IMPORTANT INFORMATION: Candidates must submit their distributable information piece for approval by Headquarters prior to theAnnual Convention. It is acceptable to submit just an outline or rough draft of the information piecewith the Candidate Application by FEBRUARY 23, 2011. However, candidates must submit a final draft of

their information piece NO LATER THAN MARCH 23, 2011, in order to allow the candidate time torespond to any discrepancies before the Convention. DO NOT print mass quantities of yourinformation piece until you have received final approval from Headquarters.

A candidate essay is required and must be submitted with this application and by email. (See candidateapplication checklist for details).

A current, official college transcript is also required.

The Candidate Orientation meeting is scheduled from 6:00 - 8:30 pm on Wednesday, April 6, 2011, atthe Sheraton Seattle Hotel. The candidate’s campaign manager and chapter advisor may also attend thismeeting. The Candidate Orientation and Certification Meeting is ABSOLUTELY MANDATORY forparticipation in the candidate process.

The newly-elected International Officers will meet on Sunday morning, April 10. Therefore, candidatesshould plan to leave Seattle no earlier than noon on Sunday.

CAMPAIGN RULES AND REGULATIONS

Five International Officers will be elected during the 93rd Annual Convention:

1. International President2. Division I Vice President3. Division II Vice President4. Division III Vice President5. Division IV Vice President

The Annual Convention will be held April 7-9, 2011, at the Washington State Convention Center andSheraton Seattle Hotel in Seattle, Washington. One voting delegate will be appointed to represent eachchapter in attendance at the Annual Convention. Each voting delegate will be entitled to one vote in each ofthe five officer elections. Thus, all voting delegates may vote in all five elections.

A Phi Theta Kappa member may be a candidate for International Office only once (as stated in Chapter I,Section 2B of the Society’s International Constitution and Bylaws).

The campaign for International Office is intended to be a fun, educational and rewarding experience for everycandidate. To ensure the accomplishment of this goal, rules and regulations have been established. Anyviolation may result in a candidate being disqualified from the campaign. Violations should bereported immediately to Dean of Service Learning Jennifer Stanford or to another Headquarters staffrepresentative.

PRIOR TO THE ANNUAL CONVENTION:

1. Many candidates choose to appoint a campaign manager to assist them in preparing for the InternationalOfficer Campaign. It is not a Headquarters requirement that each candidate has a campaign manager; however,if one is appointed, he/she must be a provisional or active member of Phi Theta Kappa (enrolled in atwo-year college). An alumni member or former International Officer may not serve in this leadership position.Furthermore, a member may only serve once as a campaign manager. It is acceptable, however, for alumni andformer International Officers to support the candidate as a member of the campaign team.

2. It is acceptable for chapter advisors to serve on a candidate’s campaign team. However, Regional

Coordinators are STRONGLY DISCOURAGED from serving on a campaign team.3. Phi Theta Kappa Headquarters strongly discourages mass communication about a member’s candidacyprior to the Annual Convention in order to maintain as much equity, objectivity and fairness in the campaignas possible and to keep campaign costs to a minimum. While it is not encouraged, candidate applicantsare NOT prohibited from communicating with members throughout the Society regarding their intentionsto run for International Office. This should be interpreted to mean that candidates (or any representativeof the candidate) may distribute any campaign materials, letters, email messages, etc. prior to the AnnualConvention in Seattle.

Although Headquarters does not monitor pre-Convention campaigning, candidates are cautioned to keepcampaign costs to a minimum. It’s dedication, not dollars, that makes you a strong candidate!

4. Regional primaries are prohibited. If a region has more than one candidate seeking the same InternationalOffice, the region may not hold a contest to determine which one will proceed to the Annual Convention.

5. Regions are allowed to feature information about International Officer candidate(s) on their websiteand/or in their newsletter. Candidates for International Office may give a brief speech at their regionalconvention as long as each candidate from the region is given equal time.

6. Any member who is considering a campaign for International Office is STRONGLY DISCOURAGEDfrom attending regional meetings outside his/her region. Traveling to other regions can be costly and it isHeadquarters’ intention to prevent the campaign from becoming cost-prohibitive. Any candidate applicant whoattends another region’s meeting may NOT be introduced as a candidate and may NOT give a presentation orspeech.

