Welcome. Expo 2020 Dubai is committed to supporting the Participants through their Expo journey. This Exhibition Content and Curation Guide has been developed to provide all Participants with the necessary information to adequately plan and execute the story and content for their pavilion exhibition space.

If you need any clarification or have any questions about how to provide content for your pavilion, please submit your queries through the Participant Portal.

Understanding Controls and Guides

Throughout this document, two criteria for compliance—controls and guides—have been established to assist the Participants in identifying and deploying the right content for their Pavilions.

Controls are ‘must’ statements that establish the compulsory requirements for all Participants taking part in Expo 2020 Dubai to ensure that the standards and aspirations are achieved for the benefit of all parties as a whole.

Guides are ‘can’ or ‘should’ statements that describe methods or suggested ways of operating that meet the specified goals and objectives of Expo 2020 Dubai.

Each control and guide is assigned a unique alphanumeric code. The first character of the code identifies if the statement is a control (C) or a guide (G). The numeric character identifies the sequential order of the control or guide. For example, in the accompanying figure, C-XX is a control while G-XX is a guide.

The controls and guides will facilitate the Organiser in assessing the Participants’ compliance with Expo 2020 Dubai’s Exhibition Content Curation Guide standards and requirements.

Terms and Definitions

Expo 2020 Dubai®:

Name of the event that will be hosted on the Expo site; Also referred to as ‘Expo 2020,’ ‘Expo,’ ‘Dubai Expo 2020, ‘Expo Dubai 2020,’ and ‘Expo event.’

Non-operational hours:

The hours that visitors are unable to access the Expo site, and the hours in which Participants can replenish their pavilions.

Participants:

Foreign governments and international organisations who have received and accepted the official invitation from the Government of the United Arab Emirates (UAE) to participate in Expo 2020 Dubai.

Operational hours:

The hours that visitors are able to access the Expo site during Expo time.

Organiser:

Bureau Expo Dubai 2020; established by virtue of Decree No. 30 of 2014 issued on 25 June 2014 to administer the organisation and delivery of Expo 2020 Dubai.

Participant Portal:

A web-based portal that facilitates communication, provides events management services, and provides other services to Participants.

Theme:

Expo 2020 theme of Connecting Minds, Creating the Future.

ROI:

‘Return On Investment’ measures the gain or loss generated on an investment relative to the amount of money invested.

Example of a Control Statement:

Speech Audio should not exceed two minutes in length and should have a fade in/fade out edited into the file.

Example of a Guide Statement:

Lighting is provided by the Organisers and is set in place over the exhibition modules for the best visual effect. Changes to light fixture locations would be based on a substantiated design proposal and at the Organiser’s discretion.

Your Story and Key Message

Engaging with your Visitor is the key to creating a memorable experience. The aim is to be an effortless storyteller that the Visitor trusts with their imagination. Every story has a beginning, a middle and an end with an overarching theme. Find your own unique story, and this storyline will give you the framework to fill in your details.

To get started, your first step is to identify the key message you want your Visitor to leave with. Once you’ve determined your key takeaways, dig a little deeper to add more context to help your Visitor understand the importance and meaningfulness behind it.

Create an engaging storyline in your pavilion and your audience will appreciate that you took the time to involve and inspire them.

Now you are ready to start planning how your story will come to life within your chosen exhibition space. To do so, you can start on paper.

Print out your Pavilion architectural plan drawing and elevations (See Appendix A in this guide). This will allow you see and clearly mark out where the various components of your exhibition story might fit.

Ensure that there is enough space for people to move comfortably in the gallery, and that they can see each object easily.

We have included an optional children’s area within each Pavilion. Should the Participants wish to include one, we would invite the Participants to consider the elements that would both reflect their early youth’s lifestyle, education and methods of recreation.

Items such as vernacular books, toys, comics, cartoons, movies, programs are advised to be taken into consideration.

An example of a storyline is for the imaginary nation of Solea. As a peace-loving and hard-working nation, the key messages are serene nature escapes for tourists and approachable locals that can be trusted with commercial partnerships for trade.

To find its key message, Solea has asked itself:

• “What do we want from the Expo 2020 experience?”

• “What are our key features as a nation?”

Solea decides it wants to focus on tourism.

Solea then goes further and asks itself:

• “Why would tourists want to visit Solea rather than other established tourist destinations?”

By answering these questions, Solea is able to define its key message and the ingredients of its pavilion story.

Focusing on tourism, high quality beautiful imagery is selected showing the variety of landscapes available to tourists. For example, images of pristine, quiet beaches are placed along one wall while images of nature trails highlight the diversity of the land.

