MINUTES OF THE ANNUAL GENERAL MEETING 15 SEPTEMBER 2014

HELD AT GLEN IRIS VALLEY RECREATION CLUB AT 8 PM 1. Present:

The President declared meeting open, declared that a quorum was present and welcomed all present.

3. Minutes The President declared that a copy of these has been circulated to all members

together with the Notice convening the meeting.

MOTION: “That the minutes of the previous annual general meeting held on 12 August 2013 be received and adopted as a true and correct record.” Rob McLauchlan/Jill Anjou Carried.

4. Annual Reports

4.1 President The President spoke to his report in the annual report booklet.

He made special mention of Glen Busby winning the Seniors award at the TV Presentation Dinner.He noted that after our AGM TSA again lobbied us to have a nil membership fee.He commented on the Kooyong B1 event and the subsequent feed-back from TSA about this event. TSA have now decided to run this event themselves without consultation with TSV.He noted that we did not have sufficient time to offer a bid for the 2016 Nationals which are now to be held at Shepparton and run by TSA. Keith noted that a co-operative arrangement with TV for the running of the new Yarrawonga event is the way to in the future.

4.2 Secretary

Angie thanked everyone for their support over the last three years but she has decided the time is right for her to move on and play more tennis. She especially thanked Keith for his tireless work as President over this period.

4.3 ITF Tournaments Graeme tabled his report as outlined in the booklet noting that we have had a very successful ITF year this year with both Dingley and Kooyong going well.We will still have three ITF events in Victoria in 2014-15.

4.4 Social Tournaments Dick tabled his report as outlined in the booklet and thanked his committee for their work over the year. He asked people to fill out a questionnaire on social tournaments that will be available at the end of the meeting.

4.5 Treasurer

4.5.1 Membership Fees for 2014-15 MOTION: “That the annual full membership fees be set at $20 per member and that the social member fee be $10 per member for 2013-14.” Rob Hughes/Alison Leyden, Carried.

4.5.2 Annual Financial Statements The Treasurer outlined the annual financial statements as presented in the booklet. He noted that our membership had risen to 400 this year - 100 new members, probably because of the reduction in the membership fee to $20.

The net result for the year was a loss of $751 compared with a surplus of $2202 last year. He explained the main items in detail based on the “Income and Expenditure by function” report. He noted the one-off affiliation fee to TSA relating to a prior period in the order of $3700. Player subsidies were reduced from $300 per person to $200 per person but the number of players increased.

The association has healthy financial reserves being $164,168 in current assets.

It was questioned whether or not we paid a per head fee to TSA - no we do not.

Tom noted that it cost TSA at least $30k p.a. to run the ITF tournaments for the year. TA had a vision of a $nil membership for all senior members in Australia but the TA database did not contain date of birth information.

Rob noted that he had handed around a copy of the budget for 2014-15 and went through the major changes.

4.5.3 Honoraria MOTION: “That the honoraria for 2014-15 remain unchanged.” Rob Hughes/Alison Leyden, Carried.

MOTION: “That we pay $200 per player selected for ITF events and that we take any shortfall out of the reserves.” A.Leydin/R.Hughes. Carried.It was noted that NSW give $500 and Qld give $300 to their players.

5. Succesion PlanKeith spoke to the problem of replacing retiring officers but was pleased to announce that Paul Kleverlaan had agreed to come on board as President and was bringing several new volunteers with him. He noted his view that the future would involve an increasing alliance with Tennis Victoria with TV providing promotion and administration support to TSV.

We need to prepare a position description (TSV Co-ordinator) to be domiciled in TV and the person employed by TV. The function will not be limited to secretarial duties. If the process is sustainable the a proposal will be put back to TSV.

Keith then invited Nick Hinneberg to answer any questions about the proposed new arrangement. Nick outlined some more details of the concept which would need to be accepted by the membership. The role would be a part-time role in the TV office. It was questioned whether the new role could generate new sponsorships. Neale Price noted that more income would come from tapping into a larger database of players available to TV.

