3. Ensuring A Correct Fit - A Guide To Measuring

As per UPS Corporate guidelines your Driver Uniform has been designed for your working environment. Please refer to the size charts and measuring guidelines below.

1. Measurements should always be taken by somebody else – drivers should not measure themselves.

2. Drivers being measured should stand relaxed on a flat surface.3. To ensure a comfortable fit, the measuring tape should be held with two fingers between

the tape and the body.4. Drivers should follow the body illustrations to ensure that the correct area is being

measured.a) Chest measurements should be taken at the widest point with the tape held flat against

the shoulder blades.b) Waist measurements should be taken at the narrowest point with the tape held flat

against the back.c) Hip measurements should be taken at the fullest point with the tape held flat.

5. Remember that the length of the garment is important to a good fit. The required length should always be measured and checked before ordering.

6. Once all appropriate measurements have been taken and noted, the measurement/sizing table should be used to define the correct size to order.

Special Measures and Special Garments

To order Special Measures and special garments please request the relevant order form from the Dimensions Helpdesk on +44 (0) 1332 856918 or email a request to ups@dimensions.co.uk When ordering a special measure, please ensure that all measurements are completed in the relevant section of the order form including your height.

Special Measure garments will be made to measure and delivered within 6 weeks.

Please note that special measures should only be ordered for people who fall outside the size chart, i.e. over a size 52 (UK)/ 66 (D/EU) chest or 48 (UK)/ 66 (D)/ 60 (EU) waist for men, or under a size 34 (UK)/ 44 (D/EU) chest or 28 (UK)/ 44 (D)/ 36 (EU) waist for men.

6. Ordering Your Uniforms – Using the Dimensions Website

Please refer to the Administrators User Guide for the Dimensions Uniform Ordering System (DUOS)

7. Deliveries and Admin Control

Deliveries

Garments are delivered to individual drivers in personalised packs. Each pack contains a label on the outside showing the wearer’s name and employee number plus a list of the garments enclosed. All deliveries will be sent via the UPS International Network

Order Receipt Instruction

On receipt of delivery, please check the despatch note carefully against the garments received. Tick off the contents against the despatch note to ensure that all garments have been correctly included within the despatch.

Discrepancies

In the event that there is an item missing, i.e. it appears on the despatch note but is not included in the parcel, circle the item on the despatch note and note “SHORT DELIVERY”. You must sign the despatch note and contact the Dimensions Helpdesk on +44 (0) 1332 856918 or email to ups@dimensions.co.uk immediately after the shortage has been identified.

You will not be invoiced for short deliveries.

The despatch notes will only show garments that have been despatched to the site. If a garment has been ordered but isn’t delivered or appear on the despatch note, DO NOT REORDER. The order will remain on the Dimensions order system and will be delivered automatically when the stock becomes available.

8. Uniform Returns for Short and Wrong Deliveries(Male and Female)

For the UPS Centre Manager

If any Drivers have received garments where the size is unsuitable:

Ensure the relevant item(s) are circled on the despatch note. Keep a copy of the despatch note for future reference.

Reorder the replacement garment on the Dimensions Website.

Complete a Returns Form for the item(s) you need to send back. NB: if this paperwork is not completed in full it may not be possible to issue a credit.

Package garments for replacement, along with a copy of the returns form and arrange for the garments to be returned using the UPS Network.

To ensure you receive a credit please make sure that the garment is in a resalable state. Do NOT mix new and soiled garments within a package.

We recommend that all garments be washed regularly in accordance with their care instructions found inside the garments and within the care guide provided with each new uniform.

Login Procedure

1. Open your web browser.

2. Type http://duos.dimensionscorporatewear.co.uk/ups in the address field and press enter. Note: Users may also access the Web site via the Procurement Services Web site (http://www.inside.europe.ups.com:7837/). Click on “Navigate."

3. At the login screen, enter admin followed by your region/district/centre SLIC with no spaces (i.e.,admin00112222)

4. Enter your password. See the user guide for first login procedure.Note: The password is specific to your centre. Please call Europe Region Procurement (+49 (0) 234 2980 426) to obtain or reset your password.

