What is the Cloud & Office 365?“The cloud" is a friendly way of describing web-based computing services that are hosted outside of your organization. When you use cloud-based services, your IT infrastructure resides off your property (off-premises), and is maintained by a third party (hosted), instead of residing on a server at your home or business (on-premises) that you maintain.

Business Productivity at its best! Office 365 is a user-based subscription that provides organizations access to Microsoft Office applications and hosted solutions that are always up to date via a usage-based monthly subscription model.

For business and enterprise users, Office 365 offers plans including email and social networking services through hosted versions of Exchange Server, Lync, SharePoint and Office Web Apps, integration with Yammer, as well as access to the Office software.

Probing Questions• Which productivity tools are your employees using today? • How do you manage email, calendar, contacts and tasks?• Do you currently use Microsoft Office for your office productivity software? Are you

standardized? Are you legally licensed? (Office 2003 has not been supported since April 2014.)• How many mailboxes are you managing today? Office 365 Core Principles (cont.)Work from Anywhere (Work Easier)With Office 365, everyone can work the way they work best (in and out of the office), using trusted business applications such as Word, PowerPoint, Excel and Exchange. They also benefit from a consistent experience across every device, including iOS and Android devices.

How do you like to work? – in the office on certain things; at home on others? How do your employees work and where are they located?• You get a familiar experience across all devices • You and your employees can work from anywhere whether or not you have access to the Internet• You can easily access critical information and docs when you’re out of the office while still

ensuring that your data is secure

To provide a deeper dive on benefits and features of the “work from anywhere” pillar and preempt objections on:• Does the concept of always-on = skewed work-life balance? (Cultural, change management

conversation, managed services)• Inconsistent experiences across devices• Document version issues when working outside the office – train your employees to work

differently. Example: Sending links instead of attaching documents in email.

From your browser to your desktop to your phone or tablet, Office 365 is your integrated best-in-class productivity tool powered by the cloud. • Get the worldwide standard of desktop apps with familiar tools you know and love, including

Word, PowerPoint and Excel. • Create, share and edit Word, Excel, PowerPoint and OneNote documents in real time with

colleagues using any browser. • Bolster productivity thanks to a consistent and optimized experience on all your favorite devices:

Mac, PC, iPads and iPhones, Windows phones and tablets and Android phones and tablets.• OneDrive for Business enables online and offline access and automatic syncing of files to reflect

most recent edits. You can be confident you are always accessing the latest version of your documents from any of your favorite devices.

• Get smooth access to cloud-based productivity services hosted by Microsoft (business-class email, file sharing, HD video conferencing). It’s easier to stay closer to customers and colleagues and it keeps you one step ahead of the competition.

• Rely on one terabyte of online storage: because you should never run out of space to store your important documents.

Office 365 Core Principles (cont.)Collaborate (Work Together)

Office 365 gives you the flexibility to easily access and edit documents in real time across devices and platforms (so you and your team are always working with one version of the truth), combined with the collaboration boost that comes from knowing you can share documents securely and hold productive meetings from multiple locations.

Office 365 has the features to enable cross-group collaboration and access to people, ideas and information – when you and your employees need it most.

Skype for Business• Skype for Business can allow users to communicate and provide feedback when important

decisions are being made. • Instant Message wherever you are. Ping someone to request a piece of information or a fast fact

– and always get a quick answer. • Present a PPT, review a Word doc – or present a virtual whiteboard – it helps keep everyone on

the same page in a virtual meeting.

Yammer• Use Yammer to easily create a private social network so your employees can stay connected,

share information across teams and make faster, more informed decisions for the business.• Yammer can be used to share communications and documents that are searchable by current

and future employees.

SharePoint Online• SharePoint Online enables team and project sharing sites or portals. • You can also use it to share files and resources outside of the organization.• Here’s an example: to enable a easy access portal for HR and benefits information for your

employees, so they can search for info about their benefits (employee handbook, procedures, benefits, etc.).

