General Information and Next Steps

▪ Platinum and Gold Sponsors are invited to participate in the Speakers/Panelists Dinner on Saturday evening

▪ Please provide the names of the speaker(s) that will be presenting during the panel discussions

▪ You must make your hotel reservation for all personnel – Discount Code: PH2

▪ We will be scheduling a prep call with your panel/speakers on Wednesdays (5:30 p.m. – 6:30 p.m. PST)

▪ Your presentation file is due by June 1, 2015. Please e-mail your presentation to [email protected]

▪ Exhibitors may begin installing exhibits on Friday, July 17, 2015, at 2:00 pm - 10:00 pm.

▪ Installation final details continues on Saturday, July 18, 2015 from 6:00 am - 7:00 am.

▪ All prefabricated exhibits must be removed from their crates and labeled for removal and storage by the

decorator by 12:00 noon on Friday, July 17, 2015.

▪ Exhibitors may continue exhibit installation until 10:00 pm on Friday, July 17, 2015, at which time all displays

must be completed.

▪ The official closing time for exhibits is 4:30 pm on Sunday, July 19, 2015. No packaging of equipment or

materials may begin until that time.

▪ All exhibits must be removed by 8:00 pm, Sunday, July 19, 2015.

General Guidelines for Vendor Presentations -Notes

▪ Set up table top displays to allow for more hands-on opportunities for attendees during the breaks and exhibits to support education on benefits, applications and health outcomes

▪ If possible allow patients or attendees to use/try the equipment during the meeting and workshop – to verify the benefits

▪ Evidence of patient adherence/benefits from compliance; ease of use based on patient instructions (medical device and pharma)

▪ Ideal prescription for increased benefits for patients (if any or if specific note ideal situations)

▪ Bring supplies and equipment to allow for patients or attendees to try the device overnight (Saturday to Sunday) or during the conference to share their experience during the workshops

Meeting Room Format

▪ General sessions will be in a large ballroom with a podium and one large screen to display the presentations

▪ All sessions will be in the ballroom that can accommodate up to 300 participants

▪ We will be using several different session formats (Individual Speakers, Group Breakouts and Panels)

▪ Microphone and Podium with large LCD display

▪ All Breaks and meals will be in the Exhibit Hall

Presentation Format Tips

▪ Big rooms with large screens

▪ Use large size font – including diagrams

▪ Manage the contrast of text and background for easy reading

▪ Presentation audio will be recorded for attendees to listen to at a later date

▪ Use of Microsoft PowerPoint is required. Format presentation for ‘On-screen Show’

▪ No commercialism please,Limit company info to logos on the lower left corner of the slide

General Guidelines for Panel Discussions

▪ Panel Discussions are an important part of the learning experience at this forum, they are generally preceded by one or more short presentations

▪ Moderator invites all panelists to take a seat on the stage, then introduces them one at a time

▪ Moderator generally starts the discussion with a couple of questions, then opens the floor for audience to ask their questions

▪ Moderator may ask the attendees to write their questions on index cards and pass them to him

▪ Moderator may pose a question to only 1 or 2 panelists in order to get thru as many questions as possible; although all panelists are welcome to answer or contribute based on relevance

▪ Keep your comments brief & to the point

▪ Provide practical advice & pointers which attendees can immediately use when they return home

▪ Share first hand experiences with a successful project or program at your company

▪ Where possible, provide financial results & benefits from your programs & solutions

▪ Goal is to openly share ideas with the group and learn from each other

▪ Try to get to know each other

▪ Be courteous to each other

▪ Follow the group leader’s guidelines

Presentation Logistics

▪ Your presentation is pre-loaded on our PCs

▪ Wireless mouse for advancing slides

▪ An Moderator will introduce you while you come to the podium on a stage. If two or more speakers are sharing a speaking slot, they are introduced at the same time

▪ At the end of your session, speakers may be asked join a Q&A panel

▪ The Moderator will select audience questions and pose them to the panel
