    Features in Release 3.70 The BCP (Distribution) Accord release 3.70, (available from September 2016) contains many new features. Details of all the enhancements and new functionality for release 3.70 are included in the September 2016 release documentation of the BCP Accord User Guides.

    Infrastructure / System Administration

    The following changes have been made to:

    Standard Windows Configuration - BCP Recommendations

    Hardware – BCP Recommendations For PC Configuration in order to Run Accord Windows Applications

    Windows 7 / 8.1 and 10 (32 and 64bit) are supported and require a minimum of 8GB of memory

    Software - Supported Version of Windows / Progress for Accord:

    Statement Background Images It is now possible to incorporate a background image to statements produced as a PDF document. If format files are used for the statement layout, the image selected can be specific to that format file.

    This is particularly useful, for example, in those scenarios where a different background image is required for each statement layout used (i.e. at the same depot). Alternatively a company logo may be added as an image and used as a letterhead.

    So How Does it Work?

    The format file used for the statement layout (e.g. statement.frm) is set up using Format File Maintenance (w-sy650). The desired image (e.g. stmt_logo) is added into the database using the Image Maintenance tab (in PDF Document Maintenance (w-sy630). The PDF Setup tab (in PDF Document Maintenance (w-sy630)) is then used to create a new entry

    for w-sl130 and the format file name (e.g. statement.frm) is selected as the Document Variant. The

    Print As indicator is set to PDF and the Background Image added is then selected.

    Provided that the relevant statement Format File set up (e.g. statement.frm) is selected in Statement

    Print (w-sl130), the image added is shown on the statement when printed.

    Accord Directories (sd1150)

    Use of this new program provides details of all the fields in the database that have a test directory in the

    help message and also displays some of the permanent tables held on scratch that include directory fields.

    Accord Directories (sd1150) checks:

    The field properties table (_field) for all fields that reference directory, -dir, path and folder in the field name, description, help and label

    Standard options that have directory in the help

    The results returned can either be viewed onscreen using the Display option or via a report using the

    Print option.

    Directory List Report

    The Directory List report shows the: Field Name, Label Name, Help Description, Scratch File

    Name and Scratch Index.

    User Count Utility (w-sdusercount)

    This new program which, contains some of the functionality of the User Count Utility (sdcount),

    shows the highest number of users logged into Accord each month and details of users currently logged

    in.

    User Count Utility (w-sdusercount) which can be run directly from the menu or as part of a user

    defined jobstream, contains two tabs: Monthly Highs and Current Info.

    Monthly Highs

    This tab contains two browsers. The User Count Monthly Highs browser (at the top of the tab), shows a list of monthly highs and is linked to the Users Connected at Monthly High browser, where

    details of the users connected for the line selected are shown.

    High User Count Report

    Use of the Print button prints the High User Count report which displays the user details for the

    monthly high (selected in the top browser).

    Current Info

    This tab shows the total number of users connected via Windows, Voice or Batch (i.e. processes

    running in the background) and the number of maximum users in the viewer at the top of the tab.

    The Users Currently Connected browser, displays details of those users who are currently connected.

    Use of the Refresh button shows the most up to date data.

    User Count Report

    Use of the Print button prints the User Count report which displays all the users currently connected.

    Operational Control

    Auditing Enhancements and Business Alerts

    As well as table additions and amendments, table deletions may now be audited.

    In this release, options are now available in the Audit Details section of Audit Maintenance (w-au010)

    to audit Updates, Deletes or Both as required.

    Business Alerts

    If licensed for the Business Alerts module, Alert Type 58 (Audited Table Alerts) is now available

    from the Notify tab of Alert Maintenance (w-ba070), to alert when table record auditing is in use and

    changes have been made to the parameters set up for Audited Tables.

    Once Alert Type 58 is set, the Edit Extra Parameters button becomes enabled which, when used,

    opens the Alert Parameter Entry screen. From this screen the user may select an audited Table, along

    with options to alert when Index / Monitored Fields are Added, Updated or Deleted.

    Cash & Carry / Checkout Accord Checkout (w-ck300)

    The new Accord Checkout (w-ck300) replaces the previous Checkout and uses the same framework as

    the main Accord system, so the look and feel remains the same and includes the following features /

    functionality:

    The local Checkout database is replaced by a local package database which is updated during the day as well as at the end of day. All data required is updated by the Checkout for both normal and the resilient processing of invoices and payments

    Either AppServer or Sonic messaging may be used for Checkout connections to the main Accord system

    The Windows Accord login screen is now used at the Checkout

    The new Accord Checkout uses the same style of menu as the main Accord system. The Accord Checkout menu uses the icon view which has icons that are larger than the main system

    To access the Accord Checkout / Cashpoint, the Operator is prompted to enter their Operator User ID and Password log in details (before the Customer Selection screen is displayed)