7. By Friday, March 11, 2011, Headquarters will send each candidate applicant a list of all candidateapplicants’ names and email addresses. Candidates may correspond with one another prior to the AnnualConvention. However, candidates are cautioned to keep communications to a minimum out of respect forall candidates during this very busy time. DO NOT add candidates to a mailing list without their permission.

8. By Friday, March 25, 2011, Phi Theta Kappa Headquarters will post photos and essays of eachcandidate applicant on the official Phi Theta Kappa Convention website at convention.ptk.org.

9. Candidates for International Office may NOT be nominated by their Regional Coordinator to serveas Convention Flag Bearers during the Convention’s Opening Ceremonies. Candidates are also

NOT allowed to serve as Educational Forum or Honors in Action Academy presenters at the AnnualConvention, and may not perform on stage in a solo or small-group performance.

10. Phi Theta Kappa reserves the right to extend the application deadline if a race is uncontested.

11. Candidates may NOT switch offices after the application deadline unless a race is uncontested.

RULES AND REGULATIONS: CANDIDATE CAMPAIGN MATERIAL

1. Only ONE distributable information piece may be used by each candidate. No other items may be distributed.The “distributable information piece” may be a brochure, newsletter or flier of any size which will be distributedto delegates at the Annual Convention. The item should contain the candidate’s name, office he/she is seeking,and information about the candidate (e.g., his/her qualifications for International Office, awards received, chapter/

regional offices held, etc.). Please use recycled paper for printed matter if possible.Each candidate is required to provide a sketch or rough draft of his/her distributable information piece forapproval along with the Candidate Application Packet. The Candidate Application Packet MUST BERECEIVED at Headquarters by February 23, 2011. A final draft of the information piece must be submittedfor final approval no later than March 23, 2011. DO NOT PRINT mass quantities of your campaigninformation piece until you have received FINAL approval from Headquarters.

2. Candidates are prohibited from using quotations or statements of endorsement from Phi Theta KappaHeadquarters staff members, current International Officers, Regional Coordinators, the Board of Directorsor Alumni Advisory Council representatives in their campaign materials, including their campaign booths inthe Academic Marketplace.

While it is acceptable to include photos of Regional Coordinators in their campaign materials, candidatesmay NOT use photos or images of Headquarters staff members, current International Officers, the Boardof Directors or Alumni Advisory Council representatives in any of their campaign materials, including thecampaign booth.

3. DO NOT use any copyrighted images or slogans based on, or parodies of, commercial advertising inyour campaign materials. Original materials should be used primarily, although you may adapt well-knownadages or quotes to fit your campaign.

The Phi Theta Kappa Convention logo is also copyrighted and cannot be used by candidates in anyof their campaign materials. It is acceptable for candidates to use the Phi Theta Kappa Key, Crest and Sealon printed/paper materials, but not on any wearables (t-shirts, etc.) The print-quality images can be foundat www.ptk.org/printimages.htm.

 4. In an effort to make the campaign process less commercial and more professional, please note that anattachment to the “distributable information piece” is NOT ALLOWED. Candidates may not distribute“theme oriented” pieces such as buttons, edible items, rulers, pencils, key chains, stamps, etc.

The campaign information piece CANNOT be printed on envelopes, folders, bags, etc. It must be aninformation piece only with no other function.

By limiting each candidate to the use of only one distributable information piece, it is the goal ofHeadquarters to keep campaign costs to a minimal amount. This rule is intended to instill a greater senseof equality into the campaign process and to encourage more members from chapters with financialconstraints to run for International Office.

5. The information piece may only be distributed INSIDE the Academic Marketplace when the candidatebooth is manned. When the campaign booth is unmanned, the campaign information piece SHOULD NOTbe left in a stack that may be picked up by delegates. The information piece must be secured to the table ifleft on display while the booth is unmanned.

Approximately 750-1,000 copies of the campaign information piece should be sufficient.

6. Candidates and/or campaign workers may NOT distribute materials OUTSIDE the Marketplace at anytime. On Saturday, campaign material may be distributed ONLY from the candidate’s table inside theMarketplace.

7. No campaign promotional materials are allowed to be posted on hotel or convention center property(walls, doors, ceilings, pillars, windows, light poles, etc.).

