– SQO can be found listed under– Software Group – DSW Online/Software Quote and Order (SQO)

– Request Submitter and Order Access Level– On the Access request details page, Distributed Software Online (DSWO)

Access Level field, select the Edit radio button.– On the Access request details page, Software Quote and Order (SQO)

Access Level field, if you need to create and submit orders, or order for your customers, click the Submitter and Order radio button.

– On the Access request details page, Attachment doc Access Level field, click the Add radio button to allow you to attach purchase order files to your orders.

– Requires Blue Pages manager approval

– Select and Existing Customer– Create a New Customer

When an existing customer is selected the Customer Tab will be populated with the following information.

After selecting a customer within SQO at the top right the customer’s details are displayed. When Agreement option is ELA then it requires support of any discount from the Dealmaker on the account..

The next section is Special Customer Groupings, under there you can see an IWL flag, which means after the Dealmaker approves it goes on for an IWL approval an only after this can you submit a bid.

Click Create New Customer Tab

If you create a new customer for your quote or special bid, the new customer's record is created in SAP when you submit the quote or special bid.

If you are creating a Passport Advantage quote or special bid, a workflow will be initiated to enroll the new customer in the Passport Advantage program – PA Enrolments Overview

Obsolete Parts

It's possible to create Special Bids and Sales Quotes that reference obsolete or soon to be obsolete parts.

Using obsolete parts in a quote results in:– The quote triggers automatically a Special Bid

– The override price and the entitled price might need to be added to the quote

– The order might be rejected, even though the bid is approved. There is no guarantee the approved bid will not be rejected as an order

– The processing time for orders that reference obsolete parts is longer than for standard part orders

– Use the Find Replacement Parts option instead to find valid parts

The top section of the parts table allows you to – Add the same discounts to all parts on the quote

– Apply an Offer to set a price for the quote

– Calculate the PVU's for the quote

– Also gives the option to recalculate the quote if you have updated the table.

- Token Deals - Please note: For bids involving token deals, prices will need to be entered for each part in order to ensure price uniformity for each part.

If your quote requires a special bid a box will show with the reason a bid is required

Select the check boxes that apply to your quote– If there is no automatic requirement for a special bid but you wish to

force your quote to become a special bid use the “Add Additional Approval routing to this Bid” option to turn a sales quote into a special bid

– What can you tell the approver about the customer:– Do they currently use a competitor product– Have you meet with and talked with the customer– Who is the decision maker and what is the job title– Have you done a PoC– Has a technical sales person been on-site to review what we can do– Why and how are you trying to sell to this customer this product

– 2) Discount and T&C's Justification:– Matching price will rarely get you a LARGE discount. – To allow the approvers to make a decision you need to explain the rationale

behind the discount in relation to:– How our product compares with the competition– How the customer intends to use the product, perhaps they only need a small

part of the functionality– Is there a need to keep competition out or displace a competitor

– Give as much info as you can: Product, T&C’s, is it a cheaper offering any other details

– 4) IBM Business Risk if bid is not Agreed:– This is another useful way to justify your discount request. This is more than just

the fact we lose the revenue, that is already understood, what goes in here is:– Future upsells to this specific customer be this software or services– The possibility to sell into new division or locations or even countries– It might be the first chance we have to sell into a particular market in a

particular country– We need to beat the competition so that they do not get a foothold in the

customer / market– Displace a competitor and generate further opportunities.

Bid Summary Sheet (Factsheet) – 5) Deal Supporters:

– This is someone from the brand who supports the discount being offered on their products.

– While there is no rule on this, guidance would be to get IMT brand support on deals over 30% discount, over 55% get IOT brand support.

– If you have trouble getting extremely large discounts over 80% you may need to get WW brand support.

– This support needs to be in an email which then can be attached into SQO.

Other Items to Add– Play support – If using a Sales Play– Direct Deal Approval– Hot List support– Complete DWF folder

– You can do the above yourself although this requires time trying to discover who needs to approve.

– The alternative is to engage STS and have them manage it all on your behalf.

To attach supporting files, click the Add Attachment button.– Click the Browse button to locate your attachment files.

– Click to select the file.

– Click Open.– Up to four files can be attached at one time.– Up to 20 files (12 MB maximum size for each file) can be attached– Use a compression utility if your file size exceeds 12 MB

– Click the Submit button.

– A line for each attached file is displayed. You can download or remove each attached file.

