ForewordDear volunteer,

Cormac Solutions Ltd take safety of their volunteers very seriously and our volunteer pack is designed to help you through the processes that must be undertaken before you can work with us. Please be assured that we want this process to be as simple as possible and we will assist you at all stages to ensure you are able to get on with the job quickly.You will be required to complete the volunteer event notification form and return this for approval prior to starting your activity. This should include a sketch map of the site showing access and entrance points. If you are working at the same site on a number of occasions (for example to keep a flower bed maintained through the growing season), then you only need to fill out one event notification form specifying the dates you will be working on the flower bed.

Please also complete the volunteer risk assessment form. This form needs to be returned as above prior to works commencing for the first time. This will also need to be updated if there is any significant change to the site itself or working conditions. For example, if a risk assessment has been completed for flower planting, it is decided you also wish to paint the raised beds surrounding the site, the form would need to be updated. A further example is a situation where temporary roadworks are being undertaken near your site, and you need to change your normal access route into the site. The risk assessment form should be a live document, with a copy held on site. It should be updated as required throughout the works.

The form attached in the pack has some suggestions of what could be covered by your individual risk assessment. These should not however be seen as exhaustive, and indeed on some occasions the hazards we have suggested may not be present and can be removed. This is your risk assessment, for your site, and should be specific to the type of works you are undertaking. Remember if you have done your best to carefully consider what hazards and associated risks you and your volunteer team may come across during the course of your works, then you are doing all that you can be reasonably expected to do. We will be more than happy to give you any additional advice and guidance that we can – just ask.

Once you have completed your volunteer works assessment please return the documents to either Rebecca Dickson in the east of the county, or Danny Konik in the west. We will then have the details assessed and approved where appropriate, or work with you to revise your plans in order that they can be approved if necessary.

Rebecca and Danny should be your first points of contact throughout the process so please do not hesitate to get in touch should you with to clarify anything in the pack or chat through your options.

Part oneThis agreement indicates the seriousness with which we treat our volunteers. The content of the agreement is to assure you both of our deep appreciation of your services and to indicate our commitment to do the very best we can to make your volunteer experience with Cormac Solutions Ltd. (CSL) a productive and rewarding one.

As a volunteer you can expect:

• to be treated with respect and courtesy; and fairly, regardless of gender, sexual orientation, age, parental or marital status, disability, religion, colour, race, ethnic or national origins, or socio/economic background;

• Cormac and our staff to respect the skills, dignity and individual needs of our volunteers and do our best to adjust to individual requirements; and we will be receptive to any comments from our volunteers regarding ways in which we might mutually better accomplish our respective tasks;

• respect your right to privacy in accordance with the Data Protection Act; and

• provide an explanation of safe workplace procedures without a risk to your health.

• remember that you are a representative of Cormac when volunteering on any Council owned sites or those managed by Cormac;

• are open and honest in your dealings with us;

• treat fellow volunteers, staff and members of the public when carrying out your volunteering with courtesy and respect;

• use all equipment safely and for its intended purpose;

• undertake volunteering in a way not to endanger yourself or others; and

• as appropriate, return uniform and all equipment when volunteering ceases.
