Thank you to everyone that helped.

Brook Beauty sent a voucher after the May Festival. As it
is valid for 12 months, it will be used at the Christmas
fair.
Movie Night
Money and reply slips are flowing in. Robeka is
organising the tick list for pupils going to the movie
night.
Current status - 72 pupils
General Housekeeping
Inventory has been updated after the May festival.
Facebook is being regularly updated by Robeka, Rebecca
& Clare.
RJM
Need a list of events or expectations to be supplied from
the school, for events such as bonfire night?
4 Feedback and Review of May Festival :
Stalls along the classroom were a good idea but a PA
system would be useful to keep people informed of
dates.
Move refreshments away from BBQ to help reduce
queues. BBQ ran out of food, so more needs to be
ordered for Bonfire night and Christmas. Assess again
after events.
Donations were very generous, so Becky and Robeka
organised a tombola that was very successful.
The weather did cause people to leave and the money
reflects this.
5 Future Events
a. Movie Night
It was decided to use candy striped paper bag for
popcorn. Drinks are needed, so cup drinks were chosen.
This seemed the safest way to reduce spillages.
Parents/guardians are requested to notify if their
children cannot have refreshments. They can bring their
own. Robeka will give Ms Clay details of those children.
They will be given yellow cards.
Children will be split into two halls. This will be decided,
when numbers are confirmed for classes.
Younger children are watching 'sing' and older children
'angry birds'.
Teachers will ensure that the children going to movie
night, go to the toilet before classes end.
Ms Harris will be on toilet duty.
RJM & RC
Pip will buy popcorn and drinks before the event from
Bookers. Robeka has sent numbers of cup drinks from
inventory.
Drinks and popcorn will be left on tables to collect when
children arrive.
No refills.
Three or four helpers will be needed per hall.
Teachers will come at the end of the film to help dismiss
children.
b. Father's day breakfast
PTFA have been asked to help with serving teas and
coffees. We will need to arrive at 7.30 am to help set up.
Clear up will be from 8.30am to be ready for 9am School
assembly.
c. Summer BBQ
Mark cannot attend the BBQ on Friday 30th June. As the
date has been released on the school newsletter, we will
go ahead with the event.
NH
PG
Becky will write a letter about the BBQ. It will request
that parents/guardians complete the reply slip to show
interest in attending. This will help with quantities of
food. They can bring their own food and blankets to
have a picnic.
It was decided to set up on the field at the end of the
school day. This will hopefully encourage more passing
trade.
d. End of Term Disco
Date confirmed as 20th July. Tickets and letters will be
arranged by the office. PTFA will organise volunteers for
during the disco.
e. Options for other Summer Events
With the current construction on site, a car boot sale
would not be easily set up. This will be postponed to a
later date.
f. Fireworks Night
RJH
Fireworks booked for November 2nd. PTFA to organise
Gumbles and BBQ/Refreshments. Pip will get glow sticks
etc.
g. Date for Christmas Fayre
A date of Saturday 2nd December has been set.
6 Options for after school meetings:
Current meetings are on Thursday eve & Tuesday at 9
am. It was discussed, if to have alternating daytime
meetings. One at 9am & other straight after school.
Many hearts is available on Friday afternoons.

Attendance/Agenda
Attendance – Gemma Collins, Caroline Skingsley, Pip Gilbert, Louise Lane, Harriet Squirrel, Nicola Harris, Michaela Viola, Tracy Wilson and Claire Peck. Agenda – Treasurers report, update on events, requests for purchases, helpers/volunteers and re-relection.
Treasurers Report
The movie night we held made £380.00 – we had over 300 children attend this event. With ticket’s being sold at £1.50 this does imply that a fair few had not paid. Costs for the popcorn were £38.30 Balance left in the PTFA fund at present of meeting is £5353
Meeting Discussions - Upcoming events and dates (some TBC)
Movie Night As mentioned above £380 was made, but due to the fact a lot of different didn’t pay we really did lose out on over £100. In future we need to find a better or more easier way for collections in the office to be handled. The cost of the popcorn was £38.30 so over all we made a profit of £341.70 which is still a fantastic amount for very little out going. We had ordered too much popcorn but it was trial and error for first time. There were a lot of complaints from the parents due to pick up however due to limited help we were unable to fix this at the time. Michaela Viola is sourcing teachers help so we can take year groups back to their classes for pick ups to hopefully run more smoothly next time. We have also extended the time so that we can have an interval so children can have a break for toilet etc. The next date will be Friday 16th June from 3.20-5.30pm. PTFA Fund Requests
- Science Dome for year 3 cost around £510 which has been done for the whole day rather than half day previous years. Due to the cost we may have to reconsider if we can now do this annually.
- Funding has been requested by Michaela Viola for year 5 to have an awesome science trolley costing £1500 we have committed to get this ready for September.
- Tracy Wilson has requested again for t-shirts for the May festival. Previous two years we have done it for the school’s special 50th birthday and Queens special birthday. We had really said we wouldn’t do again due to the high cost. But this time is for the progression from school to primary. The children will all get to design and then the winner will get their picture printed onto the tops for the whole school. The cost of this is roughly £1800.

