Appendix P1 –Deadlines

Faculty are solely responsible for delivering application by deadline to District Office of Human Resources. Late applications will not be reviewed by PDL Committee (17.9).

• by OCTOBER 10 (or 5 days prior to submitting application) consult with Dean; get signature/comment (17.11).

If Dean believes plan will not benefit the District/students, faculty may proceed with, amend, or withdraw application.

• by OCTOBER 17, 4:30 p.m. (October 15 is a Saturday) submit Appendix P1 plus 2 copies to District Office of Human Resources get “Tear Sheet” (p.2) signed, dated by the District Office of Human Resources

Appendix P1–Approval

17.13 The PDL Committee … shall approve* an application only if satisfied

that the faculty employee is eligible for the leave and that he or

she shall, during the leave, engage in study, research, or travel

that will:

17.13.1 Substantially benefit the District and its students; and

17.13.2 Enhance the faculty employee’s job performance and professional growth; and

17.13.3 Relate significantly to the faculty employee’s profession, assignment, or planned assignments.

Appendix P1–Key Components

OBJECTIVES: 17.10.1 Set forth objectives for the study, research or travel so as to demonstrate that the leave will enhance the job performance and professional growth of the faculty employee;

ACTIVITIES: 17.10.2 Include a plan of appropriate substance and duration which is proportionate to the length of the leave requested for meeting the stated objectives and an anticipated calendar or timetable for carrying out the various activities.

VERIFICATION: 17.10.3 Include the means by which a faculty member will report on or verify the objectives were achieved.

OBJECTIVE = general goal/purpose of leave; when achieved, results in enhanced job

performance and professional growth.

OBJECTIVE = broad

more than 1 activity could be selected to achieve it

Tips on Describing Activities

Avoid “indeterminate” verbs, vague numbers: I’d like to take classes in Culinary Arts I hope to visit a few colleges I plan to begin to develop a course in Culinary Arts I will look at conferences offered by UCSC Extension, UC Berkeley Extension I will review some courses at UC Santa Cruz, UCLA, and CAL Tech

Avoid vague dates: I will take two classes one quarter of my leave.

Avoid a range: I will visit 5-10 colleges. I will read and annotate between 10 and 20 texts.

Avoid single option: I will enroll in the Philosophy master’s program at UC Berkeley. what if you are not accepted? I will take Philosophy 25 in Spring 2011.

Helpful Tips1. Read Article 17–twice

2. In filling out the application Spend sufficient time pondering PDL objectives that will enhance job performance, provide professional growth.

Check objectives are expressed as broad goals/aims, not specific activities.

Check Check activities are listed by each quarter of leave (a “calendar” format not a long narrative).

Think of verification from PDL Committee’s point of view: what item they will expect to see to confirm each activity was completed.

3. Meet 3 contractual deadlines: by Oct 10 confer with Dean;

by Oct 17 4:30 p.m. submit Appendix P1 in triplicate to District Office of Human Resources.

30 days after return from completed PDL, submit Appendix P3 and relevant materials to District Office of Human Resources.

Helpful Tips

4. When turning in application, get “Tear Sheet” (Appendix P1, p. 2) signed, dated by District Human Resources personnel [not Dean]–keep secure place.

5. Do not rely on someone else–helpful colleague/Dean–to turn in application.

6. Get approval from PDL committee before changing PDL date or activity: submit Appendix P2 to District Office of Human Resources.

7. Ignore advice from helpful colleague or Dean to follow different PDL procedure than in Article 17 or to use different form than Appendix P1, P2, P3.

8. When unclear on any PDL procedure, ask FA or District Office of Human Resources for clarification.
