The event

The annual National Rural Health Conference is the showcase event in the rural primary healthcare calendar.

It presents rural medical, nursing and allied health professionals and others from the wider rural community with the opportunity to gain or upgrade vital skills, exchange knowledge, develop their professional and social networks, and compare notes.

The opportunity

Sponsorship and attendance at the National Rural Health Conference provides a unique opportunity to get the attention of rural medical and nursing professionals as well as representatives from the wider rural community, in one location. The 2018 conference held in Auckland attracted over 400 attendees comprising; experienced medical and nursing professionals, medical and nursing educators, health administrators, registrars, medical and nursing students.

CONFERENCE DINNER $8,000 + GST Limited to one opportunity

The conference dinner is by far the major social function of the conference. Following the success of 2018, the dinner will be combined with the annual awards ceremony to create an exciting evening.

• four complimentary tickets to the conference dinner so that you can engage delegates in a relaxed fun atmosphere

• naming rights to the conference dinner

• opportunity for you to make a short address to the dinner audience (maximum of five minutes)

• prominent branding for your organisation at the dinner venue (two free standing banners supplied by sponsor, conference organisers will allocate space to ensure that your brand makes the most impact)

• opportunity to insert a promotional item in the delegate bags, going directly into the hands of your target market (based on one A4 double sided document, provided by your organisation)

BREAKFAST SESSION $6,000 + GST Limited to two opportunities

This sponsorship package provides your organisation the exclusive opportunity of naming rights to a breakfast session being held on Saturday morning. With the option to provide your own session topic, or align your brand with a session that complements your product or service, the breakfast session will ensure you have a chance to connect with delegates and network over breakfast.


• one complimentary registration including ticket to the welcome function

• one ticket to the conference dinner

Exposure

• the opportunity to provide a speaker on your chosen topic (all speaker costs to be met by the sponsor)

• your organisation’s logo featured on the opening sessions slide of the breakfast session

• recognition as the ‘breakfast session sponsor’ by the chair of the session







DELEGATE BAG $6,000 + GST Limited to one opportunity

Each delegate will collect a conference bag upon arrival at the venue. The multi-use bags will have a long life after the conference reminding delegates of your organisation for years to come.

KEYNOTE SPEAKER $5,000 + GST

Keynote speakers are the highlight of any conference. Association with high-calibre presenters will be achieved by the keynote speaker sponsor and recognised by delegates throughout the event. This sponsorship package offers the opportunity to align your brand with keynote speakers attending the conference.

• name association with the keynote speaker’s plenary session, including logo on opening session slides

• opportunity to introduce the keynote speaker






CONFERENCE APP $5,000 + GST Limited to one opportunity

Technology is evolving rapidly and mobile apps are becoming more and more common at conferences. This provides delegates with up to date session details, speaker information, sponsor profiles and more.




Exposure

• your organisation’s logo featured on the splash screen whenever the app is opened, alongside the conference logo

• two push notifications per day to delegates via the app (Thursday – Saturday, 6 in total)






WELCOME RECEPTION $5,000 + GST Limited to one opportunity

The welcome reception will be held amongst the exhibition stands on Friday 5 April. During the function canapés and beverages will be served, whilst delegates review the day’s learnings and explore what the exhibition has to offer.

LANYARD AND POCKET $5,000 + GSTPROGRAMME PACKAGE Limited to one opportunity

On arrival at the registration desk each delegate will receive their personal registration pack including a name badge featuring your logo and a pocket programme to refer to during the conference.

• the opportunity to provide branded lanyard featuring organisation’s logo for the delegate names badges (branded lanyard to be supplied by your organisation)

• one freestanding banner displayed at the registration counter for the duration of the conference (banners supplied by your organisation)






CHARGING STATION $5,000 + GST Limited to one opportunity

With delegates using the conference app on their phones all day, we are often asked if there are phone chargers available. Solve this problem by sponsoring a charging station at the conference. This is a tower where delegates can safely lock their phones away while they charge. This will be located by the registration desk for the duration of the conference.