PTFA Re-Elections As chair for over 18 months a lot of hard work has been put into all events and a lot of money has been raised, more so to previous years which is fantastic and I am very pleased. However, it is time for me to step down due to personal reasons. So we are looking for a new Chair. Also our Secretary Hayley Hunt has had to step down due to work commitments so we are also looking for a replacement. A letter will be sent out soon and if you are interested in these please come along to the next meeting. Details below. Event Dates These dates are all mainly all confirmed.
- Family Photoshoot Day - Easter Disco – Friday 31st March - Easter Hunt – Monday 3rd April - May Festival – Saturday 20th May - Family BBQ – Friday 30th June - End Of School Year Disco (TBC) – Friday 14th July
(all years no longer Leaver’s Disco as no leaver’s as such yet) Mother’s Day We do not do an event for this but the school do. Two Fridays near Mother’s Day (Friday 17th and Friday 25th March) there is an afternoon tea from 2pm. The school would really appreciate some helpers. So if you can help from like 1.45pm onwards then please could you let us know. If you could help out with one or either would be very helpful thank you. Easter Egg Hunt Easter Egg Hunt is on Monday 3rd April the last day before they break up. It needs around 3 helpers and can take a while as it involves each class coming down one by one to hunt for the eggs. Classes will have time slots throughout the afternoon starting from 12.45pm for the youngest. Helpers needed from around 12.15pm please. To be held in pirate ship area. Pre-school to sort their own out within their environment and own time scale. Eggs have been ordered but not the chocolate. Gemma to fill prior to event.

Dear Parents / Carers, For Mother's Day, PTFA is organising a secret shop for children to purchase items. The secret shop will be open at lunch times for one week from Monday 26th February to Friday 2nd March. These items will be used for the secret shop and hampers. It would be greatly appreciated if all children can provide a donation by Friday 23rd February. 3 Chair's Report:
The Father’s Day shop has been the most recent event
and around 200 children bought gifts for their dads. The
children seemed to really enjoy it and it was much easier
than Mother’s Day due to good organisation and having
a better idea of how it was going to run. JD commented
that Scott Primary school buy directly after Father’s Day
when the items are reduced. They also wrap everything
in advance and then leave an example of each item for
the children to see and choose from. This does sound
like a good idea but storage is a problem for us as we
only have a small cupboard which still has music
equipment and dance items in it. CS to speak to the
music department about removing the rest of their
equipment.
The pamper evening has been very slow on ticket sales
but it’s hoped that people will buy nearer the time. To
be sold outside school again this week. Alcohol at the
pamper evening is to be sold via raffle tickets and then a
licence, which is £21, is not required. We are looking at
sale and return for the alcohol.
There is a possibility that we will also have a soft drinks
tombola.
It is hoped that some of the people who are having stalls
for the pamper evening might come back for the
Christmas fair.
Over all the Chairs were happy with last terms events
and CS thanked the PTFA for all their hard work on the
May festival and the Mother’s Day shop.

Summer BBQ/Car Boot Sale
This is to be held on 7th
July at 1pm. Cars will be on the
playground and in the car park and can arrive from
12pm. Discussion held around price per car as it was
initially suggested at £10 but this was felt to be too
expensive as there are several car boots held in the local
area. It was decided that it would be £5 per car and no
entry fee. We also discussed increasing the price of the
food to make some more money but this was decided
against.
Toilets to be used in either the music block or conifer as
the internal doors can be locked ensuring only access to
the toilets is available.
Discussion held on additional attractions that could be
invited – pony rides, Mr Gumball and an ice-cream van.
All agreed this needs to be done asap as it’s not far
away.
Father’s Day Breakfast
Volunteers needed to help – 7.30am start.
End of Year Disco
19th July - RMH to confirm.