Whether your collaboration needs are simple or advanced, Office 365 makes working together smooth, secure and productive. • Exchange is the business-class email solution that facilitates collaboration across all platforms

and devices to keep you in sync with your customers and colleagues, 24/7.• Outlook and Skype for Business are integrated so you can add audio/video conferencing to a

new or existing meeting with just one click. Host or join a meeting from all of your favorite devices (including iOS and Android). Easily present, share and collaborate on documents (or a virtual whiteboard) within the meeting space.

• Office 365 supports broader collaboration with services that allow teams to share content and videos. SharePoint is an easy drag and drop intranet for documents and files.

Selling Office Apps in Office 365Customer Buying Scenarios When customers are buying a productivity suite, they want to solve a few key pain points. These questions will help you guide the customer conversation, identify the key pain points and provide the relevant selling messages.

Common Questions and ObjectionsI am also looking at Google Apps. Why is Office 365 better? More than 1 billion people use Microsoft Office products, including your suppliers, customers and partners. File sharing fidelity and quality of work are important for your business’s professional image. Further, Google Apps is oversimplified and lacks the professional features and capabilities that your business needs (e.g., grammar check, thesaurus, full offline support).

I don’t want to subscribe to Office. Subscribing to Office 365 provides the benefits of the cloud, including being always up-to-date and the ability to access your data virtually anywhere from almost any device.

Can I use Office and Office 365 on my computer? Office and Office 365 works on computers running Windows 7, Windows 8 and Mac OS X 10.6 or later. Windows XP, Windows Vista and older Mac OS version are not supported.

Customer Using an Older Version of Office Customer Not Using Office

Pitch Be even more productive with game-changing new capabilities, provided by the cloud.

Your business deserves the best tools to get work done.

Profile

• Customer is using an older version of Microsoft Office, likely Office 2003 or 2007.

• They may think their version of Office is good enough for their needs. They’re not educated about what they’re missing.

• Customer is likely using Google Apps or OpenOffice.• May also be using Corel WordPerfect Office, or not currently

using a productivity suite.

Qualify the customer

• Are you using Microsoft Office? Which version of Office do you have? • What are you using to create business documents, spreadsheets and presentations? • Are you using a computer running Windows 7, Windows 8 or Mac OS X 10.6 or later? (see objection section for details)

Questionsto identify pain points

• Have you considered upgrading to a newer version of Office? • If yes, what has prevented you from doing so? If no, why not? • Do you have remote or mobile workers? How do they access

their work tools and documents on the go?• Are your documents and business data only accessible from

the office? Does that prevent you from responding to customers and partners as quickly as you would like?

• Do you spend a lot of time creating professional-looking and high-impact business, sales and marketing materials?

• Do you wish you had better tools to get your work done?• Do you experience difficulty when sharing documents with

your suppliers, customer and partners? • Do your current tools lack essential features like the ability to

work without an internet connection?

#1 Pain point and selling points

It is difficult to get things done when traveling or on the go? • Office automatically saves to the cloud, so your documents and

important business info is available from virtually anywhere.• Further, Office 365 allows you to access, edit and work on all

those devices, and even devices that don’t have Office installed on them with the Office Web Apps.

• In additional to Office, Office 365 includes business class email, online meetings tools for screen sharing and audio & video as well as online document storage and sharing.

I need to create more professional, higher-impact documents more easily and faster. • Excel’s tools allow for deeper analysis to gather better insights

from your data, with intuitive and powerful formatting for sharing and decision-making.

• Word allows users to open and edit PDF documents as if they were created in Word.

• PowerPoint builds beautiful and high-impact presentations with professionally created templates, timed transitions and animations, plus the ability to embed video - put the best face forward during sales proposals and other presentations.

#2 Pain point and selling points

Upgrading Office is time consuming and technically difficult.• From the cloud, customers can now download and install Office

with a few simple clicks and get to work quickly. Office also works side by side with older versions of Office, without compatibility issues.

• Never buy Office again, as Office in Office 365 is always up-to-date. Microsoft will unobtrusively provide updates to Office in the background, so you don’t have to worry about installing new versions again in the future.