– Click Add New Section to add additional justification sections with their own justification text field and attached files

Double Check Before Submitting the Special Bid

SQO bids are frequently returned for the following reasons:– PA Site used is not Active.– Bid Summary Sheet not properly completed or missing.– IWL /Hotlist /ELA DM support is missing or unclear.– Sales Play Conditions/Contractual Conditions not matching the Bid.– Legal Fact Sheet is not properly completed or missing– Configurable Questions answered incorrectly– Token Bids are returned if:

• The Start/End dates for the E parts are incorrect . (See slide 78 for details)• Pricing per token part is not exactly uniform• Deal Worksheet, Token Calculator, Approvals and Fact Sheet are not included

To avoid delays in approvals and extra work submitting the bid please double check the above items in your bid

● Expiration date must be within the current quarter – Provide a justification if not

● If the Expiration Date is over 90 days = change of T&C's

1.2 Customer Details● Customer Site Status should br Active or Not Yet Enrolled in

FastPass check by clicking enrolment on customer tab

1.3 Partner Details● Is the BP authorised? If not, a Learner Permit should be attached● If no learner permit then a request must have been received for a

Transaction Agreement● If increased channel margin, support from WW VP for BP Initiatives

is required.

2. Parts and Pricing Tab2.1 Obsolete Parts

● Add justification for not using the latest/replacement parts in the special bid tab

● Support from WW Product manager needs to be attached

3. Sales Information Tab3.1 Opportunity Number

● Enter a valid opportunity number.

3.2 Quote Editors● Enter the intranet ID of your sales manager and at least one sales

colleague or STS Bid Creation Team contact.

4. Special Bid Tab4.1 Justification

● Ensure the Justification is clear and concise ● Ensure the Summary / Fact Sheet is added complete

4.2 ELA Contract Variant Customers● Deal Maker support must be attached. Click this link for

contact names Europe or MEA

4.3 Supports / Attachments● Ensure the attachments/Support mails are sufficient (full

mail trail) in English where required – DM, IWL, Hotlist, Swap sheets, Conversion template etc.

● Validity date of the support mails need to be correct ● Check the supported discount / details matches the

requested discount / details

4.4 Split Bids ● Ensure full deal information is provided in the justification

4.5 Contracted Bid - (Any deviations it is not a contract bid)● Signed and valid contract should be attached to the bid – If

not Deal Maker should confirm details● Deal Maker support needs to be attached● Bid contents must match the approved contract details

4.6 Sales Plays - (Any deviations it is not a sales play bid)● Select the Play tick box in SQO● Ensure discounts and Terms match the play● Attach the correct play and support

4.7 Credit check● Attach credit check when required – click for more details

Grid Special Bid Auto Approval

Effective 20th October 2014 - a new GRID concept will be deployed to handle the new PA/DSW seller delegation announced back in 2013. Discount requests that fall under this grid will not require approval and go automatically to ready to order.

If the quote has ANY of the following it will follow normal BAU routing and bypass the GRID delegation. So a bid is Not Applicable for GRID delegation if:– The discount over 40%– The quote is for a VAD/Partner– The quote is ELA or is a customer that has an ELA variant– It has SaaS, Monthly License, or Appliance parts– The quote is greater than $2 Million local currency dollars – A part is in a special bid part group that is marked as Grid restricted – A part has a revenue stream code that is not NEWLICNS – The quote is flagged as having T&Cs change– The Rate Buy Down question is answered yes – There is a Sales Play – The customer is in a special bid customer grouping– Any product on the quote is in the Rational Brand

SBO creator will be responsible to ensure compliance to SBO requirements and processes.

– Find all quotes or special bids in a particular IMT or country.– Find by Approval Attributes (For Approvers Only)

– Find by Number (Quote number, SQO reference or SAP confirmation number):

– Find a particular quote. – Note: The common search criteria are ignored for this search.

Entering the E parts (and updating their dates ranges)

IMPORTANT NOTE: The E parts need to be entered only if the customer is prepaying for the out year maintenance. Otherwise, the E parts will be put in the contract for out year payment, but they won’t be quoted at the time of the order.

First, you will open the token calculator and copy the E part #s from each sheet, similar to the process for adding the D part #s to your quote.

Then, you will need to change each E part number’s date range.

Click on the “Change standard dates” link next to the dates of the E part number.

Next, you need to enter the Rate Buy Down.

If you got the RBD sent to you as one number, break it out as 3 in the programmatic box, and the rest in the incremental box. If the amount financed is greater than $1M, then the whole amount goes in the incremental box. The “Total cost of financing” is calculated, and should match what is in your IGF RBD Quote.rtf.

Always check the Future Price Commitment box, as token deals always specify the out year maintenance costs. Usually, the “Competitive” and “Close Business” boxes apply, as well.
