Primavera P6 Release 8 Value Proposition Primavera P6 R8 is the next major release of the Oracle’s Primavera P6 Enterprise Project Portfolio Management solution. This release delivers significant advances in functionality and will help companies deliver more projects on schedule and within scope, while reducing the overall cost of the projects, project management processes, and systems. Governance Only Oracle provides a complete enterprise project portfolio management (EPPM) solution, enabling businesses to align their project and program execution with strategy to deliver expected results. Oracle’s Primavera P6 Enterprise Project Portfolio Management solution provides an enterprise platform for establishing project and program management standards critical to business success, while enabling the deep understanding and insight to move projects forward to successful outcomes. With streamlined project-based processes, businesses will be more efficient and able to deliver projects faster, with higher quality and at lower costs. Built-in enterprise reporting and configurable dashboards, complemented by P6 Analytics, provide the analysis, reporting and monitoring to ensure everyone is kept appraised of project performance and any issues requiring action, and has the information needed to make the right decisions.

Inclusivity Oracle’s Primavera P6 Enterprise Project Portfolio Management is an enterprise-class solution. Robust Workflow-enabled Processes via Oracle’s Unified Business Process Management Suite Primavera P6 R8 uses Oracle’s Unified Business Process Management Suite 11gR1 (OBPM) as the engine to automate EPPM processes. P6 users participating in workflows can initiate, participate, approve, reject, delegate, escalate and continuously monitor any EPPM process flow from the P6 dashboards. Oracle offers the following business process management functionality via a restricted-use license. The following components of Oracle BPM Suite (licensed separately) can be used with P6 for creating workflows:

BPM Studio (part of BPM Suite)

The graphical modeling tool process used by designers to create BPM workflows

Drag-and-drop process elements, based on the Business Process Modeling

Process can be made executable without requiring a translation between modeling and execution languages

Process designers may write business logic, connect to existing applications and assemble user interfaces using standards such Java, Microsoft .NET, Enterprise JavaBeans, Java Naming and Directory Interface, WSDL, XML, CORBA, COM and SQL.

Process Composer (part of BPM Suite): User-friendly way for business users to create new processes from a template or modify existing business processes Process Analytics (part of BPM Suite): Process monitoring and analysis.

BPMN Engine (part of BPM Suite): For executing BPMN 2.0 serialized business processes as well as BPEL processes.

Human Workflow (part of SOA Suite): The service that manages workflow task processing

OBPM offers best-in-class capabilities for designing business processes, including:

Delegation: At workflow run-time, process participants are able to choose another user(s) who should be involved in a workflow.

Deadlines / Aging: Process designers can impose timing restrictions. If a workflow is stuck at a certain point for a defined duration, rules can determine what should happen or who should be notified to take action.

Attach documents to forms Sample BPM Process for Project Ideation P6 includes a sample workflow for project ideation:

A user may submit an idea for a new project and is required to provide standard information to help with the decision making process.

Based on the information provided by the initiator, the workflow will appropriately route the request for further evaluation. For example, some requests may require scrutiny by the PMO to weigh the benefits of this proposal against the costs.

This BPM process creates a “what-if project” within P6.

The PMO may delegate to resource managers to perform capacity forecasting.

The request is prepared and presented to the portfolio executive. During this step, it is compared against other requests. If the new project idea scores well, the portfolio executive can authorize the proposed project to be activated, changing the project’s “what-if” status to “active” and notifying the project manager.

License Requirement for Oracle’s Unified BPM Suite No license of Unified Business Process Management Suite is required for P6 users who are consuming or participating in the workflows or forms. However, for users who change existing or create new workflows using web services and events from Primavera applications, Named User Plus licenses or Processor based licenses can be purchased for Unified Business Process Management Suite (and its pre-requisites SOA Suite and WebLogic Suite.)

Integrated Enterprise Reporting via Oracle’s BI Publisher Primavera P6 R8 includes Oracle Business Intelligence (BI) Publisher, an enterprise reporting solution for authoring, managing, and delivering project management reports. BI Publisher is integrated into P6, providing the ability to run, view, schedule and distribute reports. Reports are easily organized and

include a “find” option and report description. P6 R8 provides more than 30 pre-built reports using BI Publisher. P6 R8 also includes the Operational Data Store (ODS) and associated Extract, Transform and Load (ETL) process. The ODS is part of the P6 Reporting Database and provides secure access to the P6 information in an easy-to-use data schema. The combination of BI Publisher and ODS delivers several benefits to an organization.

Eliminate costly point reporting solutions and simplify reporting architecture

View reports online or schedule them for delivery to a wide range of destinations.

Generate reports with no performance impact on P6.

Design reports using familiar desktop tools, thereby reducing the time and cost to develop and maintain reports.