This policy is strictly enforced to reduce the possibility of liability ramifications resulting from damage tohotel/convention center property. Please note this policy includes the restriction of ALL types of wall posterssince these would greatly detract from the aesthetic appearance of the hotel and convention center.

8. T-shirts and/or campaign costumes worn by the candidate and/or campaign workers are acceptable.However, no more than 20 campaign workers may wear campaign costumes. This includes campaignbuttons, decals, t-shirts, hats, etc. Campaign workers may begin to wear costumes upon arrival atConvention.

RULES AND REGULATIONS: CANDIDATE CAMPAIGN BOOTH 

1. Each candidate will be given one 6-foot table to serve as the campaign booth, and candidates mayadd any booth decorations in good taste. Decoration of the campaign booth is left to the imagination anddiscretion of the candidates, but displays behind the booth may not be higher than 8 feet tall. The table heightis 30 inches. The depth of the booth cannot exceed 6 feet. Please note that balloons are not allowed.

2. Campaign booths need not be elaborate. One table and tablecloth are supplied by Headquarters. All othesupplies must be provided by the candidate. Remember, it is dedication, not dollars, that makes a winner!

3. Due to rigid union regulations and fire codes, table spaces will not be equipped with electrical outlets.Candidates are prohibited from using electrically or battery operated devices in their campaign table

spaces. However, it is acceptable for battery-operated devices to be used as part of the campaigncostume as long as it does not create excessive noise.

4. Booth spaces will be assigned alphabetically by last name within offices sought (i.e., all presidentialcandidate booths will be located in the same section. A presidential candidate whose last name beginswith “A” would be assigned the first space in the row of presidential candidate booths, and so forth...). Inprevious years, candidates have been successful regardless of their booth location. Candidates with lastnames from A to Z have been elected.

5. Candidates must respect the booth spaces of other candidates. Do not campaign in front of othercandidates’ booths.

6. No campaign materials are allowed to be posted on the hotel and convention center property inside or

outside the Academic Marketplace. However, a candidate is allowed to bring corkboards, easels or othersurfaces on which they can post campaign materials behind his/her booth.

7. Individual candidates may NOT offer any form of “door prizes” or food items at their campaign tables.Only one pre-approved distributable information piece may be given away.

8. To avoid overcrowding, candidates and campaign team members are not allowed to campaign at theentrances to the Academic Marketplace.

9. Candidates are responsible for removing decorations and materials from their campaign tables and forcleaning their assigned table spaces. All candidates’ booth spaces must be cleared on Saturday, April 9.

RULES AND REGULATIONS: CANDIDATE CAUCUS

1. Executive Director Rod Risley will conduct an interview with each candidate via videoconference prior to theAnnual Convention. The Caucus interviews will be posted to the Convention website at convention.ptk.org andshown in the Sheraton Seattle and Westin Seattle hotel rooms via closed-circuit television.

2. The questions posed by Dr. Risley generally relate to Phi Theta Kappa programs, opinions on currentevents, etc. and are NOT revealed prior to the interview.

3. In order to conduct this interview via videoconference, candidates must have access to the following:a) a computer; b) high-speed Internet connection; c) a webcam; and d) telephone (headset preferred).If you do not have access to the items listed above, please contact Jennifer Stanford [email protected] or 601.984.3532.

4. The videoconferences will be scheduled on three different days to accommodate candidate applicants’schedules. Interviews will be scheduled between the hours of 1:00 pm - 6:00 pm Central Time onTuesday, March 15; Wednesday, March 16; and Thursday, March 17. Each interview with Dr. Risley willbe approximately 5 minutes in length, but applicants should allow at least one hour in their schedules incase of technical difficulties. A time to test the videoconference set-up will be announced.

5. Candidates are NOT allowed to have props or notecards during the caucus videoconference.

6. Candidates should wear professional business attire for the videoconference. Your Golden Keymembership pin is also recommended.

RULES AND REGULATIONS:CONVERSATIONS WITH THE CANDIDATE FINALISTS IN THE ACADEMIC MARKETPLACE

1. Candidate Finalists are required to campaign a final time on Saturday, April 9, at their campaign boothsin the Academic Marketplace. This will provide a final one-on-one campaign opportunity.

