Celebrating 30 Years of Faithful Service in Whatcom County Office Manager Job Description Part-time position: 15 hours per week, some schedule flexibility. Starting pay rate: $13-15 depending on experience. Reports to: Executive Director The role of the Office Manager is to keep our James St office running smoothly and efficiently, and to guide the ongoing optimization of systems for a dynamic and growing team of staff and volunteers. In addition to sharing the leadership of developing office systems, this person will be responsible for overseeing the execution and completion of all administrative, communication, and organizational tasks within the office. General Duties: Manage and Optimize Day-to-Day Office Operations: Develop a plan for establishing and maintaining an organized, hospitable, and efficient office environment. Support the Director with non-Call Center related communication for the organization. Prepare informational packets for new church partners, volunteers etc. Process mail and email communications, phone calls and messages. Schedule meetings and help manage office calendar. Some supervision of other staff, volunteers, and interns with capacity for these responsibilities to increase over time. Event Planning and Coordination: Serve as team lead for major annual and monthly events. Communications: Communicate to constituents via donation thank you letters, tax receipts, event invites, newsletter mailings, etc. Proofread reports and written documents for grammar, punctuation and spelling errors. Create draft communications for the Director's overview. Financial: Basic bookkeeping responsibilities. Process incoming donations in QuickBooks, keep donation log, and help prepare bank deposits. Maintain and update the records of constituent contact information, mailing list, tracking church partnering info and partnership records, etc.

Required Skills: Strong skills in communication, organization, and administration. Strong computer skills: Proficient with Word, Excel, Gmail and Google Docs,

and navigating the Internet and social media networks. Confident learning new computer software and databases, such as Publisher, Mail Chimp, QuickBooks, etc. Able to help with some media/marketing via social media networks.

in Whatcom County Relational Skills: Patience, listening, lovingly serving, and

communicating kindly with people. Skills and experience one ore more other area relevant to the needs of our

small but growing nonprofit, such as leadership, entrepreneurship, marketing, finance, fundraising, or volunteer management.

Qualifications: Past administrative, event planning, and/or managerial experience

preferred. Efficient with time, well-organized, self-motivated, dependable and a team

player. Familiar with social media networks (Facebook, Twitter, LinkedIn).
