QUICK GLANCE REPORT

TO BE COMPLETED BY AREA OFFICERS

NAME: Bobby Stiivers-Apiki POSITION: Area President PURPOSE OF YOUR POSITION? To implement the mission and goals of the U.S. Area in alignment with Yʻs Men International through compassion, motivation and inspiration of all members. DECRIBE WHAT WERE YOUR ACCOMPLISHMENTS THIS FIRST HALF OF THE 2019-2020 TERM. I was prepared in assuming my duties as Area President; Leadership Team organized; Calendar of

Celebrations organized; maintained contact with leadership team. Attended and participated in the successful Joint U.S./Canada/Caribbean Area Convention in Ottawa; attended and represented the U.S. in the successful 1st International Regional Director-Elect Summit in Toledo, Ohio and honoring our founder, Paul William Alexander. Attended International Council l Meeting in Sendai, Japan.

DECRIBE WHAT WERE YOUR CHALLENGES THIS FIRST HALF OF THE 2019-2020 TERM Having high expecations and achieving minimum results. HOW CAN OUR AREA DO TO HELP INTERNATIONAL ACHIEVE ITS GOAL OF 50,000 MEMBERS BY 2022? We need this goal to be in the forefront of all our efforts. Leadership needs to take ownership and leadersh ip to start new clubs and recr uit new members. HOW DO YOU RATE THE IMAGE OF YMI IN OUR AREA? On a scale of 1 to 5, 1 be ing low and 5 being 5, I w ould rate the umage of YMI as 3. WHAT CAN OUR AREA DO TO IMPROVE THE CURRENT LEVEL OF PARTNERSHIPS WITH THE YMCA? Existing clubs with no YMCA relationship need to at least ʻsupportʻ a Y program i.e. Youth In

Government at a local YMCA event if the program is outside of the clubʻs service area. Promote consistantly the Alexander Scholarsh ip Fund just to one local YMCA. “Call” and meet with a YMCA staff – not to make a sale, just to get to know each other.

OPEN FOR COMMENTS/FEEDBACK/SUGGESTIONS. Thank you for your service. I continue to extend my appreciation to each leadership member that is committed and dedicated to the mission and purpose of our Movement. Happy New Year to all! Area MYM Dec. 14 201 Quick Glance Report Agenda

Hi Nancy,

Attached please find the Financial Statement - Income and Expenses.

These are my comments:

The First Page of the report reflect the Budget Items approved by Ottawa council, except last item on the Income – California Tax Refund.

Supply office sales figures are not available – but even the amount is not significant.

Income from Deposit is not available – Those are mainly from the ASF funds and that by design is added to the assets of the funds and isnot to be considered an income for operations

Area dues indicates the membership is not at par with our plans. One single most income is our dues and it needs attention

All our restricted funds are not getting enough traction. Our new initiative- We care Disaster fund- by far has the largest support.

All the restricted funds will be consolidated to the Balance sheet. We disbursed Scholarship of $500.00 from the ASF fund. That will be consolidated to Balance Sheet

We are still waiting for the International to figure out the RDE Summit accounts. As I understand they are still working with the Hotel tofinalize the bill. Besides, they were on vacation for two weeks? I am trying to convince them that the amount we know they owe is prettyclear. Now they are trying to transfer some funds. This complicate some accuracy in the report, which means there need to have revision

We are holding some amount we received on behalf of International-adds in the souvenir- and those seems be adjusted against themoney they owe.

I am behind in sending some funds I was supposed to send. I am not sure if they like me to adjust with the money they owe.

I shall try get to you the Balance sheet later today- I hope I get the investment balances today.

I completed the W9 and I shall forward that to you as well. Please review and let me know if that is OK?My apologies for the delay in getting the report on time. I shall work on to get the next quarterly reports early.

Please review the report before you distribute and let me know if any change is necessary

Thank you.

BUDGET OVERSIGHT/RESOURCE OFFICER Report for Area USA Midyear Council Meeting

January 2020

I have not received copies of any Financial Reports so there is no Budget Oversight Report. The report below is more related to Resource Officer role.