2. Only the candidate finalist and his/her campaign manager may be stationed at the booth.

3. A candidate may distribute remaining copies of his/her information piece.

4. All campaign booth items must be completely removed by 1:30 pm on Saturday. Neither Phi Theta Kappanor the convention center will be responsible for items left in the Academic Marketplace after that time.

RULES AND REGULATIONS:CANDIDATE FINALISTS’ SPEECHES – THE HONORS STUDY TOPIC SPEECH 1. The top ten candidates from Friday’s election (two from each officer race) shall become “candidatefinalists” and will present speeches on the 2010-11 Honors Study Topic, “The Democratization of Information: Power, Peril and Promise .”

2. The candidate finalists’ speeches will be presented during the Third General Session on Saturday, April 9. 

3. This speech MUST NOT be presented as a “campaign speech.” Instead it should be presented as anopportunity to speak on the Honors Study Topic. When preparing their Honors Study Topic speeches,candidates should refer to the Honors Program Guide, which is available online at www.ptk.org/honors/guide. Chapter advisors also have a printed copy of the Honors Program Guide.

4. It is expected the content of the speech will be the work of the candidate; however, each candidate isencouraged to seek assistance from fellow members, advisors, and instructors in preparing for the HonorsStudy Topic speech.

5. All Honors Study Topic speeches are limited to THREE minutes and are strictly timed; time beginswith the candidate’s first utterance. After two minutes and thirty seconds, a candidate will be given a signal thatonly thirty seconds remain. Candidates will not be allowed to continue after three minutes. Candidates shouldremember to allow for audience reactions (applause, laughter, etc.) when practicing the timing of their speeches.

6. Props brought on stage by the candidate only may be used in giving speeches; however, additional audio/

RULES AND REGULATIONS: ELECTION/POLLING PROCESS

1. The first election takes place on Friday, April 8. The top two candidates in each race are announced atthe end of the Second General Session on Friday. The run-off election is held on Saturday, April 9.

2. Voting delegates cast a vote in each of the five International Officer races. Only active membersof active chapters may serve as voting delegates at the Annual Convention. Neither alumni members nor

chapter advisors may serve as a voting delegate for the chapter.

3. Campaigning is not permitted during the polling process. Candidates are not permitted to be within 100feet of the entrance to the polls during the hours of polling. The only exception to this rule is if the candidateis the ONLY member representative of the chapter at the Convention and is therefore serving as thechapter’s voting delegate.

4. The vote-counting process is monitored by at least one non-partisan Society constituent (e.g., analumnus) AND at least one person who is NOT affiliated with Phi Theta Kappa.

5. Election results are posted on Phi Theta Kappa’s website (www.ptk.org) within two weeks following theAnnual Convention.

Topics covered in this orientation will include a review of campaign regulations, schedule ofcampaign events, benefits and responsibilities of office, Honors Study Topic speeches and campaign tips.All candidates will have an opportunity to ask questions. However, please read all of the information in thispacket thoroughly so that questions may be kept to a minimum as the group’s time is limited.

Candidates arriving late for the orientation may be disqualified. Candidates will not be officially certified untithey have attended the orientation meeting in its entirety.

After the primary election, the caucus videotape will be edited toinclude only the Candidate Finalists, and will be shown continuously until the run-off election on Saturday.

10:00 am – 6:00 pm: Campaigning Opportunity in the Academic Marketplace

Candidates may visit with Convention delegates at their campaign booths throughout the day on Thursday.It is NOT necessary for candidates to stay at their booths the entire day. While visiting with delegates, thecandidate and/or campaign team members may distribute the candidate’s information piece INSIDE theMarketplace only. HOWEVER, when the booth is unmanned, the campaign information piece SHOULDNOT be left in a stack that may be picked up by delegates. One of the highlights of this session is the presentation of the CandidateFinalists’ Honors Study Topic speeches to the general assembly of delegates. This is the only opportunityCandidate Finalists will have to deliver a prepared speech to the entire Convention body. Candidate HonorsStudy Topic Speeches are timed and limited to a maximum of three minutes. Speeches must specifically

address the Honors StudyTopic: “The Democratization of Information: Power, Peril and Promise .” As with allcampaign events, candidates will want to appear confident by speaking and dressing professionally at theThird General Session. Business suits, dresses, or coats and ties are appropriate attire for this session.

