    Friends of Ashby and the Ashby School Council are proud to present our 7th Annual TriviaNight and Auction event. This event has grown to be the schools largest annual fundraiser.Last year we raised almost $7,000 which was used to support the schools fledglingperforming arts program, including teaching staff and the production of an all schoolperformance.

    The event is a great evening with something for everyone:

    A Trivia Night to test your knowledge or just have fun with family and friends! An Auction (silent and live) where you can bid on of the many items donated by

    local businesses (or submit a proxy bid if you cant be here on the night)! Lucky Envelopes you can purchase that feature coupons, small items or small gift

    vouchers from local businesses! Raffles you can buy tickets for on the night to win fabulous prizes!

    Money raised through this years event willsupport the schools literacy goals, includingexpanding the schools Reading Recovery program. This intensive program started at theschool in mid-2011 provides one on one support to students who need assistance inliteracy. In only 3 terms this program has garnered impressive results and we look forwardto expanding its reach.

    An event of this nature would not be possible without a large number of volunteers. Thankyou to all the parents and staff who have assisted before, on and after the night. A specialthank you to Hayden of the Morning Team at BayFM for MCing the night.

    So please join us for an evening of FUN and FUNDRAISING and support Ashby PrimarySchool! Let's make 2012 event the best yet!

    The following information is being provided to help you prepare for your night and to ensurethe evening runs smoothly.

    There will be a bar at the event; alcoholic and non- alcoholic drinks will be available for saleincluding soft drinks, beer, and wine by the glass or bottle.

    In an effort to encourage responsible drinking, water and glasses will be provided for each

    table. If you drink all your water, just bring it to the bar to be refilled.

    Our liquor license does not include BYO, so the only alcohol available at the event is viathe bar. We seek to keep the prices reasonable and ask that people respect the conditionsof our license.

    Food is not available from the bar. People are encouraged to bring their own nibbles of anykind. Many tables pre-organize their nibbles (e.g. figuring out who will bring what). Some

    people bring in takeaway (e.g. sushi or pizza) others bring ordeurve type foods like cheeseand crackers and fruit, or even chips or cookies. What you bring to eat is up to you.

    There will be four raffle draws during the night with at least two tickets drawn each time.Raffle tickets may be purchased for $2 a piece or 3 for $5.00. Raffles will be drawn at theend of every two Trivia rounds. Please retain your raffle tickets as they will be valid for thewhole night. Prizes will include items and gift vouchers and each raffle prize will be worth

    $20-$30.

    Lucky envelopes will be sold throughout the night. These envelopes may be purchased for$5 each and contain coupons and gift vouchers valued at more than $5. Be sure tocompare your envelopes contents with others as you may want to trade some of yourcoupons and vouchers!

    The minimum number of people per table is eight and the maximum number of peopleper table is 10. If more than 10 people are at your table, extra people will be asked tojoin another table. If you have less than 10 people at your table, people may be addedto your table.

    In the spirit of having a fun night, you MAY NOT use your mobile phones to accessanswers to Trivia questions. There will be penalties if your team is caught using theirmobile phones to access answers.

    One answer, per table, per round can be bought for a gold coin donation. The winning table prize will be a bottle of wine for each table member (up to 10), a

    trophy and bragging rights for the next year.

    All bids made for the Silent Auction are binding, and there will be no refunds.

    Bids on the Night -Attendees of the Trivia Night and Auction will be able to make bids onall items up for Silent Auction. Please read the following procedures carefully:

    1. Each item in the silent auction has an item number and a bid sheet at the tablewhere the item is displayed.

    2.

    Persons wishing to bid may do so by placing their name and phone number nextto the bid amount of their choice.3. Each item will have a starting bid of approximately 20% of the value (as assigned

    by the donating business).4. Each succeeding bid must equal or exceed the required increment as shown on

    the bid sheet in order to constitute a valid bid.5. Items valued up to $50 will have minimum bid increments of $2, items valued

    between $51-100 will have minimum bid increments of $5 and items valued atover $101 will have minimum bid increments of $10.

    6. At the discretion of the auction officials, selected items may be auctioned live onthe night. Several items are noted in the Catalogue as Live Auction items, butothers may be added on the night.

    7. Only an auction official can nullify a bid.8. The silent auction closing will be announced by the Events MC (approximately

    9:45pm). The Event MC will give everyone a last call for bids 5 minutes beforebids close. Once bidding has closed, no further bids may be made.

    9. The highest bid made (including proxy bids) constitutes the winning bid. In theevent of a dispute, an auction official will act as the final authority to determine thewinning bidder.

    10.A list of winning bidders will be read out after the live auctions11. Winning bidders are asked to go to the bar to receive their winning bid sheets and

    to pay for their items. Only after paying for an item may the item be collected to betaken home (your bid sheet will be initialed as PAID by the bar staff).

    12. It is preferred that items be paid for on Saturday, June 16th. ONLY cash andcheques (made payable to Ashby Primary School) will be accepted on the night.

    13. If payment is not made on the night, please let the bar staff know (this will benoted on the bid sheet) and your items will be held at the school office untilWednesday, June 20th for payment. If payment is not made by this date, the nexthighest bidder may be contacted and offered the item.

    14. Winners are encouraged to carry home with them all items of manageable size. Inthe event that an item is too large to be transported on the night, winners maymake arrangements for pick-up of their item by Wednesday, June 20th.

    Proxy Bids - In addition to bids at the event, proxy bids will be accepted on items includedin this Catalogue (Silent Auction or Live Auction). To make a Proxy Bid please read thefollowing procedures carefully:

    1. Proxy bids (bids from those unable to attend in person the Ashby Primary SchoolTrivia Night and Silent Auction event on June 16, 2012 from 6.30-10.30pm) will beaccepted on auction items in this Catalogue.

    2. To submit a proxy bid, fill out the Proxy Bid form in this Catalogue. This includesthe item number, item name, bidders name, bidders contact information andMAXIMUM bid you are willing to pay for the item.

    3. Proxy bids must be received by 3:30pm on Friday, June 15th. Proxy bid formsshould be submitted to the school office. Proxy bids will not be accepted after thistime.

    4. If your proxy bid is the winning bid you will be contacted on Monday, June 18th.Winning proxy bidders must pay for and collect their items by Wednesday, June20th from the school office.

    5. If you submitted a proxy bid and are not contacted you were outbid on the night.But thank you for your bid!

    While most items are part of the Silent Auction, some have been identified as items that willbe auctioned live.

    All bids made for the Live Auction are binding, and there will be no refunds. While Live Auction items have been identified in the Catalogue, others may beadded on the night at the discretion of the Auction officials.

    The Live Auction will occur at the end of the event (after the Silent Auction hasclosed).

    Proxy bids may be submitted on Live Auction items. As is in other auctions, theauction officials will represent the proxy bid in the process up to the maximumamount bid on the Proxy Bid Form.

    highest bidder of each Live Auction will be asked to completethe bid form for the item (similar to the Silent Auction Bid Form) for documentationpurposes. This is to ensure there is clarity around the winning bidder and in casethe winning bidder defaults the 2nd highest bidder can be contacted.
