In a nutshell: Great, Fun, HUGE venue, Needs more attendance – like YOURS. Major messages: • Plan before implementing (vs. reacting) • SCM + BI = powerful information • Next evolution: Collaboration = Success

Jean McClelland’s Conference Synopsis and Noted Trends In the opening introductions by the three User Group leaders, Sue Shaw, the incoming Quest president, “This is the year to drive your ROI. The important thing is collaboration.” I totally agree. From all that I have read about the economic downturn, now is the time for true planning vs. the constant reaction mode businesses seem to have been in for the last decade or more. I consistently heard three main trends noted in the sessions I attended:

1. The importance of planning before implementation – really thinking through proposed actions to the point that all facets of the business are considered in the future plans,

2. The continued rise of how to use Business Intelligence (BI) to ensure your plans are thorough and far-reaching. The combination of BI with Supply Chain Management (SCM) was consistently stated to be a winning cost cutting combination.

3. The power provided by knowing how to translate raw data into actionable decisions through collaboration, not only within your business but starting with your supply chain and going completely through to your customers. Another way to express this concept is how each of the pieces (manufacturing, sales, supply, accounting, marketing, et al) affects the others.

Even the programming sessions I attended were geared toward collaboration in design and development. The era of the one star universe is ending. Now it’s about connecting all the stars. You might say “connect the dots” or “no star left behind?” Basically, it’s the realization that we are all in this together, the playing field has been leveled through the application of technology (especially the web) and we have to work through it all in a team environment. (Let’s see, can I find any more clichés to use?) Where do you begin? Business has been so fraught with scams, scandals and perceived immoral acts under the guise of “it’s just business” that we, as human beings, have become skeptical that anyone can be trusted. That’s where to begin. Begin collaboration by being a trustworthy partner in the chain of events.

• Make sure you know your business processes so that you can lead others through how to work with your company easily; e.g., know when and how suppliers will be paid.

• Be honest with opinions. Tell it like it really is vs. sugar coating problems. • Start solving the problems, regardless of whether they are within your department / your

responsibility / your influence. Offer solutions, not another problem statement.

• Remember that business is 100% dependent on the people. Respect everyone’s opinion and celebrate everyone contributions.

These are not only messages I personally believe but these are messages that were expressed in many different ways throughout the conference. Read Charles Phillips keynote and find out what he said about the importance of participating in User Groups. Plus, his message to customers on the future was “Let’s think this through together.”

Orlando as a Conference Host It is a law that you must have fun in Orlando. I’m sure of it. There are certainly enough venues. Even some restaurants have man-made waterfalls and putt-putts available to play while waiting to be served. Unbeknownst to me until I arrived, the hotel I booked was a theme hotel – a castle no less! As I told many people, I’ve often been called a geek or nerd, but now I must be known as a princess! Check it out! The royal trumpets announcing my arrival every time I entered the castle were great for me – not sure how the front desk knaves felt about them all day long, but, yes… princess it is!

Conference Navigation Orange County Convention Center is probably large enough to hold OpenWorld! If you decide to attend a conference there… train for a marathon before leaving or arrange for a Segway rental! Otherwise, the OCCC was as inviting and as beautiful as you would expect. One rather sad note was the number of sessions that were cancelled. I was not able to confirm my thoughts about this being due to layoffs or travel restrictions but a number of people that talked with me about it proposed the same reasons. Naturally, I chose a few of the cancelled sessions to attend and ended up running somewhere else. I could have avoided this by signing up for the mobile daily updates. Kudos to the End User groups for using the newest technology at our technology conference! And… did you know that the User Groups are now on Facebook, LinkedIn and even Twitter? Information is everywhere. It’s truly a matter of how you choose to receive it.

The Conference Schedule Books – 98% THERE! Again there were great improvements on the onsite program. I’m convinced the onsite book is an under-appreciated asset for the conference attendees. There is so much information in there in addition to the schedule. But, let’s talk about the schedule. I was very, very pleased when I saw what I thought was the entire schedule on the pull out pages. It was almost the entire schedule but not quite. Another attendee pointed out that items were missing from the schedule. Obviously, those items must not have been all that important to me because I can’t remember what they were. But, hey! 98% is mighty good seeing as the book must go to print well ahead of the event. I feel congratulations are definitely in order here!

Another good “green” thing that the three User Groups achieved was printing only the titles of the educational courses on the daily schedule vs. all the descriptions. In order to find the details of the sessions offered, you had to go online. As inconvenient as some people probably thought this was (most likely those that did not review the sessions ahead of time). Eliminating all those pages of description meant that the book was only about ¾” thick, much easier to carry and very handy.