Text to support the images including interesting facts such as the size of national parks and lengths of beaches are collected and placed around the images. Activities are highlighted to appeal to a variety of tourists as well as information on weather cycles, informing the audience of rainy season and the best time of year to visit.

Success stories of local businesses is one way to demonstrate and encourage foreign investment and partnerships. Statistics on economic growth and ROI are shared via infographics and short videos, bringing the data to life.

Solea could think of other creative ways to tell their story, whether they use technology or a single person point of view. The end result is to connect with the audience on a deeper level.

Once the elements have been gathered and the storyline finalised, Solea is ready to plan the physical space on paper and start plotting the specific images and text on wall space, helping them tell a story that flows easily from topic to topic.

The Content That Will Tell Your Story

Physical Objects

These include scale models, special artefacts unique to your country, dioramas, props, reconstructions,

Physical Objects Specifications:

Please refer to the sizes of pavilion display areas specified in Appendix A of this Exhibition Content Curation Guide.

Important: you must make sure that all physical objects you wish to display do not exceed the maximum display sizes specified in Appendix A

Video

These include film, interviews, archived film, moving image effects.

Video Specifications:

Video content provided by the country should be in MPEG-4 (MP4) format.

Participants must provide content in the following specifications:

Video content must be in landscape format;

Minimum content resolution: HD (High Definition), 1280x720 pixels;

Preferred content resolution: 4k (4096 x 2160).

Audio

Participants have the opportunity to play Audio within their Pavilion. These include spoken words, oral testimony, music, native languages.

Audio Specifications:

Speech Audio should not exceed two minutes in length and should have a fade in/fade out edited into the file.

Music and ambient sounds can be played continuously.

Audio files to be submitted in MP3 format with a minimum bitrate of 128Kbps.

Print

These include images and Illustrations (e.g. photographs, maps, drawings and diagrams), graphic panels that incorporate text and images, object labels for individual objects, leaflets and education packs.

Print Specifications:

Desktop Publishing Applications (DTP): Supported DTP applications include the Adobe Suits; Photoshop, Illustrator, InDesign and Acrobat Professional.

Image files are required to be a minimum of 100 dpi @ 100% of the final output size or 300 dpi @ 50% of the final output size. Important Note: Please do not use images taken directly from web sites, MS PowerPoint, MS Excel, MS Word as the resolution would in most cases be low. Please provide us with a PDF with your files as various colour output devices interpret colour differently.

Output Size - For large graphics, create a single page at 25% of the full output size, we will set the points for splitting panels on Pop-Ups. Make sure “Facing Pages” is turned off.

Crops & Bleed - Please do not add any crops or bleed to your artwork.

Black - Anywhere you use black, define it as cyan = 20%, magenta = 20%, yellow = 20%, black = 100%

Pantones - Use Pantone “solid to process” guide for PMS references supplied for colour matching.

Photoshop - In Photoshop please flatten all images and do not use extra channels. Convert all duotone and RGB images to CMYK. Save all images as EPS (encoding JPEG Maximum quality).

Text Size Guidelines - Please refer to Table 1 on Page 6.

Fonts - Any language fonts other than English should be converted to outlines. “Select all” in Illustrator & Freehand and set attributes to 9600 dpi. Please be sure to include both screen and printer (PostScript) versions of the fonts used in both the document and in any EPS files supplied in case changes are necessary. These are found in the system/fonts folder on your Mac or in the Windows/system folder on your PC.

Collect for Output - Be sure to include all source files, graphics and fonts with your job. Use prepress packaging commands such as “Collect for Output”, this collects all linked images, logos and fonts into one folder.

Important:

As a Participant, it is your responsibility to ensure that you secure all relevant permissions and copyright for all content displayed in your pavilion.

As a Participant, it is your story to tell. You are encouraged to use a variety of elements to bring your story to life. Select your content based on the final key takeaways that you want you Visitors to leave with.

Leverage your stakeholders

Your stakeholders are any persons or organisations that can provide either expertise or pre-existing content that can help you make sure your Expo 2020 key messages are clear and your story is powerfully told.

For instance, in the example of Solea, in trying to tell its story, Solea discovered that it could leverage non-profits, institutions, thought leaders, and partner-brands from the private sector to its advantage.

It also found that various Solean ministries and country agencies had suitable pre-existing content. For instance, if Solea wanted to promote its sustainable agriculture, it could leverage its Ministry Of Agriculture’s media archives.

And finally Solea discovered it could enlist pre-existing content from its famous artists, bloggers, photographers, and filmmakers to tell its amazing story.

Appoint a Content Champion

Identify someone on your team who can begin this process of identifying and mobilising your stakeholders. This person will become our point of contact. They will liaise with all stakeholders to identify and collect your content and then provide us with your material.

Your Content Champion will also be responsible for making sure that all content submitted is fully developed, and meets Expo specifications.

Experience has shown us that appointing a Content Champion not only significantly improves a Participant’s ability to identify and submit its content on time (and thus avoid a last-minute rush) it also improves the overall quality of your submissions.

Choosing The Best Content

Remember:

• Think creatively when telling your Pavilion story. A combination of mediums will keep your Visitors engaged

• Leverage your stakeholders

• Appoint a Content Champion

• Choose content that reinforces your main message.

• A picture is worth a thousand words.

• Videos are very powerful.

• Physical objects can speak where language cannot.

• Make full use of the technology at your disposal.

Images and Videos

Images and videos engage more of your Visitors’ senses, leaving a deeper and longer lasting impression, and so they are one of the most effective ways of communicating with your audience.

Images can also help you lead your Visitors through your Pavilion, by summarising the topic of each section and seamlessly linking related areas to each other. When used properly, images can also help bring distant events, people or stories to life – whether from the past, present or future.

For example, you can choose to emphasise significant historical events, or even future ambitions through powerful, iconic images from your archives.

By combining sight, sound and motion, videos are also an extremely powerful way to show certain parts of your story. Videos are especially useful for sharing personal stories and create a sense of action - whether to showcase local businesses, innovation, or cultural activities such as traditional dances.

Interactive Content

Another way to bring your story to life is through interactive content. Based on their individual participation, your content will transform into a personal experience unique to each Visitor.

Interactive experiences help your Pavilion stand out from the rest, and are particularly useful for engaging Visitors with fun or complex subjects, increasing the chance of greater exposure and repeat visits.

Audio

Used properly, audio experiences can greatly enhance the impact your Pavilion has on your Visitors. By choosing the right music, background or ambient sound, audio experiences can help establish the tone, mood and energy of your Pavilion.

Audio experiences like oral narrations are also especially great at capturing your Visitors’ imaginations and adding visual and emotional texture to aspects of your content that might otherwise be difficult to communicate.

Physical Objects

Artefacts can give your Visitors an unmatched insight into your customs, culture and what your country has to offer.

Through artefacts and physical objects, your Visitors are able to see, touch, feel or even smell something physical from your unique geography, economy or culture.

Select unique artefacts that enhance your story and bring a part of your culture to the Pavilion.

Getting Your Content Ready for Expo 2020

General Do’s and Don’t’s

Participants must adhere to the maximum object dimensions suitable for the display modules combination package. Refer to Appendix A for more information.

Display Boxes (Small and Medium) have a maximum weight restriction of 40kg. Large Display boxes will have a maximum weight restriction of 80kg.

Content displayed independently from the display cases shall not exceed the dimensions 2.2m H x 1.5m W x 2.0m L, and not exceed 150kg per sqm. Oversized content shall be subject to Organiser’s review and approval.

Participants must advise the Organisers if they plan to have Physical Objects (e.g. artefacts) as rotational content in their pavilion. This will be subject to storage space availability.

Participants must plan their exhibition within the constraints set out within the corresponding floor plan. Content that extends into the Visitor flow clearances indicated on the floor plans shall not be accepted.

Exhibits must not interfere with the functionality of the installed building systems that include Fire and Life Safety Systems such as fire alarms smoke detectors, emergency lighting, sprinklers, escape routes, emergency signage, ventilation, lighting and air conditioning systems.

Content must be of size that can access the Pavilion door openings (1.8m W x 2.4m H) without any modification to the base building. Participants may consider disassembling their exhibits into smaller parts to access the Pavilion.

Participants must obtain approval from the Organiser before modifying any part of their Pavilion including the structure, fire and life safety system, mechanical and electrical systems, public health system, or any of the interior construction.

Participants must not use the existing walls to support heavy attachments without prior approval from the Organisers. The approval will be based on the engineering calculations submitted by the Participants during the exhibit design stage.

External doors must be transparent and free of any materials or objects that block visibility into the Pavilion, unless approved by the Organisers.

Participants must carefully plan their exhibit design to work within the power allocation as shown in the pavilion drawing (provided on request). Details of their plan must be submitted to the Organisers as part of their design submissions.

Languages

The agreed languages that shall be utilised at EXPO 2020 are in the following order:

• Arabic (Compulsory)

• English (Compulsory)

• French (Optional)

Lighting

Lighting is provided by the Organisers and is set in place over the exhibition modules for the best visual effect. Changes to light fixture locations would be based on a substantiated design proposal and at the Organiser’s discretion.

Commercial Items

Participants shall be provided with a retail module for commercial transactions. Items that may be considered for sale include:

• Trinkets

• Souvenirs

• Clothing Items

• Dry pre-packaged food

• Artwork

• Musical Equipment

• CDs & DVDs

• Books and Written Material etc.

The items above are suggestions and other items shall be considered by the Organisers.

Items prohibited for commercial sale include:

• Non-processed food items

• Weapons or Sharp Objects

• Dangerous Goods

• Pharmaceutical and Medicinal Goods

• Alcoholic consumables

Upon receipt of this Exhibition Content Curation Guide, please submit all content required via the Participant Portal as per the specified timeline and required formats – making sure you follow the labeling and/or filename on the graphic and content schedule as specified in Appendix A.

Use of Space

Description on the use of space within the designated retail area.

Accessibility: Dubai Universal Design Code

Compliance with the Dubai Universal Design Code is a requirement for all exhibiting countries.

Flammable and Toxic Material

All materials used in display construction or decorating should be made of fire-retardant material and be certified as flame retardant. Sample should also be available for testing. Materials that cannot be treated to meet the requirements should not be used. A flame-proofing certificate should be available for inspection. Exhibitors should be aware of local regulations regarding fire/safety and environment which must be adhered to.

Canopies and Ceilings

No ceilings, canopies, or suspended items in the retail area are allowed unless already incorporated in the design of the Pavilion.

Retail Modular System

Partitions are modular, set at 1200mm in width and can be arranged either in linear or corner configuration.

Customisable Graphic can be applied on the back panels of the module. Each back panel per module is 2100mm in height and 1200mm in width, with a total of three modules per Retail Zone.

Banner and Graphical Customisation

Signage:

Text height for the name of the “exhibition shop” must be a minimum of 150mm text height, properly illuminated, and feature a legible font. The height of the signage is required to match the height of the Pavilion’s design elements.

Backdrop:

The retail area is customisable to feature different graphics based on the country’s design idea. For example, the retail partition can be painted, treated with vinyl sticker, wallpaper, or any other materials that comply with all the applicable local and regional codes. Refer to point 5.0 Retail Modular System for backdrop size.

Aisle Clearance for Accessibility

Interior aisle for browsing items must maintain a minimum 1500mm clearance as per the Dubai Universal Design Code shown in figures 8 and 9.

Retail Loading and Size Capacity

Shelving:

Wall supported shelving should not exceed a medium loading capacity 20kg per shelf spread evenly.

Maximum object dimension should not exceed 30cm D x 90cm W, Height shall be dependent on the modular layout based on Participant.

Consideration should be made with regards to how the merchandise is placed.

Base Shelf:

Heavier objects may be placed on the lowest shelf.

Shelf shall include storage drawers.

Maximum object dimension should not exceed 50cm D x 50cm W, Height shall be dependent on the modular layout based on Participant.

Maximum weight per object should not exceed 40Kg per object with a maximum combined weight of 100Kg.

Slat Wall Accessories:

Participant would be provided with choices of accessories including slat wall waterfalls (figure 4), slat wall hang rail (figure 5), slat wall hat display (figure 6), slat wall shelf bracket (figure 7) as shown in figures below.

Product Lighting

The retail area will have overhead lights installed in the space. No supplementary lighting required in this area unless the exhibitor elects to add lighting for product showcasing (at additional cost).

Lighting is integrated on the Retail Modular System.

Point of Sale

Accessible desk with small space for storage.

Merchandising can be placed on the lower portion of the tabletop and should not exceed 30cm D x 50cm W x 40cm H.

There is no provision made for a secure glazed cabinet for merchandising.

Electrical point for Point of Sale payment system is provided through a conduit as shown in figures 6 and 7 that connects with electrical services in the ceiling above.

Point of Sale payment system is integrated in the counter.

Customisable Graphic can be applied to the front of the counter.

How to Read a Graphic and Content Plan Layout

Elevations

Elevations are drawings that show how the various sides (front, rear, or side walls) of your Pavilion will look like. These will include locations of display elements within your Pavilion.

General Elevations Tag

These tags identify the elevation view by the direction it faces. General Elevations typically show the front, sides, or rear view of the Pavilion. Each view will include locations of display elements such as modules, display boards, and the like.

Detail Elevation Tag

These tags show detailed elevations of each zone within your Pavilion. Every detail elevation will specifically indicate where to place your content, as well as the type of display such as modules or display boards.

Graphic and Content Tag

These tags show locations of Graphic and Content used within the Pavilion. This is to be read in conjunction with the Graphic and Content Schedule and the Graphic and Content Plan Layout.

Audio Visual Tag

These tags show locations of Audio or Visual Technology used within the Pavilion. This is to be read in conjunction with the Audio Visual Schedule and the Graphic and Content Plan Layout.
