The Employee Assistance Program (EAP)

When is a Problem a Problem?EAP offers assistance for a wide range of personal and work-related problems. Problems are resolved most easily when recognized and acted on early.

Regardless of the nature of the problems, supervisors should be able to identify emerging on-the-job changes that may suggest a problem.

• Absenteeism or tardiness• Declining performance or productivity• Confusion, poor memory or concentration• Signs of alcohol or substance use• Dramatic mood changes, depression, anxiety

or worry• Excessive anger or irritability• Difficulty accepting feedback• Problems relating with others• Excessive physical problems• Changes in hygiene• Reports or discussion of significant personal stress

Although all of us experience some of these behaviors, supervisors should watch for patterns of declining performance. Document your observations and intervene as soon as a pattern emerges.

Occasionally, managers become aware of an employee who is having personal problems but there is no change on the job. Avoid getting too involved in the problem. Simply demonstrate your concern for the person and offer information about the free, confidential services of EAP.

How to RespondWhen responding to employees who may need assistance remember this process:1. Recognition: Know the indicators when employees are

struggling. Do not ignore them.

2. Consult your HR representative or EAP professionals to discuss possible actions.

3. Documentation: Keep a detailed written record of your observations, including what happened, when, where and the result.

4. Action: Intervene once a pattern emerges. Consult with your supervisor or HR to determine an action plan.

5. Referral: Encourage the use of EAP and EAP services. Provide the contact information.

6. Follow up: Check in with your employee over time to ensure the problem is improving.

How to Refer to EAP.There are generally three types of referrals to EAP:1. A “friendly referral:” EAP is suggested as a

helpful resource.

2. Use of the program is “strongly encouraged” when problems are clearly impacting performance.

3. A referral may be incorporated into an employee action plan or follow a positive drug test.

Making a referral to EAP can be uncomfortable for some. You are encouraged to consult with HR, LR or call EAP professionals for guidance on making a successful referral.

When discussing the referral with the employee, express your observations, concerns and a sincere desire to see the employee resolve the problem. Find a quiet, private place for the conversation. Clarify that the resources are confidential and free of charge. Offer the contact information and even encourage the employee to call at that time. Support is available 24/7 through a toll free phone number.

EAP ServicesFace-to-face counseling, information, consultation and referrals are available for a wide variety of personal, family and work-related issues. Visits are not subject to deductibles or co-insurance. Counselors and work-life services are located in most cities throughout the United States, and in some non-U.S. locations.

EAP is a Tool for SupervisorsCaterpillar’s Employee Assistance Program (EAP) is a voluntary, confidential program for all full-time employees and their families to help them resolve personal issues and better manage demands at home and work. However, it is also a resource to help supervisors better manage and support their employees.

Consultation: In addition to your HR manager, you can speak to expert counselors and consultants on how to best intervene when an employee personal problem is apparent.

Referrals: Many employees don’t know where to turn when problems arise. Supervisors should make referrals to EAP to help employees resolve personal problems. But you should also routinely refer employees who are having workplace or performance problems.