5. Click the "LOGIN" button.

Ordering Procedure

1. Click on the “Place Order” under the Ordering Options menu. The "Create Order" screen will appear.

2. Complete the required fields for the relevant wearer.

3. Click “Select Products” button to display the catalogue page screen.

4. Choose the size and key enter the quantity of each item you wish to order. Note: Click the image to see a picture of the product or select the Click For More Details Link.

5. Click the “Add” button to move your selected garments into the Shopping Basket.Note: If an error message is displayed, follow the on-screen instructions shown in red to correct the error.

6. Click the "Checkout" button or “View Basket” option to display the garments selected.

7. Click the “Remove” button to delete items.

8. Click “Checkout” button to select delivery options and select the “Confirm Order” button to send the order. This will display the “Order Confirmation” screen.Note: The "Order Confirmation" screen assigns a control number and confirms that the order is being process by Dimensions. If you need to change or cancel the order after you receive a confirmation number, please call Dimensions Customer Service Desk immediately on +44(0)1332 856918.

This completes the ordering process. Please print out the “ORDER CONFIRMATION” screen with the driver’s name on it and keep the print out in the driver’s personnel file.

9. Click on “Place an order” to order for another employee or click any of the menu links to exit the order process.Click the "LOGOUT" button to exit.

Reporting OptionsThe website contains several reports that allow you to view available data on uniform orders at your location.

Wearer HistoryThis report shows the products that an individual wearer has had ordered (whether ordered themselves or someone has ordered on their behalf). This report also allows the user to drill into a product and view the actual order for the products.

Web order HistoryThis report shows all orders that have been placed on the website-this report allows users to filter the orders by date, PO Reference and by order status.

Back Office HistoryThis report shows all orders that have gone through the order-processing system at Dimensions-this will contain all orders that have been authorised on the web as well as any orders that have placed by alternate methods (such as telephone, fax or standard order forms).

Financial HistoryThis report shows the invoices and credit notes that have been issued to your site.

Logging Off By logging off each time you have finished using the system you will ensure that other people cannot use your account or order items in your name. End your session by clicking the Logout link in the horizontal bar.

Other helpful information

1. If the web site is down, please FAX or EMAIL your orders to Dimensions using the “Exception” order form in the pack.

2. The web site will automatically log users off after approximately 30 minutes of non-activity.

3. Click the "Wearer Guide" button at the top of the screen if you need to download a new copy of this guide and the forms contained within it.

Return ProceduresDriver Exchange Replacement Orders

1. Place an exchange order online and hold garments until the exchange order arrives.

2. When the new garments arrive, place the used garments to be returned in a bag or box with a copy of the returns form.

Driver New Hire Order Returns

1. Credits are given on new and resaleable garments.

2. Credits are not given if new garments are mixed with soiled or worn garments. Soiled and worn garments should be packaged and returned separately.

3. To return garments from a new hire order, include a copy of the returns form in the box and write “UPS Returns” on the outside of the box.Note: Do not place new uniforms and old uniforms in same package for returned goods.

Dimensions will accept faxed orders for those garments that are “exceptions” and cannot be ordered through the website.

4. How do I check order status?

The Dimensions website will show the “order history” for those orders placed by UPS. Please click on “order history”.The associated UPS Tracking Number is displayed against any despatched orders.

5. Where do I get more forms?

Forms are available on the forms tab of the Dimensions website. You may print copies of the driver forms in cases where you need to order “exceptions”.

6. How do I return garments to Dimensions?

Garments can be boxed and sent back to Dimensions with a Returns Form enclosed to the below address:

7. I have an employee with special sizing or special garment needs. What can I do?

Please call the UPS Dimensions Helpdesk at +44 (0) 1332 856918. A representative will be glad to assist you with options. Please also contact the helpdesk to receive information on specialist garments.

8. I need to send my package via UPS Express Saver rather than UPS Standard?

Please call the UPS Dimensions Helpdesk at +44 (0) 1332 856918 or email on ups@dimensions.co.uk. A representative will change your order status so that it is sent via Express Saver not Standard Service.

UPS Express Saver should only be used as an exception or where UPS Standard doesn’t deliver to your country.

9. What do I do if the website or my PC is not working?

Use the UPS Driver Exception Order Form found in the Wearer Guide to order the required garments. Email the form through to Dimensions at ups@dimensions.co.uk or fax it to 01332 856958
