NFYFC Is often asked questions about the Discovery Programme, so we have put together an information folder to help answer questions.

The chance to travel with the NFYFC Discovery Programme is a hugely rewarding experience, but not enough members are aware that they could be part of the Discovery Programme. It needs dedicated members and staff to make members aware of what is on offer, and we hope this folder helps you to do that.

Many of you will have travelled with NFYFC which is why you are so keen to help spread the word, others of you may have come to the post of International Link Person with more limited knowledge of what Is on offer. It seems to be that word of mouth is the best way of persuading members to take part, so any international nights at county level or talks at clubs will help encourage members to take part.

The Discovery Programme Is not just about getting abroad; it is also about hosting the exchangees who come here. Trips are only available to our members if we host members from other countries. We need to make sure that the exchangees that we host see the best of Britain and of YFC activity. Hosting Is a club activity, with one member providing the bed and breakfast, and other members providing the daily activities. Please encourage everyone to get involved and get their club on the world map.

IDEAS FOR PROMOTION

As a member of YFC, EVERY member has the right to be fully informed about the Discovery Programme. Here are some ideas to help you promote Discovery, dependent on how much time you’ve got – some Counties have designated ‘International’ representatives.

1) ‘Any other Business’ 2 minutes at a Club business meeting or County Exec/GP meeting. Mention Discovery and take copies of the Discovery Brochure with you. You don’t need to get around to all these meetings yourself. Don’t forget to ask your County Field Staff and County Officers to mention Discovery when they attend meetings – arm them with copies of the brochure too!

2) ‘Pre Arranged slot’Ask if you can tag on to something that is already happening – no hassle and you’re guaranteed a good audience, e.g. County Executive, Club meeting. Offer to do a 5/10/20 minute presentation on the programme using the example presentation available to download from www.nfyfc.org.uk/discovery

3) THE BIG ONE – a Discovery Programme International EveningHaving done your initial promotion, invite interested members (and their friends) to an ‘International Extravaganza’ evening. Consider:

ICEBREAKERS FOR AN INTERNATIONAL DISCOVERY EVENING

INTERNATIONAL SPEED DATING

Fancy speed dating with a foreign twist – number people so you end up with pairs of couples, then stand them up opposite each other in a line. Each half of the pair has to think of a Country to come from (excluding Countries in the British Isles) and try and do the accent when answering questions!! Give the couples 1 minute to talk to each other and guess which Country each comes from.

WHICH COUNTRY AM I?

This game is played by sticking a piece of paper on the back of each participant. No one may look at what is written on his/her back. On each sheet of paper is written the name of a country. Participants move around the room asking questions to find out the identity of their country. Other people may only reply by answering Yes or No to questions.

You could limit the countries to Discovery trip countries only - Australia, Austria, Canada, France, Germany, Kenya, Northern Ireland, Norway, New Zealand, Switzerland, Sweden, Scotland and Uganda

DO I KNOW THAT COUNTRY?

Divide into 4 groups. Each group is given a country, and they need to write out a list of 6 - 8 facts about that country. Choose one member to read the facts out, the other groups have to try and guess which country the facts describe

RIVER RACE

Divide the group into teams. Give each team member the name of a river written on a card. On a signal the team must line up in alphabetical order with the A rivers at one end and the Z rivers at the other. Do not allow the members to talk. The last team to get into alphabetical order loses.

THE FORGOTTEN HALF……..HOSTING!

Hosting Exchangees in your County - Broaden Your Horizons without Travelling!

Hosting the incoming exchangees is often the forgotten half of the International programme, but is no less important. Hosting an exchangee provides a wonderful opportunity for the members in your county to sample another culture.

Hosting information

The hosting chart is usually sent through to the county office and links persons in February for the forthcoming year. As a guide, the exchangees arrive in groups, to coincide with Annual Convention in April/May and June/July council. Exchangees are usually hosted for one week in each host county. Exchangees must not stay with more than one family per week. This is very important for the long term exchangees, who find it very tiring if they are constantly on the move.