Report Parameters To further reduce the effort and cost of creating and maintaining reports, parameters, such as project ID, activity code, date range, resource code, may be selected at runtime. Parameters filter and organize the information on a report, and enable a single report to meet the needs of several project managers, planners and stakeholders.

Report Security P6 reporting provides three layers of security to ensure data is protected and individuals have access to only the reports they may run. The report organizational structure also defines which reports an individual may access. Reports that access the ODS will return data for only those projects an individual has access to through P6 security. Report Formats BI Publisher supports several file formats including HTML, PDF, Excel, PPT, MHTML, RTF, XML, and CSV. Each report may be published to all formats or configured for specific formats only. The standard reports delivered with the P6 will default to PDF format, although users may specific a different default for each report. Report Templates The report template builder is a plug-in compatible with Microsoft Word and Adobe. It assists users to build both tabular and graphic reports. The template builder contains bar, pareto, line, bubble, area, radar, and pie charts. In addition, graphics and pictures may be inserted for items such as indicators and logos. Each report can have multiple templates, eliminating the need to create multiple versions of similar reports. Report Delivery Methods Bi Publisher provides several delivery methods for sharing project information. Through the BI Publisher interface, reports may be saved as a file, sent directly to printers, emailed to a distribution list, or stored in a content repository such as Oracle Universal Content Management (UCM). Through the P6 interface, reports may be saved to a file and sent via email to selected P6 users with a custom subject line and message. Automatic Scheduling of Reports Schedule reports according to a predefined interval. For example, reports may be scheduled to execute once, daily, weekly, or monthly. A report may have multiple runs defined, each with its own interval, delivery recipients, template, and parameters. When the report is executed, a confirmation email may be sent to the individual who scheduled the report(s), informing them if the report(s) executed successfully, with warnings, or failed.

P6 Analytics Primavera P6 Analytics is a add-on, packaged reporting application for gathering, storing, analyzing, sharing and providing access to project data to help enterprises make better business decisions. The solution is a combination of the P6 Reporting Database and Oracle Business Intelligence. P6 Analytics provides root-cause analysis and manage-by-exception capabilities through prebuilt reports, combined with full ad-hoc reporting and drill-down

capabilities. It provides critical insights into current and historical performance of all projects, programs and portfolios to make better and quicker decisions to eliminate project failure.

100% Web-based Deployment and Administration All Primavera P6 R8 application administration is performed through the web interface, allowing organizations to deploy P6 in a fully web-based environment. The optional P6 Windows desktop client, P6 Professional is intended for planners and schedulers who are accustomed to the Windows interface. The administration capabilities reduce the effort to administer user access, application settings, and enterprise data (such as dictionaries). New copy and paste capabilities, along with printing and exporting to Excel, further assist administrators.

Enterprise Project Structure (EPS) View The EPS view provides an overview of all projects, and is especially useful to those who need to report on or administer multiple projects. This view will be familiar to Windows client users who have used the Projects view. Program managers may use the EPS view to model multiple tiers of program sub-structure. Those who manage many projects may use this view to review the entire portfolio to spot misalignment or redundancy. Administrators and PMOs may use this view to govern how projects are set up thereby ensuring cross-project standardization.

The Enterprise Project Structure (EPS) can be fully administered from within this new view. This includes creating child and sibling levels with a full range of move up, move down, indent or outdent. Changes to how projects are organized can be reflected in the EPS design by renaming EPS, cut/copy/paste projects to different EPS, creating new EPS, or deleting existing EPS. Display projects as a tabular list or grouped by one or more details, such as Enterprise Project Structure, Project Codes, User-defined Fields, or dates. Choose columns to display a wide range of project fields. Apply project filters based on multi-level, nested criteria. These filters now allow up to 10 levels of parameters, and automatically refresh portfolios that are configured to include projects based on a filter. Additional new usability features in the EPS view:

Freeze left column when scrolling Universal Productivity Kit (UPK) Tutorials Oracle’s User Productivity Kit (UPK) enables an organization to rapidly produce contextual materials such as system process documents, interactive simulations, tutorials, and job aids, to increase productivity and reduce overall software implementation costs. A UPK license is required to create and distribute any of this content, but is not required to access the 5 basic tutorials delivered with P6. Primavera P6 R8 includes UPK object recognition and integrates with UPK Version 3.6.1 Enablement SP2 (July 2010 release). Object recognition provides

context sensitivity for developing content, such as the P6 Tutorials (English only) that are included with P6R8. The P6 Tutorials show how P6 customers may use UPK to customize the online Help and increase productivity. Launch UPK from the main P6 Help menu to see available topics. In addition, any window that has a separate Help button is also integrated with UPK. If a UPK tutorial exists, it will launch when the Help button is selected.

