against students in their respective grade level only; then the finalists and runners-up from grades 5–8 spell against each other in the final Spell-Off. The top four placers in the Spell-Off move on to the Regional Spelling Bee, where students spell against mixed grade levels (5–8). The top five placers at the Regional Spelling Bee move on to the National Spelling Bee.

Students must be enrolled in grades one through eight (1–8). Each school may send one student per grade level or one student per classroom if the school has multiple classes per grade. School level spelling bees must be completed by Thanksgiving. Student participation forms must be sent to the event Chairperson by December 1.

All participants receive a certificate of participation; the top four per grade level receive rosettes. In addition, the top four spellers in grades 5–8 also receive trophies and are eligible to compete in the Regional Spelling Bee.

Regional Spelling Bee: The Regional Spelling Bee will take place on Saturday, February 25, 2017 at Lake Avenue Church in Pasadena, CA. All participants receive a certificate of participation. The top five spellers receive trophies and are eligible to participate in the ACSI National Spelling Bee.

National Spelling Bee: The National Spelling Bee will take place on May 5-6, 2017 in Washington D.C. The top five (5) students in the Regional Spelling Bee are eligible to participate.

The ACSI Technology Fair will provide students the opportunity to make their tech presentations before judges, and also experience a full day of learning and fun with demonstrations of the latest tech tools in video, blogs, podcasts, web pages and more.

The ACSI Technology Fair will provide the opportunity for students in grades four through twelve (4–12) to have their work evaluated by judges. A school may register up to four students per grade level. Students must provide their own laptop for presentation. All students will receive a certificate of participation and a rosette indicating Superior, Excellent, and Good. The Best of Show rosette is presented for the most outstanding student work.

Student work will be evaluated in three grade level divisions: Elementary Division: Grades 4–5 Middle School Division: Grade 6–8 High School Division: Grades 9–12

Students may enter works in one of five categories: Multimedia Video Blogging Desktop Publishing Podcasting

FEESAll fees are to be paid with a school check made out to ACSI (no personal checks, please).
