Which part is "Notes"• Notes isn't just email

• Notes is the SOFTWARE that enables:

Access to Native Notes Databases,

• Mail/Calendar/To-Do is just ONE of those databases

Ability to consume information from a variety of sources

• Natively (eg: HTTP/ Web Browser, SMTP, LDAP, etc)

• API's, Web Services ...

Extensibility via the Eclipse framework

• Live Text

• Widgets

• Plug-ins

Page 13: IBM Connect 2016 - IS1406 #UserBLAST

Client Layout

Title, Menus, Open Button/Bookmarks, Masthead, Window Tabs, Tool Bars, Display Pane, Status Bar, Search Bar, Side Bar

Page 14: IBM Connect 2016 - IS1406 #UserBLAST

Which part is a "Database"• Databases are native Notes 'applications',

i.e: That is why there is a 'File -> Application' menu choice

• Every Database has it's own security settings,

See earlier security slide• Each individual database contains it's own functionality,

Mail/Calendar/To-Do (PIM) is just ONE database• Each database can have it's own preferences or personal 'profile',

PIM preferences and Contacts preferences are separate

• Databases can be Replicated, or taken "off-line"

Page 15: IBM Connect 2016 - IS1406 #UserBLAST

Notes Database Layout

Title, Navigator, Selection Bar, View, Action Bar, Preview Pane

Page 16: IBM Connect 2016 - IS1406 #UserBLAST

Folders vs Views• Folders

contain documents that are "put there"

• Viewscontain documents matching a criteria

• Why do I need to know this?Eg: A message dragged from "Sent" IS STILL "SENT"!Applies to: "Sent", "All Documents", "Follow Up"

Page 17: IBM Connect 2016 - IS1406 #UserBLAST

Notes Databases: Basic Short-CutsShort Cut Key What it Does

CTRL+M Creates a new Message

Enter Opens the SELECTED document

Enter (with any document open) Opens the NEXT document

TAB Opens the next UNREAD document

Backspace Opens the PREVIOUS document

DELETE Deletes the open document AND moves to the next document

Escape Closes the current window.

CTRL+SHIFT+L Opens the complete Short-Cut List

Page 18: IBM Connect 2016 - IS1406 #UserBLAST

Which Part is a "Plugin"• Plugin's extend the Notes client

• Native IBM Plugins include:

Sametime

Day-At-A-Glance

Widgets

• Additional plugins are provided by:

IBM (eg: Connections),

Independent Software Vendors,

your own companies developers

Replication

• Synchronises your data• ONLY does changes

Page 21: IBM Connect 2016 - IS1406 #UserBLAST

Creating Replicas• Open the required application• File -> Application -> Make available Offline• Additional options control

SecurityWhat information replicatesCreating a Full-Text index (more later...)

Page 22: IBM Connect 2016 - IS1406 #UserBLAST

What else can Replicate

• Contact Settings• Database Templates• Free-Time information• IBM Connections Activities

Page 23: IBM Connect 2016 - IS1406 #UserBLAST

Push Mail - Don't wait to replicate!

Recommended Options for Full-Text-Search

Page 28: IBM Connect 2016 - IS1406 #UserBLAST

New Notes Search• Included with Notes 8+• Similar to Internet Search Engines, eg:

Cat Dog• will find cat or dog anywhere in a document

Page 29: IBM Connect 2016 - IS1406 #UserBLAST

Classic Notes Search• Activate by preceding search with "/"• Use FTI Syntax• Sample difference:

/cat dogWill only find the exact phrase "cat dog"

Page 30: IBM Connect 2016 - IS1406 #UserBLAST

Advanced Searching• Boolean Operators:

AND OR NOT ()

• Field Searching:[FieldName]="content"eg: [From] [To] [Subject] [Body]

• Date, Field, Multiple Words, Example Form

• Save and Load Searches

• Adding any Notes Application to the Search Bar

Page 31: IBM Connect 2016 - IS1406 #UserBLAST

Searching All Mail and Archives• New in Notes 9• Requirements:

Archives must be listed in Archive Preferences• With Mail/Calendar/To-Do open

• Actions -> Archive -> Settings

All databases must have a FTI

• Use the new tool from the "Search Bar"

Page 32: IBM Connect 2016 - IS1406 #UserBLAST