UPK provides four modes:

See It! mode enables one to learn by watching an animated demonstration of tasks being performed in a simulated environment.

Try It! mode enables one to learn a task by practicing in a simulated environment with step-by-step instructions and guidance throughout the task.

With Do It! mode, one is guided through a task while performing it in the live application.

Use the Print It! mode to print out the tutorial as a job aid or as part of a training manual.

Shared Views Any of the highly customizable Primavera P6 views may be saved Views a personal library or shared with other users. For example, administrators and PMOs may want to establish global views that any user can use or customize for their own use. Any of these views may also be be printed as reports.

Additionally, once someone configures an activity view and opens any desired projects, he/she can email a “view” link to other project participants. The participants then use the link to automatically open the specified activity view in the context of the same projects. Other Usability Enhancements Primavera P6 R8 usability improvements help planners, project managers, and other project participants build project plans, analyze and monitor project work, and configure their project workspaces.

Industry-standard Qualitative Risk Management The new Risks module in Primavera P6 R8 provides industry-standard qualitative risk assessment and management capabilities. It provides a central location for indentifying, assessing, and managing risks, threats and opportunities, for a single project, multiple projects, or a project portfolio. Team members can quickly and easily identify new risks, assess them, and link those risks to activities for better tracking and control. Risk Managers have a centralized view into the state of risk across projects with the ability to group and organize risks for better visibility into the status of risk across the organization. Risk Register with Risk Response Planning The Risk Register is a central location for the identification, assessment, and categorization of project risks. As risks are created, they can be linked to activities in the schedule to provide insight into when and how each risk might potentially impact the project. The Risk Register enables participants to create and track one or more response plans for each risk, with actions detailing how to respond to mitigate the risks and to provide a complete risk management history. Since Risk Response Actions may be linked to activities in the schedule, updating the activity details in the schedule updates the response plan action details as well.

Risk Scoring Matrix A Risk Scoring Matrix is created by combing Risk Thresholds which define probability ranges, schedule impact ranges, and cost impact ranges. Additional thresholds such environmental or safety impacts are defined using User-defined impact thresholds. Probability and Impact thresholds combine with a Tolerance threshold to create a Probability and Impact Diagram, a color-coded graphical representation of the Risk Scoring Matrix. The Tolerance threshold controls the color-coding of risk scores in the Risk Register. Each Risk Scoring Matrix can be assigned to one or more projects enabling the standardization of risk scoring across the enterprise.

As each project risk is assessed, a risk score is calculated to determine the risks with the greatest possible impact to the project. The risk assessment criteria are determined by the Risk Scoring Matrix assigned to the project. Configurable Views of Risks Across Projects The Risk Register is customizable to provide multiple views of risk data. Open multiple projects or portfolios to list risks across those projects, or group and sort by project or other risk field. Custom risk data is available by using Risk user-defined fields to add project- or organization-specific data to the Risk Register view.

DCMA 14-point Schedule Assessment The new Schedule Checker assists planners, project managers, and the PMO to ensure project plans are built in accordance with industry and organizational guidelines.

Specifically, the Schedule Checker performs a 14-point analysis to ensure that activities and dependencies adhere to standards. The Schedule Checker uses the DCMA 14-point assessment and produces a report that identifies areas of the project plan that fall outside the quality guidelines, or thresholds for such things as open ends in schedule logic, total float, and more.

Schedule Preview for Improved “What-if” Analysis Schedule Preview enables individuals to instantly see the results of changes to activities and logic in the project plan. As the project plan is being built, the project will be automatically scheduled to show how additions, changes, and “what-if” analysis impact the time-phased project work, but without saving the changes to the enterprise database. When the modifications and updates are final, the changes may then be saved to the database.

Time-scaled Logic Diagrams (P6 Professional optional Windows client) Times-scaled Logic Diagrams (TSLD) graphically depict activities and the schedule’s logic according to time, condensed into a useful horizontal format. The TSLD is displayed in a graphical viewer which facilitates creating, formatting, saving, and printing. From the viewer the diagram can be modified in a number of ways to in order to display the project data in a way that makes the most sense. The following TSLD formatting options are available:

Adjust timescale’s start date, finish date, and format

Format size and color of the bars, including highlighting critical activities, color- coding bars by activity code, and displaying progress based on percent complete or remaining duration

Choose labels to display on the bars and adjust the font and color of the labels

Choose between displaying all relationship lines, only driving relationships, or no relationship lines