I have trouble sharing and receiving files from customers, suppliers and partners and I waste a lot of time reformatting and fixing my documents.• Over 1 billion people use Office today, which probably includes

your suppliers, customers and partners. Using Office means your shared documents arrive with their intended formatting and effect.

#3 Pain point and selling points

Buying Office is a big upfront expense.• Office 365 is purchased as a low-cost subscription, rather than

a large upfront payment. Office works on 5 PCs and Macs (work and home), and your tablet and smartphone, with just 1 license per user.

• In addition to the full Office desktop applications, Office 365 Business Premium provides you additional cloud services for one simple price.

I can’t work with my documents unless I am connected to the internet (for Google Apps customers).• Office has rich offline support and the ability to work on online

or shared documents.• Google requires specific browsers, only works for certain file

types and is not recommended for documents that are shared.

1Integration with Office Desktop Applications OneDrive for Business provides one place for employees to store all their work files, similar to many competing solutions. But we go many steps further with deep, native integration with Office desktop applications (e.g., Word, Excel, etc.) that are a standard for business productivity, used by more than a billion people around the world today.

2Capabilities Beyond Storage and Sharing OneDrive for Business ships with Office Online, enabling users to collaborate in real-time right in Office in their browser. Other services provide the file sync and sharing, but require Office or other applications in order to edit and be productive.

3Enterprise-Ready Capabilities Popular file sharing services typically lag behind Microsoft in organizational control including risk of data loss or theft, compliance and eDiscovery. By contrast, Office 365 customers get all the benefits of robust administration, management and security that has been battle-tested and improved in the enterprise for over a decade.

4Price The standalone OneDrive for Business service is offered at a compelling price point for customers. It is lower than what is available from our top competitors for equivalent plans. In addition, some Office 365 suite plans -- which include OneDrive for Business as well as other business-class services such as email, Office applications and online meetings -- are often priced below what our competitors offer just for online file storage.

Selling OneDrive for Business in Office 365Which Customers are Right for OneDrive for Business?

I am okay with my employees using free solutions.Free solutions do not provide the control and administration that businesses need to protect themselves against data loss. If an employee using a free solution leaves the company, the information stored in that free solution is lost. This will result in lost productivity and rework, and can lead to leaks of important or sensitive business information.

Can I buy additional storage for OneDrive for Business? The maximum storage limit is 1TB per user with the option to purchase additional storage. Extra storage can be purchased for $.20 per GB.

What are the maximum file number and size limits? OneDrive for Business currently supports synchronization of up to 20,000 documents. The maximum size for a file upload is 2GB and you can upload multiple files at once.

What happened to SkyDrive Pro? The OneDrive for Business Next Generation Sync Client lets you connect and sync files from your OneDrive for Business. You can add a work or school account to the new OneDrive for Business sync client and sync all your files to your computer.

Overcome Objections

ResponseObjection

In the course of the conversation, SMB customers may have objections to moving forward with new or upgraded services. Use the following list of common objections and responses to help overcome obstacles.

Many customers new to the cloud cite security concerns. However, when you compare the typical on-premises firewall protection deployed by many small and midsize organizations to the data protection and physical security measures implemented in Microsoft’s worldwide datacenters, there is simply no contest. With Office 365 and Microsoft Azure, you get the peace of mind in knowing that your applications and data are getting the same level of protection chosen by Microsoft’s enterprise customers, including many of the world’s largest financial institutions. The Microsoft cloud provides a fully managed and monitored infrastructure, with data backed up in multiple locations, along with a wide range of security measures like patch management, security monitoring and encryption.

Office 365 gives you the power and flexibility to run your business anywhere on any device. Using familiar Office apps you know and new business-ready tools you can rely on, Office 365 ensures that no matter where the day takes you, you’re ready to capture what’s next for your business.

With all the talk of cloud computing today, it can be helpful to take a step back and understand what the cloud is and why it matters to your business. At the most basic level, the public cloud is about the ability to instantly grow and augment your IT infrastructure. And it can offer small and midsize organizations a lot of great benefits: You can be up and running fast with the service you need. It means you instantly have global scale, so you don’t have to worry about running out of capacity, wherever you are. And you pay only for what you use, which helps you to save upfront capital expense.