The Attendees… including the CIO Forum In general the attendees at this particular conference seemed to be more managerial than in years past. This was confirmed in a conversation with a Quest staff member. The decision maker level of attendees was well appreciated by the exhibitors! As usual, most attendees I talked to were there for the customer-to-customer sessions, because they felt Collaborate is a more “manageable” conference and they wanted the education. There were a lot of first timers that I talked to which was not surprising after I found out that a lot of new companies were present. I had the privilege of attending the last session of the CIO Forum hosted by Quest. The last time I attended this portion of the conference was back in 2005. I am very happy to report that the Forum was very well attended and very much enjoyed by the CIOs. What most surprised me was that I hardly knew anyone there! I enjoyed seeing a couple of people I’ve known for a while but most of the faces were completely new to me.

CIOs! This type of networking (not to mention educational) opportunity is rare and is not only an important part of your position but can also open doors you didn’t even know existed. Lead by the example of knowing your counterparts. Allow yourself the advantage of the additional knowledge and insights of your peers. Then encourage your staff to do the same. Competition is changing to “collaborative competition” including planning with your supply chain to optimize inventory from concept through customer delivery. You already know that every business process – actually every

business element – is touched by the IT department. An event like this one allows you to expand your imagination to how the Information Technology you help provide can further support the business objectives. Your input – through your personal or your staff’s participation in User Groups, SIGs and other interest groups – is how Oracle chooses to create the software your company runs. Participate. Collaborate (within legal limits… of course). Here’s an interesting attendee note… Welcome EBS users (Oracle’s eBusiness Suite users)! There were a lot more of them this year. Let’s keep that trend coming!

What was new Who would have thought that tables would be so welcome! Most educational rooms contained tables making us laptop users very happy. No more hot and uncomfortable knees! I’ve already mentioned the use of technology to keep everyone updated at the conference. I’m thinking that web casting some of the IOUG sessions might have been new. I know it was very welcome. Each User Group had ways to attend the conference on a virtual basis. Check it out on each of the User Groups sites. (Links below.)

What stayed the same • Networking within the attendee rosters of the individual User Groups was consistently

offered and not taken advantage of nearly enough in my personal opinion. Again, the best networking I observed was at the Women in Technology events.

• Not enough mixing up of the attendees from the three user groups. This is one of those challenges that will be hard to solve and I don’t have any suggestions yet but with the main theme of collaboration, I’m sure it will be addressed soon.

• This IS the conference with the most sessions led by customers. • This IS the conference where SIGS far and wide have the ability to meet face to face in

addition to receiving the customer-to-customer education enhanced by Oracle announcements and educational sessions.

• The conference was well organized by all three User Groups.

About User Group Participation In Charles Philips’ keynote (President of Oracle), Phillips stated very plainly that participation in your chosen User Group is a key to having your voice heard by Oracle. Below are links to the User Group websites. Check them out. Get involved. It helps your company and it helps you – both personally and professionally. Just do it. It’s a good thing.

The Exhibit Hall Exploring the exhibit hall is always fun for me. This year it was extra fun because there were many new international vendors. Networking in the Exhibit Hall is always good – not only with the exhibiting vendors but generally. A couple of years ago the conference started holding the breaks and lunch in the Exhibit Hall. This turned out great for everyone!

Should you attend next year? ABSOLUTELY! Make it mandatory! Not only should you attend, but, as a customer, you should provide a presentation, sit on a panel or otherwise find a way to share your knowledge. The opportunity is there but to take total advantage of it you MUST be there in person. If you allow this conference to shrink, you are missing vital information to help you make your ERP and related software sing the tune you desire because you are missing comparing notes with like companies. As I reported above, the single star era is gone. (Remember… a shooting star is bright and beautiful but it also fizzles out quickly!) Collaborate is a well named conference for the future – come and collaborate to your company’s and your personal advantage. Remember the differences between Collaborate and OpenWorld. They are both great conferences with different objectives.

• Collaborate is all about learning from other customers and working with your user group to have your collective voices heard by the software vendor. It also provides, as Charles Philips stated in his keynote, a mid-year announcement forum.

• OpenWorld provides the software vendor’s plans for the future. • Both conferences offer excellent educational opportunities. Collaborate excels in

customer-to-customer education and OpenWorld excels in Oracle-to-customer education.

• Both conferences have Oracle’s presence and support. Naturally, OpenWorld has more Oracle people available but many Collaborate sessions are provided by Oracle.

• Collaborate, being a smaller conference, offers more customer-to-customer networking opportunities. (Note: I believe Collaborate is designed to be smaller, just not as small as it was this year!)

• OpenWorld offers numerous opportunities to interact with Oracle executives, the people who actually code the software and others. Heavens, there are always enough people there; it’s just a matter of getting them to stop running between sessions!

