Office 365 User Guide
Introduction Office 365 is a cloud based solution that offers all the features and functionalities of Microsoft Office, with
the added advantage of being able to access your applications and files from virtually anywhere using a
PC, Mac, or tablet. It allows seamless communication using business-class email, shared calendars and
tele-conferencing facilities. It allows you to securely share files and documents with the Council. Given
below are step-by-step instructions about using Office 365.
Login 1. Use the following URL to login to Office 365: https://login.microsoftonline.com/. This opens the login
screen (Fig. 1).

2. Enter the Username and Password that was sent to you in the fields provided, and click on the Sign in button.
The Password that was sent to you is for one time use, and needs to be changed after you log in the first time.
3. In the screen that opens when you login for the first time (Fig. 2), do the following:
a. Enter the password that was sent to you in the Old password field
b. Enter a new password of your choice in the New password field.
c. Re-enter the new password in the Confirm new password field
d. Click on the Save button. This takes you back to the Login screen (Fig. 3).
4. Enter the New Password in the Login screen and click on the Submit button. You will now be navigated to the
Office 365 Home page (Fig. 4).
5. Check the checkbox against Keep me signed in if you do not want to repeat the login procedure each time.

Installing Lync Lync is Microsoft's platform for unified communications including online meetings, instant messaging,
audio and video calls, availability info, and sharing capabilities. To install Lync, carry out the following
steps:
1. Click on the Settings icon in the main tool bar (Fig. 5 - Highlighted in red).
2. In the dropdown that appears, click on the Office 365 Settings tab (Fig. 5 - Highlighted in red). This
opens the Office 365 Settings screen (Fig. 6)

3. In the Office 365 Settings screen, click on the Software tab (highlighted in red in Fig. 6). This opens
the Software screen (Fig. 7).

4. In the Software screen, click on the Install button (Highlighted in red in Fig. 7).

5. In the screen that opens next click on the Run button (Highlighted in red in Fig. 8). This will open the
User Account Control screen (Fig. 9).

6. In the User Account Control screen (Fig. 9), click on the Yes button.

The installation process will start now. The progress of the installation will be displayed in
percentage terms (Fig. 10).

7. When installation of Lync is completed, a pop-up window will open with the header First things first.
In this pop-up window, select the radio button Use recommended settings (Highlighted in red in Fig.
11). This will enable the Accept button in the pop-up window.
After Lync has been installed, some updates are required for which Internet connectivity is needed.
A warning message will appear at the bottom right of the screen informing you of the progress of
the process, and asking you not to go offline or restart the computer.

When you click on the Accept button in the pop-up window, the Lync Sign In screen will open, with a
pop-up stating that Office is getting ready, and showing the progress of the process (Fig. 12).

8. When the process is completed, the First things first pop-up will open (Fig. 13) with a View Agreement
link, clicking which will display the terms of the Agreement with Microsoft. Click on the Accept button
in the pop-up window.

9. Clicking the Accept button will open the Sign in screen (Fig. 14). Enter your Sign-in Address in the space
provided.

10. Under Sign in as, choose the appropriate status from the dropdown (Available / Busy / Do Not Disturb
/ Appear Away).
11. Click on the Sign in button. This will open the Sign in screen with the Password field. Enter your New
Password and click on the Sign in button again. You can now begin to use the Lync application.