As per the request from our Area President Bobby, I am putting together the list of Y’s Men and Women from Area USA who have been a recipient of Y’sdom’s highest honor, the BALLANTYNE AWARD. I have all of the names, but not the exact year for 3 recipients. I am sending a copy of our AREA’s POLICIES and PRACTICES DOCUMENT to each member of the Council. This document is different from a constitution. It is a many page document of special rules and guidelines that we create for Area USA. Those also often give us some background information on an adopted Guideline. Sometimes the International Council creates some rules and/or guidelines that impact us. Many of those are included in our document. PAP is the Past Area Presidents Club. It is independent supportive Y’s Men’s organization with its own operating guidelines, elections and dues. They meet every two years during the Area Convention. At that time there will be an election of officers, discussion and decisions on any contributions to YMCA and Y’ Men’s projects and reminders that the dues are $25.00, where to send the dues and the $25.00 includes the spouse. The club used to collect their own dues with their own account. At one of their meetings, it was agreed to have the Area Chief Financial Officer (CFO) handle and create a line item on the Area Financial Records. The CFO would disperse funds as instructed by the club. Years ago, we started adding PAP officers to our Area Leadership Roster for our information and a courtesy to them. What about Y’s Menettes? They are like the PAP Club. We used to have several of these supportive clubs in the USA. I used to contact them and have them decide whose name we put on our Area Roster as a contact person. Area President Bobby also asked about to see if we could get a record of the names of AREA USA District Governors who have been honored with the highest award for District Governors the ELMER CROWE Award. Regional Director’s Report Mid-America Region

Y Service Clubs International

The year of 2019 has been especially difficult for the Mid-America Region. The loss of the regional secretary, the aging of club members, the inability to fill many regional positions, slow membership growth and most recently, the resignation of the Mid-America Regional Director Elect, has hampered operations. The above factors, coupled with my increasingly busy schedule, has led to minimum communication between the Regional Director and club presidents. Within the context of the Mid-America Region issues, several positive opportunities presented themselves for consideration. Our District Governors attempted to charter a new club in the state of Kansas; attempts are currently underway to consolidate two clubs in the Chicago area and preliminary agreement has been reached in efforts to consolidate the Mid-America and Mid-East Regions. Currently officials of both regions are reviewing/revising the Mid-America Regional constitution and resolving any logistical issues that may impact this proposed consolidation. During the month of December, the Mid-America Region partnered with the St. Louis Page Park Y Service Club and hosted an “All Black Affair” in tribute to Mr. McKinley Johnson (past Regional Secretary). This tribute was done as part of the club’s Annual Founders Day Celebration. Frank J. Logan, Sr. Regional Director Mid-America Region Y Service Clubs International

NAME: Charley Redmond REGION: Mid East DESCRIBE AT LEAST THREE (3) ACCOMPISHMENTS YOU ARE MOST PROUD OF DURING THE PAST SIX MONTHS:

1. Met with Frank Logan twice setting agenda for merging Mid East and Mid America and discussing concerns and progress

2. Received consensus from active Mid East Clubs to start the process of merging the regions under the name of Mid America

3. Worked with regional treasurers from both Mid East and Mid America to determine how the treasury would be handled. Mid-East agreed to send funds to Mid America to close our bank accounts. Mid America is 501 c3 so the tax-exempt status will remain.