    Product images saved as .jpg files may be used at the Checkout once set up

    An On-Screen Keyboard is available for use on touch screen Checkouts (via On-Screen Keyboard button) or it can also be accessed using a mouse

    All Cashier screens have been updated and all screens can now be re-sized

    Checkout invoice entry has been redesigned using a single screen for customer selection and product entry. Combined Checkouts and Cashpoints go to the Payment screen after completing input of invoice details without having to use the Customer Selection screen

    All ledger updating is in real time, replacing the End of Day bucket account posting

    Financials

    Revised Budgets

    Enhancements have been made in Import Budgets (w-nl800) to allow budgets to be to be imported into

    the Current Year, Next Year or the Current Year Revised budget.

    Account Header Maintenance (w-nl030)

    This program has also been changed to allow the entry of revised budgets. If required, revised budgets

    may also be included in DataPA Dashboards.

    Account Reconciliation

    Various enhancements have been made to NL Account Reconciliation (w-nl650) which was previously named Bank Reconciliation (w-nl650)) some of these changes include the following:

    Column widths and labels in the browser have been extended. Multiple row selection is now available. New columns, Document Reference, Period, Date Reconciled and Reconciled Notes have also been added to the browser

    Any account may now be selected for reconciliation

    When the F5 Lookup is used in the Nominal Code field, all accounts are initially shown. If required the user can Filter By selecting to view a Reserved Account

    Two new buttons Reconcile Selected and Unreconcile Selected have been added and become available when multiple transactions are selected in the browser

    Use of the new Reconcile Selected button opens the Reconcile Options window where the Reconciliation Date and any Reconciliation Notes may be entered

    The Reconciliation Date defaults to today’s date

    The label previously named Comments in the Transaction Details section of the program and in the Reconcile Options window has been changed to Reconciliation Notes (up to 256 characters may be entered as notes if required)

    MA Account Reconciliation (w-nl660)

    This new program, which is the Windows version of Bank Reconciliation (nl660), allows simple account reconciliation for Management Accounts to be performed. It contains the same functionality as NL Account Reconciliation (w-nl650) and is used solely for Management Accounts.

    Extended Levels in Balance Sheets and Profit & Loss

    Balance Sheet (w-nl320) / Profit & Loss (w-nl330)

    Features contained within Consolidated Balance Sheet (nl550) and Profit and Loss Report (nl560),

    have now been incorporated into Balance Sheet (w-nl320) and Profit and Loss Report (w-nl330).

    Included in these features is the option to produce a Consolidated report for a group of companies,

    reporting at Summary or Detail level and the ability to export the data to a spreadsheet.

    Pre Recorded Journals (w-nl050)

    Changes have been made to the Details screen of this program to enable multiple journal lines to be

    copied and pasted from a spreadsheet into the browser.

    How Is This Achieved?

    1. A spreadsheet is created which includes the new lines required, ensuring that the data is in the same format as the columns in the browser of the Details screen

    2. All the data required in the spreadsheet is selected and copied

    3. Using Ctrl + V keys, the data is pasted into the browser of the Details screen. The ACCORD – Choose Columns dialog is then displayed

    4. The relevant columns to be pasted that correspond to the format in the spreadsheet are then selected

    5. Click OK to continue. If there are any errors (i.e. the number of columns in the spreadsheet does not match the fields selected in the ACCORD – Choose Columns dialog), an error message is displayed

    Colour highlighting is also available which is used to indicate:

    Any missing or invalid codes - highlighted in red

    Warnings - highlighted in yellow. For example if the Account Code entered is a Reserved account or if an invalid Cost Centre code is used

    To resolve these issues, ensure that the relevant data is corrected / added before the journal is completed.

    Journal Entry (MA) (w-nl250)

    Journals can now be entered directly into the browser of the Journal Entry, VAT Analysis and

    Expense Codes Analysis screens of the program. Use of this feature works in the same way as in Pre

    Recorded Journals (w-nl050).

    NL / MA Transaction Enquiry (w-nl730)

    This new enquiry program allows various transaction searches to be performed on Nominal Ledger and Management Accounts by Document Type (i.e. Invoices, Credit Notes etc.). NL / MA Transaction Enquiry (w-nl730) is the Windows version of Ad Hoc Document Enquiry (nl730).

    Company Group Maintenance (w-sy110)

    This new program, which is the Windows version of Group Companies Maintenance (sy110), allows Groups of Companies to be set up and maintained. Company Group Maintenance (w-sy110) can be used to print Balance Sheet and Profit and Loss reports for more than one company at a time, for those users who have a number of companies set up.

    Emailing Debit / Credit Notes

    If required, Debit / Credit Notes may be automatically emailed as an attachment to email addresses specified, by selecting the required Document Type from the Purchase Ledger tab of Automatic Document Email Setup (w-sy640).