Please remember that it is the club that hosts the exchangee, so it should not just be the host family taking responsibility for the exchangee. Try and encourage the club to arrange for the exchangee to spend different days with different members. Remember everybody gains from the experience! Exchangees appreciate quiet days now and then. This may give them a chance to catch up on their diary, write letters or just catch up on some sleep!

Number of exchangees

The number of exchangees varies each year, but we try to send out a similar number as we host. Exchangees are allocated according to the number of members in your particular county. We try to send a variety of nationalities to each county each year, and also at different times of the year.

Selection of families

Finding host families can sometimes be difficult. Try and make your members see it as a wonderful cultural opportunity, rather than a chore. Most host families relish the experience and often the exchangees become friends for life!

Let your counties clubs know early about the incoming exchangees. You could do this at a County meeting, or put the information in your County newsletter.

Before an exchangee arrives in this country, we try to let them know the names and addresses of the places they will be hosted by in the first couple of weeks. When you have found a host, please fill in the host family information sheet, and send it as quickly as possible back to the National office. Make sure your host families know the responsibilities of hosting. Give them a copy of the 'Guide to host families' leaflet.



When our delegates are hosted abroad, we like to think that they have been placed in suitable homes, well known by the organisation concerned. Please ensure that we do the same for our guests, and in particular, that exchangees have their own room. One golden rule is that girls must never be hosted with young men. This is very important, and must be adhered to. If there is a problem with this, then please contact the Discovery office.

The exchangees are asked to make contact with their new host families 3-5 days before departure, to arrange travel details etc. When hosting an exchangee in your county, it is often a good idea to contact the host family and the exchangee, just to check that things are going well. You can then answer any concerns that the exchangee or family may have.

After the hosting period, contact the family again, and thank them for hosting, and get any feedback. If at any time there is a problem that cannot be resolved then please contact the National office as quickly as possible.

To summarise, duties for hosting exchangees are:

Identify from the hosting chart, who your county is hosting, and when.

Publicise the incoming exchangees in your county, let your members know what a fantastic opportunity hosting is.

Identify suitable host families,

Send completed host family form back to Discovery office as quickly as possible.

Remember to contact exchangee and host family during hosting period.Thank all participants after the hosting period.

Remember to treat the exchangees as you would like to be treated, they are Young farmers, just like yourself!

TRAVEL EXPENSES BETWEEN HOST COUNTIESThis form is to be used for all exchangees from all countries.

NFYFC pays for onward travel from a county for each exchangee.

National Express Coaches are the preferred method of transport. Rail travel will only be reimbursed if there has been prior authorisation from NFYFC. Under no circumstances will air travel be paid for.

If you use your car the total mileage from your home to the meeting point and back will be reimbursed at the NFYFC Council agreed rate of 20p per mile.

Claims for meals out, entry fees, costs of attending club, county or regional functions and other sundry expenses will not be met by NFYFC, these need to be funded by the club or county hosting the exchangee.

Exchangees will not be able to open bank accounts whilst they are in the UK because of the stringent security measures now attached to opening a new account. Therefore we ask that all onward travel arrangements are arranged and paid for either by the County Office, International Linkperson or the Host Family on behalf of the exchangee, and then the costs reclaimed from NFYFC. Please ensure that receipts are enclosed at all times.

We will provide a fact sheet for each country, however the following information will be of use for every one travelling abroad.

Please read it carefully!!

Passport: Please check now that you have a valid passport in your name and that it will be valid for 6 months after the date of your return. Please make sure the next of kin emergency contact is completed.

Health: Please go to your doctor and ensure your vaccinations are up to date (e.g. Tetanus and Polio), and check to see what other vaccinations you may need for your chosen country. Sometimes these have to be administered over a period of weeks so allow plenty of time.

Insurance: It is a condition of the programme that you have adequate travel insurance to cover you whilst you are away. Please read the policy conditions carefully, you must be aware of what you are covered for.

Foreign and Commonwealth Office Travel Advice: Look on the web site www.fco.gov.uk for updated travel advice.

