INTERPOL
81st General
Assembly of Interpol
Rome
GOVERNMENTAL
Case history: Interpol 2012
Italy hosted in Rome from 5 to 8 November
2012, the 81st General Assembly of the
International Criminal Police Organization -
INTERPOL, an event that drew more than
1,000 high-level delegates, including Ministers
of Interior and Justice and the Chiefs of Police
from the 190 member states.
Triumph Group International has been
awarded, by Race of contract, the Organizing
Secretariat of the event.
Case history: Interpol 2012
Database management delegations
The delegations were recorded independently on
a protected site of Interpol, inputting all the
information related to logistics as well as Hotels
and Flights
Triumph Group International monitored in parallel
by providing assistance to delegations for hotel
reservations.
The critical factor was found in the discrepancy
between the official data entered by delegations
and actual bookings made by the delegates.
Often the selection of the Hotel performed on the
database did not correspond to the actual
booking.
Triumph has provided to the Interpol General
Secretariat and the Ministry of the Interior a valid
and effective support by providing correct and
reliable data that enabled an optimal logistics
management of delegations.
Case history: Interpol 2012
Preparation of Tender specifications
Triumph was responsible for the preparation of all
tender for the supplies required in the event. The
most critical was found in the handling of timing
related to the procedures of the Ministry for the
submission of requests and subsequent contracts
with suppliers.
Languages
The official languages of the conference were:
Arabic - French - English - Spanish.
The credit has been run with a division by
geographic region, the badge holder straps were
4 different colors each indicating the spoken
language by the director, of course, also the
support staff has been requested and selected for
all the official languages were covered.
Although all printed materials, as the event
program guides for visits to museums, have been
translated into 4 languages
Case history: Interpol 2012
Features
The fitting had to follow very precise rules, even if
only in terms of sizes and dimensions.
The General Secretariat of Interpol had given the
well-defined guidelines, such as the construction
Classroom of the plenary hall. Tables for all the
delegations have been provided with certain
criteria, including non-standard measures, the
tables were then constructed ad hoc .
A special pidgeon hole was required for the
distribution of documents. Even in this case, each
casket had to meet certain size.
The stage also had to provide space for the band
and for the family photo of Ministers. Steps in
order to accommodate both moments have been
provided, steps that would have to meet certain
criteria established by the General Secretariat of
Interpol.
Case history: Interpol 2012
Graphics
All graphics and their variations on the materials
and on the printed materials were screened very
carefully.
Just to give an example:
The proposed reported visual image of the world,
for the sake of aesthetics and graphic picture of
the world was stretched. It has been specifically
requested to revise this picture because
"distortion" carried out, albeit minimal graphics
and harmony, might offend the sensibilities of
some countries.
Case history: Interpol 2012
Distintive aspects of an institutional event
Synergies between local institution that are ruled by their own national laws and
international organization that have different rules
Logistical aspects have to match with security needs
Knowledge of protocol
Data management according to NOS rules
Participation at all meetings coordinated by the Ministry, the local police, the health
department, civil protection, fire brigade, representative of the local population