4. Reviewing constitutions for changes/updates that may be required when regions consolidate. Our Movementʻs membership goal by 2022 is 50,000 members. Our Area goal for 2020-2021 is 1,000 members. What can your Region do to help our Area achieve its goal? Toledo Central club has invited the Toledo YMCA Board to join the club and bring it back to being active. While that will not increase the number of clubs, it will add at least 6 members when the new members are inducted. How do you propose to do it? The RDE Summit was used as a platform to talk to Board Members and explain how Y’s Men has served the YMCA for 97 years. How do you rate the ‘image’ of Y Service Clubs in the U.S.? There is little to no image. There are very few who have heard of Y Service Clubs. How do we improve our image? The question needs to be how to increase/improve visibility. Members know who and what YMI is, very few outside YMI have ever heard of us except in some cultural groups. Funds to improve PR need to be explored. We don’t advertise YMI. Most clubs and regions do not have the expertise nor funding. How do you rate the ISD/ASD/RSD/CSD program support? For the most part, the current system is not working the way it was designed and needs to be replaced with something more streamlined. How do you rate your member’s knowledge of our Area origin, our purpose, operations and programs? Most members know their clubs, the purpose their clubs serve and how their programs work. There is little knowledge of regional, area or international programs or issues.

Five host families have opened their homes to Russell and Jennifer. The highlight was the International President’s Dinner in Long Beach on Jan. 3rd. Fifty-nine regional members attended and greeted Jennifer and Russell. Click or tap here to enter text. Our Movementʻs membership goal by 2022 is 50,000 members. Our Area goal for 2020-2021 is 1,000 members. What can your Region do to help our Area achieve its goal? As described above, our region is currently working toward charter for a group of twenty families in the San Francisco area. I also look to the success, in gaining new members, of the example set by another group of which I am a member. In that group, we invite friends to visit several meetings. They enthusiastically do this. We then invite to become a member and go through the ceremony. This other club has gained several new members in this way, and there are others waiting to join! Or, we can do as member Henry Fox does, and invite everyone we meet and know to attend a meeting and join? Henry has found a few new members in this way. Do not be afraid to ask! We can also look among our friends and ask ourselves: Who among them has a heart for service and international mission? Wouldn’t these friends make wonderful members!Click or tap here to enter text. How do you propose to do it? Concerning the proposed new club, we have already had one phone conference call with their leader and a personal visit with the group. Our regional Member Service Director and District Governor, for their prospective district, traveled to meet in person with the group. From there, and starting this week, we will contact the leaders of the prospective club, and set the date for our next visit. In contacting the leaders, we will first ask for a list of questions that they would like answered during our visit. At the time of our next visit, we will present an informative presentation, including answers to their questions, about the Y Service Club: What is it?, What is a short history?; Who is our founder? How does it assist the YMCA and the community?; What does a club agenda look like? What is the

organizational structure (club, district, area, and international)? What are our international philanthropies? How can youth be involved? etc. I believe we should have two such visits. Then the international protocol for club charter may begin. I foresee three to four months to create and follow through on this entire process, collaborating with Karl Walther, Regional Member Service Director, and Jan and Russ Suydam, District leaders. Click or tap We here to enter text. How do you rate the ‘image’ of Y Service Clubs in the U.S.? In talking with friends and acquaintances in the community, I find people very interested in learning what we do. They are particularly interested in the international projects and connection with members throughout the world. Most do not know that we assist and support the projects and camps of our local YMCA, and most tell me of their happy memories of being a part of a YMCA in their childhood and youth. Click or tap here to enter text. How do we improve our image? Very recently I completed the Livestrong program at my Santa Monica YMCA. It is an excercise program for cancer survivors that is free of cost and also provides free Y membership during the 12 week course. I have told many friends about this program. Three friends have signed up for the new class. Those in my class session and those to come to the new session tend to join the Y after completing the course. At that time, and during class, I have shared my experience as a member of the Y Service Club. It is possible that these same people could come as visitors to a meeting and become members.Because these people were so impressed by the Livestrong class, they are interested in learning more about the club, and they see the image of the club as reflecting their delight in the Y. Wearing our pins on a daily basis is a good was to attract the interest of others. In wearing the pin, people ask us about it, and we have an inroad to sharing our club’s good news. Participating in our city’s local parades with a wagon or float can pique interest and bring our image into the public eye. Publishing articles, honoring our members, in the small local papers that many towns have, is another way to project our image. Click or tap here to enter text. How do you rate the ISD/ASD/RSD/CSD program support? These fantastic programs are supported by our U.S. Area Service Directors and our Regional Service Directors specific to the program to which each has volunteered to oversee for the members. In my opinion, the support is firmly in place. However, I feel that more action should be taken by each U.S. Area Service Director to contact his/her corresponding Regional Service Director and meet with them, on Facetime or by phone, to discuss the depth and details of their particular program with one another. I do not think that there is much connection this way, although, I did receive a CC communication from the U.S. Area Travel Homestays Service Director, Ray Seto, which had been sent to the Regional Homestays Director, Hank Walther. Ray clearly explained the responsibilities involved in the position. If this type of communication could be replicated by other U.S. Area Service Directors, I believe that the regional service directors would feel more secure, knowledgable, and inspired in what they trying to do. I also encourage the regional service directors to reach out to their U.S. Area representative. I need to follow up with them and see if they attempted to do so. But I think it would best if communication was instigated at the U.S. Area level. Click or tap here to enter text. How do you rate your member’s knowledge of our Area origin, our purpose, operations and programs? Our members’ knowledge of Area origin, purpose, operations, and programs varies from club to club. Seasoned members, of which their are many, have a wealth of knowledge about these things because they have held positions beyond the club level, attended conventions, and traveled to other events regionally and beyond. Many, however, are “babes in the woods” concerning these things. For