I’m concerned about cloud security

Why would I want Office in the cloud (O365)?

Office 365 has decades of Microsoft development behind it, with thousands of feature refinements over the years, based on usability testing and user feedback. Google Apps is a collection of features developed just a few years ago. Plus Google Docs lacks Office 365 features such as tracking document changes, editing images, formatting text columns and a grammar checker. You may have also heard about Google’s business practices with its customers’ data. Much of Google’s business model is focused on using your business data to sell advertising.

We’re looking at Google Docs – why would I use O365?

Overcome Objections

Response

In the course of the conversation, SMB customers may have objections to moving forward with new or upgraded services. Use the following list of common objections and responses to help overcome obstacles.

It’s super-important to establish with your customers that they are not just buying Office. Move the conversation beyond price by demonstrating the business value and opportunity associated with Office 365.

To address this issue, here are some suggestions:• First, demonstrate some of the great capabilities and cloud

services of Office 365 – think of the capability to have Office on 5 PCs, 5 tablets, and 5 mobile devices or the faster inbox using the Clutter feature in Exchange Online. Show the business challenge each feature addresses and articulate the full business value by highlighting that it’s just one single component of the complete Office 365 service.

• Secondly, recognize that price may continue to be a pain point for your customer. There may be some digging required to find out what is holding them back. Consider a phased approach with an onramp to Exchange Online, the Office Applications, or OneDrive for business with agreement to move forward when the time is right.

• Lastly, if the business value isn’t enough for your customer, start aligning the costs associated with ad hoc solutions. Talk about the costs associated with perpetual licensing. The cost of each component for their current solution, plus the maintenance/integration costs for those solutions far outweigh the single integrated solution that they would get with Office 365.

Price is too high

Top Objections/QuestionsTop questions you should ask a cloud provider when you are considering the cloud for your IT services, and how Microsoft Office 365 answers these questions.

1. Who owns the data we store in your service? Will you use our data to build advertising products? As an Office 365 customer, you own and control your data. We do not use your data for anything other than providing you with the service that you have subscribed to. As a service provider, we do not scan your email or documents for advertising purposes. For more information, please visit How We Use Your Data in the Office 365 Trust Center.

2. Do you offer privacy controls in your service? Privacy controls are enabled by default for all customers of the service and we allow you to turn privacy impacting features on and off to meet the needs of your organization. We contractually commit to the promises we make with respect to privacy and security with the data processing agreement (DPA).

3. Do we know where you store our data in the service? We are transparent about where your data is located. For more information, please visit Where is My Data? in the Office 365 Trust Center.

4. What is your approach to security and which security features do you offer to protect your service from external attacks? Security is one of the most important design principles and features of Office 365. Our focus on security spans hardware, software, the physical security of our datacenters, policies and controls, and verification by independent auditors. When it comes to security features, there are two categories: 1) built-in security and 2) customer controls. Built-in security represents all the measures that Microsoft takes on behalf of all Office 365 customers to protect your information and run a highly available service. Customer controls are features that enable you to customize Office 365 to meet the specific needs of your organization. You can get details about both types of security features in the Security section of the Office 365 Trust Center.

5. Can we get our data out of your service? You own your data and retain all rights, title, and interest in the data you store with Office 365. You can download a copy of all of your data at any time and for any reason, without any assistance from Microsoft. For more information, please visit It's Your Data in the Office 365 Trust Center.

6. Will you inform us when things change in the service, and will you let us know if our data is compromised? We do inform you if there are any important changes to the service with respect to security, privacy, and compliance. We also promptly notify you if your data has been accessed improperly.

7. Are you transparent with the way you use and access our data? We do share important aspects of data storage, such as where your data resides in terms of geographic location, who at Microsoft can access it, and what we do with that information internally. For more information, please visit the Who Can Access Your Data section of the Office 365 Trust Center. We always give you access to your customer data. Access to customer data is strictly controlled and logged, and sample audits are performed by both Microsoft and third parties to attest that access is only for appropriate business purposes. We recognize the extra importance of our customers' content.
