You will support the International Courses Academic Director (ICAD) and the Director of Junior Programmes (DJP) in all aspects of summer school management particularly relating to activities, excursions, transfers and pastoral care. The Centre Activity Manager is responsible for ensuring that all relevant staff are well informed and organised, that the programme is well delivered and staff engage well with students to ensure that they are happy, involved and enjoying their time at the College. The CAM’s role is central to ensuring that we provide enjoyable, successful and safe activities in a professional and friendly way. Inductions You will participate in an induction planning session with the DAP, ICAD and DJP prior to the start of each new programme You will induct all relevant staff working as ALs to ensure they have a full understanding of their roles and how to carry out their duties. You will read, understand and follow Chaucer College’s Child Protection Policy and Safeguarding procedures. You will also take the Chaucer College Online Child Protection training course. You should inform all staff members working on the activity programmes

Job Title: Centre Activity Manager

Main purpose of job:The Centre Activity Manager (CAM) is responsible for all aspects of the delivery of the activity programme. roles and how to carry out their duties. You will read, understand and follow Chaucer College’s Child Protection Policy and Safeguarding

procedures. You will also take the Chaucer College Online Child Protection training course. You should inform all staff members working on the activity programmes of their responsibilities while working with children and ensure they take part in the online training course.

Liaison and AdministrationWorking with the ICAD and DJP -

You will attend meetings with them and other relevant staff when required You will agree any proposed changes to programmes and activities in advance You will liaise with ICAD, DJP and the Transport & Bookings Coordinator to check all relevant

bookings are in place. You will ensure that a file is in place containing cash, vouchers, tickets, cheques, maps, guides, name

lists itineraries etc. You will hold a briefing meeting with the team involved prior to the trip. You will ensure that all staff involved are on a planned rota, so as to meet their contractual

obligations and ensure adequate supervision at all times of the day.

Attend a briefing daily with DAP/ DJP/ ICAD to run through the activity schedule to ensure the Group Leaders are fully informed.

Attend a weekly meeting to discuss the upcoming weeks schedules of afternoon and evening activities, trips and transfers and report on any feedback from customers

You will ensure that all activities and excursions are published in advance and are well organised. Where necessary you will organise and oversee students sign-up sheets for the evening activities, ensuring all students are engaged every evening. You will ensure that all members of the team are suitably briefed on a daily basis before each activity/excursion and that they fully understand what is expected of them. You will take part in the activities and excursions where appropriate.

You will be required to provide guidance documents for all relevant staff on evening activities/ excursions and you will need to create new guidance documents for any new activities set up.

Maintain and renew resources for activities as needed Carry out risk assessments and log them with the DJP. At the end of the programme you will give a written report on the activity and excursion programme

covering strengths and weaknesses and suggestions for future improvements.Management and Monitoring

Manage the delivery of the activity programme, including onsite activities and excursions Support all staff working on the activity programme, making best use of their skills. Support the Senior Activity Leaders (SALs) in their pastoral duties You will ensure the smooth operation of transfers, arrivals and departures of groups from the

College in liaison with the DJP and Transport & Bookings Coordinator Ensure all groups and Group Leaders are fully briefed on arrival. Ensure that Group Leaders are involved in the activities and excursions programme throughout their

stay, both in terms of communication and active participation in supervising their students during the activities and during down-time or at lights-out time.

Hold daily briefings and meetings with staff and GLs to discuss current activities, and to obtain feedback from the staff and customers. Make notes of all meetings and feedback to the DAP.

Ensure the quality of the activities delivered is high. Monitor the standard of activities by regularly observing and taking part in activities.

Provide staff development for ALs and other relevant staff during induction and carry out regular observations and feedback throughout the programme. You will share feedback with the DAP on their performance and make them aware of any concerns.

Provide a short reference for each AL at the end of the season and make recommendations to the DAP regarding further employment

Maintain accurate records of staff hours and duties. Ensure appropriate standards of staff and student discipline are maintained raising any concerns with the DAP.

Activities You will supervise and run activities in afternoons evenings and weekends including trips on a rota. You will be the responsible senior staff member on-site overnight and at weekends on a rota. You will be on late evening duty to ensure the quiet return of students to rooms and lights out on a

rota with others.Policies and Safeguarding:

You will be required to familiarise yourself with the Chaucer College Handbooks and all relevant policies.

You must report any incidents or concerns, no matter the severity to the Director of Junior Programmes immediately.

Ensure a safe and secure environment at all times including overnight in conjunction with other colleagues and to be the senior member of staff on-call as required.

An understanding of the different social and cultural backgrounds of International students.

Experience of student welfare

Previous experience of working in a Summer School environment and managing a team of Activity Leaders other relevant staff

Previous management experience

An energetic and enthusiastic attitude A polite, pleasant personality with excellent interpersonal skills particularly with teenage students of either genderProfessional appearance relevant to the role/activity being undertakenGood IT skills including experience using Outlook, Word & Excel