Dave Koczera’s (GRT Business Solutions) Conference Experience Collaborate 09 presented by IOUG, OAUG and Quest International User Groups put on another great event this year. The Orange County Convention Center is a huge venue with all of the expected conference trimmings. The weather was terrific especially for the many attendees who experience cabin fever as they visited the event from their northern climates. The average day was between 85 and 90 degrees sunny. Unfortunately or fortunately, depending on your

perspective, many of us never really spent any time actually enjoying the outdoor environment in beautiful Orlando Florida. There was just too much to take advantage of at the conference. I am sure you have all heard that attendance was down at this year’s conference. It was true that attendance was down maybe by as much as 30 percent as compared to 2008. Yes, the economy has affected the abilities of many companies to do “extra” or “special events” and must “batten down the hatch’s” on spending. However, there were still 4500 who did attend. Collaborate 09 was an investment for those who did attend. Attendees were presented with a complete set of opportunities to learn how to increase the value of their current Oracle ERP and Technology investment for their business. As an attendee to this conference for more than a decade, I must say that this conference was excellently planned and prepared. It was also obvious that Oracle Corporation has a great desire to support their Oracle, JD Edwards E1, World and PeopleSoft Enterprise user communities. Their investment in this User Group event is significant in that an exceptional array of educational sessions on business solutions, products alternatives, and partnered solutions were presented. This was probably one of the best and easiest conferences to leverage if you were on a mission to accomplish as much as possible while at the conference. Software and technology users could completely tailor their visit by personalizing their schedule to meet their individual conference priorities. Also, there was an advantage, I am sorry to say, to the lower attendance this year. This year’s conference increased my ability to

• evaluate solutions, • meet with subject matter professionals, • network with potential new business partners, • gather intelligence for supporting strategic initiatives, • educate myself on new innovations, • renew old business acquaintances and • in general, ensure I am current

From these perspectives the Collaborate 09 experience was excellent. You could get your questions answered, have a discussion or debate, see a demo (Beehive is a cool tool), research a problem and never have to wade through a crowd or wait in line. As they say…. “I like people. It’s crowds I hate.” The most unfortunate thing for this year, I thought, was that a User’s Group conference is for client/customer users primarily. It was my feeling that by not being able to attend many stake holders at our client companies missed out on a very cost effective way to insure they are leveraging their investments in technology to the maximum competitive advantage. Let’s face it there were many opportunities at Collaborate 09 to learn how to save money and make money, and this says nothing of the professionals and expert knowledge just floating around the place. It is mind boggling when you think about the potential of one good idea and its value to the business. Cha Ching! take bad notes, hopefully we can help you remember something you forgot. Because we all know Collaborate 09 is a business conference and we all know what goes on at those things. Let’s hope that the one good idea you need is somewhere in this summary report or connected to Collaborate 09 that will help you make millions and “stimulate“ our economy. Hope to see you all next year at Collaborate 2010 in Las Vegas. At least that is the rumor I heard at Collaborate 09. Anyone shoot craps? I am looking for someone who can teach me the finer points.

Oracle recognizes the challenges their customers are going through. Their response: “Let’s think this through together.”

User Groups: The easiest way to get your voice heard by Oracle is participation in your User Group.

Opinion: Jean McClelland The announcements were as expected – enhancements to existing products. Beehive was actually announced at OpenWorld in September, 2008 (see Praxis Report). Talking to users at OpenWorld, the general opinion was that it was not quite ready for prime time. Now, seven months later, I still wasn’t able to find people that have been using it. Of course, my quest was limited to Collaborate attendees so it certainly was not a scientifically sound finding. Still, if this were the product of the future, wouldn’t there be more buzz? (OK… bad pun, but fun to write!) I Googled “Beehive Software” and the first entry was for a secure file transfer service. Hmmm… Mr. Phillips was his usual dapper and even self – great orator, tall, straight and speaking confidently. His messages were clear and consistent. It’s what he does and he does it greatly. I have to admit I thought it was funny when the person sitting next to me leaned over and asked if Phillips reminded me of President Obama. Well, to a hammer everything looks like a nail… right? So, in this case with me being a techie, I thought exactly the opposite. The first time I saw President Obama, I thought how much he reminded me of Charles Phillips! Then I found these on the Oracle website:

Basic Oracle ERP Philosophy – Lenley Hensarling The initial Enterprise Resource Planning (ERP) proposition was to provide applications to

cover the entire business. Oracle looked at what a complete set of solutions would really mean – financials, Supply

Chain, Infrastructure (multiple sets of choices on what you want to run the software on), manufacturing, logistics, procurement, Human Resources, capital assets, projects, sales, customer service (CRM) and more.

Now that ERPs are basically standard, Oracle is moving toward “Edge apps” – applications adjacent to the core applications such as Supply Chain Management (SCM), Project Management (PM), Business Intelligence (BI) and Software as a Service (SaaS).