examples, International President, Jennifer Jones gave a beautiful presentation at the IP dinner on Jan. 3rd. I noticed that she used many acronyms that more seasoned members would understand but that many present may not understand. In talking with Jennifer afterward about this, she was very open to this awareness and, upon visiting my home club the next day, she modified her presentation to the group and was very enthusiastically received. That is not to say that all club member shouldn’t receive the education needed to understand our organization (and it’s acronyms!) in depth. I think that the leadership training for my region could be more inclusive with a user-friendly presentation explaining Area origin, purpose, operations, programs and acronyms at the local, district, area and international level. Tim Singletary has done a great job with this, and it should be continued. It could also involve education about our wonderful international offices and the amazing people who run them. It would be good for members to know that support from this small staff is strong, efficient, and readily available. Education about our international and U.S. Area websites is another aspect of knowledge that members can know about. (Our U.S. Area website is so impressive after the recent update by our webmaster, Rich Porter.) As Regional Director, I present small lessons about our organization to my club members at each meeting when I give my regional report. I will make more of an effort to “step it up”. Click or tap here to enter text. How do you rate your member’s impression of the ‘image’ of our International Movement? Our members’ image of our International Movement varies from club to club. As mentioned above, seasoned members have much knowledge of, and respect for, the International programs and their image of the International aspect of the club. However, there is a varying level of acceptance that I have heard about through district governors. A few members see only the need to belong to their local club, and they they do not want to pay the dues to the International level. Many club members pay regular dues to their entire organization, but do not have much of an awareness of the details of international involvement. To encourage the value of our international involvements, visits from our International President, as our region does each year, foster awareness and delight in interacting with our worldwide members. The efforts to encourage Brotherhood visits and other travel opportunities to Internation Conventiions, while it takes concerted effort, will help in improving this image of our International Movement to all of our members.Click or tap here to enter text. WHAT ARE YOUR REGION’S ‘BIG PLANS’ FOR 2020? Our big plan for 2020 includes diligently continuing in the process to charter one new club in the San Francisco Area. The prospective club is made up of twenty young families who are already organized and doing service in their church and community. After holding a successful regional convention in the Palm Springs Area in 2019, the region will hold this year’s convention in Fresno on the weekend of September 18-20 under the direction of Dan Eberly (RDE) and the committee. Plans are well underway. The region will hold leadership training in June around our Spring Conference. Spring Conference involves all regional members at a dinner meeting or other group gathering, and it is set for June 6th. Youth projects and membership are at the forefront, in our thinking. Jim Engert, the Youth Mentor Service Director, will work with regional officers to evaluate the situation and develop strategies for progress. Starting a high school campus Y Service Club is one idea, but it will take a willing soul and consistent participation on the local high school campus. Youth International Council member and Youth Representative, Lauren Henry, may also be involved in this process. Lauren has moved to Texas (an actual part of our region!), and would ideally like to visit the YMCA’s in her living area in order to see if any youth would be interested and available to form a youth club. After returning from the exciting RDE Training Summit in Toledo, Dan Eberly, RDE, is excited to share what he learned and, with the regional director team, form a vision and strategy for the region.Click or tap here to enter text.