Department of Health: For up to date advice on health issues for travellers look on the web site www.doh.gov.uk/hat

Flight Protection: Make sure when you book your flight that your booking is ATOL protected. Look on the web site www.atol.org.uk for more details. Don’t forget to reconfirm your flights 72 hours before you fly.

Copies of Documents: Please take two photocopies of your passport information page, and your travel insurance documents, airline tickets and credit cards, one to go with you and one to leave at home. Make sure a relative knows your credit card details and how to cancel the cards if they get stolen.

What to Take:

Travel light; you will have to carry your own luggage. Carry the minimum amount of valuables necessary; do not take anything you would hate to lose. Make sure you have a money belt to go under your clothing. If you wear glasses take a spare pair. Keep all medicines in their original, labelled containers and bring a copy of your prescriptions. Bring Travellers Cheques and a major credit card, not cash. Put the name and address of your destination on your luggage label. Make sure your home address and phone number is written inside your luggage. Have lockable

luggage if possible. Contact telephone numbers for your host/collection person in case of problems on arrival

Be Aware:

Whilst abroad use common sense, be aware and look after your own security. Read up about the country you are going to and make sure you understand risk areas. Try not to travel alone at night, watch out for pickpockets and scam artists. Make sure that you only have a small amount of money in your outer pockets; use a money belt for the rest.

Only deal with authorised agents when you change money. Only sign traveller’s cheques in front of the person who will cash them. Make sure your credit card is returned after each transaction.

When you are in a foreign country you are subject to its laws, be aware of what is considered criminal in the country where you are. Overseas you may be arrested for actions that may be legal at home, or considered minor offences.

Lost or Stolen Items: If your possessions are lost or stolen report the loss immediately to the police. Keep a copy of the police report for insurance claims and as an explanation of your

plight. After reporting the missing items to the police, report the loss or theft of:

Traveller’s cheques to the nearest agent of the issuing company Credit cards to the issuing company Airline tickets to the airline Passport to the nearest UK embassy or consulate

Assistance Abroad: Should you find yourself in legal or serious medical difficulties contact the nearest British Embassy or Consulate. They will be able to offer advice and make contact with

family at home to explain the situation.

Departure from the UK: Check the suitcase and hand baggage weight limit with your chosen airline, leave capacity for souvenirs etc. Excess baggage rates can be very expensive. Do not take scissors, penknife, aerosols etc in your hand luggage, again check with your airline.

Leave ample time to get to the airport, make sure you know which airport and which terminal you are departing from. Double check to make sure you have all your documents with you for travelling.

Drinks are often free on long haul flights, do not drink too much as entry into countries can be refused if you are drunk. Drink plenty of water so you don’t get dehydrated and walk about as much as you can.

Most countries have strict import and quarantine regulations. Do not take any meat, dairy products, fruit, vegetables, fish, corn seeds or any other type of plant material with you if you are going to a country outside of Europe. Make sure all footwear is spotless.

Arrival in Hosting Country: There may be delays on arrival, please be very patient as you go through customs. Remember to report any lost/damaged baggage before leaving the baggage reclaims area. You will be tired on arrival after a long haul flight, please give your self-time to adjust. Try and ring or e-mail home just to say you have arrived safely.

Homesickness/Culture Shock: This may affect you at some point – do not be afraid to admit it. Talk to your hosting family, and mix with your new friends and try not to dwell on it. The feelings will be of disorientation, insecurity, and the feeling of inability to cope with the situations arising in a strange environment. If it affects you recognise it for what it is, realise that it won’t last forever and try not to let it ruin your trip. Try not to ring home if you are feeling home sick, it will worry your parents who will think there is a big problem.

Parents PassportsFor the longer trips it might be wise to suggest that at least one of your parents has a valid passport in case of a serious emergency whilst you are away.

Staying on after your organised trip: If you stay on after your organised trip has finished there are three things that you must consider.

1 Amend the date for your return air ticket

2 Extend your insurance cover

3 Make sure you have a valid visa