Application Strategy – Complete, Open, Integrated In order to integrate you must be open. Example: Service Oriented Architecture (SOA) Really important to understand Application Integrated Architecture (AIA) because it

provides customers the freedom to add apps asynchronously. Fusion and AIA match up due to objects. The match will provide the ability to connect

what you have today to Fusion later. Apps you add as Edge apps will seamlessly integrate with Fusion later.

World and E1 groups doing integrations between have been merged. World is the best example of Applications Unlimited. By opening up both World and E1, it

provides a whole new set of possibilities. How long will it last? Hensarling doesn’t know but the end is NOT in sight.

Primavera – working to provide integration with E1. Needs AIA to work. Lowers (Total Cost of Ownership) TCO due to less redundant data entry process and

end to end visibility.

Opinion: Jean McClelland As surprised as I was at the general lack of attendance for the conference, the fact that this room was only half filled was shocking. Then again, the agenda was so chock full of great learning opportunities, it was always hard to choose. There were customer-led sessions offered at the same time and I imagine that could be a reason for the low attendance or maybe people were looking for other things knowing they would get these messages at OpenWorld. Besides! You, the Praxis Report readers, knew you would get the information from here, right?

OAUG provided games and other fun things to do in order to get their members networking. It was great to see how successful they were at getting people together. To find out more about OAUG click here.

JEM Note: I had the privilege of interviewing IOUG’s Ian Abramson before the conference. I asked him how the economic downturn was affecting the IOUG membership. implementation reduced the entire footprint. • Partners were used in each case. (First was Anderson. Last is CD Group – still their

partner and a co-presenter.) • Still running the web on the Citrix servers but there are less than them. They eliminated

a total of 15 servers. • Today’s users have an option of Internet access to JDE or Citrix access. Most choose

Citrix for response time. Note: They have T1 lines in all their branches. • Their IT department is 16 people including the CIO.

Opinion: Jean McClelland The Mayer Electric success story as presented by Barry Carden, their CIO was, hands-down, the best presentation of the conference for me. Here it was the last day of the conference and the subject of upgrading was such an important topic (for about the fourth conference in a row) that there were still 14 people attending the presentation. Wow. I wonder how many people would have been there if it were earlier in the conference. It is good to see that the methodologies described in most of the upgrade sessions are very much like the PricewaterhouseCoopers methodology (minus a lot of the detail) that I have often used. Therefore, I’m sure these common sense paths to success will work! I was especially impressed with the definition (by a consultant from CD Group) of when to use consultants and when not to. Jim Glover told the attendees to determine if what needs to be done is something that will be done once or many times and if, when complete, someone within the firm will need to know how it was accomplished. If the task needs to be done once and it is then finished, it is most likely a good candidate for a consultant to accomplish because the consultant has probably done this many times on other projects and your own people would have to go through the learning curve without using the knowledge again; i.e., it would be cheaper and faster to have the consultant do it. Right on!

Business Intelligence Quest – 57700 – The Business Case for BI – (Andrews Consulting, Bill McGinnis) BI as an analogy to baseball – NY’s Steinbrenner vs. the Oakland A’s Billy Beane

• NY was a winning team due to Steinbrenner paying premiums for the best players • Oakland used different statistics – different BI – like who could get on base • By 2005, Beane was winning at least 90% of the games that NY was winning but doing it

with 1/3 the payroll NY was paying • Conclusion – you must build from the bottom up. Business is based on decisions and

actions that follow those decisions. Visibility is key. BI provides visibility.

Example uses of BI Netflix makes it very easy to follow your interests – one click and new options appear

resulting in spending your money very easily Through BI, Homedics found out that a very small portion of their customers were

costing exorbitant freight costs. By adjusting this, their increased profit paid for a 6-figure implementation within a year.

HP created dashboards able to be seen by a variety of levels of management creating competition among managers to do better. Within a year they had saved $20M on their $1M investment to implement BI and the dashboards.

Why doesn’t everyone do this? Many of us have too much information that takes too much time to get to us. A lot of the needed data comes from outside the company Inside the company there are silos of information Customer profitability needs cost data from many of the silos within the company ERP was never designed for management reporting

In order to do BI effectively, you need a DW separate from your transaction database – to maintain speed on both the transaction system and the BI reporting.

BI Benefits Administrative Efficiency – Reduce data input therefore increase data accuracy. Revenue Increase – can make better pricing decisions/create better pricing strategy. Revenue Increase – the more you know about your customers, the more efficient your

service and the more and easier to create profit from existing customers (because you know them better).

Operating Efficiency – the manufacturing people are the people that need real-time information the most. Providing it to them will allow them to decrease costs by addressing challenges more rapidly.

Strategic Support – Executive dashboards contribute to better executive decisions through more accurate and timely information. Especially important in this economic environment is trend analysis – not only across years and months but week to week.