Noon – 1:00 pm: Conversations with Candidate Finalists in the Academic Marketplace(Candidates and Campaign Managers Only)Candidate Finalists are required to campaign a final time in the Academic Marketplace. Only the candidateand the campaign manager may visit with Convention delegates at this time. Candidate Finalists maydistribute remaining copies of their information piece from their campaign booths. The outgoing International Officers, Executive Director Rod A. Risley andother Headquarters representatives will attend. The Orlowski Award will be presented to the candidate chosen by

his/her peers.

4:30 pm – 7:30 pm: Hallmark Awards Gala/International Officer InstallationElection results will be announced and the 2011-12 Phi Theta Kappa International Officers will be installed at theconclusion of the Hallmark Awards Gala. In keeping with tradition, the new International President will officiallyadjourn the 93rd Convention. The newly elected International Officers, along with the outgoing InternationalOfficers, will lead the parade out of the ballroom during the Closing Ceremonies at the end of the event.

Following Gala: Outgoing International Officer Recognition A private ceremony honoring the outgoing International Officers will be held. Newly-elected InternationalOfficers will meet briefly with the Dean of Leadership Development Monika Byrd.

8:00 pm – 9:30 pm: Hallmark Awards Banquets

Convention attendees will continue the Hallmark Awards celebration at a banquet dinner.

8:30 am – 10:00 am: New International Officers MeetingNewly-elected International Officers will meet with Monika Byrd to further discuss expectations and professionalstandards of International Officers as well as receive first assignments. Each International Officer’s chapteradvisor is encouraged to attend.

Candidate Attire Recommendations:

International Officer Candidates should arrive at the Candidate Orientation on Wednesday evening dressedin business attire. Business attire includes suits, coat and tie ensembles, dresses, pantsuits and nice skirtand blouse combinations. Be sure to wear comfortable shoes throughout the Convention as you will spenda great deal of time on your feet. Also, don’t forget your Golden Key membership pin!

It is also recommended that candidates wear business attire to the General Sessions and during thePolitical Rally. You want to look your best as you are meeting Convention delegates.

During social events and candidate meetings, candidates may wish to remain in business attire or change tobusiness casual. Keep in mind that even during social events, you will constantly be making an impression onthose around you. For the Hallmark Awards Gala and International Officer Installation, candidates may choosea more formal attire. Men may wear nice business suits or coat and tie. Women may wear formal dresses (NObackless, strapless or extremely short skirts please), or they may choose to wear a nice dress or suit. Keep inmind you may be going up on the stage as a new International Officer!

Funding International Officer Campaigns:

While Phi Theta Kappa encourages candidates to keep campaign costs to a minimum, it may be necessaryfor you to obtain some financial assistance to help cover your campaign expenses. Many candidates havereceived financial and in-kind support from their college administration and/or chapter. For example, yourcollege’s public relations office may offer to design your campaign information piece and arrange to have itprinted at a discounted rate. In addition, many chapters sponsor fundraisers to assist the candidate in travelingto the Annual Convention as well as purchasing campaign costumes and other campaign supplies. Othershave been successful in getting donations from local businesses in exchange for advertising in the chapter’s

newsletter or candidate’s information piece.

If you’re seeking financial support, arrange for a meeting with your college president or other appropriateadministrator to discuss the opportunity of seeking International Office. It is very important that the collegeadministration understand the significance of the position you are seeking. International Office is thehighest level of student leadership in the largest honor society in higher education!

Phi Theta Kappa does NOT require college administrations to provide financial support of a candidate forInternational Office nor for an International Officer. However, many colleges recognize the tremendouspublic relations asset of having an International Officer represent their college internationally and haveprovided support to assist them in fulfilling their duties of office.

The following is a list of ways most colleges support their International Officers:

 Provide office space on campus with desk, telephone, computer, and Internet access.

 Provide access to a fax machine and a campus mailbox.

 Provide funds for long distance telephone charges and postage expenses.

Phi Theta Kappa Headquarters provides International Officers with the following benefits:

INTERNATIONAL OFFICER RESPONSIBILITIES

To serve as an International Officer is a privilege and an honor. With this honor comes serious responsibilitieswhich warrant careful consideration.

