What is it?  Google Apps Sync for Microsoft Outlook is a plug-in that syncs Outlook with Google Apps just like Outlook syncs with Exchange

Why does it matter? It is superior to previous Google products like Calendar sync because it provides Calendar, Contacts, and Mail sync, Global Address List lookup, and Free/Busy lookup.

What are the limitations?Delegation.  Sync of Tasks, Notes, Journals.  Public Folders.Google Apps Sync for Microsoft Outlook requires at least Outlook 2003 SP3 and 2007 SP1 with a Microsoft patch.  It runs on Windows XP SP2 with select patches and Vista SP1.

A quick demo of Apps Sync for Microsoft Outlook is a great way to overcome the objection that users will not be able to adjust from Exchange/Outlook to Google Apps and is great to show CIOs.

The best way to demo the plug-in is to focus on three common features that highlight how seamlessly Outlook can work as the front end for emailing and calendaring in Google Apps:

Email: show that emails sent and received show up immediately in the Outlook interface Open both Gmail and Outlook Send an email from Gmail and show that it appears in Outlook

Contacts: demonstrate that all contacts are synced in the Global Address List Start composing an email in Outlook. Show that the contact from Google

Apps is automatically called up in Outlook. Open the contacts interface in Outlook and in Gmail. Show that the content is

synced, including the pictures. Calendar: show that events created in Google Calendar appear automatically in

Outlook and vice versa. Create an event in Google Calendar Open Outlook, refresh, and show the event is seamlessly updated in Outlook

too.

Why are we supporting a non-Google UI?In businesses with more than 100 employees, the cost of rolling out Google Apps becomes extremely high if the business needs to retrain their users.  What's more, their executives are rarely willing to retrain at all.  In order to enter these markets (where we charge $50/user/yr) we need to eliminate this barrier to adoption.  Over time, we expect that users will transition to Google UI because we'll offer innovative features, a better experience, and no need to purchase client software upgrades.

Why would I want to keep Outlook when I switch to Google Apps Premier Edition?While IT Admins quickly understand the cost savings of using Google Apps, large businesses might opt for a phased approach when rolling Google Apps out to their users since the cost of retraining users can become high. Google Apps Sync for Microsoft Outlook allows IT to immediately save on infrastructure costs, while letting them spread out deployment and training efforts thereby allowing users to adopt Google Apps web interface at their own pace.

Can I run a pilot of Google Apps and keep Exchange at the same time? Yes, Outlook allows you to access multiple accounts at the same time. Google Apps Sync for Microsoft Outlook will automatically set up a Calendar and Contacts account to Google Apps, and help you set up an e-Mail IMAP account as well; however you can still keep your Exchange account active at the same time. This is useful for migrations, account transitions, or even for piloting Google Apps without having to get rid of your Exchange environment immediately.