Group and sort activities based on an array of criteria

Display bars in a TSLD format or Gantt format

Add a title to the diagram

Adjust margins and the line spacing between rows of activities

Select paper size and number of pages for optimal printing

Resource Management Primavera P6 R8 includes several resource management enhancements, including new views that make resource management easier and innovations in the way resource assignments are filtered and displayed. The views enhance resource-oriented business processes such as staffing, allocation analyses and reporting, assignment distribution, and status updating. Other improvements include resource administration and team member access to manage personal calendars. Resource Assignment Gantt and Table views All resource assignments may be displayed in a tabular list or grouped by one or more details, such as resource, resource code, project, project code, cost account, or activity. Choose columns to display a wide range of Assignment, activity and project fields. Apply assignment filters based on multi-level, nested criteria. Resource assignments may be displayed on a Gantt chart. Choose to display multiple assignment bars, such as current versus planned dates. Display the timescale as years for a long-range view or as days for a more granular view. Neck bars to visually indicate periods of non-work time based on the calendar used to schedule each assignment.

Resource Usage Spreadsheet View Display resource assignment data in time-distributed periods ranging from quarter to day to financial period. Choose from various cost and units fields. Save a predefined range of time with options such as current date plus or minus, custom specified dates, or earliest/latest dates that reads from the results of the view’s filter. This view includes an option to calculate an average per period when reviewing roles for headcount/FTE analyses.

Administrators and resource managers have a dynamic, new table interface to work with. This includes building the resource hierarchy, editing of full range of resource data columns, grouping by elements such as teams, searching, printing, and exporting to Excel. New innovations include quick association of resources to teams from within resource pool and copy/paste of an existing resource. Resource View Filters Rich filters enable users to customize their resource views. For example, project team members may choose My Assignments to display all of their assignments across all accessible projects. A resource manager may want to open a view showing where his/her people are assigned as resources to project work (via team or resource code filter) without having to know ahead of time which projects

they may be assigned to. Project managers may use a filtered resource view to analyze assignments on one or more projects. Roles and Teams Table Views Resource managers and administrators are able to define job titles and skills within the web-based roles administration view. This page provides easy access to the full range of roles and related information. The view is consistent with the new resources page and also allows for association of roles to teams.

Personal Calendars for Resources Primavera P6 R8 enables resources to easily define when they will be available to be scheduled for project assignments. Anyone who is assigned to a non-shared (Personal) resource calendar may access and edit that calendar’s non-work time, rather than rely on the resource administrators to administer the calendar.

Project Templates Project Templates replace functionality previously addressed with Methodology Manager. Templates enable customers standardize their planning approach, use best practices, accelerate creation of effective plans, and govern the wealth of P6 settings to further maximize their PPM investment. Create Templates using same interface as Projects. There is no additional learning required for Templates. Templates may also be created by simply reusing an existing project’s planned or actual values. Template creators may also choose which of the project data to re-use or discard. They may also assign project codes to templates.

When using templates, Project managers may select any WBS from a template to insert into their project. This functionality is similar to fragnets or plug-ins in prior versions. Templates conform to the same Administrative Preferences, Administrative Categories, and User Access as do projects. Users who work on both Templates and Projects need only maintain a single set of User Preferences. Similarly, templates use the same dictionaries, such as for roles, activity codes, and user-defined fields, as projects. Templates can reside within any enterprise project structure, and rely on project security settings. Large organizations may keep Template libraries within their own EPS. Templates do not portfolio reporting views, nor are they summarized during portfolio or project analysis and reporting.

New Technologies With every Primavera P6 release, new technologies are adopted to provide new capabilities, reduce implementation effort , and lower cost of ownership. With Primavera P6 R8 all job services have been moved to the P6 application server, removing the need for the Job Services server. This migration enables organizations to standardize and optimize their P6 server deployment as all services will run on the same Java platforms as the application. Scheduled Services All scheduled services are configured through a web interface that includes services for Summarize, Schedule, Apply Actuals, and Level, new in Primavera P6 R8. The new interface displays the current status of the scheduled services along with a summary. On-Demand Services Individuals can also perform these services on demand, directly from within the activities page. These services will be performed in the background, allowing users to continue to work within P6 while the service is being executed. Individuals can view that status of the on demand jobs to confirm completion.

Distributing Services Services can be configured to execute on specific P6 application servers to minimize the impact on application response time for users. Each P6 application server can be configured to execute specific services and the amount of concurrent services to perform, distributing the workload appropriately.

P6 Professional – Optional Windows Client P6 Professional is an optional component of Primavera P6 Enterprise Project Portfolio Management (P6 EPPM). This component provides a robust set of features primarily for Planners and Schedulers. The P6 Professional component of P6 EPPM is no longer used to perform administrative tasks which are now available in the web interface. In addition to the new time-scaled logic diagram (described above), P6 Professional includes the following new capabilities:
