 What do the options mean on the Google Drive  Screen?  

● Create:  Use create to start a new document, spreadsheet, presentation, database, folder or form. See the “up arrow” to the right of the word Create??  This is where uses can upload files and folders that are on their computers (or in their “U” drive). Photos, MS Word files, Excel files and many others can be uploaded for safe storage and sharing. 

● My Drive:  This is where the user’s information is stored.  At OV, we could compare this to the “U” drive of the “C” drive on the computers.  My Drive is a filing cabinet that keeps track of all of your files.  It is entirely online so the files/folders can be accessed from anywhere there is an Internet connection. 

● Shared with Me:  If another user created a file/folder that they “shared” with you, you can find those files/folders here. 

● Starred: Users can click on files to place a Star next them. This method will help find important files/folders quickly 

● Recent: Files/folders that have been recently used are found here ● Trash: Here users will see files/folders that have been “thrown” in the trash can. Deleted 

files/folders will remain in the trash can for 30 days and then will be permanently emptied   How do I upload an MS Office file? 

1. After starting Drive, click the “up arrow” and choose either File or Folder 

2. Choose the file or folder to upload to Drive. 3. The file/folder may now be shared or stored on Google Drive

How do I share files?   There are a few different methods to sharing files. Shown below are two different examples. 

Sharing existing files from Google Drive: 1. While in Google Drive, navigate to the file to be shared 2. Click the checkbox next to the name of the file, Choose More, then point to Share and 

click the Share option when the menu appears 

3. In the People section, type the email address(es) for whom to share the file. This dialog box also allows for a note to be added.  In addition, choose whether the additional people will have Editing (can make changes), Commenting (can provide comments in the margin) or only Viewing (can only see and read the file) access. 

4. Click Send when finished.    Sharing files allows the following: 

● files to be edited/reviewed by many people at the same time 

● files to be viewed at the same time ● eliminates the need to email files from 

one person to the next when editing has to be completed

Sharing existing files when they are created or edited (any Google Drive file):  

1. While creating or editing a file, notice the Share (or sometimes Send) button in the top right corner.  

 2. Click the checkbox next to the 

name of the file, Choose More, then point to Share and click the Share option when the menu appears 

3. Enter email addresses of the person(s) to share this file with. Choose what type of rights they will have, but determining Edit, Comment or View 

4. Click Done or Send