Five International Officers are elected each year during the Annual Convention. These officers then serveto represent more than 150,000 active members in approximately 1,250 active chapters in all 50 states,Canada, Germany, British Virgin Islands, Republic of Palau, Republic of the Marshall Islands, FederatedStates of Micronesia, United Arab Emirates, U.S. territories and military installations abroad.

The candidate is expected to discuss with family members, chapter members, chapter advisor(s), and jobsupervisors the time and support needed to fulfill the responsibilities of the position.

If elected, International Officers are required to relinquish chapter and/or regional officer positions.

The 2011-12 International Of fi cers will be required to: 

1) Attend the International Officer Orientations in Jackson, Mississippi, May 21-27, 2011, and August 17-21,2011; the International Honors Institute at Boston University in Boston, Massachusetts, June 13-18, 2011;Winter Orientation (three-day program to be held in January 2012) and the 94th Annual Convention inNashville, Tennessee, April 12-14, 2012, during tenure as an International Officer.

2) Serve as host and facilitator of programs at the 2011 Honors Institute and 2012 Annual Convention underthe direction of the Headquarters Staff.

3) Prepare an individual biography due at International Headquarters within two weeks of your election at theConvention.

4) Prepare two speeches for use at inductions, charter ceremonies, regional meetings, local civic clubs andcampus meetings, etc. – 1. Motivational and 2. Honors Study Topic. All speech manuscripts must besubmitted to Headquarters by a deadline to be determined.

5) Obtain the approval of Phi Theta Kappa to attend chapter inductions, regional meetings, and other meetingswhen invited to serve as an official representative of Phi Theta Kappa.

 6) Be prepared to travel to various regional meetings and serve in the following roles: Keynote speaker, master

of ceremonies, workshop leader, invocator and Society ambassador.

7) Submit formal reports to Headquarters within three days after attending Society regional meetings.

8) Submit goals for the International Officer’s division, to be achieved during the tenure of the InternationalOfficer.

9) Contribute upon request to Society communications/newsletters.

10) One International Officer is selected to serve as the student representative on the Society’s Board of Directors.

PHI THETA KAPPA HONOR CODE FOR INTERNATIONAL OFFICERS

Mission Statement

The purpose of Phi Theta Kappa shall be to recognize and encourage scholarship among two-year collegestudents. To achieve this purpose, Phi Theta Kappa shall provide opportunity for the development ofleadership and service, for an intellectual climate for exchange of ideas and ideals, for lively fellowship forscholars, and for stimulation of interest in continuing academic excellence.

Introduction

In support of the Society’s Mission Statement, the Phi Theta Kappa Board of Directors adopts this HonorCode as a declaration of the high standards of conduct to which International Officers are held. This HonorCode is not simply a set of rules and procedures governing International Officers’ academic conduct; it isan opportunity to put personal responsibility and integrity into action. As International Officers abide by thiscode, they liberate themselves to serve the Society in an atmosphere of mutual confidence and respect.The success of the Code depends upon the support of the Society. When members and advisors becomeaware of infractions, they are obligated to report them. Members should report any infractions to theirchapter advisor who may communicate them to the Executive Director.

PROFESSIONAL GUIDELINES FOR SERVING AS AN INTERNATIONAL OFFICER

1. International Officers must be active participants in their local chapter activities.

2. Phi Theta Kappa International Officers must enroll in and successfully complete a minimum of six credithours in each of at least two semesters/quarters during their term. At least three hours of coursework eachterm should require the student to be regularly on campus.

3. International Officers must not send mass mailings via e-mail or postal mail without consultation andapproval from their International Headquarters contact.

4. International Officers must not initiate or commit the Society to programs or projects without priorconsultation and approval from their International Headquarters contact.

5. International Officers’ Headquarters contact will approve and confirm Officers’ airline and hotel reservationsto Society-related events. Once the Officers’ travel is confirmed, Officers must not change travel arrangementsexcept in cases of emergency, and then only at the approval of their International Headquarters contact.

6. International Officers must include their International Headquarters contact in all conference calls in whichall Officers are participating in order to promote a climate for effective and open communication.

7. International Officers must submit all Regional Meeting Reports and Expense Reports to the InternationalHeadquarters contact no more than three days after returning from a Society event.