• one freestanding banner displayed next to the charging station for the duration of the conference (banners supplied by your organisation)






REUSABLE WATER BOTTLE $5,000 + GST AND WATER FILL STATION Limited to one opportunity

Align your brand with an environmentally friendly reusable water bottle. Delegates will be able to refill their water bottle at the conference and reduce the use of single use cups and bottles.

• your organisation’s logo featured on the water bottle, alongside the conference logo

• one freestanding banner displayed next to the water fill stations for the duration of the conference (banners supplied by your organisation)






MANAAKI PARAMANAWA AND TINA $3,000 + GST Limited to one opportunity

Manaaki: to support, take care of, give hospitality to, protect, look out for show respect, generosity and care for others

This sponsorship will provide your organisation with the opportunity to sponsor the morning tea, afternoon tea and lunch on Friday and Saturday.

• organisation’s logo featured on the catering cards placed amongst the catering tables






NOTEBOOK AND PEN $3,000 + GST Limited to one opportunity

There is nothing worse that turning up for conference and realising you have forgotten your note pad, or worse your pen runs out! Step in sponsored pads and pens!

Assist delegates by providing them with branded pads and pens to go in the delegate bags, giving everyone the opportunity to take notes and take them away with them to share with others.

EARLY BIRD REGISTRATION PRIZE $2,500 + GST Limited to one opportunity

Align yourself with the early bird prize announced at the end of the conference. Everyone who registers before the early bird date is in the draw to win.

Exhibition

The conference exhibition will give your organisation the opportunity to promote its products and services directly to purchase decision-makers in your target market.

The exhibition will take place at the Marlborough Convention Centre. The focus of the 2019 exhibition is to create a fresh and interesting area which enables delegates easy access to connect with exhibitors and high visibility to all exhibition stands, no matter where they are placed in the room. Morning and afternoon tea and lunches will be served in the exhibition area to encourage delegates to spend time viewing exhibits and networking with you.

Terms and conditions – Please complete and return the sponsorship application form at the end of this document. You will receive a contract and tax invoice. Sponsorship benefits will not be delivered without a signed contract.Exhibition bookings must be made via the online process. Stands will not be confirmed without agreeing to the terms and conditions. Cancellation policy – If notification of cancellation of sponsorship packages or exhibition space is received prior to Friday 9 November 2018, you will be refunded less an administration charge of $150 + GST. After that date no refunds will be made. The organising committee reserves the right to cancel the conference or exhibition in case of circumstances beyond their control. In such a case all monies paid to date will be refunded in full. The liability of the organisers will be limited to that amount.

EXHIBITION STAND $3,500 + GST (limited to 40 opportunities)

• one 3m wide x 1.2m deep exhibition space

• 2 x spotlights

• 1 x 10 amp power supply with 4 pin multi-box power point

Exhibition allocation processLocation preference within the exhibition is given to sponsors, and then site allocation will be processed in

order of receipt of the completed application form.

AccommodationExhibitors will be able to book accommodation at the conference hotels where competitive room rates have been negotiated during the registration process.

Conference registrationsFor sponsorship packages that include complimentary conference registrations, you will be asked to nominate the recipient of the complimentary registration(s) in October 2018. Additional registrations may be purchased when registration opens.

Health and SafetyWe take the health and safety of our delegates, exhibitors and suppliers seriously. A manual will be provided to exhibitors closer to the conference. This will provide full details around compliance when packing in your stand and working throughout the conference. Please note that all electronic equipment plugged in onsite must be tagged and tested. By agreeing to exhibit at the conference, you agree to adhere to our health and safety policy.

InsuranceIt is the responsibility of each exhibitor to ensure that their stand and goods on display are adequately insured for theft and damage. All exhibitors shall insure, indemnify and hold NZRGPN or the conference secretariat harmless in respect of all costs, claims, demands and expenses. Exhibitors are responsible for any injury to persons and damage to property on the conference environment caused during the setting up, the operation of and the dismantling and removal of the exhibition.

Internet accessComplimentary wireless internet access is available throughout the venue, however if you wish to demonstrate computer software a dedicated internet line will be required at your stand, with all costs to be paid by the exhibitor.

PaymentAll packages are quoted in New Zealand dollars and exclude GST. Full payment is required prior to the conference.