6. Presentations Keith praised the work done by Angie as Secretary and presented her with a small gift as a token of our appreciation.He thanked also Heather Barwick for being our newsletter editor, which had reached standards of excellence, and presented her with a gift.Angie called up Wendy Lavington and detailed her service to the Association and as an assistant to Keith. He outlined the services provided by both Wendy and Keith to TSV, including the new Yarrawonga event, and said what a great team they were. In reply Wendy said that they had been involved with TSV for over 20 years wished everyone well and thanked them for the presentation.

7. Election of Office-bearers 2014-15The President thanked all committee members for their work during the past year and acknowledged that Angie Arthurs (Secretary), Heather Barwick and Keith himself (President) are resignations and and then declared that all positions were now vacant and vacated the chair. Angie proposed that Alison Leydin take the chair for the election of President.

Alison duly took the chair for the election of President. The following were elected unopposed:

The President stated they are all duly elected and added that the TSV Articles state there could possibly be 15 members of Committee so there are vacancies for two more ladies.

Paul then took over the chairing of the remainder of the meeting.

9. General Business

9.1 David Stobart spoke to the recent change in the TV affiliation model and the increased support now received from TA. He noted also the $5 now being offered to clubs by TA for players fully registered on the TA database, including date of birth.

The meeting closed at 9.50 pm and the Chairman invited members to stay for supper.

President’s Report

As we approach the AGM the year seems to have gone by so quickly. I would like to start by thanking the current committee for all their efforts during the past year. Each member contributes what they can in different ways and any help is always much appreciated.

At this AGM we will be calling for nominations for a Secretary as Wendy is no longer able to continue this role due to increased work commitments. We thank her for her efforts and look forward to her continued support on the general committee. If you are interested please contact myself or Wendy to see what is involved.

I would like to thank the whole committee for their contribution thorough the year however; Special thanks to Dick Bartley and his team for continued growth and participation in the social tournament scene it is a most enjoyable calendar they have put together. Dick has also been a strong supporter of our new policy in offering new members free membership to grow our tennis community for future sustainability.

I would also like to thank Robert and Rosemary for efforts in keeping the members informed with outstanding and professional publications and minute taking in a timely and efficient manner.

Graeme Heath has done an amazing job with the coordination, administration and implementation of the ITF tournaments through adverse health issues. I personally appreciate his dedication and I'm sure the players do to. We are currently in the process for applying for a new tournament over the Melbourne Cup Weekend 2016 stay tuned for more details. As always Rob Hughes has been the backbone of TSV with his accounting, support and help with tournaments and committee members throughout the year. Thanks also goes to members not on committee for help on occasion and special mention to Tom Hancy for his support and guidance and knowledge on an ongoing basis.

Some of the highlights for the year include: • A successful working partnership with TV • Introduction of the Yarrawonga Tournament • Ongoing support from Kooyong Lawn Tennis Club • Increased membership from previous year • Increased participation of clubs and players involvement in social

Finally I would like all members to consider the Australian Teams and individual championships being held in Shepparton January 2016. I’m sure it will be an event not to be missed.

As always I welcome any feedback from members in relation to suggestions concerns and constructive criticism on how we can serve members better moving forward and would welcome anyone to have a chat if they are interested in joining the committee or can help in other way to support TSV and its members.

Teams & tournaments Report

TENNIS SENIORS SOCIAL TENNIS REPORT

Our program for the monthly social tournaments is well established .Many clubs have hosted these events a few times and have included the TSV event in their regular club calenders.This year our entrees have been very good and overall numbers would be up on last year. The trend has been for increases from club members and visiting TSV players.

This year we did survey members .Questions included starting time, the format, the length of sets and fees. Most of the 40 respondents were happy with the current arrangements but were open to varying the format. Bruce Park will host a full day event with lunch and afternoon tea. Doncaster hosts a mixed doubles tournament.