8. International Officers must send their International Headquarters contact courtesy copies of all officialcorrespondence e-mailed or postal mailed to regional officers, regional coordinators and other Societyconstituents.

9. International Officers must not solicit invitations to attend Society-related events.

10. International Officers must direct all invitations to attend chapter or regional events to their InternationalHeadquarters contact. Officers must not accept invitations to attend Society-related events without priorconsultation and approval from their International Headquarters contact.

11. International Officers must not schedule meetings or activities with Phi Theta Kappa chapters or regionswithout advance consultation with their International Headquarters contact. International Headquartersestablishes each Officer’s participation in Society-related events. Officers must not attend Society-relatedevents that International Headquarters has not assigned and/or approved for them to attend, even if theOfficer is willing to cover expenses associated with attending the events.

12. International Officers must not rely on their advisor, secretary or relatives to correspond with InternationalHeadquarters. Officers are responsible for personally fulfilling all responsibilities. International Officers mustpersonally complete their Regional Meeting Reports, Regional Expense Reports and all other assignments.

13. International Officers must not make personal transactions on their Phi Theta Kappa Business Credit Card.

14. International Officers must plan ahead for speaking engagements and should not request that Headquartersstaff ship materials and supplies to them for overnight or rush delivery.

15. International Officers must understand that policies and procedures regarding Officers vary from year to

year depending on the Society’s budget, resources and priorities. Privileges, requirements or responsibilitiesof previous International Officers may not necessarily be applicable to the current International Officers.

LETTERS OF RECOMMENDATION

Two signed and dated Letters of Recommendation are required as part of the Candidate Application – 1)a letter from a chapter advisor OR member AND 2) a letter from a non-Society constituent (such as a facultymember, college administrator or community member.) The letters of recommendation should NOT be froma candidate’s family members (parents, children, grandparents, siblings).

The letters should convey more about the candidate, his/her character, and his/her qualifications to serve asan International Officer for Phi Theta Kappa.

Your photograph will be published on Phi Theta Kappa’s official website and in the Convention Programdistributed to all persons attending the 2011 Annual Convention. Candidate materials submittedwithout photographs meeting the specifications in the photograph guidelines will be consideredincomplete and unacceptable. If a high quality photo is not received by February 23, the candidate may

be disqualified.

Because your photograph will be published in the Convention Program distributed to all Conventionparticipants, please be sure to send a high-quality photograph which reflects a likeness to your currentappearance. Your photograph is a visible part of your campaign and merits the same attention to quality asyou give to your distributable information piece.

Official Candidate Photograph Guidelines

1. Submit a current, professionally-made color photograph. Passport photos are NOT acceptable. Yourcollege public relations office may be able to assist you by making this photo.

2. Digital photos may be submitted by email to [email protected], with “(Your name) InternationalOfficer Candidate Photo” in the message field. Digital photos must be sent in tif or jpg format, at least 300 dpiand at least 900 pixels or 3 inches wide. Photos saved in MacIntosh formats cannot be accepted. Pleasenote that NOT all digital photos, especially those produced for web pages, are acceptable for print . Itis the candidate’s responsibility to correctly submit a digital photo. If you submit a digital photo that is not printquality, your candidate application will not be considered complete.

Check here if your photo is to be submitted in digital format. Digital photo attachments will not beopened unless this verification is included.

3. Professional-quality, color photographs are required. No black-and-white photos will be accepted. Thephotograph should be in sharp focus and with high contrast between the different colors. Please use asolid background (no trees, flowers or other scenery).

4. Photographs should be no smaller than 3”x 5”.

5. An actual, individual photograph should be submitted, not a contact print or a group shot that includesthe candidate.

6. “Instant” or Polaroid photos are not acceptable. Computer “scanned” photographs will not be accepted.

7. Please enclose your photograph in an envelope before attaching to this page. Paper clips, tape, glueand adhesive notes may damage photographs. Please DO NOT write on the back of your photograph.

8. A professional appearance is recommended for the photo. Coat and tie are suggested for men andsuits or dresses for women. If possible, wearing the Golden Key membership pin on the lapel is a niceadded touch.

A final draft of the information piece must be submittedNO LATER THAN MARCH 23, 2011, to ensure the information piece meets campaign guidelines.