    When a Debit / Credit Note is printed or emailed, the Purchase Ledger transaction status is updated. The Print Status column in the browser of PL Invoice Entry (w-pl170) and Debit Note Reprint (w-pl700) shows details of when the document was printed / emailed.

    PL Age of Credit Report (w-pl090)

    An Age of Credit report may now be produced using PL Age of Credit Report (w-pl090). A new section Report Options has been added to the program, which provides options to either Print Report or Export to Spreadsheet as required. If the option to Export to Spreadsheet is selected, the relevant Template and File Name may be selected.

    Purge VAT PDD Records (w-pl850)

    VAT analysis records for a specified date may now be purged using this new program, which is the Windows version of Purge VAT PDD Records (pl850).

    SL Transaction Archive and Purge (w-sl1090)

    Sales Ledger transactions paid in full and not linked to any unpaid transactions or open periods, may be archived or purged using this new program.

    If the option Archive SL Trans is set to Y (in Options Maintenance (hk060)) the following Archive

    Options are available:

    Purge VAT PDD Records (w-sl1110)

    Use of this new program allows VAT analysis records to be purged for a specific date.

    Invoice Number Prefix

    A prefix may now be added to Invoice Numbers for some invoices / Credit Notes and reports using the new Invoice Prefix feature, if the Invoice Prefix option is set up along with a Sales Ledger account level setting. The prefix used contains a two digit year and can optionally include a two digit month, Depot code / Depot Prefix Number.

    for printing statements (via Statement Print (w-sl130)).

  • Page 14 Products / Suppliers / Customers Customer Maintenance (w-cu010) A new tab Voice has been added to the program which incorporates the Voice Batch Picking options removed from the Miscellaneous tab.

    The A Customer Pick Type may be amended if desired by Pick Type By Customer Department (w-cu880), which can also be accessed by use of the Maintenance button (on the Voice tab of Customer Maintenance (w-cu010)).

    Include Eliminated Product with Stock on PLOFs New module option 565 is now available (in Module Configuration (w-sy610)) which allows eliminated products with stock to be included in PLOFs (at Depot level) to be set by entering a comma separated list of PLOF Groups or All Product Groups.

    If this option is set to ALL, when PLOFs are created using Automatic PLOF Extract (pf375) and PLOF Maintenance (w-pf030), eliminated products with available stock are included, or if the product’s PLOF Group is included in the comma separated list.

    Central Store Replenishment CSR Maximum Sales Calculations If a product ordered is on promotion with CSR Maximum Sales enabled and new module option

    452 is set to Yes (in Module Configuration (w-sy610)), then Maximum Sales are used in the ROQ calculation.

    In addition to this, if the product ordered is not on promotion and is substituted for a product that is

    on a promotion and the substitute products promotion has Maximum Sales enabled, then

    Maximum Sales is used in the ROQ calculation for the product being ordered.

    CSR Presell Top-up Promotions This new functionality is now available and optionally allows:

    All stores to be supplied with their initial allocations by assigning an amount of stock that is ring fenced for specific CSR and normal presell allocations

    Trading teams to cap the top-up amount to the stores presell allocations by product / promotion

    Purchase Order Processing Goods Receiving Error Report (w-xs080)

    This new program allows Voice Receiving / Goods Receiving errors (via the Sin Bin) to be viewed or

    printed, for a specified date range.

    New Format File Categories for Purchase Orders Sent By Email

    Purchase orders can be sent via email either as a PDF or a plain text attachment. In order to separate

    those purchase orders that require a PDF attachment from those that require a plain text attachment,

    two new format file categories (POP for text and POP for PDF) are now available.

    So How Does This Work?

    Once the relevant purchase order format file

    is selected, the appropriate Category is

    assigned from the Category drop down

    (from the Format Files tab in Format File

    Maintenance (w-sy650)).

    For purchase orders that are emailed as a PDF attachment, the Print As indicator must be set to PDF (on the PDF Setup tab of PDF Document Maintenance (w-sy630)).

    Sales Order Processing Ad Hoc Delivery Note Print (w-in705)

    This program is now available and is used in those instances where a printed Delivery Note is required

    for those customers who do not produce Electronic Delivery Notes (EDN) and when Status 60

    (Awaiting Delivery Note) is not in the Sales Order Processing sequence.

    The following filtering options are available to specify the records shown in the browser: Depot, Customer, Order Number, Status and Create Date.

    Web / Mobile Ordering Keep Me Logged In

    New option 669 is available (in Module Configuration (w-sy610)

    and, if set to a value greater than zero, the Keep me logged in option

    becomes available from the Log in screen in the Mobile Ordering

    app, which allows a user to remain logged into the Mobile Ordering

    app.