PSW-RDE Report US Area Council meeting 1/11/20

The first International RDE Summit in Toledo Ohio left me reinvigorated, inspired and challenged to help grow our movement.

I hope to explore ideas from both India & Korea who have vibrant Y’s Mens organizations. My conversations with new friends from India pointed out their emphasis on family inclusion in club meetings and service activities. There was an atmosphere of fun in the Korean group, it was evident that they really enjoyed themselves. In Korea “Christian Principles” do not exclude Non-Christians, the focus is on SERVICE.

Some points that stuck with me were: Focus on increasing our RELEVANCE then the increase in membership will follow. Find ways to help members feel NEEDED and they will stick. Engage people at their level - they need to feel important. Treat other Y’s men as we treat our own families. Be PROUD of who we are - engaged in our communities and in active SERVICE.

Need to become more valuable to our local YMCAs - we share a history and similar values. Look to develop a JOINT PROJECT for the community.

We have a very competent YMI staff - I had good conversations with ISG Jose Varghese and the Administrative Assistants: James Olle and Tracy Movigliatti.

Our YMI Leaders were knowledgeable and shared more information and ideas than I could absorb in the four day Summit. IP Jennifer Jones works with IPIP Moon Sang-bong and IPE Jacob Kristensen as a TEAM decisions are not made in isolation.

It was good to meet our US Area team and and am confident we can rise to our challenges!

Dan Eberly, RDE - Pacific Southwest Region

DESCRIBE WHAT YOU DID OR PLAN TO DO TO PROMOTE YOUR SERVICE AREA: During Transition of new Trustees ,CFO and Service Director $5000. of ASF was provided one applicant. Applications and other pertinent info was passed on to the new team between November and January. January 2020 a $575 DSF was granted. Promotion currently: Previous Grant recipient testimonials in Ys Alliance. The Testimonials are a short exact story and photo explaining exactly how and why the grant has improved the grantees Y and their personal performance short and long term. These testimonials serve multiple objectives:

1. Show the readers and members that their donated funds are working. 2. Once published to the US Area and Regional websites, the specific testimonials can be printed

out and emailed to multiple targets: YSC members for meeting discussion to increase the giving goals based on the performance stories, Local YMCA that each YSC club is affiliated. Other YMCAs as an introductory tool to gain new relationships through grant giving awareness. Drive more traffic to the US Area Website. The on line Grant application forms must be very easy to locate, print out ie distribute.

3. This is a full circle marketing methodology. The application in color ,testimonials need to be ready for the Y to immediately post in “lunch rooms”, distribute in management meetings and any other YMCA source on line, print etc.

4. Publicly publish (any local news source) the recipient and brief info re the Y and local YSC that provided the funds WITH how anyone can donate to fund and join a YSC Club.

Grant Money drives the circle to replenish itself.

