BACKSTORY

Considered to be one of the biggest international business events in the country, it began as a vision to re-establish Gujarat as a major business hub.

The first summit was organized in 2003 with the help of local businessmen with then Chief Minister Narendra Modi taking charge for the event.

Vibrant Gujarat Global Summit is a biennial investors’ summit organized by the Government of Gujarat with the Industrial Extension Bureau (iDEXTb) acting as a nodal agency for the same.

Vibrant Gujarat was once a summit organized with mere business motives. The current objective of this biennial event is much more than just gaining investors and developing the business sector of a stage.

It has become the way to connect with the world, to go ‘Global.’ Objectives of the event now include networking, knowledge and technology sharing and connecting with global thought leaders and opinion makers.

Sustainable long-term growth and inclusive development is at the centre of Vibrant Gujarat.

The event is organized every two years. So far, 8 editions of the summit have been conducted.

Thus, as the event began to grow and gain its status of one of the biggest global events in the country with a long list of esteemed delegates, there was a need for the event organizers to step up their game.

Vibrant Gujarat was a two day event with various sessions, meetings and exhibitions with 1000 participants and 230 international delegates.

A five day extravaganza of conferences, meetings, seminars,trade-shows and road shows along with pre-summit events to follow.

With the 2017 edition being such a huge affair, the overall event experience needed to be seamless. There were certain aspects of previous management process that needed to be optimized.

There were some key problem points to be focused on while organizing the 8th edition.

With its key objectives being to transform the event into a platform for global networking, the concept of B2B and B2G meetings were crucial to the whole agenda.

Apart from this as the number of attendees too has grown remarkably. It was essential to come up with a plan to efficiently manage these attendees and make it convenient for them to navigate through this mammoth event.

The event organizers turned towards event technology for optimizing this event and take it to the next level. A native event app for the Vibrant Gujarat 2017 Global Summit was created with the integration of a networking platform through Hubilo.

THE CHALLENGE: TRANSFORMING THE 8TH EDITION :

The fulfilment of one of its key objectives i.e. to make it a platform for global networking.

The strategy that was decided post meeting up with Shri Rajkumar Beniwal IAS, MD iDEXTb was to integrate a networking platform with the existing user dashboard to create a new and improved mobile app for the summit. The website and the database management would be with Silver Touch Technologies.

THE STRATEGY

A networking platform was created to optimize and enhanceevent networking. It was further synced with event registrations.Hence, as soon as an attendee registered for the Vibrant Gujaratevent, he/she was lead to the platform, making them a part of theevent community.

The app had a chatbot integration whereby the attendees simply needed to drop a text and the virtual assistant would do the rest. Virtual Assistant Task list:

In case of any queries that the assistant was unable to answer, it would send a message to the event organizer app, establishing a direct connect between the organizers and the attendees.

The app also had many other basic features to simplify attendee management and to make it all the more convenient for both organizers and the attendees.

For e.g. one of the features of the summit app that was much appreciated was the virtual map. Attendees could see a virtualmap of the entire event venue on their app and can event track their position on the map itself. This made it easier for them to navigate.


The app that was deployed within a week through Hubilo’s automated platform, received more than 8000 downloads with a total of 9074 meetings being scheduled through the app itself.

Talking about one of the key agendas with which Hubilo was brought in to optimize the event i.e. networking, the platformintegrated with the app received a lot of engagement with more than 30,000 attendee profile views on the attendee list.

The platforms had more than 7000 active users in the span of the event.

The 2017 edition was a major success with more than 50,000 attendees. A record breaking 25000 MOUs were signed at the event.

Its key agenda, to establish itself as a networking platform and to enable attendees to share knowledge and information was fulfilled. Hubilo’s contribution to the event in terms of its mobile app for the summit was much appreciated by the organizers as well as the attendees.