    If the Keep Me Logged In option is ticked, the session cookie that keeps the user logged in expires after the specified number of days (set in option 669) even if the app is closed.

    If the Keep me logged in option was ticked, only use of the Logout button will log out the user.

    Voice / Warehouse Management Filtering By Default Date in Picking Management (w-rf015)

    Visibility of only the current pick requirement is now available from the Batch, Rel Pick, Route Assign

    and Replen screens in the program, by use of the Default Date filter. Use of this feature allows data from

    the main screen of the program to be sorted further by use of the Filter drop down options.

    The Default Date Filtering in Use is specified using voice option 139 (in Voice Options Maintenance

    (w-hk720)) which becomes effective on loading Picking Management (w-rf015).

    In those environments where picking is performed over midnight, this voice option allows the screens in

    the program to switch from tomorrow, as the default, to today.

    The Delivery Date in use, is shown in the title bar of the program.

    In this example the Default Delivery Date is set to today Friday

    19/08/2016.

    If required the Delivery Date used may

    be changed or removed within the

    program via the ACCORD – Delivery

    Date dialog which is accessed via the Options menu and selecting the

    Delivery Date Filter.

    Optionally Changing The Delivery Date

    An option is also available from the ACCORD – Delivery Date dialog, which allows orders to be viewed

    up to and including the Delivery Date entered, by ticking Show earlier orders option.

    In this example, the Delivery Date was changed from

    19/08/16 to 20/08/2016 and the option to Show earlier

    orders was ticked.

    The title bar reflects the changed Delivery Date and the

    browser shows all orders up to and including the changed

    Delivery Date.

    Ad-hoc Rebooks Within Picking Management (w-rf015)

    At the point of Rebook the Ad-hoc Substitutions functionality may be used in conjunction with Voice Picking or RF Picking.

    When performing substitutions (I.e. rebooking short picked lines), Ad-hoc Rebook is now optionally available which allows a product and quantity to be manually selected for substitution.

    So How Does This Work?

    To use this new method, voice option 137 must be set to Y (in Voice Options Maintenance (w-hk720)), so the option Ad-hoc Rebook is available. When a line is selected from the initial screen of Picking Management (w-rf015) that requires an ad hoc substitution, the following screen is shown.

    So

    Right click on a line and select Ad-hoc Rebook from the menu which opens the Ad-hoc Substitutions screen which displays details of the Original Product entered and any substitutions set up.

    In this example, the Ordered Quantity of BACARDI SUPERIOR WHITE RUM is 24. The Substitute Quantity defaults to the Remaining Quantity e.g. 24.

    The substitute product set up has a Divisor of 2, therefore the Substitute Quantity is actually 48 (Divisor (2) x Remaining Quantity (24) = 48).

    Picking Performance Dashboard (w-rf310)

    This program provides an overview in real time of the picking in operation at a depot and shows the

    Pick Rate Details of departments along with Rebooks information.

    Picking Performance Dashboard (w-rf310) consists of three tabs: Summary, Pick Rate Details and

    Rebooks.

    Summary

    This tab shows an overview of the picking performance and current production. The following sections

    are available from this tab to filter further: Pick Status (i.e. Complete, Released and Unreleased),

    Customers, Overall Totals (Depot, Picked, Outstanding, Total and Total % Complete), Route

    Breakdown / Route Overview, Department Breakdown / Department Overview, Total Pick

    Rate, Pick Rates by Department and Pick Rates by Assembler.

    Pick Rate Details

    The picking data that relates to each Assembler, is shown on this tab. Details available include the

    following: Assembler Name, Number of Cases picked, Number of Lines picked, Pick Rate, Inactive

    Count, Break Count, Pick Start Time, First Pick, Last Pick and Pick End Time.

    Rebooks

    Use this tab to view potential rebooks (i.e. lines at a status of Held) and those rebooks yet to be picked

    (i.e. at a status less than 2). Details available include: Order Number, Route, Order Quantity, Sent

    Consolidate By Customer (vr997)

    The Consolidate By Customer voice task creates Master Change (mastchg) records which may be deleted using this new purge program. It can be run from the menu or as part of a user defined jobstream.

    Purge rt080 Logs (wm1010)

    Purge logs created by RF Pallet Movement (rt080) are purged using this program. Module option 627 is available in Module Configuration (w-sy610), to set the number of days rt080 logs are retained.

    Stock Evaluation Report (Standard Cost) (sc066)

    This new reporting program is available which produces a report based on Standard Costing, regardless of the setting of the Cost Evaluation option in Options Maintenance (hk060).

    Stock Evaluation Report (Standard Cost) (sc066) may also be used to produce a report that provides the full replacement cost of stock. It can be run directly from the menu or as part of a user defined jobstream.
