INTRODUCTION TO SHAREPOINT DESIGNERWhat is SharePoint Designer?SharePoint Designer is a Tool build by Microsoft that is used to Customize\Edit SharePoint sites.

SharePoint Designer is one of the primary tools that can open, edit and save SharePoint sites (including sites from SharePoint online). With SharePoint Designer, users can see the Explorer like File structure of a SharePoint site (top-level or subsite).

What are the available Versions of SharePoint Designer?SharePoint Designer was Introduced for each SharePoint Server version. Users can currently download the following -

SharePoint Designer 2007SharePoint Designer 2010SharePoint Designer 2013

What Permissions are required to use SharePoint Designer?To open and access a SharePoint site in SharePoint designer, a user usually needs Design permission on a SharePoint site. User’s with Full Control on a SharePoint site can access the site in Designer anytime.

Whatever permissions a user has on a SharePoint site continues in Designer as well.

How to Open a site in SharePoint Designer?

Download SharePoint Designer from Download SharePoint 2013 and then under File tab -> Open site.

You will be asked to enter your Login Credentials for the site. User the credentials that you use to login into SharePoint or Windows.

Once the Site is Opened, users can do the following :

• Add List\Libraries• Edit List\Library settings• Create Pages• Create Layouts• Create Master Pages • Add Groups and Users in Site Collection• Edit Site Options• and Create\Import\Export Custom Workflows.

MODIFYING MASTER PAGES, LAYOUT PAGES (E.G. ADDING FOOTER IN MASTER PAGE) USING SHAREPOINT 2013 DESIGNER

Modifying Master Pages - SharePoint Designer is very commonly used for editing and creating Layout Pages in a SharePoint site Collection. When you open a Site in Designer, Master Page gallery is available under Catalogs in left navigation of a Site Collection.This Master Page gallery contains all Master Pages and Layout Page used in an entire Site Collection.

To create a Custom Master Page follow the Steps below (High level)

1. Open the site in SharePoint 2013 Designer and then select “Master Pages” in the left Navigation.

2. Next open the seattle.html for editing (if possible make a copy of it and then open the copy).

3. In your custom seattle.html file, make the desired Changes.

4. Next Save the html of master page and see the results in browser.

Creating Layout Pages - To Create new Layout from an existing Layout Page, select Layout Pages in the left navigation and then copy one of the existing.

Once you Create the copy of the layout page, you can edit the new Layout in Advanced mode (right click on the Layout page and then select Edit file in Advanced mode)

Edit the html of the Layout page and then Publish it.

ADDING AND MODIFYING DATAVIEW WEBPARTS, LISTVIEW WEBPARTS, XSLT USING SHAREPOINT DESIGNER.

To edit Pages in a SharePoint designer 2013 select “All Files” in left navigation. In the list or Library select the Page you want to edit (edit in advanced mode).

Detach from Page Layout - As discussed earlier, each page is made up of Layout and Content in it. To edit the Content in a Page (using Designer) users need to Detach them from the Layout first, before proceeding with the Check Out and editing.

CREATING, IMPORTING AND EXPORTING SHAREPOINT DESIGNER WORKFLOWS

SharePoint Designer Workflows - In SharePoint Designer, a site admin can create following types of workflows.

• Site Workflow – Workflow Create for a SharePoint site. • List Workflow – Workflow Created for Lists and Libraries.

Conditions - A workflow should be Created for certain Conditions on fields in a list or a library.

Actions - Every Workflow has a set of Actions that needs to be run under some conditions.

Workflow Stages - A set of conditions and Actions can be arranged into Stages. These stages can be copy & pasted and ordered for better arrangement of the workflow.

Publish Workflow - Once a workflow is setup it needs to be Published and started. Use Publish button on the ribbon to Save and Publish a workflow.