3 Chair's Report:
Over all the Chairs were happy with last year’s events -
they generated a good amount of income for the PTFA
and we tried several new events.
Quiz night, Mother’s and Father’s Day shops and the
pamper evening were all successful events although
could have small improvements to increase profit – for
example, a hot plate for the quiz so that we can sell
more food. The selling of alcohol via raffle tickets
worked very well and a plan to do this with mulled wine
for the Christmas fayre was put forward.
The car boot sale did not work well at all and although
this may have been due to the fact that it clashed with
an England football match there are still no plans to
repeat this.
There have been some comments from people about
changing the days/evenings to get more people involved
but we have tried a variety of different times and days.
There is a plan to get the year 5 and 6 children more
involved by asking them to volunteer for roles within
events – e.g., being elves at the Christmas fayre.
Other future events discussed were movie nights,
games night and year 6 leavers disco.
4 Election of official roles

5 Future Events
Quiz Night – 12th
October 6.30pm
£10 a table or £2 per person. We would like to sell more
food and maybe have a drinks raffle. Discussion over the
possible purchase of a hotplate or buffet server so that
we could also sell burgers etc. MS to led his as a trial for
the quiz.
Bonfire Night – 1st
Nov
Kimbolton confirmed and Mr Gumball fairground rides
MS
confirmed.
Entry Adults - £3 before or on the night £3.50
Kids - £2.50 before or on the night £3
Plan to sell tickets outside school at the end of the day
to encourage more people to buy tickets. There is a
helper’s rota going around. RH to explore glow sticks
and other items to sell on the night.
Christmas Fayre – 1st
Dec 11.30-2.30pm
A few stall holders have confirmed verbally but nothing
in writing so far. £10 per stall if anyone knows anyone
who would like to have a stall, we need to encourage
parents with businesses and local community groups.
Some of the car boot people are coming back for free as
they had so little interest at the car boot sale.
Santa has been confirmed as attending! We need to
advertise him more this year and might have year 5 and
6 children dressed as elves to guide people to him.
Suggested that we could make a programme with event
information and a map of the stalls with a prize draw on
the day if the programme is brought back with your
name on it.
Ideas for entertainment – choir, song squad, street
dance and orchestra.
RH
6 Request for funding
The football teams are expanding and there are now
active teams in years 4,5 and 6. They have requested
£250 for football kits – all agreed.
Request letter sent in for money for outside area for
reception. They would like a cube of soft play toys which
costs £300. They have already raised funds to weather
proof the barn and bought one cube themselves – all
agreed.
All further funds raised this year will be going to the Trim
Trail for which we are raising £5000.
7 School Travel Plan
There is a working party reviewing the current school
travel plans. If we could all think of things that could
improve travel to and from school and bring any ideas to

Vice Chair - Louise Lane
Treasurer - Pip Gilbert

If we could all think of things that could
improve travel to and from school and bring any ideas to
the next meeting that would be appreciated.

DATE OF NEXT MEETING Tuesday 6th November 2018 at 7pm in redwood Class.
13th March 2017 Dear parents / carers / family members,
PTFA Thursday 30th March 2017
7pm Redwood Classroom
For some time now we have been requesting volunteers to help in supporting the school’s PTFA. We have tried different methods to recruit new committee members but so far we have been unsuccessful.
I am calling on you to support your schools PTFA please. Without the PTFA the following events will be CANCELLED this year. EASTER EGG HUNT CHILDREN’S TERMLY DISCOS MAY FESTIVAL FIREWORKS NIGHT FATHER CHRSTAMS VISIT TO THE SCHOOL CHRISTMAS FAYRE We have always paid for various things around the school such as insulation and heating in reading huts on playground, basketball hoops, sports award evening, gymnastic uniform, annual may festival t-shirts, space domes for year 3 and much more. So come and join us on Thursday 30th March at 7pm Future times and days of meetings can be flexible.
No previous experience needed just enthusiasm!! We are having RE-ELECTIONS for the following PTFA board committee. - CHAIR - SECRETARY (TAKING NOTES AT MEETINGS ETC)
These are big roles that do take up some of your spare time but it is manageable and very fun and rewarding to be able to help the school. The committee needs a minimum of 7 volunteers to be able to continue.
Yours sincerely Gemma Collins Headteacher