Many thanks to Kooyong Tennis Club who allow us to have our tournament there in March and Tennis Victoria who helped us out financially with the day recently at the new indoor courts at the Melbourne Tennis Centre.

Thanks to Dee Evans, Nina Socratous, Lorraine Avers and Marg Clode who have helped with running the social tournaments.

Another positive with the social tennis tournaments has been the increase in membership. Visiting players can pay $20 or $15 if they join TSV for free on the day. Our goal is to obviously increase membership and expand our contact list. So far we have gained over 30 new members using this approach.

TENNIS SENIORS PENNANT REPORT

The big news is that ;TSV wins Tennis Victoria Masters C at Dendy Park on Saturday Aug 29th.TSV 3-7-42 defeated Parkville 1-3-33. Well done to Bill Sale,Gary,Stanton, Jeff Smith and Warren McKeown who did the job on the day and to Dick Bartley, Karl Huss,Daron Punton and others who played in our team.

Thanks Ringwood Tennis Club who make us very much at home at their club. Please contact me if you would like to play Tennis Victoria Pennant next year. We would love to form more teams.

tournaments Report The truth is that this last year has not been a big one for us in the running of ITF events in Victoria. We ran the Vic. Grasscourt Championships in Yarrawonga in November 2014 and the Vic. Claycourt Championships in Dingley in June 2015. Next year will be bigger and better.

Both the events we ran were very successful considering we had a clash with the World Championships when Dingley was on and Yarrawonga was the inaugural running of the event. Participation in both tournaments with respect to the number and quality of players was very good. In Yarrawonga this November coming, we expect a bigger and better tournament with extra doubles events, so get your entries in and make sure you don’t miss out.

Victoria participated in 2 other ITF events this year. The Nationals in Canberra, where Victoria won the Overall Teams Championship and the Oceania Regional Championships held at Kooyong in March, the running of which was taken over from us by TSA. Both these events can be considered as highlights this year for TSV as will be the Australian Nationals in Shepparton in January 2016.

Internationally, Victorian players and representatives have performed extremely well this year. In France, Glenn Busby won the 55+ World Championship and Eddie Myers and Leanne Scott won the 55+ World Mixed Championship. Other Victorian players who have performed very well overseas were Andrew Rae, Bob Howes, Bruce Ferguson, Michael Collins, Wanda Howes, Judy Hancy, Nola Collins, Margaret Harris and Sarah Goddard.

Lastly I would like to thank all those who helped me during the ITF events in a bit of a tough year. Thanks to Rob Hughes, Wendy Harrison, Tom Hancy, Ian Roberts, Leanne Scott and Rena Alves. Special thanks are also necessary to go to Paul Kleverlaan for his help in and enthusiasm for Seniors tennis this year and for the future.

TREASURER’S REPORT FOR THE YEAR ENDED JUNE 30, 2015

MEMBERSHIP

MEMBERSHIP NUMBERS

At June 30, 2015 the Associations subscribing members totalled 440, comprising 420 Full Members, 13 Social Members and 7 Life Members. Full Membership increased by 35 & Social Members decreased by 2; total membership increased by 33.

It is interesting to note that of the 400 Members at 30 June 2014, 45 did not renew their subscription and a further 5 resigned. New members signed prior to 30 June 2015, amounted to 83.

FINANCIAL RESULTS

The financial aspects of the Association’s activities during the last financial year are set out in the accompanying Statement of Income and Expenditure by Function, Statement of Income and Expenditure and Balance Sheet. All statements provide comparative figures for the previous year.

At June 30 Members’ Funds stood at $163,122; of which $160,832 is Cash or Investments. Sundry Debtors of $50 comprises a key deposit at Ringwood TC for Pennant Teams. Sundry Creditors of $160 is Membership in Advance.

AUDITOR

The Association is greatly indebted to Malcolm Allen who most generously provides his professional expertise, at a time of the year when his services are already heavily in demand, to perform the duties of Auditor.