Provided a training during the North Atlantic Region Meeting. Presented during Area Council Meeting. Assisted in setting up for the RDE Summit. HOW DO WE GET MEMBERS TO PARTICIPATE AND HAVE A SENSE OF PRIDE IN YOUR SERVICE AREA? Few Clubs and/or Regions are doing trainings. I have always told the Regional Teams that I am available and will be able to provide a Power Point on whatever subject regarding Y’s Men. HOW DO YOU RATE THE CURRENT ISD/ASD/RSD/CSD program support? The support system has been redesigned within the last couple of years. While it is focused on keeping the ISD accountable, it is not necessarily seen beyond that point other than maybe increasing correspondence between ISD and ASD. I cannot provide RSD and CSD support if I do not know the persons that are in those positions. It has been several years since I have received that information……no information, no contact. WHAT CAN WE DO TO IMRPOVE OUR ‘IMAGE’ OF YOUR SERVICE AREA? Maybe feature the ASD in Alliance Newsletter a little more as they do for the IP newsletter for the ISDs. Each issue could include information from that ASD. Other than TOF and Malaria, I have seen little mention in our public media. OPEN FOR COMMENTS/FEEDBACK/SUGGESTIONS. Thank you for your service. NAME: Tim Singletary REGION: Pacific Southwest SERVICE AREA: U.S. PURPOSE OF YOUR SERVICE AREA: Membership and Extension DECRIBE WHAT YOU DID OR PLAN TO DO TO PROMOTE YOUR SERVICE AREA: I have reached out to RSD’s as was on a list and confirmed commitment to the year. I have reached out to RD’s to help fill vacancies. I am compiling a spreadsheet with pertinent Membership data, simple 8.5 x 11, to share with all RSD’s and Board. I have created list of New Club prospects to share with Board. HOW DO WE GET MEMBERS TO PARTICIPATE AND HAVE A SENSE OF PRIDE IN YOUR SERVICE AREA? Members or the RSD’s I communicate with? In a volunteer organization we are limited. However, I think all YSC leadership members need to realize that it is okay to keep pushing other members to help initiate, organize and plan the good work we could do. HOW DO YOU RATE THE CURRENT ISD/ASD/RSD/CSD program support? One way communication/great/somewhat depressing/not sure what csd means. Also, I would like to know how much funding towards either M or E is available to us (the ASD and RSD’s) WHAT CAN WE DO TO IMRPOVE OUR ‘IMAGE’ OF YOUR SERVICE AREA? MEMBERSHIP: Develop the myriad of resource materials for acquiring New Members, into a slick format, and then get those materials into the hands of every Club. Include as mush training (follow-up calls) as possible. EXTENSION: similarly, pulling together concise resources of how Clubs are to be established … the process, from beginning to the end of the established. Please know I am working towards all of this, but will need some guidance, as there seems to be newly developed materials from many different sources. OPEN FOR COMMENTS/FEEDBACK/SUGGESTIONS. Thank you for your service. Me too. I am open as well. However, I would like to say that our “Youth” experiment is floundering and yet seems to me something that can be of use for bolstering our membership. Perhaps a GoTo summit meeting with pertinent ASD’s headed by the AP and Officers can be of use. I look forward to discussing all these comments on this sheet at any time, with anyone.

DECRIBE WHAT YOU DID OR PLAN TO DO TO PROMOTE YOUR SERVICE AREA: Communicate with U.S. Area Clubs via the monthly Y’s Alliance newsletter. HOW DO WE GET MEMBERS TO PARTICIPATE AND HAVE A SENSE OF PRIDE IN YOUR SERVICE AREA? Through the Y’s Alliance, donations from clubs are shared and giving is encouraged towards the Area goal of $4,550. Quick facts were also included in different articles about the disease and the recent development in the multi-stakeholder partnership for The Global Fund to Fight Against AIDS, Tuberculosis and Malaria. HOW DO YOU RATE THE CURRENT ISD/ASD/RSD/CSD program support? On the Y’s Men website, informative video clips are powerful and impactful. Keeping material relevant and updated would be beneficial. WHAT CAN WE DO TO IMPROVE OUR ‘IMAGE’ OF YOUR SERVICE AREA? It is much appreciated when the Regional Directors take the message of RBM importance to their clubs at Conventions and meetings. Videos on the website could be shared at these gatherings to lend impact for the desperate situation and the measures needed to combat malaria worldwide. Involvement of youth at the YMCAs and among youth members might spark enthusiasm among their communities and Ys. Creative fundraisers by the youth, e.g. carwashes and mini carnivals, with multi-media information could possibly raise not only monetary donations but awareness of this disease. “Children Helping Children” is a powerful message.
